Admistrator forward in workflows

I am forwarding a work item to a different user, but the old approver is receiving reminders. When a workitem is forwarded what would the container hold? When I checked a completed workflow's container, it still holds the old approver and the reminder mails are sent to the old approver and not the new approver. Please help us in understanding the standard workflow process when we forward a workitem in SWIA

You cannot make any change in your workflow for updating the new approver. Because the forwarding will happen from outside of your workflow.
The solution you have implemented doesnt sound proper to me.
Why havnt you not implemented standard workflow deadline monitoring which works based on current agent of workflow ?

    Is there a way to do an Automatic forwarding of workflow approvals to another SAP User ID. I do see an option in Office Setting and in SO36 but its not working for me. When I try to send some short message, it is working fine but not for workflow generated items.

    Hi, 
    Work items are not like emails since one item can go to more than one person. You have to use susbstition to allow other users access to your inbox.
    From their inbox, the user can go to settings -> workflow settings -> maintain substitute to give someone else access to their inbox.

  • Forward Reserved workflow item

    Hi Workflow experts,
    The work item is reserved by 'X'. ( Not in my SAP user name).
    Using my user name how to forward this to 'Y' or how to forward to my user name.
    Note: This workitem is not error workitem. If it it error one I can use TCODE SWI2_DIAG.

    What version are you on?
    In ECC there is a forwarding option in SWIA, run it for the said workitem number and then select it and click on <i>Administrator Forward</i>, in the pop-up Select User and enter the user id and finally green tick to forward.
    For versions 47 and lower, you can use FM SWL_WI_DISPATCH to do the same, go to SE37 and test execute it after entering the workitem number, you will get a similar pop-up as above....

  • Forwarding Workflow for approval

    Hello Experts,
    A 'Maintain Position' workflow was generated by an employee. Ideally it should have gone to the employee's manager as first approver, but since the manager is not set up in SAP, the workflow has gone into error (its shows in Tcode SWI2_DIAG). I need to forward this workflow to another manager for approval as it's urgent.
    I guess using SWIA might help but as I am new to workflows, I am not sure of the exact steps to be followed. Can someone please help me out on this?

    if there is only manager, who is responsible for approving that WF for all employees..then you can assign that manager directly as the agent to that WF by changing it in WF. u can do this by choosing approver type USER and provide his SAP SYSTEM ID (IT105.SUBTYPE 1)in agent assignement at approval step.

  • Workflow forward User selection

    Hi,
    When a user goes to forward a workflow to someone, you get the "Universal Worklist: Forward items -...".  When doing the search for a person, a list is returned.  Where is this list created from?  We want to limit the list to be only managers, but right now, we are retrieving the whole corporation, and this is unacceptable.  How can someone control the people/employees that show up in the search list?  Is there a certain authorization that goes with it, or an RFC that is called?
    Any kind of direction would be appreciated.

    b)Approver substitution u2013 Provide functionality of substitution. If a person has to substitute a person for a period of time, workflow item to be routed to substituted user
    c)Forward a workflow item u2013 If a particular workflow item is sitting in a personu2019s for a considerable time, an administrator to have the ability to push the workflow item to another alternate approver
    d)Exception management u2013 Trigger email notifications to an approveru2019s manager if the workflow item is pending for a predefined period without action. If no action even after reminder for additional period of time, trigger another email to manageru2019s manager
    e)Adding Adhoc Approval at any stage during the workflow approval stage ( For eg: - particularly in additional an additional approver in between)
    Our Understanding u2013 None of these functionality is available as standard functionality within SAP CLM application. Correction needed if this understanding itself is incorrect (Low probability).  Also, It would be great if anybody can suggest an alternative approach to handle this.
    Alternate Options u2013  (our thought )
    Any options that can be explored. For instance......
    a)Explore development in CLM itself to achieve the functionality. If so what are the limitations that would still remain. For example CLM supports only fixed levels in the approval, cannot handle dynamic N levels with adhoc approver addition
    b)Explore if SRM framework can be used to integrate the system for n-step  workflow requirement
    c)Can we utilize SAP UWL to integrate CLM system for this functionality
    d)Any Other alternate options if similar requirements were handled in other projects

              There is no Org structure/hierarchy in CLM. I think you mean the structure/hierarchy will be in SRM/ECC.
              But there is no std interface available to get this into CLM. So you have to first develop an interface to get the hierarchy.
              Dynamic N Level workflows are very much possible in CLM

    I didn't want to chirp up without concrete example for you. For your request, I am not 100% sure. Your only option I can think off off hand is to look at the UWL Configuration (ie. the XML config) that is possible. I know you can config "how" a task/work item as viewed (the "view") as well as how it is launched. However, I am not so sure you could limit the "forward" list. I believe it is just simply looking at the users in the UME for the portal to determine what/who is possible. In any event....if I were in your shoes, I would look at the SAP Press "white book" on UWL Configuration.....get the author's name (I forget right off) and contact him (he is VERY open to contact via email and he knows the UWL inside out).....that's just how I would follow up. Hope it helps.

  • MM workflow issue

    Dear Gurus
    I have a PO which is released upto 2nd level, now the person at level 3 should get the notification in his inbox for releasing the PO but he is not getting anything, infact PO is going to some other user who is not at all mapped for this level/pur org.
    please help issue is urgent.

