Electronic Signatures for my company

Hello,
I am currently researching how to convert my companies practice from printing forms to using electronic forms. I'm wondering what's the best way to create and distribute electronic signature to every user on our network. I do not want people to have to go through the procress of creating self-signed digital IDs (if they don't have to) because not everyone in the company is computer savy to a actually go through. I'm also looking for users to be able to use their signatures on different computers.
My question is this, what's the best method for a small-sized company to obtain and distribute electronic signatures? Should I look for a third-party product? If so, what are they your recommendations.

I must confess to admit, I’m not sure which one would be better for my needs. As a beginner, I guess I’ll need something that’s easy to manage (for both myself and the company) while able to prevent users from signing as someone else.

    Our client have multiple company codes & they want to use digital signature for all the company code and there be individual authorised digital signatory for each comp code.
    Now the question is , whether we have procure different digital signature for individual company codes & if so how system will identifies which authorised ditigatl signature should be assigned to respective company code...?
    => We are not able to download Adobe Form local & aslo is it mandatory to have digital signature to download Form 16 on a local system.

    Digital Signature is person specific
    You have to take the Digital signature ( A number assigned for each signatory with the tool),from an authorized services provided by NSDL
    In a single company code if you have 2/3 signatories , first you need to make groups based on the signing authorities, in combination of PA/PSA/EG/ESG/BA etc
    The form 16 is to be generated on the above criteria applicable.
    3 file of form16 will be generated and send accross to 3 signing authorities
    The signing authority can open the form using the tool ,digitial signatory software install and can authenticate the form16.
    As per NSDL form16 is now not an statuory doucment. Its just an Tax Information of an Employee.
    which is not required to be attached with your ITR's also
    So why do you require the Digital signature to be printed on the form16 . Pls check this up with your finance team

  • Electronic signatures for Quality Notifications

    We are on 4.0b system and thinking of implementing electronic signatures functionality for quality notifications. Since SAP standard does not have this functionality we are planning to use Enhancement QQMA0014, function module exit EXIT_SAPMIWO0_020.
    To this effect, we are requesting your guidance for the following
    1.Is this customer exit available in latest version of SAP ?
    2. If we store these signatures (user id , date and time) in an custom table, can we move this custom table ,once we upgrade to a higher version.
    3. Is there any other way to implement electronic signatures for quality notifications in version 4.0b.

    Thanks for your patience in understanding my question.
    My primary worry is if i use this exit to have electronic signatures in 4.0b and i know this functionality (Electronic  signatures) is standard in latest versions, what will happen to the electronic signature data that i create until i upgrade.
    The electronic signature data is the user id , date and time associated with a notification. I plan to store this in a custom table.
    I will appreciate , if you can share with me your analysis.

    Canada's Secure Electronic Signature effectively requires a so-called digital signature for each signature, and thus technologies like Adobe's Echosign would not be sufficient.
    Your options would be to procure a digital certificate for each customer (which would be long-winded and challenging for your clients) or to use a service like SIGNiX that complies with the Secure Electronic Signature requirements of Canadian legislation, but also provides a simple to use, web-based service that doesn't require any software installation or hardware.  Check out www.signix.com for more info.

  • How should we setup electronic signatures for tax preparers?

    I'm confused with all of the options.  We'd like to start having our in house tax preparers sign returns electronically.  Once signed, they need to confirm no further changes will be made to the return.  They would like to then print the document, have the tax payer sign, then submit the return electronically.  I'm not sure this is the best option, but it is what they are looking at doing.  Any other tax preparers out there?  Any suggestions?

  • Electronic signature in about 100 documents at a single blow?

    In our company we are not using Acrobat yet (except the reader), but thinking of buying it as we need to implement electronic signature for future processes. Now I need to know if it is possible to sign a large amount of documents electronically in one go e.g. maybe by using actions? Or is it necessary to open each single document to sign it.
    The thing is we create measurement reports and some orders include up to 150 parts. For each part a seperate measurement report will be created which needs to be signed. If our technician has to open each report to sign it, it'll take him at least an hour to get all the refering documents signed.
    Any idea to get this done efficiently?

