Efficient workflow for large iPhoto books

I have searched extensively but if this is covered somewhere else please forgive me and redirect, thanks.

When making an iPhoto book (love 'em!) I usually use smart albums to make a shortlist of pics to be included - but it isn't usually a short shortlist...(my current book's shortlist is 500+ and I would imagine my books usually end up with somewhere between 300 - 400 pics
So the maximum 100 pages is usually filled with quite a lot of unplaced pics left.  I then whittle down the placed pics to make room for the best of the unplaced... it's a long way from efficient
It would help if there was a way, once having edited out a few placed photos, if the same number of unplaced photos then auto filled in the empty spaces.. I haven't found a way to do that.
If anybody knows a way for me to proceed OTHER THAN the alternative which I do know which is to be more selective in the first place so I start each book with a lower number - if thats what I have to do, so be it but if there was another way.....

FWIW I create a new, separate library for each book.  I assemble the photos to be used in to an album in the main library and then copy it to the book library with the paid version of  iPhoto Library Manager.
When I'm done with the book and it's ordered I cull out the photos I didn't use in the book and then archive the book library to another HD, a CD or DVD disk (if small enough to fit).  This way the book is isolated from the day to day use of my main library and any accidental deletions of photos in the book.  If I want to reorder a copy, edited or not,  I know the book is intact.

    I've been busy last days to make an annual report. The source file was a 100+ page Word document with lot's of tables with different content and sizes, and legal texts with multi level list styles.
    I think I got most out the importing of the Word file and converting all Word styling to the right Indesign styles, but the tables seem to be very time consuming still, as some are just text listings and others contain many numbers in various structures, sub headings and specifically highlighted cells.
    I bet there's a much more efficient workflow for this and I try to find out about it. I'm afraid I couldn't ask the financial people to start working in a XML workflow, Incopy or anything much different from the Word+Excel software they are used to. However I reckon there's a better way they could deliver the content to me, maybe by giving separate excel sheets instead of embedded tables in Word or by using stricter formatting rules?
    Ideally the workflow should also support the flexibility of linked Word/Excel files, so revised input would painlessly be updated into the formatted Indesign document.
    Does anybody has any advice, tips/tricks to make a smarter workflow for such a project?

    Duplicate your book and try to change the theme in the copy.  Chnaging the theme may change the layout  of your text fileds. That is why you need the copy to be able to compare the pages before and after.
    Ctrl-click the book in the Source list and select "Duplicate".
    Click the "Change Theme" button in the upper right corner of the Book pane, make sure, you have the same theme selected and the same size. Click Hardcover.

  • Workflow for building Photo book Page in Photoshop & Lightroom

    I am working on publishing a Photo Book using MyPublisher and will be laying out each page in Photoshop rather than using their templates.
    I need advice on the best workflow for accomplishing this task--here are some details:
    1. Images are Imported to Lightroom, are Flagged, and adjusted with Develop settings (Cropping, Basic Panel, Paintbrush etc.)
    2. I do add some capture sharepening to the image in Lightroom (not much).
    3. Use the EDIT IN Photoshop CS6 with 1 or more images from Lightroom as SMART OBJECTS.
    4. In Photoshop, I am changing the Image Size (sometimes upsizing for full page spreads) and resolution (everything goes to 300 DPI).
    5. Doing more intense Creative Sharpening for each image.
    6. I am using a variety of custom actions to layout pages with 1, 2, or 3 images plus text. I create a new document that is sized for the entire page (11.08 x 14.08 @ 300dpi for Deluxe Hardcover). I fill the background page with a custom pattern simulating textured paper and then layout the images for either a Left or Right Hand page.
    7. Saving page as a Photoshop File and re-importing into Lightroom
    8. Publishing the Photoshop Files as JPEGS with Medium Sharpening for Glossy Paper
    9. Importing the JPEG of the Page into My Publisher as a single image the sive of the entire page.

