An Enterprise Data Dictionary / Business Glossary solution using SharePoint Online

Hi everyone!
I have a requirement to create a metadata repository (data dictionaries of various SQL, Oracle and DB2 databases) and a business glossary of terms and associate the database columns in the various data dictionaries to the business terms. I also want to allow
data stewards to update their respective dictionaries/terms. It would be nice if there is a way to extract the metadata and update it directly and automatically from the various databases instead of manually copied and re-copied. Also, the end product needs
to be seen by all internal enterprise users and maybe even outside ones. 
How can I implement this in SharePoint online/Office365?

Hi Simon. Group file storage is different to OneDrive for Business storage. With OneDrive for Business storage each user in your organisation receives 1TB of personal storage (assuming they have the appropriate licence). For Group files, storage is automatically
taken from your SharePoint Online team site pooled storage.

SharePoint Online team sites have a sync limit of 5,000 (20,000 for OneDrive for Business). I would think the group files sync limit would be 5,000, too.
If a user has their account removed you can still access their files for up to a certain period of time and assign yourself as administrator of their OneDrive for Business to get access to those files. Check out this post:

  • How to create a Real Time Interactive Business Intelligence Solution in SharePoint 2013

    Hi Experts,
    I was recently given the below requirements to architect/implement a business intelligence solution that deals with instant/real data modifications in data sources. After going through many articles, e-books, expert blogs, I am still unable to piece the
    right information to design an effective solution to my problem. Also, client is ready to invest in the best 
    infrastructure in order to achieve all the below requirements but yet it seems like a sword of Damocles that hangs around my neck in every direction I go.
    Requirements
    1) Reports must be created against many-to-many table relationships and against multiple data sources(SP Lists, SQL Server Custom Databases, External Databases).
    2) The Report and Dashboard pages should refresh/reflect with real time data immediately as and when changes are made to the data sources.
    3) The Reports should be cross-browser compatible(must work in google chrome, safari, firefox and IE), cross-platform(MAC, Android, Linux, Windows) and cross-device compatible(Tabs, Laptops &
    Mobiles).
    4) Client is Branding/UI conscious and wants the reports to look animated and pixel perfect similar to what's possible to create today in Excel 2013.
    5) The reports must be interactive, parameterized, slice able, must load fast and have the ability to drill down or expand.
    6) Client wants to leverage the Web Content Management, Document Management, Workflow abilities & other features of SharePoint with key focus being on the reporting solution.
    7) Client wants the reports to be scalable, durable, secure and other standard needs.
    Is SharePoint 2013 Business Intelligence a good candidate? I see the below limitations with the Product to achieve all the above requirements.
    a) Cannot use Power Pivot with Excel deployed to SharePoint as the minimum granularity of refresh schedule is Daily. This violates Requirement 1.
    b) Excel Services, Performance Point or Power View works as in-memory representation mode. This violates Requirement 1 and 2.
    b) SSRS does not render the reports as stated above in requirement 3 and 4. The report rendering on the page is very slow for sample data itself. This violates Requirement 6 and 7.
    Has someone been able to achieve all of the above requirements using SharePoint 2013 platform or any other platform. Please let me know the best possible solution. If possible, redirect me to whitepapers, articles, material that will help me design a effective
    solution. Eagerly looking forward to hear from you experts!.

  • How to use sharepoint online lists in different subsites as a datasource to powerpivot

    My customer has sharepoint online + project online.
    As you might know each project has a site, and in each site there are lists with the same name on each site.
    We need a pivot table where we can aggregate all that list data, is this possible? Do I need powerbi, or can I do it without power bi?

    I opened a ticket with MS support on this.  They concluded that there is no means of scheduling an auto-refresh when you are aggregating more than one SharePoint list as your data source.  They recommended buying a third party product to accomplish
    this.  Below is the relevant text I received from MS tech support for my ticket....
    CAUSE: This is by design. The functionality needed for this is not currently implemented.
    RESOLUTION: We were able to find a 3<sup>rd</sup> party tool that may be able to schedule refresh for these

    TROUBLESHOOTING:
    We assessed the report. It seemed that a Power Query data source needed to be created within Power BI, so we attempted to create that:
    We were prompted to create a default gateway, even though the data was O365 data
    We were only able to find references directly related to on-premise data sources and the default gateway
    We attempted to find a workaround for this particular situation. We attempted the following configurations:
    PowerPivot report populated by SharePoint lists
    Excel report implementing SharePoint lists with the Data tab
    Connecting the report to a SharePoint Document Library data source
    Using OData feed for report
    *All of the above configurations were unsuccessful
    Additional Information
    Even if a gateway could be created for the report, it would require Anonymous or Windows Authentication. O365 data sources require Claims Authentication.
    Scheduled refresh can be made for SQL Azure data sources. However, this would require configuring some type of automatic refresh for the SQL Azure data source itself to populate with the SharePoint list
    data.

  • HTTP 403 while using SharePoint Online REST API anonymously

    Hey Team,
    While using REST API to get list items (SharePoint Online) anonymously, I am getting HTTP 403 error:
    Request: http://server/site/_api/web/lists('guid')/items?$select=Title,Products/Name&$expand=Products/Name
    Response: HTTP 403 : System.UnauthorizedAccessException : Access denied. You do not have permission to perform this action or access this resource.
    Authenticated users do not face this issue. The list has anonymous access (View) enabled. Anonymous users can access the lists without facing any issue.
    I am not sure and could not able to find any link that says anonymous users can't use REST API to get SPListItems. Any input in this regard will be highly appreciated.

