Credit memo request release according to values
Hello Gurus,
How can I configure for following function:
If the value of the credit memo request is below a certain minimum limit, then it can be released automatically by the system, and make the definition of the point at which the check is carried out and the employee responsible dependent upon the value of the credit memo request.

Using the workflow, you can represent the whole business process, with all the people involved, for approving credit memo requests within your company. This enables you to process credit memo requests simply and efficiently.
If you do not use the workflow, the system does not control the process flow.
In your case, you should have a workflow such that if the value of a credit memo request is below a minimum value, the system automatically releases it for billing by removing the billing block.
If the credit memo request exceeds a certain value, the system automatically informs the employee responsible. She or he receives a work item in their inbox and can process it directly from there.
You need to configure the settings in Customizing for the workflow and create an organizational plan for this.(you may use other methods other that org plan. A workflow consultant may give you further details)
you should configure such that when you create credit memo requests, the system normally sets a billing block, which prevents it from being billed.
You create the billing block for credit memo requests in customizing for Sales and Distribution when you define the order type (Sales and Distribution ->Sales ->Sales Documents-> Sales Document Header ->Define sales document types)

Credit memo request with zero net value
Hello all,
when we create a credit memo request (VA01, doc type CR) and put a material quantity into the credit memo request that falls below the scale in VK13, the net value for the material will be zero.
We do not want to allow to save the credit memo request with a zero net value, but SAP will just allow us do that.
I was wondering if there is a way to pop up a warning or even an error message that avoids saving the document in case of a zero net value?

You can make the condition type (for which $0.00 is not allowed) as mandatory condition type in the pricing procedure. By this way the system will give error and wont allow to proceed any further unless the data is complete. (make sure this is not affecting your regular sales order cycle).
Or if you just want to give a pop-up message then you can use user exit USEREXIT_SAVE_DOCUMENT_PREPARE in include MV45AFZZ

you can define document classes in IMG > SD > Basic Funcs > Cred Mgmt/Risk Mgmt Settings > Maintain Authorizations.
under this tree, you will find Define Document Value Classes, Maintain Document Value Classes and Maintain Authorizations.
you can define document value classes, then assign values to the document value classes. example would be:
1) document value class: Z01; document value: $10,000.00
2) document value class: Z02; document value: $50,000.00
you then assign this to the user profile using PFCG. look under object T-ED01014500. specify the activity (create, change, display, etc.) and the document value class (maybe Z01 for user AA1, Z02 for user BB2).
now AA1 can only process sales documents with value up to $10,000.00. if the maximum value for auto release is 10,000.00, then no further release is necessary for AA1. however, the downside is that AA1 cannot process documents with value above this value, which throws the burden to BB2.
BB2, meanwhile, who is authorized to release orders up to 50,000.00 can process amounts higher than 10,000.00 up to 50,000.00. again, no further action is necessary.

COPA Values in the Profitability analysis for a credit memo request

When I am trying to create an Invoice document for a Credit Memo request having a Configurable material , in the accounting document profitable analysis Profit Center view fields are not getting updated.
If we do the same thing for a reference material profit center view fields are getting updated properly.
What is the problem with the Configurable material.

RajaMahiI would start fresh with a new sales order. When you create with reference both the return delivery and credit memo are created with reference to the return sales order. Here is an example document flow to clarify:

Dear SD Experts,
I have a situation where the invoice is not released to accounting , but credit memo request and credit memos are being raised...now user would like to release the invoice to accounting (after raising credit note request and credit note), is it possible how do i handle this,
(There is no delivery as this is service business scenario).

krishnaGo to 'VFX3' and give the inputs, then select right line and click the FLAG option. It will be manually released to accounting, If not you might find the reason for block.

Value Items in Credit memo request
Dear Experts,
We are using Group Condition In header.
While we create credit memo request, Value 100 at header is populated at item level as Below.
Material Quantity Value
xxxx 2 40
xxxx 3 60
But when we deleting the Billing block through V.23 the values got changed as below.
Material Quantity Value
xxxx 2 37
xxxx 3 63
What could be the reason of the same.