    I often use Photoshop to set photos in iPhoto books. I am not sure how Apple does the trimming of its books, but I have had no problems with edge trimming of pages whose photographs to go to the edge. There is no white to be seen. I haven't closely compared the original 11" x 8.5" photo with the one in the book, but generally the results look right.
    In terms of working out the gutter for two page spreads for a 11" x 8.5" book size. I measured an existing book and found the physical page width to be 11" exactly. I measured the gutter to be 0.25". So that means using Photoshop to create the image size of 10.75" x 8.5". It seems to work okay.
    Just interested if you have set a gutter, and if so, to what specification?

    Why can I not see an option for an extra large photo book (11x13)? I see online that these are available yet my brand new ipad air does not have this option. Anybody know what the problem is?

    With a bit of arithmetic. Check the pixel size of your photos.
    To print a good quality book you will need at least 200 pixels per inch to get the necessary dpi in the printout.
    So your photos should have a pixel size of  at least 13 x 200 by 10 x 200 = 2600 x 2000 pixels.
    Check the Info panel for the pixel sizes of your selected photos.

    ..... Be happy with your budget. I had a nice Canon that sold for under $300, as I recall. My pictures and videos came out looking wonderful, I feel. (So did others) Unfortunately, it was eventually ruined, by my very hard use under awful weather conditions. I wasn't always careful. It just went off to recycling heaven.
    Shooting nature shots, I must say that I did see other people's pictures that were better than mine. Gosh knows how much those big cameras with telephoto lenses and super-fast shooting cost.
    Those cameras are almost unfair competition, since these people could simply put the camera on auto, aim at a moving subject and start shooting multiple pics per second. Of course one of them would catch this or that bird in flight with a fish in its mouth, for example. Fantastic Picture! Yet, it was the camera that made the pic, not the photographer, IMHO.
    Eventually, I just called them nature paarazzi, and enjoyed myself despite some rude laughter at my real mistakes. Still is fun. Some photographers are just cruel, but that's different story.

    Sounds like Disk Utility may become your new best friend. Use it to make an Image, onto your internal drive. voila-authorizations are XSkey dependant, not system dependant.

  • Methods/Workflow for archiving iPhoto Libraries

    So, I've got decades (and many gigs) of iPhoto data. Unfortunately, Apple no longer support the old CD backups.
    Migrating these backups is a pain, but doable. The question is: What's the best approach for doing so?
    Here's are the different methods I've found. If anyone has other suggestions, please reply - let's see if we can come up with a good "best practice".
    Keep it all in one massive iPhoto library possibly on a dedicated HD.
    In the past this didn't work well because iPhoto didn't deal with large libraries, but now iPhoto and Aperture use the same file format so maybe it works better?
    Pros:
    Easy access to old photos.
    External hard drives are cheap.
    Cons:
    You still need a backup mechanism. If the library goes corrupt, or you accidentally delete a photo, you're out of luck.
    Hard drives also have a limited life time, generally only a few years, so backups have to be moved every few years.
    Maintain project or year based iPhoto libaries
    Pros: Natural extension of old burn-to-disc model
    Cons:
    Same limitations as any HD based mechanism. Still need secondary backup mechanism.
    No way to move photos between libraries for special projects (such as scrapbooking).
    Can't protect photos from deletion or corruption.
    Export to folders on a NAS or external HD.
    Pros: Relatively easy. Folders can be sorted.
    Cons:
    Strips out meta data (tags, descriptions, face recognition, etc..).
    Same limitations as any HD based mechanism: drives wear out, become unreadable.
    Export to HTML via built-in tools or a plug-in (Better HTML export, Export to Piwigo)
    Pros: Easy to browse. Straight HTML export can be burned to read-only media.
    Cons:
    Can't search straight html via photo meta-data. Exporting to a web hosting tool such as piwigo leaves you dependent on piwigo software.
    Also, export tools may not be full featured and may require custom coding.
    Anyone have any other suggestions?

