Substitute profile

Hi'
in our organization we have just implemented af invoice approval workflow. Here we use substitutes to ensure, that the invoices are processed in time. However we do not want the substitutes to see, what other tasks the person they substitute have in their inbox. Can the option Substitute profile be used to differentiate between workflows in substitution?
By now i have customized a substitute profile called "Invoice" and a Proxy for the invoice type. So I figure that every task must "know" that it is a part of the invoice setup. If I do it on agent assignment, no agents are found, because it is not a general task. How to handle this problem?!?

Hi Mikkel,
Well yes it can - that's exactly what it's for.  But be a little careful because it does have some limitations. 
It works like this:
You assign a dialog task to a task classification.
(see the menu options in txn PFTC)
Only one task classification can be assigned to a task.
You assign groups of task classifications to a substitution profile.
Tables for the above are T77TC, T77PR, T77RO - all maintained through transaction SM30.
A substitution profile can then be assigned to a recipient/substitute relationship.
BUT... You can only assign one substitute profile to each recipient/substitute relationship.  So if you want people to be able to select different combinations of workflows then you have to create a substitution profile for **each combination** of task classifications that can be assigned.
Recommendation: Use sparingly for the really important stuff.

    Values from the drop-down box come from customizing.

  • Error while activating substitue in UWL

    Hello again,
    I created a substitue profil "ESS" and a task classification "LEAVE".
    I also assigned the classification "LEAVE" to the substitute profil "ESS".
    Via TX pftc I made the task TS 12300097 (Approval Process) a "General Task" with classification "LEAVE".
    When I switch on the substitution profil "ESS" in the UWL on portal side, I get the following error message:
    System: AdhocSystem | Status:failed | Message: System does not support these tasks.
    We are using SAP ECC 6.04 and the NetWeaver Portal.

    standard. The system checks the task class under the field name
    TASK_CLASS in the authorization object S_WF_WI. This system uses this
    authorization object to check the authorization for carrying out
    specific actions on particular work items. The assignment of tasks to
    classes is also important in the definition of substitutes. You can
    also define that only those classes are displayed which refer to tasks
    or workflows of a particular class. Take this into account when you
    create new classes and assign tasks or workflows to the classes.
    You can set this classification via:

    => IMG
    => Basis Components
    => Business Management
    => SAP Business Workflow
    => Basic Settings
    => Maintain Task Classes.
    Once the classification has been added as above you can then add this to

  • Sales Document Classification in SAP

    Hi,
    I want to Classify Sales Documents in SAP. For example, the Inquiries will get classified into the following:
    · A_Type-Project: Business Unit/ Divisional level risk review required.
    · B-Type-Project: Large, medium project, product, service business.
    · C-Type-Project: Standard product business, Product oriented project business (clear scope, predefined process steps, no risk)
    The further processing of the Inquiry will depend upon where it falls in this classification. Can any one help me with how to achieve this in standard SAP?
    SAP Menu > Cross application components > Classification system gives the option to create classification type, characteristics etc. I am trying to explore further on this. How would you attach a classification to a business object, say a Sales Order or Quotation?

  • Substitution rule does not work in SAP CRM

    Hi,
    In our client, we have work flow set up for substitutions. Manager A has specified B as his substitute for approving work flow items during his absence. I checked the table T77S0, WFLOW AUTOF is set to 'X'. I checked the table HRUS_D2, here the entry shows as

    However B is not able to receive the workflow items of A. When I tried to forward using SWIA, then B is getting workflow items. Not sure, why the substitution is not working. User A has set up workflow substitute in SAP CRM Web UI.
    Any suggestions to resolve this will be greatly appreciated.

    You assigned substitution profile 0001 which is disciplinary or something like that - this substitution profile has no meaning and is only an example.  try not assigning a substitution profile or use profile 'all' which contains the 'NO_CLASS' task class which is the default classification for tasks in the system.
    you can see substitution definition in SAP Web Application Server → Business Management → SAP Business Workflow → Basic Settings (Organization Management) → Substitute Profile.

