A purchase order needs to be created, and the vendor is known
Business Process Description Overview
A purchase order is a legal document issued by the buyer to the vendor to supply materials or service at the agreed price, terms and conditions. The Purchase Order forms the basis for all follow-on activities like Goods Receipt, Invoice Verification, etc. The Purchase Orders can be created directly by entering all the required data, copying already created purchase order, with reference to an RFQ/Contract or with reference to a PR.
Purchase Order creation is possible only if sufficient budget allocation is there for the Fund Centers. It is not possible to create Purchase Orders for a Vendor who is blocked for procurement or not maintained in source list for that item. Also it is not possible to create PO for Quantity more than the PR quantity.
All the price components which are to be paid to vendors and requires to be inventoried has to be included in PO.It is possible to add different vendors for delivery costs. The tax codes should be correctly maintained in PO for the purpose of Cenvat availment etc.
The payment term defaulted from Vendor Master or RFQ has to be verified and changed if required.
The incomplete Purchase Orders can be saved as HOLD document and later completed and saved thru Change PO menu
Input - Required Fields Field Value/Comments
Vendor Vendor number
Purchasing Organization 1000
Purchasing Group Purchasing Group code
Date Purchase order date
Account assignment category Where costs will be allocated
Delivery Date Anticipated Delivery Date
Plant For which plant we are buying the material
Output - Results Comments
Purchase order document Can be changed, displayed or printed which can then be mailed to vendor
Tips and Tricks
The Purchase Orders can be created directly by entering all data required for creating PO or by copying another PO or with reference to RFQ/Contract/PR.To create a purchase order by copying existing document (PO/RFQ/PR), you can either select the desired document in the document overview .and adopt it in the current purchase order in the right-hand area of the screen using the ADOPT button .In addition you can drag it onto the shopping basket symbol with the left-hand mouse button.
Click the Personal Settings button on the tool bar, this function is for default information for purchase order header data and also purchase order item data. This will reduce the amount of redundancy in the data entry, i.e. plant, company code.

Activating conditions for Purchase Order workflows in EBP
Dear SRMer's,
I am facing the following problem:
System Info :SRM Server 5.5, ECC 6.0
Scenario 1:
All start conditions for Purchase Order in SAP Business Workflow are activated.
I created a direct procurement shopping cart (DP) in SRM browser and ordered it, then I logged in as proffessional purchaser, changed the Price and processed the DP PO.
When Ordering, the follow on Documents are created, but says the PO is waiting for approval. When I check for this PO in the Backend R/3 system in the Me22n (Display PO changes), I don't see the PO.
Scenario 2:
All Start conditions for Purchase Order in SAP Business Workflow are de-activated
I created another direct procurement shopping cart (DP2) in SRM browser and ordered it, then I logged in as proffessional purchaser, changed the Price and processed the DP2 PO (Status is held).
When Ordering, I get the Warning message, no workflow found, contact system administrator.
Please advice what needs to be configured for the PO to be ordered successfully.
Thanks in advance
RajHi,
In your scenario 1, if system is saying that there the PO has to be approved, it means that you have managed the user that will receive the workitem..
Activating all PO WF is not a solution as in standard there are two many cases activated (amount, role, limit...)
I propose you to first activate only the 0 step WF and to overwrite the code inside
Just code that every PO modification should trigger O step WF thus it will be more simple to test it.
Later on, if you want to implement more complex starting conditions, you just have to modify the WF content...
Kind regards,

"Delivery Completed" Indicator in Purchase Order
Hi,
While doing GR, we want to check the "Delivery Completed" on the Goods Receipt Screen if we are expecting no future receipt against the Purchase Order.
On SDN & SAP Note, I got to know that we canu2019t tick the "Delivery Completed" Check Box while doing Goods Receipt.
We have implemented the Release Strategy on the Purchase Order. To tick the "Delivery Completed" Check Box, we need to cancel the Release Strategy.
Is there any other way (T Codes) to achieve the same?
Regards,Even you flag Delivery Completed" Indicator in Purchase Order, system still allows GRN for open Qty.
Use MEMASSPO trxn & Put Deletion indicator for the PO Line Item. So that you can not do GRN for the open Qty of PO line item.