In Analysis Tab at item level its only mentioned Header Condition.
Also there is no exit being used .

In Standard SAP, credit memo request has a credit billing block. It has to be released by an authorised person. But for my client
it has to be approved by 4 persons. In case of returns, Credit for returns also needs to be approved by 4 persons.
Client wants Yes or No pop-up screen
The chart Showing Approval for Credit Memo from four users, if all four users approve u201CYesu201D Credit Memo can be issued. And it cannot be issued if any of the four users doesnu2019t approve for credit memo.

In our project,we have a similar requirement.
For this,we have developed a "Z" table which has the fields as "Credit control area",Customer credit group from,customer credit group to,Refund value from,refund value to,Approval Levels(values like Cash colletion credit manager,Senior order sales manager etc....These values were maintained in Domain),First Approver,Additional Approver,Additional Approver and e-mail address for rejections.
The values for First,additional approvers will be fileld with position numbers which were created by HR team.
Based on the Sales value,a work item will be created in approver's mail box i.e. in SBWP T.Code.If no action has been taken,then an escalation is going to send to managers of these three approvers.This Heirarchy will be mainatined in HR module.
Please check with your ABAPer for developing this logic.

Return Delivery with a Credit Memo Request.
Hello Gurus. I have been working on this issue for quite some time. I will explain the process that was provided by our installers. It doesn't seem to be adding up. Here is the situation, Product that was sent incorrectly was returned. According to our procedures, we create a returns delivery thru VA01, with RE (returns) as the Order Type. We then create it with REFERENCE to the Invoice Number. We remove the items not being returned, enter the Billing Block and Order Reason. Then Save. It gives us a returns delivery number of 6000000, We then return the product back to our stock through MB1B. We clear it and put it back as normal. We then Create a Credit Memo Request through VA01, order type is CR (Credit Memo Request) Create with Reference, we again select the invoice number, delete the items not being returned, enter billing reason, then save. It gives us a number of 60000001. At this point, we enter VF01 and create a billing document. It says the order has billing blocks. We go back in and remove the blocks. We hit save. It now seems to ok, except that, under document flow, under the first delivery 6000000, it shows still being processed (the goods returns shows complete, but the line above shows being processed), and the document flow for 60000001 shows the invoice and the Accounting document as Not Cleared. My question is, should there be 2 seperate orders? A returns delivery and credit memo Request should be under the one delivery number 6000000 according to our procedures? Those were the steps given. Something seems out of place. Are my steps out of order? Are the procedures wrong? If anybody has any insight, I would much appreciate it.
I would start fresh with a new sales order. When you create with reference both the return delivery and credit memo are created with reference to the return sales order. Here is an example document flow to clarify:

Goto VOV8 T.code and then Selct the Order type as CR and click on copyas or F6.
Create your own document type as "ZCR" etc... and maintain the billing block as "08".Maintain reference mandatory as "M".In general we are creating with reference to an invoice.
Save.
Goto T.Code "VOFA" and then select the billing document type as "G2" and click on copy as or F6.
Save with your own name as "ZG2" etc...
Assign this billing document to your ZCR in VOV8 under order related billing as ZG2.
Save.
When you create the creditmemo request with reference to an invoice the billing block will come as "08".
The authorised persons only can remove this block.This can be done using the workflow.When the value is more than certain amount then the mail will triggered into the authorised persons mail id in SAP.They can check and release it using SBWP T.Code.
Then one can create the creditmemo with reference to this credit memo request.

GL account missing in credit memo request

I am trying to creat credit memo request with ref to credit contract invoice but receiving a Document Incomplete message(GL account missing). Iu2019ve clicked on the Edit button and gone back and reviewed everything but I still canu2019t complete the process as I still keep getting the Document Incomplete message. Can you please advise me.