  • Classification in SAP Work Flow Substitution

    Hi,
    Can someone provide details on how to make the classification for Work flow substitution. I need to assign different work items to different susbtitutes.
    I read in a thread that substitute profile needs to created in SPRO. Can someone eloborate this ?

  • Display universal work item from CRM work list

    Hello all,
    In ECC system, we have defined several workflows. We can see the work item from the universal work list via the portal.
    Now, we have a new request, we would like to see these work items form CRM work list.
    I have checked the custo and I have questions:
    1. spro- Customer Relationship Management under  UI Framework  Technical Role Definition  Define Navigation Bar Profile . Select the relevant navigation bar profile and add the specific UI objects WI_BOR.

    I've found a solution.
    I've been told that this problem is occuring
    because the Work Item ID is not being passed correctly to the BOR basedtransaction.
    The solution in my case is:
    (1) Goto SPRO -> Customer Relationship Management -> IC Web Client ->
    Basic Functions -> Transaction Launcher -> Configure Transaction
    Launcher (wizard)
    (2) Give the launch transaction id in the 'Entries' screen. The launch
    transaction id is Z_ACTION_EXECUTE_WORKITEM in my case.
    (3) Keep all the parameters same in the further screens until you reach
    the 'Transaction Parameters' screen
    (4) In this screen, the value currently being passed to Object Key is
    //selectedAUI Workitem/WI_ID. Change this to
    //selectedAUIWFWIAttachments/OBJECT_ID.
    Goto last step and then say 'Complete'.

    Dear.
    I have the following doubt with the Manage Substitution Rules UWL :
    Is posible have a rule in where Only some WF should go to the inbox of the substitute?
    Ie. The Boss have process of Workfow of modules OM, TV, PA, PY that arrives at UWL, and the boss only need delegate to the substitute only the item for the process of WF of PY and PA for a date.
    How can solve this?

    Yes there is something called Task classification!
    You can do so via filtering or classification of tasks
    read here
    You will need to enable the support information in order to get the
    associated task number that corresponds to the backend task.
    If you wish to hide certain tasks, the easiest way to do it is to
    redirect the task type that you want to hide to some unused item type.
    You can create your own XML file and give
    each task number its own entry in the XML
    They each need to be given a different item type name. They can't
    all be directed into the same item type since there would be
    multiple conflicting definitions for that item type in the file.
    No view definition is needed, you can just give it a garbage
    defaultView name (HiddenView).
    I have attached an example for you in the attachment area. This is
    stored as a text file. Also,
    Where you see the following:
    systemId="<YOURSID>" externalType="<YOURTASK>" in the XML, this
    obviously needs to be replaced with your sid and your task id which
    you are looking to exclude.

  • UWL substitution at workitem level

    Hi,
    I've gone through threads like [this|Substitute - Delegation in MSS;.
    I've also read How-To docs related to Substitution Proflle. What I understand is that the Substitution Profile approach is task specific. So if you change it at the task level it applies to all the steps/ workflows where that task is used.
    And this is what I don't want to achieve. e.g. I'm using SAP standard approval task TS17900100 in different workflows and at different levels of authorizations. I want the task classification to apply to a specific step of a specific workflow.
    Any suggestions/ tricks/ workarounds/ pointers?

  • UWL Manage Substitutions

    Hello,
    I am on EP 7.0 ECC 6.0 and having a problem when a manager wants to create a substitute for himself in the Portal UWL to approve Time and Expense .
    When the user goes to Manage Substitution Rules-> Create Rule->Select the person to be the substitute .
    Now when assigning the Tasks for the substitute the 4 options are :
    Time Expense PCR and ALL
    User wanted to have an option as: Time and Expense in the DropDown ..I added that by doing the configuration in SPRO ....now there are 5 options but when the user selects the Expense only it is not working but when the user selects Time and Expense ..only Time entries are visible to the Substitute not the expense....so everything except Expense is working.
    Any help would be highly appreciated.