    It's possible to automate the process. You can use a batch process (aka Action) that adds a digital signature field to each document in a collection and then signs it. The JavaScript methods you'd use include doc.addField and field.signatureSign:

  • ESS - Adequacy of electronic signature

    Hi All
    We are in the process of implementing ESS for a county project.
    The question is regarding W4 withholdings, does anyone have any suggestions with regard to best practices when documenting the withholding change by the employee.
    Is electronic signature enough to address both IRS and Local Gov regulations or will a hard copy of the employees elections still be required.
    I will be eager to have any body's inputs on what their company elected to do when implementing ESS .

  • How to enter 2nd Electronic Signature?

    We recently instituted electronic signature for our Engineers using Acrobat X Pro and a third party certification. The plan is for the first engineer to sign the PDF document and email it to the second engineer for his signature and approval. The system works well when we convert a Word document to PDF, which shows the PDF Producer (File => Properties) as Adobe PDF Library. However, when we use an interactive Acrobat document generated by our publications department, it shows the PDF Producer as Adobe LiveCycle Designer ES 9.0. With the latter document, the first engineers can sign the document, but in the "Sign Document" dialogue box the "Lock Document After Signing" option is not available. As the result, the document is locked by the first person who signed it and the second person cannot sign it.
    Is there an option to select to enable the second person to sign the document if it is generated by Adobe LifeCycle Designer?

    Thank you for your reply. We ended up creating actual signature fields in Adobe LiveCyle on the documents and routed them to our engineers for their signatures. It worked great.

    I suspect you're dealing with a dynamic XFA form and attempting to place an additional signature, as opposed to signing a preexisting digital signature field. It should work if the form has as many digital signature fields as will be needed. It won't otherwise. Note that if the form is a dynamic XFA but it doesn't need to be (e.g., because you're not adding or autoexpanding fields at run-time), then you might be able to create it as a static XFA form and then users will be able to place as many signatures as is needed.

  • I have adobe Acrobat - I am trying to do a electronic signature and its is asking for a passwork

    I am trying to sign a document that is protected from an university. It is asking me for a password to put in my electronic signature.  I don't have that password and it isn't the one for my account

    It sounds like the university has disallowed signing in this particular document, unless you have  Document Permissions password. You will have to ask the person who created the document what the password is, so that you can sign the document.
    I wish I had a different answer for you--but there's no way around that without the document password.

  • How to configure CoSign Electronic Digital Signatures for UCM 11g

    Hi everyone,
    current I am doing a UCM poc with CoSign Electronic Digital Signature for a customer, this case is that when user approve a check-in PDF document in workflow, the user can use "sign and approve" to invoke the electronic digital signature action.
    since ECM 11g is based on weblogic, I configured the keystore for the weblogic as the below steps:
    1) use keytool to import a keystrore file just as cosigncert.jks from the cert file which provided by the vendor CoSign.
    2) Security Realms->myRealm->Providers->Credential Mapping, create a new provider using "PKI Credential Mapping Provider" and configure the storekey cosigncert.jks for this provider.
    3) Security Realms->myRealm->Providers->Authentication, select DefaultIdentityAsserter and add x509
    4) configure storekey for AdminServer and UCM managerServer using cosigncert.jks
    5) configure SSL for AdminServer and UCM managerServer.
    after finishing this steps, access the UCM console to do the approve with siginature. but it always throw "can not find the validate certification path"
    does any one know which step missing?

    Hi,
    I did it with IFrame control that generates a script (javascript) with Smart Card.
    The user has a smart card with electronic id, when the user wants to sign the form the script generate a smrt card logon.
    The user has to identify with finger print and the electioc signiture is added to the form (Adobe).
    the main issue  in this project was where to activate  script (server side or client side).

This allowed me to create the signature block without having to place my own digital signature in the block.  However, when I send it to my client (who has Adobe Reader but not Acrobat) she is unable to input her digital signature … I’m now half-way there but I continue to pursue a solution.

    Hello,
    I was wondering if you can help me, I need to create unique signatures and disclaimers for our Company. Is this possible using the exchange Admin Centre and the mail flow tool? 
    Each signature will have a legal disclaimer that is all the same, they will have the same icons and logo but some of the texts will be different - obviously the name... Is it possible to get a step by step guide on how to do this. And perhaps put each signature
    into groups so I can apply them to certain groups of people automatically?

    Hi,
    You can create a transport rule to add disclaimer. You mentioned some of the texts might be different which is based on the sender.
    You need to use Active Directory fields, in order to add an attribute you need to use the current syntax: %%AttributeName%%, where attribute name is the attribute that you want to show up in the disclaimer.
