Document Management system - Document Type configuration.

Hi Friends,
We are have having document type same as Document class (Dock Type PDF = Dock Class PDF). Now we have to identify documents that are stored based on geographical location. Is there any possibilities to differentiate the based on different region by using Doument parts or some other ways?

Hi Ajay,
This can be possible by two ways;
1 you assign lab office for document type.
2 assign geographic characteristics to doument by way of classification in DIR.
for Lab office;
Goto SPRO-Cross appln comp-Doc management-Gen Data-define Lab / office. Here u have to define diff offices as per your geographic locations. Then in Doc type in field selection you have to make lab/office as required entry. By doing this u can search documents based on Doc type & Lab/office location.
for Classifcation;
You have to create geographic characteristic in CT04, and needs to assign tht to class in CL02 with class type 017. In DIR by classification tab you have to assign Geo char with Document. By this way also you can search document based on classification.
for less complex classification option 1st is advisable.

    What does Condition type Line Items (Condition type for copying costs from line items) mean in a sales document type configuration.I am not clear even after reading the F1 help on this field.

    I know the differences between EK01 and EK02 and am also aware of the concept but I want to know the usage of giving picing Condition type at document type level.
    It can come directly from the Pricing procedure then why do we give here?

    Hello,
    Here is one sample certification question. "Your client has a requirement where it is desired that plant set in the customer material info record should be disregarded when the system computes for plant determination. Which configuration setting should you look into?"
    Correct answers are
    - Sales document type and
    - Info record
    I understand the we can disregard the plant from customer material info, but can you explain me how do we configure the sales document type that will also disregard the plant in the customer material info? How is the setting?

    There is a field Read info record in Sales Document type config.If this is checked then it reads info from customer material info.

  • Document type AER

    Greetings,
    I am told that document type AER is a good document type to utilise. In my DMS system I see that such as ACT, ADA, ADC, ADE are there but not AER.
    Is there a website where I can see how document type AER is configured since I cannot see this in my DMS system?

    The business requirement is as follows (below was how it was communicated to me):
    "Look at how the Ownership documents (Document Type AOS) in SAP are configured and see if we can replicate this configuration (in the development portal) for Engineering reports.  The design of the Engineering Reports will be very similar to the AOS types.  I propose that we use the document types AER for these Engineering Reports."
    Your statement of "Document type configuration purely depends on the business requirement" leads me to ask the question - are there some standard document type configuration types? if so, it seems that document type AER is a non-standard/custom document type?

  • Number assignment in document types

    Hi SDN!
    Can I confirm that all number assignment in all document types : Sales, Delivery, Billing ,  are all meaning the same, that is, number range.
    I asked because in billing type, there is a Reference document number at header level. I like to confirm it has nothing to do with this.

    Dear Lakshmi,
    I like to clarify my meaning of 'number assignment' .
    I mean the document type configuration has this property called 'number assignment'. In sales doc type, it is there. In Billing doc type it is also shown in the books.
    So, to conclude, the number assignment referred to in these 2 doc types are different as you explained and sales doc type and delivery doc type number assignment means number range. But that in Billing doc type means reference and allocation numbers.

    I have successfully install content managment system and whole configuration is done and its working fine.
    now from tcode me23n or any other tcode when I try to  create an attachment I dont know where it is getting saved  either in content managment system or the saperp sytem itself..?
    can any one guide me on this..??

    Hi,
    I am looking for insights for implementing SAP Document Management System.
    DMS can be used to store pictorial depiction of products, product specifications, drawings, instruction sheets for assembling etc.
    I would be specifically interested in the following:
    (a) Hardware sizing / landscape
    (b) SAP DMS installation requirements
    (c) DMS configuration template
    (d) approach plan at a broad level
    (e) integration with material master, sales order, production order etc.
    (f) upload and retrieval of documents
    If you have worked in any implementation project with SAP DMS, it would be nice if you can share your expertise on the above.

  • Document management system for loan Module

    Is DMS (Document management system ) available for loans management?
    We are entering loans in General loan. We want the documents related to
    loans like agreement, Interest advices, etc to be uploaded in the SAP
    and should be accessed in that particular loan itself. Is there any
    system available to attach the documents uploaded (through cv01n) in
    SAP to loan? Is standard object for loans is available for this purpose? Object is to
    be maintained in Document types in DMS in configuration.

