Document Principle
Even in a computer-supported inventory management system, the accepted accounting principle of no posting without a document applies. According to the document principle. a document must be generated and stored in the system for every transaction/event that causes a change in stock.
When posting a goods movement in the SAP System, the following documents are created:
Material document
In the Inventory Management system, when a goods movement is posted, a material document is generated that serves as proof of the movement and as a source of information for any applications that follow.
A material document consists of a header and at least one item. The header contains general data about the movement (for example, its date). Each item describes one movement.
Accounting document
If the movement is relevant for Financial Accounting (that is, if it leads to an update of the G/L accounts), an accounting document is created parallel to the material document.
In some cases, several accounting documents are created for a single material document. This might be the case, for example, if you have two material document items with different plants that belong to different company codes.
The G/L accounts involved in a goods movement are updated through an automatic account assignment.
For goods receipts for purchase orders, goods movements for stock transport orders and consignment withdrawals, business partners may have different local currencies. Therefore, as well as the local currency, the accounting document must also contain another currency for processing and postings. For this purpose, accounting documents created as a result of these goods movements will automatically be managed in the local currency and in the document currency. You can switch between both currencies by choosing Settings ® Currency display.
Changes to a Document
Once you have posted a goods movement, you can no longer change the document. You can only enter additional information in the document, such as the reference to the original document, or a comment on the event. If you want to reverse the movement or change the quantity of material moved, you must enter a new document.
Document Numbers
A material document is identified by a document number and the material document year. An accounting document is identified by the company code, the document number, and the fiscal year.
Usually, the material document number and the accounting document number are different.
The company code to which the accounting document is posted is derived from the valuation area defined for the plant.
Transaction/Event Types and Document Types
In order to allow detailed document number assignment and systematic storage of documents in the document file, material documents are divided into transaction/event types, and accounting documents are divided into document types (see following table).

    ASKBN or ASKB : Periodic asset posting will update acquisition and depreciation in depreciation area other than area 01 which are maintained as post "APC and depreciation on periodic basis" by using ASKB or ASKBN
    Separate set of GL accounts will be used for ASKBN.  You can run ASKBN or ASKB as and when you need it and not necessarily nonth end
    AFAB : To post a book depreciation at every period and  this activity usually every month end  which posts depreciation 01 Book Depreciation and other areas maintained as realtime at OADB

  • Posting of difference between COGS and PGI

    Here's the story,
    We have the goods issue that is done at a different value than the COGS posting, COGS posting coming from a custom VPRS condition type (getting a price from a special field in the material master through a routine).
    Of course the difference between those 2 postings should go to a new FI account.
    So the question is, do you know in which SD user exit (or something else)we can make that posting, and maybe even thanks to which function?
    This is what we want to achieve
    1.     goods issue

    There's also a lot of available documents which you can find through the search engine on "VOFM" routines.

  • Difference between cleared items,open items and all postings (FI).

    Hi experts,
    Can anybody tell me the difference between cleared items,open items and all postings for an account.
    While running corresponding bapis and transaction FAGLL03 (for GL) or FBL1N (for accounts payable) i found that in some cases all postings is less than cleared items or open items for a time period. How could it happen.According to my knowledge all postings should contain cleared items and open items.
    Please correct me..

    Hi Arjun,
    For every Billing Documnet created(VBRK/VBRP-VBELN) there will be an accounting document created in BSID/BSAD tables.
    OPEN ITEMS means the Billed/Invoice Amounts that are pending from Customers, i.e which we have to receive from Customers.
    CLOSED ITEMS means the AMOUNTS received from that customer.
    OPEN ITEMS : fetch data from BSID table Only
    CLOSED ITEMS : fetch data from BSAD only.
    ALL POSTINGS : fetch data from both BSID and BSAD.

    and bkpf-bstat = space
    b) <b>preliminary</b> booked : table vbkpf and vbsegs,...
    and bkpf-bstat <> space (e.g. V, W or Z)
    -> here s.o. has to release the document and another to book.