    U should check for these points:
    1) The user(suppose X) who is suppose to approve the PO at level three is mapped as a approver or not for the pur org and pur grp combination.u can check this in tcode PFAC.
    2) check who else is mapped as a approver at level 3 apart from Mr. X. if there is any then chances are there that by mistake he forwarded that workflow item to the person with whom the PO is lying now.can check in SWIA and SWI6 tcodes.

  • SAP inbox forward to user STATUS 'READY'

    Hi Experts
    I have chanllenge with workflow item  from SAP Inbox in Production. I am trying to forward the workflow item to any of the  users from SAP Inbox(SBWP) and when i see the forward workitems its in status "READY".
    i have checked the workflow ID  in TCODE : SWI1...and shows the status as READY.
    i did refresh the buffer SWU_OBUF but the results are same as expliained above.
    can pls know...What would be the problem...

    Which user? A) The one who sent the item, or B) the one who should have received the item?
    If it is the case A, then this is normal. If you forward the work item to someone, it will disappear from sender's inbox. B) If the received doesn't receive the work item (and you are not getting any error message when forwardig), then something is seriously wrong...

  • SRM 7 - How to convert Bidder to Supplier.

    In SRM 7 I have created a bidder with Create Bidder option within Business Partner.
    Now I would like to convert this bidder to Supplier.
    Any idea how can I do it?
    The supplier list does not list the bidders, and the edit bidder option does not allow to mark it as a supplier in business parter type section.

  • Charm shortcut to redirect to transaction number

    Hi Guys,
    i have a tricky question regarding the charm workcenter. If I choose an existing transaction in Charm workcenter (web based) I get a little SAP shortcut and this shortcut forward me direct into the related transaction number in SAP.(Ta: crmd_order )
    I would like to use this functionality for automatic email replay within the charm workflow, means I would like to fill the SAP Script form with an URL (consist of a static part and the transaction number ) and this URL forward the workflow user direct into the transaction.
    The generating and filling of the shortcut (by an URL)  already works but the shortcut created by me, forward only into the entry screen of SAP and not in transaction crmd_order.
    If I compare the content of both shortcuts ( once created by myself and once created by SAP standard scenario) I see the difference and probably the problem:
    shortcut of SAP standard:   works and forward me into TA crmd_order transaction number 8000000243
    *AGS_WORK_LAUNCHER pcmd=CRMD_ORDER;pname1=id;pvalue1=DF4DE55AE1AB92F188CB0019BB36EE72;
    shortcut created by myself: does not work, forward only into the entryscreen of SAP

    It seems, the SAP standard translate the transaction number during runtime into a key and only the request with this key works correct.
    The hexadecimal key is the unique identifier for a CRM Order in SolMan called GUID. You will be able to find the relation between the message number (called object ID) and the GUID in table CRMD_ORDERADM_H.

  • What's Your Opinion of Flash Use On a Corporate Website?

    I was pretty much up to speed using Flash between the years 2001 and 2004. In 2003, I majored in video production and got out of step with the newer versions of Flash.  I've always liked Flash because to me it provides a more straight-forward visual workflow and flexibility.  I look at companies like 2advanced, who use a lot of Flash and wonder what they are thinking.  One article I found on the Net suggests that Apple's opposition to Flash is based upon lost revenues. They see the Flash *.flv/*.f4v video format as direct competition and a threat to iTunes and QuickTime. Other articles suggest that Flash is unstable and causes problems.  Personally, I can't remember ever having a problem with Flash website content other than problems related to the Flash designer using "heavy" content that takes too long to load. I launched my company's new website two weeks ago. It will be continually updated. I'm considering either buying a Project Seven image presentation product or designing the "portfolio" segment of my site in Flash. If I do it in Flash, I know that people won't be able to see it on the iPhone or iPad. Also I was told that some corporate networks disable Flash content.  Do you think that Apple has the power to kill Flash with their popular products, the iPhone and iPad?

    instance is like this, I create a record, saved it and when i forward to another approver, i used to give user ID and Reason for it.. when i add the reason, in small letter, it is displaying in Caps.. but i want in Tittle case type.
    How to change upper case letter to Tittle case?

  • Escalation from approver to manager using organizational plan.

    I have to escalate the the User decision step to the manager if the approver does not respond to the users request in 3 days. The employee, approver and manager Hierarchy is maintained in the oraganizational plan.
    I am able to esacalate to the approver based on the employee based rule '168'.
    Now how to escalate it to manager if the approver has not responded in 3 days.

    Hi Gautham,
    You will need to setup a modelled deadline monitoring on the user decision step.
    The deadline time can be set as a fixed value.  For example 3+ days from creation of the step, or as a calculated value stored in the workflow container.
    Depending on the requirements you may need to
    1) Remove the User decision from the current recipient, and reassign to the manager, and/or
    2) Just tell the manager that the recipient is not doing their job by sending a email.
    If possible check if the person assigned is on leave by checking the associated HR records provided they are available.  That way you can tell the manager that XX is on leave until DD.MMM.YYYY and has forgotten to forward their workflows/emails.
