Designer Workflows with System Account

Hi..
I created a SharePoint List Workflows using SharePOint Designer and i want to know the reason why workflow not working for
System Account and for remaining users it working fine.

    I am current running SharePoint 2013. I have a drop-off library which routes documents to the correct location. But when I use the drop-off library the workflow initiator shows up as "System Account". When the document is added to the SharePoint 2010

    Hi Spupload,
    It is by design that Content Organizer rule will route documents with System Account and 2010 workflow cannot be triggered by system account.
    I recommend to start the workflow programmatically with Event Receiver.

  • Triggering workflow with system generated files

    I'm creating a workflow that is triggered when it encounters a content ID of D . It works perfect when I check-in a new content item ending in D, but when the system generates the discussion file ending in _D it doesn't trigger the workflow.
    Do you know how I can trigger the workflow for system generated files? Thanks!

    Umm, to be honest, I am lost even more. You mentioned several keywords and I can't figure out how to mix them together to make something reasonable:
    - discussions
    - a special folder for discussion files - does this mean that whole problem is that discussion files end up in the same folder as regular files and users don't like it?
    I have just verified that if you create a discussion via WebDav for an item in a folder, the discussion file inherits the folder id of the item. However, if you modify it (I used UPDATE and just cleared it), the discussion is still available at the item's detail, but it is not visible in the folder - why would you set a folder for discussions at all, then?
    - workflow - did you intend to use workflow mechanism to (auto)modify the folder of discussions?
    If that's so, I think workflows is not good mechanism to do that - I'd expect in workflows to have some interaction with users (like approvals/rejects, which makes no sense to me for discussion entries)
    I'm not sure if you can modify such a behavior on either Folders component, or ThreadedDiscussion components, but even if not, you should be able to do it via relatively easy custom component.

    I have created SharePoint Designer Workflow, it update other List Item as well same Item on Item Adding and Editing event.
    I have Developed workflow using System Account.
    While doing any change by general user in Workflow list it update Modified By value to System Account only.
    I want modified by value as General user only.
    Or No need to update modified and Modified by details.
    So please help me How I can resolve this issue.

  • Office 365 : SharePoint designer workflow platform not available

    Hi,
    We have Office 365 E3 subscription and I am facing issue creating any SP2013 designer workflow for the sites created via Custom Web Templates ?
    The option to create designer workflow with "SharePoint 2013 Workflow platform" is unavailable with message..
    "The option for SharePoint 2013 Workflow platform is not available because the workflow service is not configured on the server, please contact your server administrator"
    To add to the issue even if we create 2010 designer workflow, the workflow does not get associated with the list/library. I can see the workflow in SharePoint designer but not with library settings from the browser and of course the workflow is not executed.
    Can anyone please suggest any solution ?

    Hi,
    According to your description, my understanding is that you got an error when you create a SharePoint Designer workflow.
    Please do an IISRESET.
    Whether the issue occurs at another site or site collection, do a test in another site or site collection, compare the results.
    If the results is same,  please uninstall Workflow Mananger from all servers, then reinstall it .
    Note : If you are on a multi-server environment, make sure you have installed Workflow Manager client on all of your farm servers.

  • Sharepoint Designer workflow takes long time for execution of action

    Hi All ,
    I have created declarative workflow using SharePoint designer 2010.which is getting executed successfully,But taking lot of time for execution.
    Below are details of it
    workflow contains only one activity "assign Task to User" and workflow will start automatically after uploading document.
    workflow takes 10 minutes to create task for user , 10 minutes to claim task and 10 minutes to execute if any action(Approve or Reject) is taken on task.
    no error in log file or event log related to workflow.
    options tried:
    1.I have tried options  suggested in article(http://www.codeproject.com/Articles/251828/How-to-Improve-Workflow-Performance-in-SharePoint#_rating ),but no luck
    2. Reduced the interval of worflow timer job to 1  from 5 .still no luck
    Any thoughts regarding this would be appreciated.

  • SP 2013 designer workflow deployment error on new SP Farm

    We are using SharePoint 2013 enterprise and InfoPath 2013 for the workflow requirements as mentioned below:
    For Approval, Reminder and Alert Emails we have used SharePoint designer workflows with following details:
    SP2010 Workflow
    This is a site workflow
    Get Manager and other custom user profile property to identify whether the current approver has not reached beyond then department head.
    This is called from the SP 2013 workflow with parameter of created by field initially and later with the current approver in a loop implemented in designer workflow
    SP 2013 workflow
    This is a list workflow attached to the form library
    This executes the sp2010 workflow to get manager and custom user profile property to identify level of manager
    Then starts task process in loop assigned to manager, manager of manager and so on.  Loop ends after the approver reaches to the department head level
    This sets the published fields in the InfoPath form library to control the views with the current approver and state of the form based on the approval status
    We are still facing issues with deploying the workflow and get the following error while publishing when the workflow is deployed from one farm to another (i.e. from dev to test environment).

    At the destination server, I am able to create and publish new SP 2013 and 2010 type of workflow without any error.

    we have fixed in the same week but due to unavailability of time, i am posting reply now.
    We have managed to solve this by installing latest updates from Microsoft.
    We have installed SP1 + April updates for SharePoint 2013.

  • SharePoint 2010 Designer workflow failing in an Ad hoc manner.

