Customizing the Workflow Task Form

So when the user uploads a document, they receive a task within their email. I have located this form before in SPD and noticed that you can edit it. This was a long time ago and now I have forgotten where it`s located. Can anyone help me please?

    After creating "Collect data from user" workflow using SharePoint designer, I need to customize the task form. But when I open the .xsn file (SharePoint generated), without editing anything (for testing purpose), and publish it, I got the message
    box: "An unknown error has occurred. The form template has been published to the server but it can only be opened in InfoPath Filler". I test the same scenario in SharePoint 2010, and it worked. It really annoys me.
    No exception in the log file, and no solution after much searching around.

     I got the solution to customize the Workflow task form. We cannot customize the workflow task form from InfoPath 2013, and if some how you are able to publish the task form it then when you publish your workflow then it your workflow will overwrite
    the default task form to your customized one.
    So the solution for it is that whatever fields you want to add to the task form you can just in "TASK FORM FIELDS" and it will display in your task form when you publish your workflow.

    You could try to cpoy the HTML source of the advanced search
    page, copy it in a HTML-portlet or dynamic page, and remove the
    fields you don't want to show.
    I had succes this way with the search portlet and add_groups
    portlet, didn't try the advanced search page though.

  • Custom SRM workflow: task forwarded to last change author when approving.

    Hi experts.
    We encountered this strange behaviour when approving a Purchase Order, previously rejected.
    More precisely: the PO is created by user A, user B rejects it, user C approves it, then the same workitem sent to C is forwarded to B instead of being routed to user D through the flow. I do not want this to happen.
    Is there a way I can modify/customize this?

    Short answer: Yes.
    Longer answer: only you know which workflow template you are using. Is it a standard SAP template? If so, which one? Is it your own custom workflow? If so, you have to explain it if we are going to be able to provide any help.
    I won't be surprised if your response is that you are using the standard workflow that you customize with release procedures. But I can't know that, so please (everyone) be specific and informative when you ask questions. The readers here may all have some workflow knowledge, but most of us are not very good at reading other people's minds.
    PS: Version information can also be quite significant. In some cases there are big differences between e.g. R/3 4.6C and ECC 6.0.
    If you have used the release procedure customizing it could be your customizing that causes the behaviour you have observed. Please give some more information about your current setup.

  • Sharepoint 2010 Designer workflow Custom Task Form

    Hello,
    could you please help me to customize the WF Task form using SharePoint Designer?
    My requirement is to create the SPD 2010 WF with custom task form where i can add the controls as per the form requirement and I need to add Attachment control too to upload the file on Task Form. 
    Could you please advise me that how can I achieve it using SPD only (Without Infopath form)?
    (Through Infopath its pretty easy to customize the Task Form, but I need to customize it through SPD only)

    Hi Santosh,
    For your demand, you can  change the workflow task form to aspx pages and than customize the page .You can edit the content type created by the workflow to use the aspx pages :
    Publish the workflow and it will have the task form created .The form name will be like Approval_x0028_25_x0029_.xsn .
    The content type created by the workflow will also have the name Approval_x0028_25_x0029_.
    Open the Tasks list in SharePoint Designer .Find the content type Approval_x0028_25_x0029_and edit it .
    In the Forms section ,you can change the display form and edit form to be aspx pages for the content type  .The workflow task will use the aspx page .I used the default task forms in my test and the URL is like:/Lists/Tasks/EditForm.aspx.
    Save the changes .

    Hi.
    I put an InputFile control in a task form and I have to pass uploaded files back to the BPEL process. I have found some examples of file uploading using ADF but none consider integration with BPEL.

     I got the solution to customize the Workflow task form. We cannot customize the workflow task form from InfoPath 2013, and if some how you are able to publish the task form it then when you publish your workflow then it your workflow will overwrite

  • InfoPath form opens in the browser instead of InfoPath Filler when a link is clicked from the Approval Task email