  • GL balances differences between Year end closing and opening balances

    Hi friends,
    One GL account balances showing differences between year end closing & year opening balances.
    Example: 2006 closing balance is  250000 $
                   2007 opening balance is 150000 $
    difference is 100000 $ . why should coming like this. already completed balances carryforward (F.16) in 2006 & 2007 year. 
    any programe for this solution ?
    One more point is  just 2 days back i posted 2 entries for 2006 year equal to 100000 $ . after this entries shall we need go for F.16 (carry forwarded balances).

    There shouldn't be any more postings to a GL Account once Balance carry forward has been executed.
    If postings have been made then you should execute the Balance carry forward again, otherwise you will see difference in opening and closing GL balance (as mentioned by you).

  • ABST2 - Differences between Assets and G/L accts

    Hi Experts
    We are working on ECC 6.0 and INR is our local currency.
    At the end of FY 2007 by mistake direct postings were made to Dep Fund Account which is a Recon a/c and FY 2007 was closed
    And because of which FI-GL and FI-AA doesnt match by INR 37353.71 (amt posted in above doc) as shown in ABST2
    I've referred SAP notes 104567 & 69225 and found the note 69225 relevant to follow as the difference has not resulted in the current or open years.
    So we have passed direct entry which is exactly the reversal of entry posted above using ABF1 (INR -37353.71)
    After posting the 2nd document, in ABST2 another line has appeared of INR -37353.71. Although the sum for my recon GL is now zero.
    The output of ABST2 is as below now -

    Is still something else needs to be done?
    Or can I move ahead as the summation of the difference is now zero?

    We referred to SAP and they suggeted that the tagging of W004 in both the lines means that now there is no error even system prompts it as error.
    So we continued with the transactions and after closing the FY 2009, today when we run ABST2, we dont get any error messages as there is no difference left between Assets & GL.

  • 1KEK and 1KEI Difference between FI and PCA KE5U

    Hello All,
    We have a difference between our FI and PCA and that is shown when we run the Transaction KE5U.
    we have a calendar year with 4 special periods as our fiscal year and 12 2010 was the last normal period
    The business made some postings in period 13 during their year end close.
    These postings in periof 13 2010 are not shown in PCA.
    I have tried the following
    Ran 1KEK and 1KEI for period 13 => System response: You cannot run these transactions for special periods
    Ran 1KEK and 1KEI for Period 12 => The difference still exist.
    I dont think we can open period 12 2010 again as the fiscal year 2010 is closed.
    Is there a different way to run these transactions and reconcile the balance?

    We figured it out.
    we had to perform the following steps in sequence to resolve the issue
    1KEK and 1KEH should be run periodically, every time we run the previous month we have to run it for all the proceesing months
    1. Ran 1KEH and 1KEK for Dec 2010 => this will transfer all the postings made in the special periods of 2010
    2. PCA balance carry forward 2KES
    3. 1KEH and 1KEK for Jan 2011 and Feb 2011 in sequence.

    What the difference between “Valuate GL Account Open Items” and “Valuate G/L Account Balances”?
    We found out that when we perform valuate GL account Open items there will be reversal done at the same time whereas when we perform Valuate G/L Account Balances there is NO reversal posting even though we hv entered the reversal posting date and Period.
    Pls advise which one we should perform?

    “Valuate GL Account Open Items” are for open item managed accounts including vendor/customer accounts. The valuation is performed for each (open) line items on key date specified.
    "“Valuate GL Balance" is for account NOT managed on Open Item basis but managed in foreign currency. The period balance of key date in foreign currency is valuated. Reversal document can be created by selecting 'Reverse postings' in "Postings" tab.

    u2022 As a result of which user can input issuing storage location with supplying plant.
    u2022 Facility of using different delivery types for different issuing storage locations is available.
    u2022 Shipping Point data can also be determined based on the issuing storage location

    I am getting a difference between recon account balance (FS10N) and vendor balances (S_ALR_87012082). Same difference is appearing in report for previous year end also.
    Can anyone please look into this matter and help me in resolving this issue?

