Authorization to set IDoc deletion flag

Is there a standard SAP authorization controlling IDoc deletion flag?  I need only a few users to be able to set a deletion flag for IDocs and the rest to be able to display and reprocess IDocs.

Do not think it is possible through standard sap authorization if you are giving access to BD87.
If the users have BD87 to reprocess idocs and even if you assign 03 actv in S_IDOCMONI they will be able to set the delete flag for idoc.

    Hi,
    I am planning to set mass deletion flag for production orders using programme PPARCHP1.
    My users dont have access to SE38/SA38 and they cant run this program from directly.
    I dont wnat my users to do this preprocessig using SARA or CO78 as it will give access to them for whole archiving process + it only works in background.
    I am thinking to create a Z tocde for this program and use it in dialogue mode also. Do you guys see any aftereffects with this process?
    Let me know if creating a Z tocde sounds a good idea?

    The standard SAP procedure to set the archive is that
    - you run COAC in background to set deletion flag and deletion indicator.   It should be set as the variant and run periodically (i.e., monthly). 
    - The system get all orders with DLV status in the past xx days depending on your variant to set deletion flag. 
    - Also it will change the status DLFL to DLT based on your residence time 1. 
    - The orders with DLT that reside in system longer than residence time 2 then archive.
    This should be done by IT department or background jobs.  Not the users.
    Which, in my opinion, is enough.  However, if you do need the user to select by themselves which orders they want to set deletion flag (why is that?).  Then you may want to explore enhancement. 
    For the sake of simplicity, I will recommend to use user status (normal cohv can change that, as we know; therefore no new fancy screen needed).  Then develop the user exit to set deletion indicator in PPCO0002 - EXIT_SAPLCORE_001 based on user status.  The rest of the procedure should remain the same.
    If you want to allow user to do every steps and develop some Z* screen for users, they must have the authorization for archiving anyway.  They just don't have the t-code COAC, and SARA.  In my opionion, it is overkill.  Plus in terms of users, I don't think they have skills enough if there is some errors during archiving (i.e., logical file error, etc.).

    For archiving you have to Flag thel master record for deletion. This is known as logical deletion.
    For examble make customer delete ie set flag you can use tranx vd06

  • Production Orders - Setting the Deletion Flag

    Our company is at a point where we need to begin setting the deletion flag on old production orders so that our settlement process does not time out.  I have read countless posts on the subject but I am still lost on how to proceed.
    We do not currently archive any data (future project but not in the immediate future), so I am left wondering:
    If I execute PPARCHP1 directly and only set the deletion flag, will I be able to make use of the archiving process at a later date without problems?

    Hi,
    Yes you can proceed to use PPARCHP1 to set deletion flag for the production orders. Normally all order types will have a residence time of 1 month, which means you have the option to revoke the deletion flag during that one month.
    So for your need, you can run the report & set deletion flag, check the residence time for the order type in OPJH, if it says 1 month, then after 1 month you can run the same report & set the deletion indicator.
    Then based on the time specified in residence time 2 you can proceed with the archival process after the completion of that time.

    I am facing a problem when setting deletion flag for the Maintenance Order after I have Closed the Maintenance Order. It gives me the following error that the Purchase Order still exists that is why Deletion flag cannot be set on the Order. Now what should I do? How to delete the Purchase Order?

    Since PO is already converted it is not possible to put the deletion flag unless all the services or material has been purchased.
    In the maintenance order try to delete the service or material ,which in turn deletion icon will  be set in the PR .
    then try to put the deletion flag for closed order

    Enter the object, then hit enter.

    You have to do the customizing first, which can be done from SARA transaction as well.

    Suppose production order conatians 100 items. now i want to set deletion flag for 20 items only.
    In Co02 t.code deletion check box is disable mode.
    There are nearly 100 production orders .i have to write the program....
    Is there any BAPI or other way to meet this requirement.