    I have an admin approved InfoPath 2010 form that is web enabled. It is published to a SharePoint 2010 Forms library and an Approval Workflow is attached to it.
    The form needs to open up in the InfoPath Filler with the Workflow Task bar at the top so users can approve the task from within the form and not go to Tasks list to do so.
    Here's a problem I am experiencing: sometimes the form opens in InfoPath Filler and sometiems it opens in the browser when the link to approve the form is clicked form the email that is sent by the workflow.
    Windows 7, IE 9, MS Office 2010:
    The form opens up in InfoPath filler like it supposed to. The Workflow task bar is there for users to approve the form.
    Surface Pro with Windows 8.1, IE 11 and MS Office 2013
    The form opens up in the browser and there is no Workflow task bar at the top.
    Things that I've already looked at and tried which didn't solve the issue:
    - The forms library is exclusivly set to open documents/forms in the Client Application
    - Set the browser compatibility mode in IE 11, that doesn't work too well, because you have to do it every time you open the browser.
    - Setting browser compatility in IE 11 reintroduced another issue, of multiple login promts, which was fixed by entering the SharePoint site in question into the Trusted sites by a group policy. Adding the site to trusted sites made the forms open up in the
    browser.
    - Researched compatibility issues with InfoPath and Windows 8.1, cannot find anything.
    - Researched compatibility issues with InfoPath 2010, Windows 8.1 and SharePoint 2010, also didn't find anything.
    Can someone offer a suggestion on how to fix this problem, preferably with no code, because we are not allowed to put custom code on the server?
    I need to force InfoPath form to open in InfoPath Filler when the link to the form is clicked from the Workflow email. Also the login prompts should not pop up. Need it to work on all the platforms: Windows 7, and Surface Pro Windows 8.1.

    2. Install fiddler and launch fiddler.
    3. When the fiddler be launched, the log will be enabled automatically.
    4. You can click “X” to remove all the records before you reproduce the issue.
    5. If the web site has been configured to https. Please enable https option:
                 Click “Tools” -> “Fiddler Options”            
    Switch to HTTPS tab, then check “Capture HTTPS CONNECTs” and “Decrypt HTTPS traffic”.
    6. Then repro the issue.
    7. Click “File”->”Capture Traffic”, uncheck the Option “Capture Traffic” to make sure the “
    ” is not shown, that mean the logs has been stopped.
    8. Click “File”->”Save” ->”All sessions”, save the file.

  • Customizing Workflow and Forms

    Hi
    I have a Approval Workflow with 3 outcomes: Approve: Revise and Reject. I added another outcome such as Revise. 
    I find by default on one Approval Form in the Workflow using SPD. I need to add another Form which will send back the Comments to the Initiator to Revise the form and resend it back to the Approver.
    Kindly let me know for any pointers.

    Hi,
    According to your post, my understanding is that you want to create an form to get the users’ comments for the initiator approval.
    Per my knowledge, it’s by design that we can’t directly modify the approval task form in SharePoint 2013.
    As a workaround, you can create a new task content type to apply it to the task process action in SharePoint workflow.
    Also, you can try to create a new list to add user information and custom the list form, create a SharePoint 2013 Approval Workflow for this new list to assign the tasks to the corresponding users, then you can get their corresponding users’ comments for
    the initiator approval.

  • Collecting Signatures on InfoPath Forms using Collect Signatures Workflow - Task Sign Button doesnt open Sign Dialogue

    I'm having a problem getting an InfoPath form to work smoothly with the Collect Signatures workflow while using automatically chosen signers instead of the signers being specified in the workflow initiation form.
    I created a custom InfoPath form with two signature lines
    I created a duplicate of the out of the box Collect Signatures workflow and changed the Task Process Participants from "Parameter:Signers" to use one stage of the "submitter" and a second stage of the Manager field in the form.
    The tasks do get assigned properly to the submitter and then the other user from the form field but there is a problem when trying to sign the documents from the task.
    PROBLEM: Now, when one of the signers opens the task from inside the InfoPath form(they get to the form by clicking the link in the task assignment email) and clicks "sign" it no longer opens the signature dialogue. It just
    advances the workflow and the document is left unsigned.
    BUT IT WORKED FINE STOCK?... If I change the workflow task back to use the Parameter:Signers and let it supply the signers from the workflow initiation form then when the signer clicks the "sign" button on the task form the
    Sign dialogue pops up for the next in line signature in the form that hasn't been signed. Then once they sign it the task completes and advances the workflow nicely. This is great but I want the signers to be automatically selected and the workflow
    to fire when a new form is filled bypassing the cumbersome workflow initiation form.
    Does anyone have experience with this? How can I get the task form Sign button wired up to open the signature dialogue for a signature inside the form?

    If you use a third party signing control then you would not have to name the form uniquely because the control captures the signature and shows shows it on the form. The signature is not dependent on the form name. In other words you don't have to give
    unique name to the form. Adobe Acrobat XI Pro lets you sign documents in SharePoint. Each approver can add their signature. There are other third party products also available for this. OR the easiest solution is to include Signature field on the form and
    ask users to simply type their name in the field and automatically record date and time (and show with signature) when they add their name and submit.