    Substitute Profile ...before creating an entry here it asked me to create an entry in the Table T77RP...so gone to se16 and created an entry first there as 0007 and Time and Expense..then gone back to the same path in SPRO-> Assign Substitue Profile and created 2 entries there as:
    sub. profile Classification
    0007 4(for Expense)
    0007 5(for Time)
    then gone to Define Substitute Profile and created an entry as:
    0007 Time and Expense.
    Please let me know if I have done anything wrong and what could be the cause of the problem.

    Is there a workflow for Substitution in workplace?
    how can I maintain the selective substitution .
    i.e. for one BO it should substitute while for other it should not .
    for example . For leave approval  there should be a substitution . while in case of appraisal where its not logical for someone else to make the decision there should be no substitution .

    You have to first create classification.
    SPRO->SAP Web application Server->Business Management->SAP Business Workflow->Basic Settings->Maintain Task Classes
    SPRO->SAP Web application Server->Business Management->SAP Business Workflow->Basic Settings->Substitute Profile->Define Substitute. Here link substiutute with Classification.
    In the Task Attribute you should assign Classification using Task Attribute.
    Use the Substitute profile while substitution is made.

  • Maintain substitue

    Hi Everyone,
                  my requirement is to maintain substitue for a user on task basis,say for example the user will get PO and PR in his business workplace.i want to maintain one substitue for PO and one substitue for PR.
    when i try to maintain the first substitue with profile 'ALL' he receives all the workitem PO and PR,but my intension is to restrict to PO workitem.i belive that i have to maintain  some status profile in IMG settings.i have created status profile but under assignment what should i do.Require help here.

                        1 - professional,
                        2 - personal,
                        3-  disiplinary ,
                        4-  no_class - not classified.
    I tried with 2 and 3 it didnt workout is there anything else that i miss.Plz let me know.

