Cash management - gain/loss journal entries

Please forward any experiences with workarounds/processes for creating exchange gain/loss journal entries for foreign currency payments. Want to generate all journal entries through Cash Management.

Normally exchange rate gain & loss is handled within AP when you make the payment (As long as you book the payment in the system in its proper foreign payment currency).
However, with Cash Management what you might see is a bank charge in addition to the foreign payment on one statement line.
So a bank statement line might show: GBP 125
This might represent a foreign payment in AP PLUS a charge made by your bank for processing the foreign payment.
If you are also using Oracle Receivables you can set up a 'Receivables Activity' and default it to a particular GL account (e.g. a particular gain/loss account or bank charges account). Then in Cash Management you can use this Receivables Activity to book a transaction for the bank charge.
The high-level process would be as follows:
1. Manually reconcile the AP Foreign Payment to the statement line
2. (While on the same statement line) click the 'Create' button. From here you can create/book a miscellaneous transaction (using any pre-defined Receivables Activity)
The point to mention is that this is obviously not automatic. But I hope it helps.

  • How to add a petty cash payment in journal entry

    HI, I was just wondering if anybody could help me with regards to making a petty cash payment, for example if i went to the shop for and spent £15.00 on stationary etc, how would i post this payment in the journal entry screen?

    Hello RWCS...welcome to the forums...
    OK, first things first - the definition of petty cash.  Petty cash is a function inside any company which allows employees to purchase products out of their own pocket and allows the Petty Cash Person to pay/reimburse for some item or services under a certain amount (say $25).  Petty Cash is generally a sum of money maintained in the company in a box or drawer - that is what the accounts says - petty cash.   The WHOLE purpose of petty cash is to avoid cutting a check for each and every minor purchase or payment - so there would be no payment created at all until it is time to replenish Petty Cash with more money.
    So in essence, if you are using Petty Cash, there is no journal entry or SAP B1 payment for individual transactions until it is time to replenish.  The Petty Cash Clerk (person having the box or drawer) would collect receipts as the money is being paid out. 
    At a certain point in time (usually at month-end or when the cash is low in the Petty Cash drawer), a journal entry is made Crediting Petty Cash and Debiting the various Expense Accounts by using the receipts collected.
    Then an AP "Service Type" Invoice and an outgoing payment is made to the Petty Cash Person where the clerk goes to the bank and gets more money for the drawer.  While creating the AP Invoice, the Petty Cash GL Account is selected on the line.  That will create an automatic journal entry of credit to Operating Cash and debit to the Petty Cash.
    If you are not doing this procedure, you do not have Petty Cash.  So hopefully that describes what you are doing...

    Does anyone know how Cash Management flags GL Journal Lines and CE Open Interface payments from external systems, as being no longer available for reconciliation after they have been reconciled? I have looked at the GL_JE_Lines and CE_999_INTERFACE_V tables, but I can't see any column being used for this purpose.

    Hi Brian,
    This is because, one payment/receipt cannot be shared by more than one bank statement line. This is why once payment/receipt is reconciled against a bank statement line, you can view this transaction only from reconciled screen.

  • Import Journal Entries

    Hello,
    I'm going to import with DTW sales and purchase documents from a commercial management software and journal entries from an accounting software.
    I have seen that when I import a document, an automatic journal entry is created.
    So, when I will import the journal entries, I will have this information twice.
    Is there any way to block the automatic creation of the journal entries using SDK?
    Or is there any way to import only the journal entries not coming from sales, purchase, banking...?

    Hi Thibault,
    You will not be able to stop this behavior of creating journal entries in SBO. It is a built in process and stopping it will have a major impact on the financials in the system.  You have to filter the journal entris from the commercial management and accounting software on your side in some or another way that you know which are manually created journal entries and then post them into SBO.

