Exch2010: User mailbox changed to Shared Mailbox

[apologies for posting in the Exch 2013 section - the drop down did not show legacy exchange forum categories!]
I recently migrated from Exchange 2003 to 2010. Mailboxes were moved and showing in EMC as 'User Mailbox'. All good. 
Now, two weeks later, around 10 of the 60 mailboxes are now showing as 'Shared Mailbox' and I'm not sure why, or how this changed.
There is no pattern to why some users have been converted, they are a mixed bag of staff. I have compared mailbox permissions and send as permissions with 'User Mailbox' types but can't see any difference. The users affected have not reported any issues
to me. 
What would cause this to happen? I am keen to convert back to User Mailbox type but want to be sure this doesn't happen again.

Hi,
The issue is odd. I recommend you check event log to see if there is any clues. Maybe someone converted user mailbox to shared mailbox.
When you run the Set-Mailbox -Type Shared command to convert user mailbox to shared mailbox successfully, this operation will be logged.
Open Event Viewer, locate the path: Applications and Services Logs -> MSExchange Management, check if there is related event.

  • Mailbox Converted from Shared Mailbox to User Mailbox; Unable to log on using Outlook

    We set up Office 365  couple of weeks ago and set up a shared mailbox "sales". This didn't meet our needs as we wanted the users to be send email from the sales email box and have these email appear in the set items folder of the sales mailbox,
    not from the users mailbox.
    Therefore following some instructions, we used the shell to convert the mailbox to a user mailbox. Correctly, this email box now no longer appears in the list of shared mailboxes in the admin site, it appears in the user section.
    We have also successfully assigned this sales user a licence <label boxtype="Label" class="BOX-MainTertiary o365-ns-c LicenseProduct" for="sku0">Office 365 MidSize Business including of course </label>"<label
    boxtype="Label" class="BOX-MainBodyText" for="sku0_Service2">Exchange Online Plan 1".</label>
    However, when we try and add this email box into outlook, it fails, after requesting the password several times. We have checked the password by signing into webmail and this has no issue, it works correctly. We therefore have the correct password, but this

    The second issue is that the shared mailbox still appears within the users outlook as a shared mailbox, it hasn't removed itself. trying to right click and close complains it is associated with an email account, meaning it wants us to  remove the whole
    account and add it again? Surely if its no longer shared it should vanish?

    What you're trying to do will have its own problems because Outlook does not serve two masters well.  Trust me on this, trying to open two mailboxes simultaneously this way, rather than opening the mailbox as a second mailbox (which doesn't give you
    the Sent Items behavior you crave), will cause you plenty of other problems.

  • Users cannot edit a shared calendar of a shared mailbox that was deleted from the cloud and recreated on premise

    Description:
    The following example account [email protected] is an on premise AD account being used as a shared mailbox in the cloud. We have discovered that regardless of what we do, not a single user can edit the calendar entries.
    The following message is shown in Outlook Click to Run 2013 when an entry. "New appointment" button is also greyed out, including "Calendar Permissions" and some others.
    This problem started when the shared mailbox was created wrongly by creating it in the cloud first and we had to delete it and start over. The "in the cloud" user was deleted and the same user was created in AD on-premise with the same account name
    and then Dir Synced with the cloud. A license was assigned, a user mailbox on exchange online created and the type was converted to a shared mailbox and Editor rights were defined on the calendar folder for specific users.
    Actions performed:
    Action01: gave users Editor rights on calendar folder through powershell
    Result01: Rights correctly added and can be seen when get-mailboxfolderpermission is ran
    Action02: Opened calendar with Outlook and tried to edit entries
    Result02: Error message pops up saying "You don't have permission to create an entry in this folder. Right click the folder and check..."
    Action03: Opened calendar with OWA of users
    Result03: Users can edit the shared calendar on OWA

    Additional information:
    We have seen this problem with another user which was recreated, when he shares his calendar with others and people get the calendar invite email and click "Open Calendar" they receive a popup "The folder cannot be found".
    My first impression points to a corruption/bug in the GAL on exchange online, since we're using o365 for midsize bussinesses we cannot use the AdressList role to expose the adresslist cmdlts for deeper troubleshooting.
    PS:
    Issue tested on different computers and with different user accounts, not a single user can edit the calendar of [email protected] when editor rights are given.
    Noticed when editing rights for the shared mailbox in powershell after the first confirmation line
    Office 2013 is click to run was updated to latest version, version number: 15.0.4659.1001