    Sending notifications for work items
    Title
    E-Mail notifications for new work items in the Business Workplace (RSWUWFML2)
    Purpose
    The report sends notifications for work items by e-mail to SAP users who have an Internet e-mail address.  This enables users who do not normally use the Business Workplace to be informed about new work items. The report is used in particular to replace existing SAP MAPI installations. You can also send SAP shortcut attachments using this report. These enable the receiver of the e-mail to display or execute the work item directly, or to open the Business Workplace in the SAP GUI for windows.
    In the case of a periodically scheduled run (not a single run), the report generates notifications for work items for which the following applies:
    The work items must have the status ready.< LS>
    The work items have been created since the last run (the time and date of the last run is saved in a table).
    The work items have a receiver with a valid Internet e-mail address.
    See SAP Note 733681 for additions to the documentation.
    Advantages:
    Users who do not normally use the Business Workplace of a particular SAP system because they use another e-mail client or another SAP system, can be notified easily.
    Workflow patterns or tasks do not need to be modified.
    The generation of notifications does not need to be modeled in Workflow.
    Overall performance is improved. Compared with SAP MAPI, this report is better for performance since it determines the work items for all users with just one selection, while each user must select their Workflow inbox individually in the case of SAP MAPI.
    Limitations:
    Selection only includes newly created work items. Work items that have been reassigned to another user by forwarding or changes being made to the organizational structure are not included.
    Normal SAPoffice messages from the Documents folder are not forwarded by the report.
    Active substitution is supported, but passive substitution is not. If an agent has specified a substitute, but the substitution has not yet been activated, then the substitute does not receive the e-mail notification for the person he is substituting. This also applies if the substitute arranged the substitution himself.
    There is no password caching for shortcuts. If Single Sign-On is not active, the user needs to log on to the system separately.
    The messages are generated in text-only format.
    A user can be informed about multiple work items in a collective notification. However, the collective notification does not contain details about the individual work items.
    Document and object attachments of a work item are not sent.
    No container variables or container expressions can be used in the descriptive texts (Before Work Item Description, After Work Item Description).
    Messages are generated in the language of the user for whom the report is running.
    Messages can only be sent to SMTP addresses (type INT).
    Groupware-specific forms are not supported.
    Integration
    You schedule this report as a batch job.
    Prerequisites
    The receivers of e-mail notifications must have maintained an e-mail address in the relevant SAP system. You can maintain a users e-mail address in either the central address management (transaction SU01) or the personal office settings in the Business Workplace, under Automatic Forwarding. You no longer need to activate the Mail Group in the general office settings for RSWUWFML2.
    Features
    Instance data:
    Job Suffix:
    Using a job suffix enables you to have multiple instances of the report running simultaneously. Note that the times for the last run are saved for the individual instances. You can set the report parameters differently here.
    Tasks:
    You can restrict the selection of work items to work items for particular tasks. You can select multiple tasks here.
    Send granularity:
    If you change this setting, then the default settings in the lower frame are changed dynamically.
    One message per work item
    One message is sent for each new work item. This contains the description of the work item and accompanying texts, as specified under Standard Text for Notification.
    Collective message:
    Only one message is sent for all new work items for a particular user. The message does not contain any information about the individual work items.
    Add executable message attachments for:
    Executable attachments are SAP shortcuts that receivers of messages can use to directly display a work item in the SAP GUI for Windows. SAP shortcuts contain the relevant logon language from the central address management (transaction SU01) for each individual receiver. The system ID and the client contained in the shortcut correspond to the system in which the report is running.
    Workflow Inbox
    An SAP shortcut is added to the message so that the message receiver can start the Business Workplace directly in the SAP GUI for Windows.
    Work Item Display:
    An SAP shortcut is added to the message so that the message receiver can display the work item directly in the SAP GUI for Windows.
    Work Item Execution
    An SAP shortcut is added to the message so that the message receiver can execute the work item directly in the SAP GUI for Windows. Secondary methods are also executed at the same time.
    Standard message text
    This option enables you to define the message subject and text, which is added to the work item description. The text contains general information for the user about what to do with the message.
    Message class for subject
    Message class of a T100 message (transaction SE91) from which the subject line for the message is determined. Message class SWU_NOTIF contains the messages that are shipped by SAP.
    Message number for subject
    Number of a T100 message (transaction SE91) from which the subject line for the message is determined. The T100 message can contain two parameters. Parameter &1 is replaced by the system ID. Parameter &2 is replaced by the work item text.
    Before work item description
    ID of a SAPscript text (transaction SE61) of type Text in Dialog, which is inserted before the actual work item description in the message. The text contains the form of address for the user and the reference to Business Workflow. Ensure that the text matches the send granularity. The system proposes an appropriate text. Includes and symbols within a SAPscript text are expanded. Workflow-specific variables or expressions (for example, from the container) cannot be used, however.
    After work item description
    ID of a SAPscript text (transaction SE61) of type Text in Dialog, which is inserted after the actual work item description in the message. Ensure that the text matches the send granularity. The system proposes an appropriate text.
    SAP shortcut parameter:
    Here you can define the ID of an entry in the SAPLogon, which is included as the parameter Description in each shortcut that is sent. This is a useful setting if you want to ensure that the saplogon.ini has the corresponding entry on all user PCs. The parameter is only required if there are multiple saplogon.ini entries for the same system on the users PCs. You can activate an entry of this type individually.
    Data for single run
    A single run is performed if the input fields contain a data, time, and optionally a user. A single run is recommended if work items are to be sent again from a particular time and date, for example due to a problem when sending the e-mails. Contrary to a periodically scheduled run, in a single run the time of the last run is not saved.
    From work item creation date
    First day when work items are to be included.
    From work item creation time:
    Time on first day when work items are to be included.
    User:
    Notifications are only generated for work items that have this user in the Business Workplace. You must not use this option to restrict the sending of notifications in the productive environment to certain users.
    Log:
    During its run, the report writes a log in a spool file and an entry in the application log. You can define what is logged:
    Errors Only: Only error messages are logged
    All: Success and error messages are logged
    You can display the application log by calling transaction SLG1. Enter the object=WF and the sub object=NOTIFICATIONS as the selection values.
    Properties:
    If one message is sent for each work item, the message contains the task description and the standard text. If one message is sent for all work items, the message contains just the standard text. Express mails are sent for express work items.
    If the messages include executable attachments, they are sent to each user individually. If executable attachments are not required, all messages that refer to the same work item are sent to a receiver list, which comprises the selected agents.
    If you have selected a Collective message, only one message is sent to each receiver per run, regardless of the number of work items for this user.
    The results of database queries (for example, e-mail addresses) are buffered to improve system performance.
    By making an entry in table SWUTYP2ADR you can specify that all outbound mail messages are send to a specific e-mail address and not directly to the end user. This address can be monitored by an automatic agent who reformats and forwards the mail messages. The table has a maintenance view and can be edited by calling transaction SM30. Add a new entry to the table and leave the field Form Type empty and enter the e-mail address in the Proxy Mail Address field.
    The usual logic when using SAP shortcuts applies when logging on to execute shortcuts. If the parameter Description is specified in the SAP shortcut, but there is no saplogon.ini entry with this name, the system displays an error message when you attempt to execute the shortcut. If the parameter Description is not specified, a saplogon.ini entry with the relevant system is selected instead. If a session with the relevant entries for system/client/user/language is already open, a new session is opened automatically without the user needing to log on. If no such session is already open, the user must log on again. If the selected saplogon.ini entry is configured for Single Sign-On, the system logs the user on automatically. If it is not configured, the system displays a logon window in which the user must enter their password.
    Selection
    1. Determine the relevant work items. Dialog work items and missed deadline work items are included. Forwarding and changes to the organizational structure are not included.
    2. Determine the receiver for each determined work item. Active substitution is included, but passive substitution is not. Substitute profiles and task classifications are included.
    3. Only receivers who have an Internet e-mail address (type INT) are included.
    4. Create message body (partly work item-specific).
    5. Send the message to all receivers.
    Standard Variants
    You can define variants for scheduling. If you use multiple variants you must at least use the job suffix to differentiate between them.
    Output
    You can generate a log file and an application log.
    Documentation available in SE38.  Read this documentation and always make sure before creating the background with a SAP User Id you run this program in foreground logging with that user Id.