    Also, You might want to have a look at the BAPIs like BAPI_PRODORD_SET_DELETION_FLAG which are used to set the deletion indicator but it appears to me the deletion flag can only be set at the header level using these BAPIs.
    Please have a look at SAP business object BUS2005 methods from transaction SW01 for more Production Order related BAPIs.
    One more thing ... since you mentioned that in CO02 the deletion indicator is greyed out, then it might mean you are missing the authorizations to set the deletion flag. Please consult with your Authorization (BASIS) administrator. As a hint, the authorization object here is C_AFKO_AWK.

    i got one solution on which i am working
    Steps:
    1.The solution is to use the User Exit namely QEVA0010 and use the logic as mentioned below.
    2. Test and use the above mentioned user exit.
    3. The first condition should be checked for Inspection Type - 14 and for UD code NG.
    4.Logic to be used To set the deletion flag for the Equipment.
       Go to Table QAPP - Pass inspection lot Number and get the Equipment no.
       Go to Table EQUI - Pass Equipment no and get OBJNR  
    Go to Table JEST - Pass the Objnr - The value for deletion flag status is active is I0076 and the value for deletion  flag inactive is I0320.
       In order to set the deletion Flag,use help of FM - STATUS_CHANGE_INTERN to code.
    5.Logic to be used To set the deletion flag for the Maintenance Plan.
    Go to Table QALS - Pass inspection lot no and get the order no.
    Go to Table AFIH - Pass order no - Get maintenance Plan.
    Go to Table MPLA - Pass the maintenance plan and get the Objnr no.
    JEST - Pass the Objnr - The value for deletion flag status is active is I0076 and the value for deletion flag inactive is I0320.

    You should set the deletion flag only for orders:
    which are delivered or technically completed
    for which variances have been calculated
    for which you do not anticipate any further follow-up costs
    If follow-up costs must be charged to the object, you can remove the deletion flag (DLFL).  Deletion indicators (DLT), however, cannot be withdrawn.
    As long as the accounting period is not yet closed, data (such as from results analysis) can still be transferred to Financial Accounting (FI). The FI period should be closed before you can set the deletion indicator (DLT), since no more costs can be settled to FI after that point.
    When the orders are deleted, the quantity information on the routing operations is also deleted.

    Here i have solve the problem number one through transaction code BS22 (i.e. under System status I0241 -CRCR , previously LKZS - Set deletion indicator & LVMS -Mark for deletion was maintain as Forbidd now i have made it under No influence )
    after saving this customization system give only error two ( System status ORRQ is active (ORD 93000112)
    Same way when i try to find ORRQ but here i havenu2019t found  ORRQ.

    The system sets this status when you release the order, provided that the Order record required indicator is set in the order type-dependent parameters (see Customizing for Process Order)....
    This setting is there in SPRO....
    Production Planning for Process Industries - Process Order-Master Data-Order-Define Order type Dependent parameters...
    In this you set the option Order record Required....
    Requirements are that the process orders are settled, associated PI sheets, inspection lots and any linked purchase orders are complete.
    Following are prerequisites for closing a process order
    1 The order must have the status Released (REL) or Technically completed (TECO)
    2 The order balance must be 0
    3 There can be no open purchase requisitions, purchase orders.
    4 There can be no future change records from confirmation processes.
    .Now Calculate Overheads using Tcode : KGI2 - Individual Processing
    CO43 - Collective Processing
    Step to be follow,
    1.Calculate WIP using Tcode : KKAX - Individual Processing
    KKAO - Collective Processing
    2.Calculate Variance by using Tcode : KKS2 - Individual Processing
    KKS1 - Collective Processing
    3.Finally do the settlement of Order in Tcode : KO88 - Individual Processing
    CO88 - Collective Processing

    This is absolutely fine to set the deletion flag to archieve the Production Orders.
    For this error, which you are getting, there could be entries in COGI or CO1P..
    Whether you are using Process Control (check in OPK4)?
    If that is the case you should have got the entries in CO1P.
    Can you see any entries in COGI? even 102 movement against the order?
    Check once again and revert for further discussion..

    Hi Vijaya,
    Pls refer the help.sap.com related to deletion flag for PM/CS Orders. Some of the check criteria mentioned below for your reference.
    Before a deletion flag is set, the following requirements must be met:
    u2022 Any manually added purchase requisitions or purchase orders for the order must be deleted first.
    The balance of the actual costs for the order must be zero. This means that the deletion flag can only be activated if the order has already been settled, or if no actual costs were incurred for the order.
    u2022 Commitments relating to the order must be deleted.
    u2022 Unprocessed and incorrect goods movements must be processed.
    When the deletion flag is activated, all remaining capacity requirements are deleted. A deletion indicator is also set in any open material reservations.
    An order that has been flagged for deletion cannot be changed. However, you can cancel the deletion flag.