    Hi.
    You could check if a change has been made in one of the reconcilliation accounts. (You can use transaction FS04 for G/L account changes).
    Maybe, in the past, the entry of the field "Recon account for acct type" was changed to blank and direct postings made to this account and as a result there is no reconcilliation between subledger and general ledger.

    The Purchasing view payment terms are copied to purchasing tranactions like PO, PR where are the accounting view Payment terms are copied to financial postings  like FI invoice or Vendor Invoice.
    Please  maintain different value in these two view and check creating Purchase order and Vendor invoice
    Purchase order in ME21N will get the payment terms from the Purchasing view
    Vendor Invocie in FB60  will get the Payment terms from the Accounting view.

    Inventory Audit:
    This report provides an audit trail for the posted inventory transactions in the chart of accounts.
    You use this report to make comparisons between the accounting view (inventory balance accounts)
    and the logistics view (inventory value displayed by the audit report). The report explains the value changes in inventory accounts.
    Inventory Posting List:
    The inventory posting list provides an overview of all postings in the system, based on various selection criteria and sort options. You can generate a report for specified warehouses based on one of the following selection criteria:
    Item
    Business partner
    Other: Enables you to specify a selection criterion such as warehouse or sales employee.
    Inventory Transfer:
    You use this function to transfer inventory from one warehouse to another. An inventory transfer can also be carried out as a consignment for a customer. The items are then stored in the customeru2019s warehouse and are sold from here.
    You cannot change the table after it has been added. If you display an existing inventory transfer later on, none of the fields in the table are active.
    You can, therefore, only correct an inventory transfer table that has not been entered correctly by entering a compensatory goods movement later.

    The cash journal is a subledger of Bank Accounting. It is used to manage a company's cash transactions. The system automatically calculates and displays the opening and closing balances, and the receipts and payments totals. You can run several cash journals for each company code. You can also carry out postings to G/L accounts, as well as vendor and customer accounts.
    To my knowledge there is nothing called Cash Book and Cash Counters in SAP. If this helps please reward with points.

    An open item list contains all open items at a key date and the balance at that key date.
    The customer statement and the open item lists can be supplemented by totals specifications for due items, open item sorted lists and specifications for noted items.
    When using the corresponding two-part form, you can also issue a payment advice addressed to the sender for paying the account statement recipient, in addition to the part of the statement which remains with the statement recipient. A payment advice can, however, also be printed parallel to the statement. A printout of the payment advice at the end of the statement is not supported.
    As a rule, the print program is only carried out directly during system configuration for testing purposes. Otherwise, the call is carried out automatically by means of higher-level correspondence programs.

    In the standard system, the forms F140_CUS_STAT_01 (vertical format) and F140_CUS_STAT_02 (oblong format with payment advice) are used.
    The following restrictions apply to the creation of customer statements and open item lists:
    1. No statements can be created for one-time customers.
    2. Even in the case of head offices with local processing, customer statements and open item lists are addressed to the head office and not to the branch.
    3. Correspondence types for customer statements or open item lists with individual text cannot be used for the periodic account statements created by means of the program RFKORK00.
    Output
    A customer statement or an open item list is output for each customer or vendor. A separate spool request is created for each company code. For test purposes, the data can be displayed on the screen. If you do not specify for the print program on which printer the correspondence should be printed, the program may take the printer specified in the user master of the user who started the program or the printer specified when the job is scheduled.
    If minor errors occur during the program run, i.e. errors that do not lead to a program termination, these are listed after the run in an error list. If you want these error lists to be printed on a certain printer, you should specify a printer for the log in the print program or the print program variant. If you do not make this specification, the program reacts as above (as for the printer for the correspondence). If the program is run online, the error list is displayed on the screen. If, however, the program is scheduled as a job, the job request name for the error list is composed of the identifier F140ER, the printer name and maybe the correspondence type and/or the company code.