  • KMC_WF_SUBSTITUTE and HRUS_D2 relation: Issues in "Take Over"

    Hello All,
    User B  is getting an error while taking over tasks for a "Fill in for me" from User A,A1,A2.
    The end users A,A1,A2 has set user B to be the "Fill in for me" using the RMPS_SET_SUBSTITUTE report in ECC.
    When the user B navidates to Portal UWL --> Manage Substitution Rules" and tries to  "Take Over" the tasks, he gets an error of "Duplicate key exception, Error returned from Provider".
    If i look at the HRUS_D2 table, the 4 entries are as below for User B

    Hello Karri,
    Thanks for the reply. I did check for the circumstances in which this error occurs. It occurs for all tasks which are substituted to this user B. Even when the assignor tries to assign task ( Fill in for me) through "Manage Substitution Rules" in UWL for "All Tasks" to this user id , it does not allow the rule to be set . It however does  allow for some other user id for "All Tasks"
    It however does allow substitute assignment from RMPS_SET_SUBSTITUTE for the same user id and can see the "Take Over" in UWL.But when the user B tries to "take Over" , it throws the same error.
    There seems to be no errors in default trace other than the "Duplicate Key exception" for this user B.
    Looks to me like some data problem in tables KMC_WF_SUSBTITUTE/HRUS_D2 for this specific user id.

    We have developed a workflow to approve Travel & Expense statements. We have a requirement to
    stop self-approvals of the travel expenses.
    Right now self approvals are possible when the approver sets the intiator as the Substitute.
    Is there any way to stop self-approvals in this scenario?

    What Kiran tells can be one option but I am not sure it will work or not. I think you can restrict this by Authorization ideally or setting up substitute using substitute profile and classification.
