Documents in Cfolders?

When you create documents in Cfolders (3.1 not 4.0), what technology does it use? I am aware you can publish DMS documents to Cfolders and you can use KM to create documents in 4.0 with webdav but what technology is KM using to create documents and folders within Cfolders 3.1? Can you specify an external content repository for these documents like an HTTP content server?

for the creation of documents via TA CFE01/CFE02 or WEbDAV the cFolders APIs are used in the background:

For document creation CFX_API_DOC_CREATE is used.
The content server has to be defined in advance per user in cFolders:

    I have a requirement where the documents which are uploaded in SRM to a RFx by a Bidder.
    These documents get stored in the cFolders in SRM Box.
    When the RFx are converted to PO in Backend(ECC) I need to pull those documents and attach them to the PO.

  • Archiving of documents in cFolders

    Hi,All
    My question is about the Archive functionality within Design Collaboration - Is it possible ???
    I am able to archive documents and they are removed from Design Collaboration area but the questions were asked: where do they go, are they retrievable and how and by whom?
    If it is possible, this is  configuration question?

    Hi,
    You can select the collaboration to be archived on the collaboration overview and choose Archive. The system then sets a deletion flag and removes the collaboration from the collaboration overview and the cFolders system. (Delete authorization required)
    The marked collaborations can then be archived using transaction sara, archiving object CFX_ARCH.

  • Restrict the creation of documents in the cfolders after the Bid End Date

    The System allows the bidders to create documents in cfolders even after the Bid Submission deadline has reached, whereas the Quotation would not be submitted as the Bid Submission date is in the past. Is there any way to restrict the creation of documents in the cfolders after the Bid Submission End Date?

    Hi Mary,
    In the competitive scenario in the first screen itself there are fields for "Due date" and "Due time". Once these entries are maintained, that particular collaboration will get freezed then and no documents or bids can be submitted post that time.

  • Bid submission deadline restriction for document upload in cFolders

    Hello,
    We have a scenario where Bidding Engine (SRM 4.0) is integrated with cFolders (cProject Suite 3.1). We are facing the porblem of no time restriction on cFolders document upload. Pl find below the detailed description:
    If the bid submission deadline of a bid invitation has elapsed, the bidder cannot access that particular bid invitation. If he tries to access it, a message is displayed "The submission deadline has already passed". However if he clicks on the "OK" button, he can go to the tab page "Information from Purchaser". Here he can, not only access the attached collaboration but can also modify the documents uploaded earlier. Also he can add as many documents as he wants, even after the passage of bid
    submission deadline & save it.
    Whenever the buyer accesses the particular bid he can see the latest documents (those were uploaded after the bid submission dealine).
    My question to the experts is, how is it possible to restrict the bidder from uploading documents in the cFolders Collaboration after the bid submission deadline has elapsed? The bidder should not be able to upload/modify documents in cFolders collaboration after the bid submission deadline has passed.

  • Transfering cFolders Docs to DMS via Collaboration tab in cProjects 4.5

    Hi Experts,
    I am trying to move documents between cFolders and DMS using the the "collaboration" tab in cProjects.
    The steps I am following are as follows.
    1. Created a link to a DMS document structure from "SAP DMS" tab in cProjects
    2. Assigned a collaboration from the "collaborations" tab
    3. Selected transfer documents.
    4. Transfered the needed documents to a folder in DMS from cFolders
    5. Clicked save documents button
    6. When I check the doc structure from the SAP DMS tab I see the document but there is no document number or type.
    7. When I select refresh the transfered document dissapears. I have also tried saving between steps to no avail.
    I have done the needed configuration for object links and default doc types under "Integration with Other mySAP.com Components -->Collaboration Projects -->SAP DMS Integration --> Specify Default Document Types per cProjects System". Also I am able to transfer a document which is stored in cProjects documents tab. I am only having an issue when trying to transfer from cFolders.
    I have seen several threads on this forum on similar issues but no clear solution. Appreciate any thoughts on this. Hope I have explained the issue clearly, but do let me know if any further information is needed from me.

    As per SAP reply Digital Signature is not possible in cFolders, but we can upload external digitally signed documents in cFolders.

  • Mass uploading of Documents with ABAP

    i have to write an ABAP-Program, to automatically mass-upload documents to cFolders.
    I have the FUBA CFX_API_DOC_CREATE where i can create document-hulls. Now i think i have to use CFX_API_DOC_DOCUMENT_WRITE to upload the content. The FUBA needs the filling of the TABLE_Parameter IT_CONTENT, which is the content of a file. My Question: How can i fill this Parameter?? Is there a FUBA, where i can simply fill this parameter???