How to Make MRBR to show the Customised Payment Block Indicator (MIRO) ?
Hi
Currently, from what I know of, MRBR only showing Log Payment Block as follows:
A Automatically blocked due to existence of blocking reasons
S Stochastically blocked
M Manual payment block set in header - no blocking reasons
W Automatically blocked due to entry via Web Invoice
However during the manual MIRO creation, I put in customised Payment Block G (Block due to XX) in the Payment Tab of MIRO. This G does not get shown up in MRBR.
How to make it possible in MRBR as I have configured a few customised Payment Block such as G (Block due to XX) and H (Block due to YY).
I would like MRBR to show up the exact Payment Block indicators as those in the MIRO.
Please help.
ThanksHi Nick.
I just found out that Payment Block Indicator shown in MIRO will appear in MRBR. The reason that it was not shown in MRBR because during MIRO creation, it was set BLANK and then user went to FB02 to change it with other customised Payment Block Value, thus when we run MRBR, it was showing blank under Payment Block column. Thus, we had to resort to LOG Payment Block which gave rise to this thread.
Having understand the importance of how FB02 changing payment block will affect MRBR, we have decided not to let user change the payment block in FB02.
SAP note: 394370 has explained everything:
"A document generated with MIRO was blocked for payment. You cancel the payment block from the vendor line item in the FI follow-up document. Transaction MRBR then displays the invoice document nevertheless. Why?
The invoice document itself cannot be changed by changes to the follow-up documents; this is not programmed. Transaction MRBR therefore continues to display the document as blocked. If this document is released from an MM point of view, the FI follow-up document remains released. Thus the damage caused is restricted to unnecessary work by the user. SAP recommends that you only use the release transactions for releasing invoices."
Thanks a lot! -
RE: During MIRO payment block indicator piks up automatically
Hi All,
Can anyone tell me about this issue:
My user is doing MIRO at that time Payment block indicator picks up automatically for some invoices randomly what could be the reason.
1) there is price differences MIGO and MIRO the same
Pleas let me know the possible reasons to check in my case.
points will be assigned.Hi,
When you enter an invoice, the system suggests the values that it expects an invoice to contain as a result of the purchase order or goods receipt. If the invoice item differs from the default values, you must determine the reason for the variance by contacting the purchasing or goods receiving department or the vendor.
If a tolerance limit is exceeded, you receive a system message. You can post the invoice in the system, but it is automatically blocked for payment if an upper tolerance limit is exceeded.
An invoice can be blocked for payment due to one of the following reasons:
u2022 Variance in an Invoice Item
u2022 Amount of an Invoice Item
u2022 Stochastic Block
u2022 Manual Block
When an invoice is blocked, Vendor cannot be paid. Invoices can be blocked either automatically or manually. You can block an item by selecting the Ma (manual blocking reason) field in the item list.
When you post an invoice, two things happen:
u2022 The account postings resulting from the invoice are made.
u2022 In the vendor line of the accounting document, the system enters an u201CRu201D in the field Payment block so that Financial Accounting cannot make payment for the invoice.
I hope this will solve your doubt.

Removal of deletion indicator in Production order
Hi,
Can any one explain me how to remove the deletion indicator in production order.
thanks and regards
MurugesanAs I know we have delition flag status and delition flag in the control data tab page.
both are related, whenever you set the status as delition flag set, this indicator will come automatically, and visa versa. I am not sill clear which you are refering as delition indicator?
Is it some thing different from what I am talking about?
If so what is the significance of this indicator and why you are using this?
Form dlition inicator many of he fuctions can be blocked. Is there any function which can be blocked after delition indicator than delition flag indicator what I am refferring? -
Block material for sales order entry in specific plants
Hi Experts,
I wanted to know if there is a simple way to block material from being ordered in a specific plant other than maintaining exclusions. My situation is one sales org, two plants (A & B). Order entry should be blocked at plant A and not B.
I tried using the material Cross-distribution-chain material status on Sales org 1, but this blocks across all plants.
I also tried Plant-Specific Material Status on purchasing view, this blocks the material only if it is being procured (non stock). This does not work for materials that does not require procurement. Setting the material to deletion status in MM06 at the plant level will only give a warning.
Any ideas or suggestions on how to handle this?
Thanks,
NandaLakshmipathi,
Thank you. But I don't want to entirely cut off the plant from the sales org. I just don't want to be able to create sales order for a few materials in a specific plant. Ex. Material A should not be allowed on sales orders in plant X but should be allowed in plant Y, both are assigned to the same sales org 1000.
I did some research and found there is no standard way to handle this in SAP, so I decided to go with a user exit MV45AFZZ. By checking against plant specific status (MARC-MMSTA) and if the value is 'XX' then issue an error message.
Thanks,

Maintenance order workflow (in plant maintenance module)
Hi,
I'm looking into implementing maintenance order workflow within PM module. Found the workflow ws2000021, but is this workflow integrated with enterprise portal. That means when a work order is created, can this work order be route to UWL (EP) of another supervisor for release and signoff, instead of going into IW32 and release the work order?
Is any of the logisitics workflow(like Purchase order) available and can be used in the enterprise portal? Just like leave and overtime application in the HR module which are currently available for use in the portal.Hi,
To get to know info about mySAP ERP 2004 - MM Workflows, please check in this link.
http://help.sap.com/saphelp_erp2004/helpdata/en/1d/ea9d9c7aca11d194b70000e82dec10/frameset.htm
Well, if there is a workflow that works with EP, you can find them in the above link itself.
I dont think Workflows comes with BUSINESS PACK.

Blocking Quantity in Sales order
Hi,
We have a requirement to block Quantity in sales order.
PP is not integrated with Sales order, its a MTO ( but actually client does not follow MTO in SAP)
Once the production is completed for that sales order......he want to block the sales order quantity either manually or automatically ( they use a z transaction to declare production complete against sales order ) but this should not stop him doing delivery and billling.
Please let me know how can we do this.
Thanks
Venkata Rama Reddy.KHi,
The Process goes this Way
Sales order is created and confirmed ( by mail ) to PP that production should be started.
PP completes the production and they update the qty against sales order number in a z transaction once production qty matches work order qty. the z transaction stops adding qty in this z t.code.
What customer wants is once they update this ztransaction with complete Qty ( which equals sales order Qty) , the sales order item quantity should be locked automaticallly so that quantity can not be modified once this z transaction is completed.
Hope this information provides clarity.
Please suggest a solution.
Thanks

ME5A: blocking indicator and blocking text
Hello SAP Guru,
In ME5A, is it possible to add comments/texts directly for each purchase requisition, such as "not ready to convert", "ready to convert" etc? The requirement from business is that they want to have a PR report with indicator to state: if one PR is ok to convert or not. Since we have not set up PR release strategy, I found "blocking indicator" and "blocking text" in ME5A, but first need to go into each PR to block, then run ME5A to get these info.
Many thanks in advance for your comments/advice and with best regards-
MengyuHi Mengyu,
ME5A is to List Display PR only. It is in read only mode. You cannot change anything directly form there.
