Attach external documents to SAP

Hi
we are planning to attach external documents to purchase order in ME22N screen. & every month 10gb files
I would like to know the below points
do we have any limitation for attachment?
what potential risks are involved using this functionality?
Will the transactions/SAP performance be impacted?
when do we need to go for DMS?
Thanks
Raju

A DMS record points to a content server on which resides the attached document. If you wish not to use DMS, then attaching documents at PO will take some time, given the size of you attachments. I do not believe the performance will take a major hit, there should not be major problems with that. You can always assess the performance by attaching big size document with POs in your Development and Quality systems.
DMS is a centralized content management solution provided by SAP. It offers to store various kinds of documents such as drawings, designs, commercial/technical specifications, equipment specifications, etc. there is not a set formula as when to opt for DMS and when to not. You may explore the features of SAP DMS and if the business finds it a value addition, you can use it.

  • Attaching a document in SAP...

    Hi All,
In FB03 t-code (Document display line items), there is one option to create an attachment. Here you can attach a file(pdf, xls or etc..) from your local workstation to sap.
Do anyone know, where this document gets saved in server or at sap level, when it is attached, so when whoever views it, it displays.
Please help me in this regard.
    Thanks in advance.

    Thanks suresh,
What is that business document server and where we can find. Is it a seperate server or it is inside the server where the instance is present.
Can you please explain me in detail regarding this.
    Thanks in advance,

    Hi Joe,
Sorry, that was not an authorization issue. how ever I could solve the problem...
--> I have checked the logs from Dev_icm and that displayed there is a problem connecting the system and IXOS is not allowing any HTTP connections.
-->The problem was with IXOS system, the file system was full in that server and those were cleared.
--> Once the spawner and ORacle DS service were resatrted the IXOS server was normal and in SAP now user were able to attach the documents using So01.
    Thanks for your help.

If you want to preserve the xml exactly as is, then store it as varbinary(max).  This will of course mean you can't use the features of the xml datatype.
    USE tempdb
    GO
    DROP TABLE [dbo].[XmlTest]
    GO
    CREATE TABLE [dbo].[XmlTest] ( xml XML, vbin VARBINARY(MAX) )
    GO
    DECLARE @xml NVARCHAR(MAX);
    SET @xml = '<!DOCTYPE R [<!ELEMENT R (#PCDATA)> <!ENTITY ndash SYSTEM "http://localhost/ExEnt.ent">]><R>&ndash;</R>';
    INSERT INTO [dbo].[XmlTest] VALUES(CONVERT(XML, @xml, 3), CONVERT(VARBINARY(MAX),@xml));
    GO
SELECT *, CAST( VBIN AS nvarchar(MAX))
    FROM [dbo].[XmlTest]
Is that an option for you?

  • Create External document (URL) in SAP Personas

    Hi Smart People!
To save some steps and incorporate a scanner I am working on creating buttons to "Attach Documents" in different areas such as MM03, FB03, and a few others where we have to keep a scanned in document attached to certain other Materials or Payables and such. All docs are scanned in and saved online and then we use the "create external document (url) menu option to link it where it is needed in SAP.
In one place it works just fine and in the others it is not working at all and custom button or even just following the already existing menu options it keeps giving me this error. I tried search on the SCN and Google and no such luck on this error. Anyone have any ideas? See pic below and also the text below is the separated error so you can see what it actually says.
    [Unknown] ses[0]/wnd[0]/usrUSRAREA/ctlcntITS/itsdoc
Thank you for any help you can give!

That screen shot is for the Silverlight browser plugin.
You can check your Personas version and patch level in System -> Status. Clicking on the magnifying glass in the SAP System Data box will list all the components of the ERP system. It will tell you what Personas version and SP is installed.
    Something like this:
The above means Personas 2.0 SP2.
If you indeed happen to have Personas 2.0 with no support package (so SP level says 0000), then the first thing I'd recommend is to bring the system to the latest level, which would be like in the screen shot, and then trying again. There is a good chance the problem will be resolved.
If your system is completely up-to-date and it still gives you trouble, then create an OSS incident.

  • Loading attached documents from SAP R/3 system to BW/BI system

    Dear Experts,
In SAP R/3 system, I created generic datasource to extract sales activities which are entered with transaction code VC01N.  In SAP R/3 system, it is possible to attach documents (like word, Excel, pdf) to the sales activity. I need to upload these documents to SAP BW system as document to sales activity master data. I couldn't find where these attached documents are stored in SAP R/3 system. How can I find these documents?
If I find these documents, I will be able upload these to BW using "How to Mass Upload Documents to BW" document.
    Thanks,
    Ozgur Yavuzkara

    Hi Girish,
I don't understand your question completely. Is your question related to the Internet Transaction Server? If it is a Web Dynpro question, I can move this thread to the Web Dynpro forum. What do you think?