    We have a SharePoint 2010 Designer workflow with 25 approval stages (supposed to run for around 1.5 yrs. ) . We have a consistent problem in the workflow as it keeps failing with message "error occured" at some stages(not uniform) after a users
    tries to submit his Tasks .
    After lot of troubleshooting , we found that all the workflow which is getting failed have a Tasks on which the due date of tasks has exceeded. I meant to say that user is submitting his Task (which is a custom info-path 2010 form ) after the due date of
    the Tasks.
    Can any one suggest if this is supposed to be the Obvious behavior of workflow ? That is ,if the user submits his Task when the due date has passed , the workflow will fail with error.

  • SharePoint Designer workflow - date display and number ;# signs.

    Hi,
    I have created a SharePoint Designer workflow with customized email messages sent to specified people.
    I've got tow questions:
    1) In the email message there are lookups for date.The date is displayed in mm/dd/yyyy format and I would like to change it into dd/mm/yyyy. Is that possible?
    2) In the email messages there are lookups for a value from a list. the values are displayed with a number ; and # signs. For example 1;#PortfolioA  2;#Portfolio2. How can I eliminate the number,; and # signs and have the portfolio displayed only as
    'PortfolioA"?

    Hi Jowita,
    For the Date&Time column, you can create an additional column using Calculated type, and set the formula is: =TEXT([Date],"dd/mm/yyyy"), then when you design the email body in workflow, you can use the calculated column instead of the
    original date column.
    For the Lookup column, when you add it into the email body, you can set it returns field as “Lookup Value(as Text)”, like the screenshot:

  • Workflow Task not able to be completed due to "System Account" in Requested By field not resolving.

    I have a workflow firing on create and update in a list. The list is a calendar that is email enabled. The tasks are assigned with the requested by set to be the System Account, which shows underlined in red when trying to complete the workflow task. This
    is a sharepoint designer 2010 workflow using the assing approval task action. I was hoping to see a variable used when assigning the task to allow changing that from the system account to the created by on the original list, which I am able to assign for the
    approval workflow starting notification since that also was trying to go to the system account.
    Here is the task as it looks which will not allow completion even by site collection administrator.
    If the workflow starts with direct entry in the list, all works fine. This is related to the system account creating the initial item, but was hoping to override that during the task process.
    Anyone else run into this and have solution?

    Hi Alan,
    I can’t reproduce your issue, but you can change the requested by on the task form to “created by” column. Go to SharePoint
    designer, open the workflow, under forms section, click task type form workname.xsn to open it in InfoPath form, then you can change the requested by to created by.

    What is SharePoint server’s version?
    Check if the account who start the workflow has enough permission.
    If you were using SharePoint server 2007, all Visual Studio workflows (including SharePoint OOB workflow and customized workflows) run as the System Account and have
    full rights to everything in SharePoint Products and Technologies.
    SharePoint Designer workflows, on the other hand, still run as the System Account, but they do so with their permissions trimmed down to those of the account that
    initiates the workflow.
    In other words, SharePoint Designer workflows always run impersonating the user who initiates the workflow.

    I have built a vacation leave holiday system for SharePoint Foundation 2010 using SharePoint Designer workflows and Javascript. Everything works perfectly but I'm struggling to design a solution for users to specify half day requests that span over dates
    greater than 1 day, i.e. my half day solution works but only when the start and end date are the same. How would I change the user interface to allow users to choose which day they want the half day to be requested when the vacation leave holiday request is
    from, say,  6th - 10th Jan 2014?

    I have a test on my machine with a custom approval workflow and it can work normally .Here are the detailed steps :
    1.      
    Open the site in SharePoint Designer .Create a workflow to associate with the document library .Set the workflow to start when an item is created and when an item is changed
    .Also allow the workflow to start manually .
    2.      
    Choose ‘Collect Data from a user’ .
    3.      
    Click on the data and give a name to the Task created .
    4.      
    Define the custom form field name as ‘Approve ?’ .Set the information type as Choice .
    5.      
    Set the choices as ‘Approve’ and ’Reject’ .Display as Checkboxes .Uncheck the ‘Allow fill-in values’ and ‘Allow blank values’
    .Click finish to save .
    6.      
    Click on users and add the users who will approve the documents .
    7.      
    Keep the output to variable as collect .
    8.      
    Add a new step .Choose ‘If any value equals value ’ .Set the any value ‘Data source’ as  workflow variables and parameters .Set the ‘Field
    from source’ as Variable: collect .
    9.      
    Set the value behind ‘equals ’ as ‘Approve’ .
    10.  
    Add a new action ‘Update list item ’ .Set the item as current item .Add the field Approval status as Approved .
    11.  
    Add an Else-if branch to update the Approval status as Rejected .
    12.  
    Publish the workflow and test in your site .

  • Workflow configuration error - System Account connection test failed

    Hi,
    Has anybody faced a problem with Workflow configuration? The version we are using is 2.6.2 on Oracle database 9.2.0.5 on AIX5L. The workflow installation from 9.2.0.1 installation CDs goes through without any problem. But when the workflow configuration tool comes up it fails with the following error.
    "SYSTEM account connection test failed".
    The system and sys accounts are fine as verified by sqlplus. Any help is greatly appreciated.

    We had this problem on 2 machines.
    On the 1st machine, we tried the local install option after a few days (Local option with no connect string) and it worked with no problems!
    On the 2nd machine, we could never get it to work even after opening a tar with Oracle. Finally we did a remote install from the 1st machine into the database on the 2nd machine. During the remote install while running wfinstall on the 1st machine, we just had to choose the remote option and the database service name for the connect string.