  • How to hide journals wrong journals appearing in cash management for reconc

    Hi all
    I am using EBS 11i, GL, AP, CE and FA.
    There are some cases when users make some mistakes, and void specific payments, but during void they forget to change the GL date and so the mistake becomes bigger.
    I will explain further. We have a payment reconciled on a specific bank account on 30-MAR-2011. The user reconciled on the statement with date 6-APR-2011.
    After a while the users discovers that had make some mistake and wants to void this payment. So he navigates to Cash Management on the statement of 6-APR-2011, removes this entry, but accidentally he forgets to change the GL date, which takes the default date so in this case 12-SEP-2011. So to fix this the user has to register two manual journals in General Ledger module, one on 30-MAR-2011 and the other on 12-SEP-2011. Everything is fine until here, but the problem is that in this two journals we must touch the GL Account which corresponds to the bank account and these journals will be available for reconciliation.
    It is clear that these journals should not be reconciled on cash management statements because they do not represent any cash movement, but there are a few of them and users still happen do that mistake again.
    Is there any possibility to solve this issue?
    So these journals not to be available for reconciliation, or any other solution.

    Hello.
    Assuming you can record the manual corrections in a specific Jounal Category, different from all other, by using Forms Personalization you can remove those lines from being shown to the user so he/she will not be able to reconcile them.

  • Cash Management: How to extract unreconciled jrnl entries from gl_je_lines

    Can someone please send me the query to get Unreconciled GL entries from GL for a particular bank account. I want gl_je_lines data which are not yet reconciled with bank statement lines in Cash Management module. If there are gl_je_lines entries which are partially reconciled, I want to send the balance to be reconciled.

    It was really a learning reading the thread. I am also closely working on a similar activity. I need your help to resolve my issue. Below is the case:
    I need to create a View out of GL_JE_LINES table. This view will have all the journal lines for specific banks (asset_code_combination_id). This activity is basically pre-reconciliation process before the auto reconciliation. So instead of picking all the GL_JE_LINES for the collective asset_code_combination_ids, I would like to ignore those GL LINES which are already reconciled. We could do that with the same methodology you guys have approached. But our problem is that the ce_statement_reconcils_all has rows that does not have JE_HEADER_ID at all. Due to this, we could not compare the JE_HEADER_ID of GL_JE_LINES with reconcils table.
    First in place, what could be the reason that there is no JE_HEADER_ID for some of the rows in CE_STATEMENT_RECONCILS_ALL? Can we ignore those lines in our filter and go head to map those which has JE_HEADER_ID?
    For your information, in CE_STATEMENT_RECONCILS_ALL, for the rows that does not have JE_HEADER_ID, we have ORG_ID.
    Secondly, in CE_STATEMENT_RECONCILS_ALL does the auto reconciliation flag set to N means manual reconciliation done?
    Please help. We are badly looking out for some help since we got stuck at a critical phase of the project.

    Hi,
    If you want to give the posting date, then you have to actiate it. Go to FBCJ. Editing options> Entry Options> uncheck the Set Posting Date and Document Date to System Date.
    But beware before doing this as if you are going to post the documents in Cash journal back dated, then you cash tallying will go for a toss.

    We are implementing SAP and want to discuss the best way to automate in SAP a high dollar/value (maybe $100K and above) "park and post" management review step for posting manual journal entries. I believe SAP does not offer dollar/value limits as standard functionality for defining a park & post process. If this correct, what have you seen from your other clients using SAP park & post? Is there a different way to get where we want without customizing a workflow or generating a new transaction set?

    Hi you could limit the authorisation for the users only to park and then a responsible person could review it and post. You can set a tolerance limit for customers and vendors.

    ctrl+alt+delete and look at the processes that are running on your system. I usually click on the memory headerbar so it sorts them my the process that is using the most memory. :-)