Note: In T. Code: VA02, key-in your Sales Doc (in your case, Credit Memo Request) and go in to Sales Doc.
From Menu-bar, Click:
Edit --> Incompletion Log.
This will lead to eror page, listing Error: G/L missing.
Select line and click Tab: Complete Data
This will lead you to another Screen: Analysis Account Determination
Now, at left-side of the screen, you can see Columns: Procedure and Description.
There, you will find
KOFI --> PR00 (open drop-down option for PR00) --> 10 (KOFI) Cust.Grp/Material Grp/Acct.Key
Double Click on it.
IMP1: Instead of KOFI, it could be KOFK also; and instead of "Cust.Grp/Material Grp/Acct.Key", it could be "Cust.Grp/Account Key" or "Material Grp/Acct Key". Just note-down the entries, it will help you to assign G/L in T. Code: VKOA
Now, at right-hand side of the Screen (i.e. Overview), You will find Access details 10 (KOFI)
Now, there are two options:
1. either System will determine the G/L, or
2. still, G/L a/c missing
In second case, down there on the same screen, notice the following:
Field in condition table--Field in document---Value in doc.
IMP2: Note-down the entries, under Column: Value in doc. as this will help you to maintain settings in T. Code: VKOA
Now, go to - T. Code: VKOA
Click on Table: 1 - Cust.Grp/Material Grp/Acct.Key (or as found in step IMP1)
On to next screen, click Tab: New Entries
now, maintain entries in to Fields:
App: V
CndTy.: KOFI (or as found in step IMP2)
ChAc: INT (or as found in step IMP2)
SOrg: 1234 (or as found in step IMP2)
AAG: 01 (or as found in step IMP2)
AAG: 05 (or as found in step IMP2)
ActKy: ERL (or as found in step IMP2)
G/L Account: You will get it from Accounts dept.
Provision acc.: I don't think its reqd. as its being used for, say Rev. recog.
Save the entry. Now, check the Sales Doc. in VA02 (as explained in the statring of Note). -
Error while creating Credit Memo Request for Milestone billing invoice
Hi All,
I have a scenario where i have Milestone billing(% based) at header level in Contracts. I create Invoice for that and then try to create Credit Memo Request with reference to the Invoice.
Problem comes when we try to change the qty in the credit memo request. we are able to change the qty but the value is not changing. It remains the same constant value of that milestone.
In my copy control from Invoice to Credit memo request for the item category i have maintained the pricing type as "C" because i want to copy and manual conditions.
So kindly let me know which config setting should be done so that whenever i change the qty the value should also be changed.
Please Note : This is happening only when my billing plan is at header level. For Billing plan at Item level its working fine.....

Hi want to create a Credit memo request (sales order) with respect to a invoice.
Can any body suggest me a bapi or Fm which will directly create a sales order with input as invoice number?
Also all mandatory import export parameters to be filled?

Rohan.You should be able to use one of these BAPIs (depending on your release - the ...2 one is the lates and greatest, it seems):
BAPI_SALESORDER_CREATEFROMDAT1
BAPI_SALESORDER_CREATEFROMDAT2
BAPI_SALESORDER_CREATEFROMDATA
You'll find a lot of information on them anywhere, please use search. There is also a decent documentation available for each one of them.
The invoice reference will have to be entered as follows (note that it's always at line level):
order_items_in-ref_doc = <invoice number = VBRK-VBELN>.
order_items_in-ref_doc_it = <<invoice line number = VBRP-POSNR.>.
order_items_in-ref_doc_ca = 'M'. " or whatever category is applicable
Keep in mind though that BAPIs do NOT always work the same way as VA01. If, for example, you have the requirements and copy routines (VOFM), they might get bypassed when creating an order with BAPI.

Credit memo request problem using

I am creating credit memo request using SD_SALESDOCUMENT_CREATE, I am facing problems in this
1> Quatity field is empty in the SO(TARGET_QTY)
2> The credit memo is always being created with negative value, which should not be the case
Note: I am passing manual condition type in condition type where calculation type is B(fixed value).
Can anyone suggest me why is it creating Credit memo request with (-)ve value always.
