Custom Workflow Email Template

Hi All,
We have created a custom email template using components.
At the applicable steps in the WF process we use wfNotify("user","user","CUSTOM_TEMPLATE") to use the cuystom template for email.
The problem we have is that the users then receive 2 emails, the system one and the custom one. Not sure if there is a better way to do this?
We have tried using the <$wfSetIsNotifyingUsers(0)$>to disable the notifications to then send just the custom email one out, which does work, but the issue is that then on the "My Workflow Assignments" Page, the step in the flow doesnt get assigned to that user. The user can still go update from the Active Workflow Page, but not ideal.
Any ideas or suggestions would be appreciated.

I think what you are looking for is a "token" and not just a notification. Assigning the users to a step is different than just notifying a user in a given step. For example, you may want to notify the document's author if something is taking too long to get through workflow but not allow the original author to just push it through themselves. To assign it to that person you'd create a token and then add that token to the step. The documentation should be about to help you out with creating the token. If not, just post another question.

    The key info is:
    The two most commonly used templates used to generate email messages sent to recipients involved in a workflow are reviewer_mail.htm and reject_mail.htm. These are stored in IdcHomeDir/resources/core/templates.
    These templates can be modified like any other template. Email template modification provides the greatest flexibility and opportunity for customizing workflow emails. Although this kind of modification is relatively straightforward, it still requires careful component development. Modifying the subject and the message in the email is often the most important part of the message, and thus is often the most modified.
    Make sure your read further (if you want to create a template of your own, for instance).

    When I ran the script and added the users and restarted the service, all users who were auto-subscribed via this method would get the email without the customizations that were done in the custom template.  All users who manually subscribed to the list
    using the "Alert Me" function would get the customized email. 
    Does anyone know why users who manually subscribe would get the custom email alert and why users who were auto-subscribed using the powershell script do not get the custom email alert?

    According to your description, my understanding is that users who were auto-subscribed using the PowerShell script do not get the custom email alert.
    For your issue, it can be caused by the auto-subscribed alert email which is generated by PowerShell script is  using OOTB alert template. You can add the following script into your script for setting
    the alerts’ alert email template:
    $contentService = [Microsoft.SharePoint.Administration.SPWebService]::ContentService
    $AlertsTemplateCollection =new-object Microsoft.SharePoint.SPAlertTemplateCollection($contentService)

  • Sharepoint 2013 Custom Workflow - Email link to EditForm.aspx for Workflow Task

    I have created a custom workflow which starts a task with one or two users once a form is submitted.  These users receive an email with a link to the task that has been created.  The problem is it doesn't open the edit form for the task it just
    links to the displaypage.asp for the task.  This is causing all sorts of confusion so I just wanted to change the link to the edit form instead. 
    It seems simple enough but I just cant find a way to do it?! I am a beginner in this stuff so I have no visual studio experience and have designed all this using SPD 2013.
    Is there an easy way around this? Any help would be greatly appreciated!

    According to your code, it create a new alert using SPUser.Alerts.Add() method. For this method, it will create a new alert based on the predefined alert template by default.
    If you only assigned the custom alert template to the list, users who manually subscribe to the alerts get the customized email, but users who were auto-subscribed using the PowerShell script get the standard
    generic email template.
    For your issue, you can set the new alert ‘s alert template:

    I have created a custom workflow activity to send an email with the 'From' address being taken as input from the SharePoint Designer when this activity is used in a designer workflow. My requirement is to highlight an invalid email address(from address)
    on click of 'Check for Errors' button in SharePoint Designer like it is done for mandatory inputs by default where it highlights such inputs if left blank. Is it possible?

  • Customizing / Creating Email Notifications

    Ok, so I have asked this question already in an earlier post. About creating/formulating E-mail Notifications, based on Information gathered/input in a Customized User Form.
    Here is a copy of my previous posting

    I am in the process of customizing User Forms, and I would like to implement a trigger (if that's the right name for it) in the XML script, which will execute a Rule (or some code) that will result in an email being sent.
    For example, the following simple script (selection from a dropdown menu) :

    Does anyone know how this can be done?

Defining a rule is relatively simple and is pretty well documented and there are existing examples in a default install of IDM that you can check-out and use as reference templates.

