Reference a document in the material master

I'm wondering if anyone can suggest a way that we can do the following....
We basically want to have a field/location in the Material Master that will reference a document stored somewhere on a network server and in turn, display and print on the PO (the document name prints, not the contents). Any suggestions of where to start?
So in the MM for Material # 123456
MyField = "MyInspectionDoc.pdf" (MyInspectionDoc.pdx resides on \\mynetworkserver\MyInspectionDoc.pdf)
Or
Is there a way to have an attachment in the MM that will automatically be pulled into the PO when the PO is created (with the material item as a line item in the PO of course)

I think you are mixing DMS (document management) with GOS (generic object services)
GOS content is created as shown in your screen shots.
You cannot even see from any transaction which materials have a GOS attachment. The GOS attachment can only be accessed from the object (material master) where it was created.
DMS is a central component in SAP and embedded to the material master like it is done with classification too.
You can create the documents in CV01N transaction and link to the material or directly from material master. you can use CV04N to search for documents
In the material master you will find the link to the document in alternative data tab where you have as well your alternative units.

Those material master attachments/documents do not print automatically in a PO, for this you have to do some ABAP development

    You have to implement document Management module.
    then it can be managed no of drawing for a material bom with versions.

    From the purchasing point of view,In the normal process Cost in the Material master gets updated from purchasing documnents automatically.In this case,manually if the cost is changed in the purchase order affects the cost in the material master.My requirement is this should be done automatically after receiving the vendors confirmation of list of material costs.There may be chance of change in the cost of the materials.so the costs of the materials which were changed should get updated in the material master automatically(VPRS).
    Ie changing of the costs of the materials in the purchase order should be reduced .How this will done??
    If we have more than 2000 line items in the purchase order,it will be quite little bit difficult to update each material cost in the purchase order .

    Hi,
    Normally material will be valuated with two types of price controls S -standard price and V-moving avaerage price.
    A std price as its name indicated it is std and will not chnage.
    A moving average price will chnage accordingly with the change in the material price.
    Normally it will be better create a info record for the material and vendor combination for the plant or purchase organisation with a info update indicator in the purchase order will serve your pupose .
    With the proper settings at SPRO system creates info record during creation of PO if it does not exist or updates the existing record if it has one with the latest price details in the form of last purchasing document so that these details get defaulted during creation of PO.
    However you can create a outline aggrement so that a PO can be created with reference to that.
    Or you can create a condition record for the price for your combination so that it can get defaulted.
    The price which is there in PO will not be defaulted to material master.
    Or time to time you can review the prices and maintain via MR21.

  • Open field for cost center on the material master

    We have a unique requirement in a facility we intend to implement plant maintenance in to track a cost center to a material by including the cost center on the material master somewhere.  Cost center is not a field on any of the material tabs we use for maintenance materials, but the requirement is just that it is tracked in a field, even if it's just an open field like a "user defined field" or another field not used often.  We realize there are disadvantages such as the field not being checked against active cost centers, but we are looking at options short of adding cost center as a field manually to a tab (which I believe would require ABAP assistance).  I don't think there are any other fields/tabs we are currently not utilizing but I could be wrong... The best option we can think of is adding it in a material characteristic so it shows on the classifications tab, but I thought I would see if anyone has any other ideas.

    Not sure what is the need of cost center on material master when you want to implement Plant maintenance module. Do you have any specific requirement for this?
    Ideally cost center will be derived from either functional location/ equipment (equivalent of material master) on to PM work order or notification.
    Can you elaborate the requirement?
    After all if you wish to go with cost center, then I suggest it should be at plant level as PM requires plant level distribution. You can add up a custom field and give the reference of cost center data element with help of developer.

  • Goods receipt reference to Purchase Order non-material master items

    Dear all,
    Platform: SAP R/3 4.7
    I'm working in my customer environment whereby the purchasing scenario is as follows:
    1. Create a normal PR me51n -. enter material description for the item to purchase, qty, price, plant and etc. My customer doesn't maintain material master for their items.
    2. Create a normal PO me21n with reference to the PR. The information from the PR is automatically copied to the PO.
    3. They receive the physical item and now it's time to perform GR.
    My question:
    Can I perform GR with reference to PO since the item in the PO is not from the material master, meaning there's no material # maintained for that item? I'd like to record the items ordered into the plant.

