Adding disclaimer to all outgoing mail

I would like to start adding a "disclaimer" or signature to the bottom of all outgoing mails
eg
Please note that the contents of this e-mail, including any
attachments etc etc etc
Is there a way of configuring postfix to do this for me without corrupting the outgoing mail.

There is no easy and, most importantly, reliable way of doing this at the postfix level. Full stop!
If you need this to be done, you have to do it at the client level (mail.app, squirrelmail, outlook, etc.).
For the technically inclined: An e-mail written by a user on the mail client can be plain text, images only, html, contain attachments etc. Thus it is encoded (mime) and passed on to the MTA (postfix). To be able to add a footer at this stage, the MTA would have to decode the mail message, add a footer and re-encode the message. Besides the technical implications it will also be a performance hit on your mail server. Furthermore, chances are your mail will get messed up in the process.
Look at the source of an e-mail with let's say attachments in Mail.app (View-Message-Raw Source) and you will notice that except for the headers, what follows is mainly gibberish (that's the mime encoded bit).

    I'm still trying to add a Disclaimer to all outgoing mails. Actually, I need some help to add such a Disclaimer to nearly all outgoing mails, excepting some specific domains and for the right syntax:

    d) Are the brace brackets {} set correct?
    e) Should I enter the entire disclaimer-text for the body-scan? I'm not sure if our actually one is 'unique' - maybe other companies has the same or a very similar one. Should I add multiple parts to looking for? How do you do that?

    I can't figure out how to add the NOT-command.

    "C" and "d" are very basic questions documented in the "Message Filters" section of the Advanced User Guide. Single or double quotes are both fine. The curly braces are probably OK as you've written them, but putting whitespace around them might be necessary (the docs don't say).
    As for the disclaimer text, that's hard to get perfect. It depends on your threat model. If you just want to be reasonably well assured that it gets put in, then pick out some bit of the disclaimer that is unlikely to appear elsewhere and check for that. But if you want to make sure that your own people can't spoof the process by embedding that bit in a message in order to avoid getting the disclaimer (not a likely threat in my opinion), then you'd need to check for the whole thing. Depending on how long it is, it might be safer to check for it piecemeal rather than all at once. I really can't say since I've never tried this. Or you could just add the footer unconditionally. At worst, you'd only end up with multiple instances of the footer in some messages, and it would only be in those messages which pass through your ESA more than once.

    Also note the version of messaging server you are running is extremely old, you should be looking/planning to upgrade in the near future. Version 6.3 adds milter capabilities, which if you were running this version the following document would be relevant to your request:

    I should also add that Messing Server is not for the faint-of-heart (it's complex) so I recommend you try and get some training on the basics at least.

    This is the Server Forum and it is not clear if your question regards Apple's Mail Server. If you are referring to Apple's Mail Client application, Apple Mail then its fairly straightforward. Launch Apple Mail > Mail Menu > Preferences > Signatures. Define what you want and play with any further options that seem suitable for you. If your Mail application is Entourage then launch Entourage > Tools > Signatures. Create a new one or edit the one already there. Save the changes. Now select Tools > Accounts > Mail Account > Options. Select the newly created signature.

    Please do, as I'm not going to repeat the entire thing.
    Basically, if you can gurantee that all messages are straight text, you can add a disclaimer, but if not, then it's just not possible.
    Messages are far more complex than in years past. Adding a standard footer is something far better done by the mail client, as the client assembles the message. The server's job is to transfer the assembled message. Adding a part to the message would be very cpu intensive, and would require you to disassemble all the parts, create the new part, and reassemble it all.
    Of course, this doesn't even begin to address question of, "are disclaimers of any use", either. That answer is typically, "no".

  • Trouble with all outgoing mail servers

    Was there an update that would have knocked out my ability to send outgoing mail?  I can still receive mail from gmail.com, live.com and a business email account that had all been working fine till about a week ago.  I had not made any changes, but have since changed the outgoing port to 587, to no avail.  I have also tried to Repair Disk Permissions using the Disk Utility.  However, I still am not able to get the smtp servers to connect. 
    Any ideas?

    I have cleared my outbox and resent a test email from one account to the other, which I know is receiving emails.  I am using the Apple Mail application, which had been working just fine with all 3 accounts for the past 2 years. 

  • All outgoing mail marked as Junk.

    My junk mail has gone crazy ever since I got my Intel iMac seven weeks ago. I tried the training feature, but it kept marking mail as junk after I'd changed it to not junk over and over and over again. Still does. It also marked every outgoing mail as junk mail.
    After five weeks with no improvement, I switched the setting to Automatic, and I immediately got 932 emails in my new Junk Mail box, many of which I'd never seen before. Two weeks later, Mail is still sending previously marked not junk mail to my junk mail box and marking almost every email that I send as junk. It's supposed to exempt mail in which the sender is in my address book or in my previous recipients or is addressed to my full name, but it totally ignores that.
    At the same time I got my Intel iMac, I set up my G4 precisely the same including Tiger and all sofware. Ever since I've had precisely the same problems with Mail on my G4.
    How can I get the junk mail feature to work?