  • BAPI or Function Module for FBCJ Posting of Parked Cash Journal Entries

    Hi Experts,
    A blessed day.
    We have one requirement that requires the creation of Batch Program that will post all the outstanding (status is set in yellow) Cash Journal Entries in transaction FBCJ.
    Hereu2019s the issue, to satisfy the requirement, we either use BDC/Call Transaction OR use a Function Module/BAPI. 
    I would prefer to use Function Module/BAPI.  However, currently thereu2019s only one BAPI available for FBCJ (BAPI_CASHJOURNALDOC_CREATE).  This BAPI can only create cash journal entries BUT DO NOT change the cash journal entry for posting.  The Function Modules (Function Modules of FCJ_POST* series) cannot be used for background processing because of GUI pop-ups. These FMs also donu2019t have the Exceptions functionality for error handling and would not report the Accounting document created from the Cash Journal Entry posting.
    The problem with using BDC/Call Transaction is that it should incorporate line item selection of the cash journal entries, which I havenu2019t tried yet.  Iu2019m not sure if this is possible and if itu2019s possible, how much complexity will it incur.
    If you have the availability, would it be possible if you can help us explore on the potential solutions for this requirement?

    You can use RFBIBL00 program for FB01 postings. Go through the program help on how to use this program.
    This program requires a file to be on application server in a certain format.
    You may also refer the program RFBIBLT0 on how the file format should be.

  • Bank Charges in Cash Management not born by supplier.

    Dear Forum Memebers,
    When We make payment to Supplier from AP, following Journal is passed.
    Liability account Dr. $1000
    Cassh Clearing A/c Cr. $1000.
    Bank charges are say $5, which is born internally and not by Supplier. So the JV should be as under:
    Cash Clearing A/c Dr. $1000
    Bank Charges A/c Dr. $5
    Cash Account Cr. $1000
    Liability A/c Cr. $5.
    But this is not happening in the Cash Management Module. At the time of payment we are not sure what will be the bank charges, this is known only at the time of clearance. As supplier is paid less, his account should get increase to the extent of bank charges, our liability is not disbursed. Bank charges is our expense so the same should be debited as expense. As the total amount reduced from bank is full $1000, same should be removed from Cash Clearing account.

    What is happening after the payment reconcilation or clearing happens in Cash Management? Are you seeing the debit to the Cash Clearing Account and credit to the Cash Account okay? The other entry should be -
    Debit Bank Charges Account.
    Credit Cash Account.
    The bank charges are NOT going to be a liability. They have been taken out of the account balance already. So you want to credit cash.
    Maybe you are just looking in the wrong accounts to find the bank charges?
    It is possible that you may have run across an Oracle programming error? This is something that you may wish to log a service request with Oracle support about. You can at least send them extracts of your data to look at. Which can make a big difference in troubleshooting. We in this forum are blind when it comes to your data, so we have to make guesses on what might be happening.
    Just to double check, what value is set for the "Account For Payment" option in the Payment Accounting Payables Options? You should be using both options (when payment issued and when payment clears).

  • Liabilities Ageing report not acknowledging old journal entries

    Hello,
    I have just upgraded a system from 2007A SP00 PL48 to 8.8 SP00 PL17.  When I ran the Vendor Liabilities report in 8.8 I noticed that one of the business partners has a journal entry and an open invoice.  The journal entry has no value when displayed in the report however when i open the journal up, it is showing a debit for the exact same amount as the invoice, but was created as a result of a foreign exchange gain and has not been reconciled against the invoice.  The ageing report is showing that the invoice is still outstanding and needs to be paid.  However when I run exactly the same report in version 2007, the two amounts are seen to conteract each other and therefore no oustanding amount is shown in the ageing report for this customer.  When I reproduce the scenario in 8.8 with a new invoice and new journal entry, the two transactions are shown to counteract and no outstanding balance is displayed.
    Does anyone know if there is a problem with old journal entries being recognised in the ageing report in version 8.8 or specifically journals created as a result of foreign exchange rate losses/gains?

    Hi Kate,
    We recently upgraded to 8.8 and in reviewing the aging reports realized some manually reconciled entries had to be redone.
    In particular, it seemed to be for entries where foreign currencies were involved. There is a new field in the Internal Rec window in the top left corner - select it and the entries with only SC value will then appear (i.e. you will see all unreconciled entries) along with other entries.