    There's a lot there. You need to take some of what has been told to you in the forum and use that to guide your search in the existing documentation.

    The answer is yes, but you're on your own in determining how to do that. You've become quite the jerk in this forum. Read the docs, go on some training if you can afford it. What you need to know about how to implement rules, email templates and custom notifications is all there.

    In the Workflow Mail Template Configure, we are attempting to discover if we can insert text between the single quotes.
    I have a requirement where I need to edit the Approve/Reject/Request More Information in a mail template. The customer wants to have some texts populated in between the quotes in the "Rejection Reason" for the email Template.
    e.g-: when click on Reject link form email, my requirement is to add a text mentioned below in italics. This will give the user instructions on what to do....many tiumers they see the single quotes and do not enter in the Rejection Reason.
    Approval Action: 'Reject'
    Rejection Reason: ' insert rejection reason text here '

    You can define a message attribute of type 'respond', then you can see a text field to enter your response comments.

  • Can no longer select text in email template or read only field with mouse using IE or Firefox?

    I can no longer select text in email template or read only field using my mouse in IE or Firefox anymore. We are using CRM 2011 rollup 18 applied with IE 11 and the latest version of Firefox. We only applied roll up 18 in Feb when this issue began.

    When you have a problem with one particular site, a good "first thing to try" is clearing your Firefox cache and deleting your saved cookies for the site.
    (1) Bypass Firefox's Cache
    Use Ctrl+Shift+r to reload the page fresh from the server.
    (You also can clear Firefox's cache completely using:
    orange Firefox button ''or'' Tools menu > Options > Advanced
    On the Network mini-tab > Cached Web Content : "Clear Now")
    (2) Remove the site's cookies (save any pending work first) using either of these. While viewing a page on the site:
    * right-click and choose View Page Info > Security > "View Cookies"
    * Alt+t (open the classic Tools menu) > Page Info > Security > "View Cookies"
    Then try reloading the page. Does that help?
    These features rely on JavaScript, and it sounds as though you have scripting enabled if you get (the wrong) color changes. Some add-ons might alter the way scripts operate, so a standard diagnostic to bypass interference by extensions (and some custom settings) is to try Firefox's Safe Mode.
    First, I recommend backing up your Firefox settings in case something goes wrong. See [[Backing up your information]]. (You can copy your entire Firefox profile folder somewhere outside of the Mozilla folder.)
    Next, restart Firefox in Firefox's Safe Mode ([[Safe Mode]]) using
    Help > Restart with Add-ons Disabled
    In the dialog, click "Start in Safe Mode."
    If those features work correctly, this points to one of your extensions or custom settings as the problem.
    To also disable plugins, you can use this page:

    Hi,
    According to your post, my understanding is that you want to read values from lookup columns through custom workflow in SharePoint 2013.
    Since the workflow just doesn't get lookup fields, let's give it something static to work with instead. If we can capture the ID of the lookup field and store that as a static value in our list, the workflow can happily use that to look up our related.

    Is it possible to use If/Then logic in an email template, so that we can display certain portions of the email template, based on data from the Account record?
    If not within CRM, is there an ISV product that performs this function?

    Functionally, how are these e-mails sent at the moment?
    You could achieve this by creating a workflow with your logic, and depending on the If's/Else's, create an e-mail message with the intended templates - then include the info you pretend on these templates.
    The workflow would have to run on-demand or triggered by an event on the entities.

  • Why does my email template appear differently in various email programs?

    I have created a CSS-style based email template using Dreamweaver CS6.  The template looks great within Dreamweaver, on Internet Explorer and in Outlook 2003.  However, when viewed in Outlook 2010, Hotmail and Gmail, the template is distorted.  If I set my containers using pixel size, why would it be different when viewed in other email programs?

  • Possible to fill a list using a custom Workflow in Sharepoint 2013

    Is it possible to develop a custom workflow that compares a Contact List and the Active Directory and add any missing people to the list? Or is this a functionality not available with workflows and sharepoint 2013?

    Instead of workflow you can do this,
    Have user profile service application set up ,which will run on daily basis by default(you can configure to run Hourly/Minutely also) to import all users along with user attributes(email, department ..etc) to SharePoint. Configuring  UPS :