    Reading data with REST, “Note that you cannot obtain an access token from code that is running on a browser client. You must obtain the access token from code that is running
    on a server”, it will only allow the authenticated users who has an access token to access the REST API.

  • Routing documents using SharePoint Online workflows

    Hello,
    I am trying to design a workflow for SharePoint Online, but have run into a few problems. Basically I need the workflow to work as follows:
     1. User submits a document (which is already in a Document Library in SharePoint) to a designated Supervisor for Approval
     2. Supervisor receives an email that a document is ready for approval. After reviewing:
           a. If Supervisor rejects, the document remains in the original folder
           b. If Supervisor approves, the document is automatically moved to a new folder named "Approved" within that same Document Library
    I thought there would be a template in SharePoint Online that would offer these features (i.e. the Publishing Approval workflow template I am currently trying to use), but I can't seem to enable an option to have the file automatically directed to an
    Approved folder. I have been reading online for the last hour or so and this seems to be possibly using Visual Studios, but I currently do not have that application. Are there any other options available?
    Please note - each user has their own "Approval" folder. So, if possible, I would need to apply this as a template to each user and specify the path of the Approval workflow for each user.
    I really appreciate any suggestions or advice you could provide.

    You can create a SharePoint Designer approval workflow to achieve this requirement. In the workflow, on approval,  add a step to copy the file to your target location. The following link demonstrates the use of Copy functionality in SharePoint Designer

  • Creating data dictionary type using custom java class

    Hi Experts,
    I have a situation involving the TableSorter mechanism as described here:
    In order to do my sorting correctly, I've created my own Java class implementing the Comparable interface. Based on this class, I need to define my own data dictionary type to be used in a context/table.
    However, I cannot se how this could be achieved as standard Data Dictionary elements can only be based on simple built-in types. Any ideas?

    1) Right click on the context
    2) New->Attribute
    3) Manually-> Provide a name for the attribute
    4) Browse->Select java native type and select your class

  • Create data dictionary to check version of DB

    Good afternoon.
    Today I work at a company that develops software to several customers, and we are not the main responsible for there databases, because of this I can't garantee that the database is in agreement with the software version.
    To be able to ensure that the client base has no divergence with the software version I'm thinking about creating my own data dictionary, which at first it would be something like the Oracle data dictionary, after that I need to set up mechanisms to confront my new data dictionary with what is there on the client. My data dictionary will be created here in the company.
    In addition, this data dictionary also would be used by the development team, for example whenever they want to confirm if some object exists or not exists in production. As we know the development database is a 'mess'.
    Does anyone have any suggestion or hint for me about this project?

I don't see what building a data dictionary would accomplish. If you are just trying to validate that all 1800 objects exist, couldn't you just generate the script from the Oracle data dictionary in your known good database and send that to the customer?

  • Typical business case scenarios for SharePoint 2013 Apps

    What are the typical real time business case scenario for 1. SharePoint Hosted apps 2. Auto Hosted apps 3. provider hosted Apps? Why people choose any of this model apps model in comparison to typical On-Premise solution? 
    Another question comes is when should one go for On-Premise solution rather than Apps? What are real time scenarios?

    Let's discuss first whether to develop apps or full trust solution.
    Talking about technical aspect, On-Premise solution is popular choice for organizations who have SharePoint hosted on premise (not SharePoint Online). However, if you are using SharePoint Online, there's no choice except Apps (and possibly sandbox but deprecated).
    So for SharePoint Online only viable solution is developing apps. However for on-premise you can develop full trust or apps. However since apps requires a bit more configuration and not yet full feature set as you can do with full trust, most people are still
    developing full trust solution on premise.
    Talking about business requirement at hand, you can develop apps (even in on-premise), if your requirement is really looks like an app. For example, you would like to develop a SharePoint solution, that will show data from SAP inside SharePoint. The solution
    mostly nothing to do with SharePoint but calling SAP services to perform stuffs. So you can develop an apps and deploy inside SharePoint. Another example is import CSV files in SharePoint list, you can write an apps. But mostly I think you need to decide whether
    to develop apps depends on the Apps API ability. The API is still very limited in features/functionalities. So even if your requirement looks like apps you can't develop apps if the current SharePoint Apps API doesn't support the functionality. 
    Now let's talk about which apps model you would like to use SharePoint Hosted apps means everything hosted inside SharePoint and no other external infrastructure is required. One example is the CSV file upload apps. However, with SharePoint hosted apps,
    you can't use C# rather you just have javascript to develop the apps. There's rumours that auto hosted apps will be deprecated not sure but there's not more conceptual difference apart from where the apps is hosted (both hosted outside SharePoint). Provider/auto-hosted
    apps will be running outside SharePoint (i.e., in IIS web site), and communicate to SharePoint through REST or client object model. One provider hosted apps in the office app market is adlib pdf conversion. The apps allows you to select multiple files and
    covert them to pdf file. Basically the conversion site is hosted somewhere outside (in the provider's infrastructure). When you select all the files and click 'convert' from ribbon user is redirected to the provider site (different url) and the files are merged
    and converted to pdf. Since it's outside of sharepoint, you can use any development language (C#, java, php etc.). The provider hosted app talks to sharepoint through REST or client object model.
    So in summary, sharepoint hosted app has less complexity as it doesn't require another infrastructure and runs inside sharepoint. However you are limited to use only javascript to develop your apps. On the other hand with provider hosted apps, you can use
    any development language but you need to consider extra level of security/complexity to integrate the app with sharepoint.
