Add MX_ADD_MEMBER_TASK to Approval workflow

hi, experts,
I wanna to insert attribute " mx_add_member_task"  into entry type "MX_ROLE" with Default vaules.  The condition is :
1.Type is  Role
2.Role which attribute 'MX_ADD_MAMBER_TASK' equal 'null'
how to do that?

    Please go to the task list settings page, click Assigned to column and check "No" for "Allow multiple selections", then check whether the issue still exists or not.

  • Add extra step to approval workflow

    Hello,
    I have an approval workflow where it requires 2 people to approve the document, one after the other. All working nicely.
    Once both approvers have approved the document, I would like an extra step (task) added before the workflow initiator is emailed that the workflow has been approved.
    I would like a third person to be emailed to do something with the document (I can add the instruction in the email that is sent).
    After the third person completes the task, then the workflow initiator is notified the approval workflow has finished (as per usual).
    Is it possible to modify the approval workflow to add that extra step? And if it is, could you kindly advise how to do that? I would be very grateful.

  • Add Approved Date to 2010 Approval workflow

    Hello
    I have copied the globally reusable workflow Approval - SharePoint 2010 and will apply it to a document library.
    However, this approval workflow does not have an approval date column (only in the history list).
    We really need to have a date in the corresponding Tasks list to say the date it was approved, for our audit trail. I don't want to use the Workflow History list.
    Your detailed response would be much appreciated as I am only new to modifying workflows.

    Hi,
    I understand you need to get the “Approved Date” and display it in the Task list.
    As we can tell, there is a OOB column in the Task list named Outcome which shows the Approved status of Approval workflow. When it turns into “Approved”, then the current date is the “Approved Date” you want. So I use the workflow
    to get the current date i.e. “Today”. Then we can create a new column in Task list (in my demo, it is Date) to display it.
    Could you please have a test per my steps in my first reply? Any question, let me know.

    As you described, you are using SharePoint Foundation 2010. There is no “Start approval process” action when you edit SharePoint Foundation 2010 workflow in SharePoint
    designer 2010.
    I suggest you using “collect data from a user” action instead of “start approval process” action to complete the approval task. There is a demo for your reference.
    1.  
    Open the SPD, navigate to the workflow edit zone. Select “collect data from a user “action.
    2.  
    Click data, in the pop-up window, click next and enter the task name for the approval workflow.
    3.  
    Click next, define the fields for the task, for this demo, there has a field “approval result”.
    4.  
    Then click finish.  Back to the workflow edit zone, click user, in the pop-up window, select the user for the task then click finish ,back to the workflow edit zone.
    5.  
    Add a condition (if any value equals value) after the action.
    6.  
    Click the first value, and then click Fx, there goes to a pop-up window, enter as below.
    Data source:  Association: Task List
    Field from source: Approval Result
    Field: ID
    Value:  Variable: collect
    7.  
     Set another value to “Yes”, add the action” set workflow statue”, set it to approval.   Add an If-Else branch, set the workflow statue to reject.
    8.  
    Publish the workflow, and use it for the approval purpose.

  • FI Uploads (Approval Workflow)

    Hi All,
    Need some assistance:
    Currently our company has a standard approval workflow built.  So when we receive an invoice without a PO, we manually post the invoice to a GL & Cost Centre.  Once the invoice is coded, It’s then sent to the GL owners to approve using the workflow currently in place.  All this works perfectly fine.
    My issue is FI Upload files……. As Upload files contain several GL accounts – we are currently attaching a manual email approval from the approver to the file upload so the Accounts Payable department could post without any further approvals in Workflow as an email approval is sufficient.
    We would like to build the same workflow approval cycle that we have already in place for Fi Invoices.
    Note – an upload file come in with 10 different GL accounts ( ideally we don’t want to send it to 10 different approvers) as this will slow down the process, so I was wondering if there is a better solution that you could share to eliminate the upload going to 10 approvers.
    Any Suggestions are greatly appreciated.

    As such there are no events available in BUS2023, therefore extend it to add the event and call this event in your BTE FM using FM SWE_EVENT_CREATE_IN_UPD_TASK

  • Approval workflow error when creating a new custom entity in FIM 2010 R2

    i'm hoping somebody here can help, me i've been struggling with this for some time now. On a fresh FIM installation i create a custom entity named "Role" and add a few custom attributes.
    I then create an approval workflow and MPR for normal users to create entities of type Role, but another user must approve this request. The other user has a working mailbox - i've tried firing an action workflow that sends a mail notification when someone
    creates a new role and it is working fine. But, when i enable my approval workflow (the only field i changed from default is the approver) on the MPR, the workflow always failes with the message:
    Error processing your request: The operation was rejected because of access control policies.
    Reason: The server workflow rejected the operation.