  • SAP GUI and Win 7 error when attaching a document

I searched Google multiple times for an answer but didn't find one, so I'd like to bring it up in this forum.
I start by saying that mine is a large corporation with centralized application, Windows and security configuration, so I have very little manuvering as far as changing settings.
The problem we run into is as follows:
some users who use a particular (Quality Assurance) module of SAP need to regularly attach documents (typically PDF format) in SAP. The typical size of an attachment is between 3-7 MB.
Those documents are store on a network file share remote to the site. The network latency between the site and the file share location is approx. 6ms (not huge by any means). Users are running Win 7 Enterprise SP1.
Randomly, the attachment download fails in SAP and they have to exit and log back in to SAP to resume. The attachment may fail2-3 times, and then succeed or fail permanently.
Copying the file to a local drive (C:) and then attaching it in SAP always works.
The users report that this was not an issue when they were using WinXP SP3 a few months back.
Again, the problem is random in that it cannot be recreated at will but happens often enough to be more than just an inconvenience.
the Windows event log logs the following message when the attach process fails and SAP freezes:
The program saplogon.exe version 7300.1.2.1080 stopped interacting with Windows and was closed. To see if more information about the problem is available, check the problem history in the Action Center control panel.
    Process ID: a7c
    Start Time: 01cf38c9a86d55ac
    Termination Time: 16
    Application Path: C:\Program Files\SAP\FrontEnd\SAPgui\saplogon.exe
    Report Id: 139b5ba9-a4bd-11e3-8b65-d8d3857a05c5
I'd appreciate any input that would help resolve this issue.
    Steve

Besides updating the patch level, the other thing you can try to get more information is turn on or increase the level of tracing within the SAPGUI.  You can do this on the workstation in SAP Logon by clicking the little button at the upper left of the window title bar, then in the drop-down choose Options.  In the new window that opens go to the Traces folder and have a look through the three different kinds of traces you can turn on.  Probably you should turn on SAP Logon Traces to the "Errors" level, and same for SAP GUI Traces (to Level 1: Errors), and under Session Traces pick the options that make sense to you (perhaps "Access Control", "Office Integration", and/or "Security"?  You might need to experiment with different options to get the right combination that doesn't overload the trace file with noise; you may not need a Session Trace at all if the error trace on the other two options reveal what's wrong).
You can see under Session Traces what folder the trace files will go to, and open the folder from there.  By default it will be C:\Users\<username>\AppData\Local\SAP\SAP GUI\Traces.
    Best regards,
    Matt

  • Attaching Documents within SAP

    Hi Everyone,
When attaching documents to SAP, either through journal entries or sales orders or PO's, is there a best practice to use such as using Services for Objects -> Create -> Create Attachment or Store Business Document?  Do they both archive?  I noticed that I can't use Business Document everywhere since it greyed out such as in the PO.  Is there a reason for it?  Just looking for general ideas as to what to do and which approach would cause the least amount of space being taken from our server.
    Any thoughts?
    Thanks,
    Pete

    Pete,
I am not aware if a BP exists, and believe a seperate serve/repositories will be configured to handle archiving documents. Please check with you basis team.
Please check the setting SAP NetWeaver >General Settings> Application Server> Basis Services > ArchiveLink

  • XDC - External Document Converter

    Hi folks,
we want to print smart-forms forms together with documents (TIFF and PDF) from dem KPro/DMS environment; so we found that via the XDC Interface this would be possible; i also found the documentation for that possibility, but our question is:
does anybody have done that yet
does anybody know what converters are available on the market
    kind regards
    oliver

    Hello All,
I have a requirement in my current project wherein the attachments with SRM PO's are to be printed out along with the PO.
In the SAP implementation guide for this it is mentioned that `SAP
delivers a standard implementation with which you can print and fax
attachment documents' and also mentions that to implement the BAdI ie
BBP_DOC_PRINTDOC the requirement is of installing the SAP interface
External Document Converter (XDC) of the SAP component Print and Output
    Management (BC-CCM-PRN).
Does this mean i need a third party tool to make this possible or SAP provides a standard with which we can print and Fax attachement documents which are in word or excel format.