    Yes always you can make GR against of PO irrespective of material master maintained or short desription, which is commonly called non codified material.
    Ccan be procuured against Account assignment ( cost center) which have to eneter in PR/PO in the account column then material group, which is mandatory field with this G/R/IR clearing account will get triggered during GR which is debit entry & GL which is maintained in the PO with the combnination of cost ceneter will be the Cr entry. Hope this helps you."
    I'm still kind of confused. Normally, if a material master is maintained for an item, under accounting 1 view, we assign a valuation class. During GR, it will hit transaction key in OBYC - BSX and the system will be able to locate the corresponding GL account # mapped to that valuation class in the material master.
    Now, for this "non codified material" you mentioned, how does the R/3 know which GL to assign? There's no accounting view for it since it's just a text description. This is where I'm really confused.

  • " Item Category Group" in the material master?

    Hi,
    I'm going to use inbound delivery for purchase order, so I'm going to do it as follows:
    1) Create a new "item category group Y001"
    2) Create a new "item category Y001  (copy from ELN then change the movement type to 101, and set it relevant to putaway)",
    3) Replace the item category group in the material master with Y001
    4) Determine the item category via transaction 0184 as the following ways:
         "Delivery Type"  EL    + 
         "Item Category Group From Material Master" Y001    +
         "Item Usage"  V     +
         'Item Category Of The Higher-Level  Item"  
         ==>  "Determine New Delivery Item Category" Y001
    My question is, If I change the item category group in the material master, is there any effect to SD part?

  • Legacy number in the material master

    Dear SAP Guru,
    Good day.
    We are currently in production support today and we want to understand how a legacy number differs from a material number. As we can see in the material master (Classification View) there is an indicated legacy number there with a corresponding value. Could you further elaborate on how and what is the usage of a legacy number?

    Basically some clients would be interested to track the SAP material number with referance to the Legacy material number, this data would be uploaded during the Cut-over and data conversion to SAP.
    I would suggest you look at the Functional/Tehnical specification document for the conversion program which was used for uploading the material master data into SAP, that would give you the business reason and the field mapping details.

    Hi,
    When a PO is created (say for Cost Center(s)), and if the material has a Material Master record, after the goods are received the same goes directly into Consumption account and not in stock account since it is meant for direct consumption by Cost Center(s). (Ex`s. of consumables are Office supplies).

    Most data in the material master record can be maintained directly by the user. But some information is automatically updated by the system. When you enter goods movements, for example, the system updates the stock and consumption data. Statistical information, such as the date of original creation and that of the last change, can be invoked with , with the quick-info text Information on material.
    Some data in the material master is used for information purposes only, for example, description, size, and dimensions. Other material data has a controlling function in an application. For example, the MRP type controls the MRP procedure and the price control indicator determines which material valuation procedure is used

  • Change Excise Duty Group on the Material Master

    What are the steps to change the excise duty group in the Material Master (MARC- OITAXGRP)? I am getting a message 'Excise duty tax group cannot be changed due to posted stock'.
    We realised some of materials have been setup with incorrect excise duty group at a few plants and there have been a lot material movements posted (101s, 301s). But is the best way to fix this?
    Do we have to reverse all the documents or is it good if we zero the inventory and then it will allow us to change?
    Is a direct table update of the table an option?
    Please advice.

    you can't change the excise duty group if there is a stock for the material.
    there is a steps that you need to follow if you inisist to change:
    - zerorize the stock in the current period (all stock types)
    - zerorise the stock in previous period (all stock types)
    - then only you can change the excise duty group.
    these steps can only be carried out when the two posting period are still open, so normally you should do it at month end.

    Hi Roshan,
    Insted of using this field u can assign Document directly to the Additional Data tab.
    TO attach the document to Material Master go to Additional data ---> Document data, assign Document.
    You can confirm it by pressing F1 key by selecting that Field.

    We need to create security for the material master by screen views. The Purchasing group needs to be able to change the Purchasing and MRP screens but none of the other screens. How would we accomplish this with SAP security?

    Janet,
    It is hard for us to know how your authorization profiles or roles are constructed.  You really should consult your local authorization expert.
    The Authorization object you are looking for is M_MATE_STA.  It is probably contained in at least one of your Roles or Profiles that are currently assigned to your MM maintenance people. At a minimum, it should exist in standard SAP profile M_MATE_ALL in your system.  You can review all of these types of authorization info in the User Information System (transaction SUIM).
    You would have to create roles or profiles that narrowly define the "User department" fields for M_MATE_STA object.  You would also have to search for existing roles/profiles that contain "*" in this field, and determine if these entries are still appropriate in your new authorization business process you want to begin.

    The data contained in a material master record is divided into user departments or views (Purchasing, MRP, and so on). The maintenance status is a single-character key for the relevant user department or view.