    Thank you very much for your suggestions.
    But I am not creating a custom workflow in designer as Laura has mentioned. I am instead trying to create a new Out of the box Approval Workflow and I get the error mentioned above.
    As it works in other environment, I tried figuring out the possible differences which can lead to this error.
    Today I found one difference which is there are no form Templates within Infopath Configurations in Central Admin. Now I am trying to figure out what makes this form templates to be added to the template gallery.

  • Problem with custom sharepoint designer approval workflow - check box: 'Start this workflow to approve publishing a major version of an item' is greyed out

    I wanted to create a simple approval workflow. Hence I opted to start from scratch rather than copy the OOTB approval WF. Using SharePoint Designer (not Visual studio) I created a reusable workflow and have added the built in 'Start approval process' action.
    It's saved and published globally.
    Everything works fine except that when associating the WF with a list the 'Start this workflow to approve publishing a major version of an item' check box is disabled.
    Major and minor versioning is enabled for the library.
    What am I missing here? Or do I have to start from the OOTB approval WF to get this to work?

    Again - new ideas pop up right after defining the issue as a problem. :-) Problem solved!
    I solved this by creating a new workflow from the original publishing approval workflow (copy and replace), but instead of tweaking the already defined approval process (WF action) I deleted it, then deleted all initiation form and local variables,
    and then added the 'Start approval process' action again. This re-installs all the necessary local variables without any initiation form involvement, which is just what I want.
    From here I can tweak the workflow to make it more user friendly, much like
    described by Bobby Chiang in his great blog.
    Remember to add action Set Workflow Variable 'EnableContentApproval' to Yes right before the Start Approval Process action, else the document's status won't be set to 'Approved' or 'Rejected' as an output of the workflow.

    Now i need to add the Requisition action history for PO notification.
    Can you please advcie(steps if it is posible) to create a my own custom attribute document type to get the requistion action history based on the PO document id.
    I was able to quey the Requistion information not getting somme difficulty to create a customer document typ attribute.

  • OOTB Approval Workflow on Custom List does not Update Approval Status

    I have a custom list on which I've required content approval.  I then created a workflow instance from the "Approval - SharePoint 2010" template.  For this workflow I have selected "Update the approval status after the workflow
    is completed (use this workflow to control content approval".  When I approve the list item via the workflow task item the status of the item is not updated but stays at pending even though the
    workflow shows "Completed" with the Outcome of "approved".  Is this the expected behavior, i.e. does "Update the approval status after the workflow is completed (use this workflow to control content approval"
    not work for custom lists?  Does it work on any of the lists?

    If you check "Require Content Approval" setting, only the way above can update the approval status due to the approval status is for this approval workflow. As this approval workflow cannot achieve your demand, I recommend you un-check "Require Content Approval"
    setting and create a custom workflow such as the OOTB Approval Workflow or SharePoint Designer workflow.
    Here is the steps of a SharePoint Designer workflow:
    1.Go to your custom list , click Create a Workflow in SharePoint Designer.
    2.Add a “Start a task process” action in your workflow.
    3.Click “these users” and Start a Task Process edit page will pop up.
    4.In the Participants field, input your  approvers based on the order of approval.
    5.In the right of Participants field, select “Serial (one at a time)”.

  • Handling Multiple Approval Workflows

    I have a scenario where documents need to be uploaded into SharePoint, triggering specific approval workflows depending on the destination of the uploaded document. I initially thought this could be done through one document library with a separate approval
    workflow set for specific folders within this document library. It now appears there is no easy solution for accomplishing this within one document library and multiple sub-folders, as the sub-folders inherit all workflows from the parent document library.
    As a SharePoint beginner I am unsure the best solution for this scenario. Should I be using something other then multiple document libraries to accomplish this task (this seems messy, thus why I tried to use one document library with multiple sub-folders)?

    Hi Brian,
    I think this can be handled multiple ways but here are the 2 that came to my mind first.
    1. add a column to your doc lib that is a dropdown of all the sub folder names that they can upload to. Make it a required field so they need to fill it in on upload. then in your workflow you can lookup the value of that dropdown and write an if condition
    based on the dropdown selection to determine which approval to start.
    2. you might be able to use the substring functions that exist when building your workflow located under Action>Utility actions and then do a substring on the url path field to determine the subfolder that the doc was uploaded to.
    I am sure there are other ways to accomplish this without multiple document libraries. You could probably also do a taxonomy (similar to the way I said to do the dropdown) it probably depends if you would find it useful to have a taxonomy on your files

  • Approval workflow - user sees greyed out box

    Hi All,
    I've implemented approval workflow on one of my lists.
    User who is placed in Approvers input box receives mail, but when he tries to do the action on this workflow, box with accept/reject buttons is greyed out.
    I gave mentioned user full control security - it doesn't help. Do I need any permission for approval users, or maybe it is caused by something else?