    SAP DMS - Document Management System
    SAP DMS are for storing documents such as CAD drawings, Materials pictures etc.
    With the document management system, users will be able to view the documents with ease within their SAP systems.
    Installing the SAP DMS requires a little bit of planning on how you want to do it.
    You have to give a little thoughts to stuff such as :-
    1.  The total numbers of documents that will be store monthly.
    2.  The average file size of each documents.
    3.  The capacity of your present R/3 system.
    4.  Your present network bandwidth.
    5.   Document Archiving Strategy.
    6.   Backup and Recovery Plan.
    Additional purchasing of hardware are required, especially if you have large amount of documents to stored.
    With this in mind, you can then decide on how you want to do it.
    You can do this in a few ways :-
    1.  Import the documents into the R/3 system.
    2.  Use an external document server.
    3.  Have a dedicated PCs where all the documents are stored.
    Most companies that intend to used DMS will opt for Option 2 as they does not want to overstretch the R/3 database.
    Options 1 requires you to setup the conversion interface. 
    The conversion interface allows R/3 to automatically covert your files and import it into the R/3 database.
    Here is a simple example of storing documents into your PCs, just to have a feel how the SAP DMS works:-
    For those using Citrix, you have to set this at the Citrix Server where the SAPGUI is located.
    Configure SM30 - V_TDWE_C1
    Put this command in your autoexec.bat
    SET HOSTNAME=PC1234
    Restart your pc.
    You can create/manage your documents in transaction code CV01N / CV02N
    Assigning Documents to a Material Master Record
    Access a material master record in Create or Change mode, and select Basic Data. 
    To create links to documents, choose Additional data -> Document data.
    The Link to Documents dialog box appears.
    Assign one or more documents to the material. 
    If you do not know what the document number is, you can search for it using the search help or by choosing Find document.
    When assigning a document to a material, you have the following options:
    1. Viewing the document by choosing it in the Link to Documents dialog box.
    2. Viewing any originals of the document by positioning the cursor on the document and 
       choosing Display originals in the Link to Documents dialog box.
    To return to the Basic Data screen, choose Continue.
    Save your data.

  • PO document type not transferring to Customs management

    Hi,
    We have configured PO document type in GTS for Import and it got transfer to Complaince not to customs.  I have created CULOIM document type and item category on customs.  when i checked on this table /SAPSLL/V_TLEYVS i couldn't find CULOIM document type..  When i try to create a new one it say CULOIM document type already exist...
    I do not know why it is saying like that even document type not there in that table and where would i find that.
    One more question:
    When we assign document type to logical system on Customs we can see GTS document type field... when you press F4 you can see CD Cat - A... Can you tell me what is that and where do you define and assign to custom document type.

    You can maintain the table by going into the SPRO and defining the doc tyoe you looking for , Onc eyou maintain there it reflects in in this table as it Configuration table.
    If you want to delete , add any entry directly in table then u can do that by getting in debug mode.
    Select a  entry in table
    Double click on it
    Do /h  to switch on the debugging
    Press Enter
    You will See different Case for "Code"
    Type the filed name Code in in "field Name"
    it will display the value 'SHOW'  you can change this value as desire like to Delete 'DELE' , to insert new value 'AVNO' and then click on change pencil.
    and press F8.
    Now you come to the screen where u can do the changes and save it.
    Custom Doc Category is taken automatically by SAP as for Export and Import doc type  in customs it is always A.
    If you cDefine Document Types for Advance Docs for Customs Declaration it is C.
    Each category has got it one chateristics , so if we defining correct documnet type we need not to worry for category as it will by default come as set in SAP.

    Hi,
    In normal case, when you do GR w.r.t. a Normal PO then system updates Stock Quantity as well as Stock Value of Material.
    But in case of High Seas PO, you don't want GR to happen, you want to carry out LIV directly based on PO. So in this case there won't be Stock Quantity updation as well as Stock Value updation i.e. Expense Account will get psted during LIV against Vendor Account. So your High Seas PO should be account assigned PO.
    So to achieve this, create a separate document type for High Seas PO with allowed Item Category as Blank" i.e. Standard.
    Path: - SPRO > MM > Purchasing > Purchase Order > Define Document Types
    OME9 - Create an Account Assignment Category as "Z" (High Seas PO) by copying "K" and in the detailed screen of the same deactivate "Goods Receipt" indicator.
    Now create PO with this Document Type and Account Assignment Category "Z" and check under "Delivery" Tab Page, "Goods Receipt" indicator will be deactivated that means GR not required for this PO.

    There are existing third party document types being used in the region, but the client wants an entirely new third party document type that is activated for CREDIT MANAGEMENT.

    SPRO>>Sales and Distribution>>Sales>>Sales Documents>>Define Sales Document Types
    Now create new document type by copying the standard document type OR
    Now go to
    SPRO>>Sales and Distribution>>Sales>>Sales Documents>>Sales Document Item>>Define Item Categories
    which is already defined for third party sales (TAS)
    Now assign this iteme category to your new document type
    SPRO>>Sales and Distribution>>Sales>>Sales Documents>>Sales Document Item>>Assign Item Categories
    Assignment needs to be done in combination of sales document type and item category group (BANS)
    Now
    SPRO>>Sales and Distribution>>Sales>>Sales Documents>>Schedule Lines
    Assignment of schedule line is already done as you are using the standard one.
    Lastly, you may need to maintain copy control for your newly created sales document type for this go to
    SPRO>>Sales and Distribution>>Sales>>Maintain Copy Control for Sales Documents
    (Copying Control: Sales Document to Sales Document)
    Here you can define copy control requirements.