    Every other solution had more cons and less pros - and no other solution allows you to actually find your photos unless you can remember which archive they are in

  • Advice on best workflow for large Motion project

    I am a part-time video editor/designer/motion graphics creator/etc. Normally, I work on projects with pieces no longer than 5 minutes, even if the projects themselves might be 30-40 minutes of total material--mostly video support for conferences and awards shows.
    Right now I am embarking upon a mark larger project--10 30-minute segments, each of which is 100% motion graphics. They all involve a speaker against a green screen for the entire segment with the motion graphics keyed in front of and behind him.
    We recorded this directly to hard drive in a studio that had a VT4 (Video Toaster) system, so the best Mac-compatible codec they could provide me for clean green-screening was full-resolution component video. This is giving me great keys, but I also have about 500 GB of raw footage.
    In this project, I need to first edit all the takes from each episode into a clean 30-minute piece, and then add the motion graphics. And this is where my question comes in. It seems to me FCP is much better for editing the raw video, but that Motion is where I want to do just about everything else. I need to somehow bring the video into Motion, because I want to create "real" shadows against my background from my keyed footage.
    When working with a long project, and with a full-resolution codec, what is my smartest workflow? I am trying to spend the least time possible rendering back and forth, and also avoid generating huge in-between files each step of the way.     "Real shadows are only faked in Motion. You have many options including a simple drop shadow or a copy of your matte layer filled with a gradient and a gradient blur applied with a distortion filter so it appears to be projected onto the wall.     Well, you've got two conflicting interests. One, you have to sync the Motion work with the video of the keyed speaker and, two, you have to edit. But it seems to me that your planning must include lots of design work up front, media you can re-use or modify slightly, text formatting that can be precomped, a large stock of effects you will apply over and over again. Do all of this stuff first.
    You also want to explore working at lower rez through your planning and roughing stages. for instance, there's no reason to pull a full rez copy of your foreground into Motion if all you need to do is sync to his audio and get rough positioning. You can put him over black and export all of his clips using any medium to low rez codec at reduced frame rates and just use the Screen Blend Mode to drop him roughly onto your Motion projects.
    You'll get lots of advice over the next few days. If you're posting to other Motion or motion graphics forums, please do us all a favor and return someday to all of your threads and tell us what you did and what you learned.

    good discussion for me thanks on book covers. I am waiting on books to arrive as part of a set and will be angry if they are different to the others with silver embossing on the cover. This is what sets apple product apart from other books, is the silver cove. Does the matt cover look cheap? I would like your oppinion thanks.
    Silver embossing is not available with iPhoto '09 - it is available only with iPhoto '08 and Aperture. Your iPhoto '09 book will have a laminated photo cover (I love it myself)

    I've scanned many old black and white photos into iPhoto and would like to create books with them, but I read that iPhoto will not work with black and white photos for books, only color photos. Is that true and are there any suggestions for how to create a book using them? Thanks.

    There is a bug affecting PPC Macs with iPhoto 6.0.5 and QuickTime 7.1.3 that causes it to crash with photos that have no color profile attatched. In addition, iPhoto 6 does not work well with Grayscale. So check these scans to see if they have no color profile or if the profile is grayscale. If so, you'll need to convert them to sRGB. They'll still be black & white, but they'll have a color profile that iPhoto 6 will accept.
    Old Toad created an Automator application to embed the sRGB profile into your photos. Go to his Toad's Cellar and download the "Embed wRGB Color Profile 2" App. In Finder go in your Originals folder, then drop a roll folder containing these photos onto the app.

    Before doing anything, you might want to try inserting some of those scans into a book template and see what happens. To see how a book will print when you order it from Apple, choose Print when you are viewing the book. Allow it to assemble the file. In the Print Dialog box, click the PDF button and select Save PDF from the drop-down menu. Minimize the iPhoto window to find a little box asking you to select a location for the saved PDF. [If you don't go looking for this window you'll be stuck waiting indefinitely.] View the PDF and see how those black & white scans look.

  • Specs exist somewhere for printing iPhoto books?

    Are there specs available somewhere that detail how the books are printed (paper weight etc.) and how they prefer files? i've read that files should be in RGB form but the printing is in cmyk, are they converting it? if my originals are in cmyk why not leave it that way? (this is for a portfolio, not a photo book of my digital photos).