    Thanks for your help, Allan. I downloaded Windows Media Player 9 on my G4 at home last night, and it solved that problem.
    I knew about Flip4Mac, but I was hoping the vast collective wisdom of this group might have found something that works now on Intel iMacs. I’ve downloaded Parallels, but I haven't been able to download Windows Media Player in that yet. My issue du jour is that I can’t type anything in any browser window and their tech support isn’t responding to my emails.
    When Parallels works though, it’s vastly superior to Virtual PC. I’m hoping the final version will have ironed out the Beta problems.

    Could you use an mta wide sieve filter that would forward a copy and keep a copy in the imap folder?

    I have multiple Apple devices which include laptop, iPad, iPhone 4, iPhone 4s.  I use several email accounts for my business.  How do you make the default outgoing email address one the iPhones one email address like you can on the laptop?  I want the outgoing email address to be the same on all devices.

    Thank you.  I think I got it for the 4 but not for the 4S.  In mail, contacts, calendars, do you choose default account?  Also, there does not appear to be a choice like this for the icloud.  How do you change the default on it?  The best I can see is icloud to account to advanced to mail to icloud account information.  On that screen there is a box that says allow sending from and the only choices you have are the icloud account and me account.  I do not see how to add another account if that is the right section.  I don't want the icloud or the me to be a return address.

    In all our Financial GL and AP reports we want to add a Disclaimer text on the first page of the report. Is there any way we can add the Disclaimer without modifying each report in Reports Builder. Also modifying core GL, AP reports using report builder may not be a good idea, as it will be issue with maintainace during patching and upgrades....
    Any brilliant ideas......?

    you may try to put the Disclaimer text into one report and let all reports needing the Disclaimer call it, srw.run_report(...).
    I never do it though.

    Actually, nobody else is seeing that image; it only appears for you in your Sent Mail folder (just as contacts for whom you have set an image will show that image in their emails sent to you).
    The only way you can remove it is to delete the image from your "Me" contact in Address Book.

    I'm using iMS 5.2 and i'm currently using the conversion channel to append a disclaimer to all outgoing messages (Internet only) but the boss would like to get the discloser in a text attachment instead of appended to the e-mail.
    has anyone played with that?

    Are you using the standad sap function module or using OLE objects to generate excel?
    First try creating the excel file in foreground and see if the data is being populated.

    The text should not be visible to the user when composing the email, only the recipient(s) should see this.

    I haven't had the occasion to dissect the webmail internals enough to know where you'd add such functionality specific to HTTP, but if adding it to all outgoing messages is satisfactory, then you can write a plugin.
    In fact, here are two links. One describes the method of creating a plugin and uses an example that includes a number of other features. The second link contains the actual code for the entire plugin. You can just remove the additional functionality that you don't want to employ before compiling.

  • Load balancing outgoing mail with 3 outgoing servers

    We are trying to balance our mail out with 3 separate mail servers from our incoming server. Our organization sends alot of mail and we wanted to balance it with 3 outgoing SMTP servers. We have them all working, in the zone for the primary DNS and incoming mail server. And we can get mail to go out on the three servers, BUT and this is a problem if the mail includes any messages to the network (hence the incoming server) then the SMTP servers complain they cannot find it and give a error message about not being able to connect to deliver any local mails out of the bulk mail we send. Any ideas how to get the SMTP to see the incoming mail server (which is the DNS server for network) and deliver mail to accounts on the network? Maybe we are doing something that OS X SNL server cannot do? Any ideas.
    I will post the error message later but I need to leave for meeting for now.

    Here is error message we get:

    To explain mailout1 is the first one in priority of outgoing separate SMTP servers we set up in the zone of mail.vineyardil.net which is the DNS server. They send out ok all outgoing mail to other addresses as we wanted them (rather than having mail.vineyardil.net do it) but when we send to an address with vineyardil.net on it then we get this same message.
    It seems like mailout1 cannot send to the incoming server. Note the ip address it gives is the ip of the cable modem on this network not the ip address locally in the net we have.
    Our MX records all look good and things work with mail if we use it both as incoming and outgoing (SMTP) but when we use the secondary servers for outgoing they seem to not be able to send to this server. Is there something we should look for?
    Is SL server not capable of what we are trying? Any feedback would be most appreciated. We would like to really use this setup as I explained to do load balancing of mail as part of our attempt on this new network to get our bulk mailing split up between the 3 outgoing servers so we will not be labeled spam by the security systems out there these days like it was on our old network.