    We are trying to use workflows to review and edit pdf files in sharepoint 2010. We are having a couple of issues and am hoping someone has the answer.....
    1)  When myself and coworkers click on the pdf document in the library, we get the check out option as expected.  However when we click on the document
    link in a workflow task (on the sharepoint site), the pdf opens as a temporary file and we do not get the check out option.  Why does this happen????? 
    2)  The same thing happens when we click on the document link in the workflow task email;   HOWEVER,  one of our co-workers does get the
    check out option when clicking on the link in the email task.  Why would she get the checkout option using the email and not when clicking on the link in the task list on the sharepoint site ????  We have compared our internet settings and adobe
    settings to ours and found no differences.
    We are using Sharepoint 2010, Windows 7, IE8, Adobe Reader X or XI.  Some of us have Adobe Pro X and have the same issues.

    I try to reproduce the issue, however, no matter when I click the pdf type document in the library or click on the pdf document link in the workflow task email, it download the pdf doucment and then I can open it.
    It will be better if you can descript how you
    get the check out option as expected when you click on the pdf document in the library.
    Then I upload a
    word type document to the library, no matter when I click the word type document in the library or click on the word document link in the workflow task email, I can open the word document directly and get the check out option as expected.
    I recommend to use the other type docuemts to check whether the check out option works.

    No the person who can check out using the link in the email has the same permissions as me.  We have looked at all kinds of settings, profile etc and nothing evident can be determined to explain the reason.  However, one difference we did notice is that this person does not have a default web browser set and thus when clicking on items to open, it always pops up a dialog box asking which program to use to open it with.  This person chooses Adobe Reader and it opens on the Sharepoint server as it should and she gets the checkout option in a dialog box just like clicking on the document in the library.  My theory is that this step of choosing the program to open with is interrupting the typical way a pdf file is handled when clicking on URL links to the document, which is…. it is opened as temporary internet file rather than on the Sharepoint server.   Hopefully someone can figure this out ☺

    Using an approval workflow. when the task has been assigned to the person he is getting an email but when clicking on the edit this task button ,the pop window with the
    "workflow task details are being retrieved from the server" 
    error is getting. SharePoint site 2007 and Microsoft Outlook is 2010.

    I have a similar issue with my version of SharePoint. 
    SharePoint 2010 Enterprise.
    Outlook 2013 with MS Exchange
    Document approval workflow.
    When you open the document approval email that comes from SharePoint and click on "Open this task"  the popup window flashes across "workflow tasks details are being retrieved from the server ".
    I've tried the regedit fix and the hive fix and resetting IE that some of the other people have said that works and it doesn't. 
    When I go the site, and connect the task list to Outlook, I can complete the task that way.
    I also created a new approval workflow in SharePoint designer and it behaves the same way.
    Anything else I should try?

  • Workflow Task not able to be completed due to "System Account" in Requested By field not resolving.

    I have a workflow firing on create and update in a list. The list is a calendar that is email enabled. The tasks are assigned with the requested by set to be the System Account, which shows underlined in red when trying to complete the workflow task. This
    is a sharepoint designer 2010 workflow using the assing approval task action. I was hoping to see a variable used when assigning the task to allow changing that from the system account to the created by on the original list, which I am able to assign for the
    approval workflow starting notification since that also was trying to go to the system account.
    Here is the task as it looks which will not allow completion even by site collection administrator.
    If the workflow starts with direct entry in the list, all works fine. This is related to the system account creating the initial item, but was hoping to override that during the task process.
    Anyone else run into this and have solution?

    I can’t reproduce your issue, but you can change the requested by on the task form to “created by” column. Go to SharePoint
    designer, open the workflow, under forms section, click task type form workname.xsn to open it in InfoPath form, then you can change the requested by to created by.

  • Decoupled workflow tasks\steps

    hi,
    I am totally new to workflow, I have  a requirement to create a workflow like this:
    suppose these are the steps\tasks in the workflow sequence.
    Task1->task2->task3->task4
    it should be possible for me to remove a task, add a task etc. with just changes in config. So it should be configurable\pluggable.
    In each step at the start of the application, the adminstrator should be able to assign who should approve\sign off each task. This should be done through changing values in tables. (additional info: Each task should also have a checklist which is also configurable. the approver of each task will also have to update some data for the transaction which will at the end of the application be displayed in a document. )
    How do I go about doing this so that minimum effort is required to change a workflow sequence (add\remove tasks)

    According to your post, my understanding is that you want to open task with appropriate Edit form.
    If you use the "CreatTaskWithContentType" activity, to know the content type and open the appropriate Edit form, you need to remove Inherits=”True” attribute of the content type, and redeploy it, then use it in workflow to check whether it works.