  • Authorization in WebDAV for cFolders

    Hi
    I have autorization rules set for the collaboration folder structure from none to write to read etc.
    In cFolders application for that user it all applies. But when I get the WebDAV URL in that user login, these authorizations is not applied. i.e. even folders which are set 'none' (not visible in cFolders application) are visible.
    Is this the way WebDAV behaviour is or am I missing something?

    you can use WebDAV for two purposes:
    a) maintenance of cFolders settings with special URL
    b) to maintain documents in cFolders via the MS Windows Explorer using the SAP NetWeaver Portal Drive.
    You do not need the Enterprise Portal to be installed to use the WebDAV functionality together with SAP NetWeaver Portal Drive.
    The name SAP NetWeaver Portal drive is a little bit misleading.
    It is called Portal drive, since it is the WebDAV client for the Knowledge Management (KM) of the portal also.
    When using the SAP NetWeaver Portal drive with cFolders no portal is required as the SAP NetWeaver Portal drive acts also as WebDAV client for cFolders. The SAP NetWeaver Portal drive is a 3rd party WebDAV client from a company called XYTHOS (http://www.xythos.com/home/xythos/company/company.html), which can be used by SAP customers for free.
    You can download the Installer for the SAP NetWeaver Portal drive from SAP Service Marketplace under http://service.sap.com/swdc

    please check the cFolders configuration guide (for release 4.0, the guide is also attached in note 973764), chapter u2018cFolders Back-End Integrationu2019 or the Online Help in the SAP Help Portal under http://help.sap.com/ > SAP ERP > SAP cProject Suite > Project and Portfolio Management XX > Design Collaboration with cFolders > cFolders Functions > cFolders Back-End Integration.
    For example, you can use the back-end integration for cFolders to exchange DMS documents. In the DMS system (or so-called back-end system), use transaction CFE02 to export DMS documents to cFolders and CFI01 to import documents from cFolders into DMS.
    Please read the above documentations to see the system and installation requirements.
    Besides creating a RFC destination in transaction sm59, you need to maintain the backend system using transaction CFC01 in the DMS system. At least one cFolders system must be defined in the customizing before backend integration can be used.
    In order to allow the user to create new documents in cFolders, he/she needs write and create authorization in the relevant folder.

    Answer: first of all you have to create folder structure as per ur needs or the requirement of the client. and cfolder is web based application, so that it is easy to use .

    Answer: it remains in ur folder only, the folder structure you have created. on front end only.
    3.- How it is possible to work with a different server to save the documents of cFolders?
    Answer: you can import-export you documents to dms and vice-versa. T-Code for that but before that you have to make connection between DMS AND Cfolder.

    Hey Experts,
    I need help with this requirement. The scenario is:
       Let us take for example a bid invitation which has already been published. Assume that there is one document attached via CFolders. Now, the purchaser gets into the bid invitation in change mode and attaches another document (through CFolders). The issue is that even if the bid is not republished (after attaching the second document) both the documents are visible to the associated vendors via Collaboration. I need to apply a check wherein the second document is not visible to the vendors until the bid invitation is published the second time.

    Yes, i had to submit an OSS message that got kicked around a bit and ended up with development team at SAP. I spoke with the developer on the phone and if I remember correctly, he indicated one of the support packs activated the badi BBP_CHANGE_URL, can not be sure if this is the root cause as it was phone call and I have no documentation of root cause.
    the fix was to de-activate the badi BBP_CHANGE_URL.
    We did that, works fine, and did not affect any other business scnearios.

    Extract of description cFolders "<b>You can link objects</b> that you created in any of the collaborations in cFolders (or imported from the back-end system) to another object in a Standards collaboration".
    I try to link objects in collaborations to another object in a Standards collaboration, but i can`t do this. How to do this, how to link objects.

    From ERP using transaction CFE02 you can export the DMS document to cFolders.
    These documents can undergo changes in the cFolders.
    then via CFI02 you can get back the latest version of the documents from the cFolders into DMS.
    In SRM in a bidding scenario, where in you upload all you tendering documents into cFolders which will create a cFolders collaboration in a competitive scenario.
    All you docs are put in the public area, then you could create individual areas for you vendors in the same collaboration with atmost security (you can even hide the names of the vendors in the create/changed by columns in the overview tables) .
    None of the vendors can see each others information but the public area is visible to all the vendors. Vendors then place their bids in the respective private areas.
    You can alternatively use the Portal to create collaboration rooms, which is to upload some docs and download then you would loose the advantage of managing/structuring the bidding process from multiple vendors. Then also the integration aspect with SRM.