    I haven't heard of that one.
    Questions:
    Does the calendar in question show up in the "Subscriptions" category of iCal?
    If you remove all accounts from iCal > Preferences > Accounts and quit and re-open iCal, does the calendar in question vanish? If so, does the calendar come back when you re-input the servers you need into  iCal > Preferences > Accounts?
    Can you provide a screen shot of your calendar sidebar.
    While you answer those questions, some troubleshooting to try:
    Try dragging one of your other calendars above this calendar that won't delete and then quit / re-open iCal and attempt to delete the calendar in question.
    Failing that:
    1. First make an iCal backup:  Click on each calendar on the left hand side of iCal one at a time highlighting it's name and then going to File Export > Export and saving the resulting calendar file to a logical location for safekeeping.
    2. Go to iCal > Quit iCal
    3. Remove the following to the trash and restart your computer:
    Home > Library > Caches > com.apple.ical
    Home > Library > Calendars > Calendar Cache, Cache, Cache 1, 2, 3, etc. (Do not remove Sync Cache or Theme Cache if present)
    4. Launch iCal and test.
    If the issue persists at this point:
    Remove the following to the trash and restart your computer:
    Home > Library > Caches > com.apple.ical
    Home > Library > Calendars > Calendar Cache, Cache, Cache 1, 2, 3, etc. (Do not remove Sync Cache or Theme Cache if present)
    Home > Library > Preferences > com.apple.ical (There may be more than one of these. Remove them all.)
    ---NOTE: Removing these files may remove any shared (CalDAV) calendars you may have access to. You will have to re-add those calendars to iCal > Preferences > Accounts.

  • User mailboxes have more server-side rule options then shared mailboxes?

    I was hoping to set up some server-side rules to keep a shared mailbox clean.  The goal was to have some rules to move incoming messages to specific folders based off words in the subject.  I opened the shared mailbox in OWA and found the action
    of moving the message to a folder was not available.  At first I figured that's an action that's only available in a client-side rule.  However, I then found that in my user mailbox that action is available server-side.  It would appear there
    are a number of other action that are available server side to user but not shared mailboxes.
    Anybody else notice this?  Is this a bug?
    Single Exchange 2013 SP1 server - nothing fancy.

    I have a test in my environment using Exchange 2013. We can use two methods to create rules in OWA. When I open shared mailbox via OWA to create rules, only one way is possible. I recommend you use this way to create rules in OWA and check the result. Here
    is the detailed steps for your reference.
    Click Setting icon (on the right corner) -> Options -> organize email -> New

  • How to move an email from user mailbox to shared mailbox using apps for office mail app

    How can I move an email from a users main mailbox to a shared mailbox using apps for office.  I know I can do this manually but i am creating an for owa/outlook that would be a button to move the item.  I have tried using ews but can only find

    Can I create a xml that would would do this?  Is there a way to do it using the EWS service reference.  I do not want to use import/export to do this.  

    yes I was able to make it work using Microsoft.Exchange.WebServices.Data and writing it as a web API,  however i am unable to to authenticate the user if it is hosted on another server (without them retyping their password.  I assume that
    their is a matching java script version of what i am doing on the api side.  I am just stuck trying to figure it out.  the below code works as a Web Api if i could authenticate the user.

  • New User Mailbox not showing up in GAL - Created wrong?

    I have a strange issue that is causing me angst and making me argue with my network manager.  Here's the lowdown.  Please shed some light on it if you can.
    Every place I have worked prior to my current company I would do the following steps to create a new user (new employee).  In AD I would
    copy an existing user with the same/similar permissions, distro list membership, etc...  Then go into
    EMC and create a new mailbox for an existing user
    and link it to the new AD object I had just created.  This always worked for me.  Here it doesn't.  When I do it that way, the new user mailbox does not get added to the GAL.  If you go to
    All Users they show up.  I have read several articles about using cached mode and if I turn it off the user will show up.  Unfortunately most of our employees are in the field for long periods of time so we need to run in cached mode.
    The way the network manager wants them created (and this way works) is to create a new user mailbox for a
    new user in EMC which also creates the AD object.  Then I have to go back to AD and manually add the user to permissions groups, distro lists, add profile settings, etc...  Very tedious and manual process.  
    Can someone help me understand why doing it my way, which I have done for years on other networks, is not working here?  Since we are using cached mode do I have to create the user object and mailbox the way he does it?

    I believe the way you are doing it and the way he is doing it is doing exactly the same thing as far as when it shows up in the GAL.  The problem sounds like exactly what you said in that you are using cached mode which uses an Offline Address Book
    (OAB).  If you look in EMC under Organization Configuration/Mailbox/Offline Address Book, you will see the update schedule.  What happens is when you create the account it shows up in the address book right away however it only shows up in the OAB
    when that updater runs.  Even after that is done, the outlook client needs to go out and download the OAB file, which happens 24 hours from the time it last downloaded the OAB.  I'm not sure if there is a fix for your problem as it appears to be
    by design.  Perhaps your old company may have been running in online mode?  You may want to look at

    Q1: What is cached mode?
    A1: Cached mode is the new default configuration for Outlook. It provides an experience that is similar to the offline configuration in earlier versions of Outlook. When you are running in cached mode, your Exchange mailbox is synchronized to a local
    file (an .ost file), and the offline address list from your Exchange computer is synchronized to a collection of files (.oab files) on your client computer. Outlook directly accesses the .ost file and the .oab files on your hard disk instead of communicating
    directly with your server or servers. Therefore, network communication between Outlook and Exchange is significantly reduced.
    Q2: Why does cached mode generate an offline address book?
    A2: The offline address book  contains a set of all the properties of a user (such as e-mail addresses and names) that Outlook requires. With an offline address book, Outlook does not have to connect to the global catalog to resolve names, nor
    does it have to open a person’s details record. Instead, Outlook easily obtains this information from the local offline address book.
    Q5: How frequently is the offline address book updated on the Outlook client?
    A5: If left constantly running, Outlook in cached mode automatically updates the offline address book on the client every 24 hours. The 24-hour time period is measured from the time that the offline address book was last downloaded successfully. For
    example, if you complete an offline address book download at 09:00 today, Outlook will start the offline address book download the next day at approximately 09:00. Therefore, different people will receive updates at different, random times.
    Note The default setting on the Exchange computer is to generate an offline address book differential file every morning at 04:00. For a change that is made in Active Directory to reach the client computer, the following events must occur:
    The change must be picked up by the Exchange computer that generates the offline address book files. This can take several hours. At worst, it can take 24 hours. This variable will be referred to as "x."
    The Outlook clients must download the offline address book updates every 24 hours. This update can take several hours. At  worst, it can take 24 hours. This variable will be referred to as "y."
    The update reaches the client machines x+y hours later. It would be rare for a client to ever experience a 48-hour delay or more unless there were some Active Directory or public folder replication issues.

  • Determine if an admin opened up a users mailbox

    With Exchange 2003 you would see event ID's whenever an admin (or another user with mailbox permissions) opened up another users mailbox (e.g. added their mailbox to their Outlook profile).
    I'm currently trying to use the EAC to create a mailbox audit log search. After filling in the Start date, End date, leaving the "Search these mailboxes" field blank to go through all the mailboxes on our system, and selecting "All non-owners",
    I'm not getting any results. I was under the impression the logging for this type of search was on by default.

    It looks like you are using Exchange 2013, since you mention "EAC", even though this is in the "Exchange 2010" section of the forum.
    Regardless, at the end of my blog post, there are references to auditing in O365; the interface should be the same for on-premises Exchange 2013.

  • How to see users mailbox messages

    I need to see messages in the users mailbox in order to delete or block some of them. There are some command to do this? because I don�t want to go directory by directory in the store to see the messages.
    For example in a messaging system with just sendmail I can see inside all mailboxes as root.

    Sendmail doesn't truly have a "mail store", only mailbox files. You can edit those, true.
    Messaging Server has a much more sophisticated "mail store". While you can also examine the files there, as text files, that's kind of un-handy.
    Messaging Server does, however, provide the "proxyauth" extension to IMAP and HTTP mail access. Easiest for an admin to use is the HTTP version.
    First, look at output from running
    configutil -o store.admins
    this gives you the "proxyauthuser". You assigned that and the password on installation, unless you've changed it.
    Second, make sure that proxyauth is turned on in webmail with
    configutil -o service.http.allowadminproxy
    If it comes back, "no", "0" or "off", you will need to turn it on:
    configutil -o service.http.allowadminproxy -v yes
    and restart the http process:
    stop-msg http; start-msg http
    Now, you can construct a browser url like this:

  • Cant receive emails - error 'user mailbox locked'

    My emails are not filtering through to the 'mail' application on my mac.
    I use Virgin, also have a blackberry. I can get the emails from the Virgin site, the emails are coming through on my blackberry.
    I can send emails from 'mail'
    The error is - The mail server denied access to the account "xxxx" because an administrator or other mail client was using it when Mail tried to log in. Please try again later.
    The server error encountered was: user mailbox locked
    When I look at connection doctor the error is POP account failed, please make sure user name and password are correct.
    As far as I am aware I have not changed anything.
    Has anyone got any answers please?

    Where/how does Mail display that error message?
    Are you accessing that mail account from other computers or devices, or by other means (e.g. webmail), when it happens?
    Could it be that you have more than one copy of the Mail application running? How many Mail icons do you see in the Dock?
    Have you tried restarting the computer?

    Im using XCH 07 with single mailbox database, total users around 50 users. i have one user with large mailbox size, and different between mailbox and outlook. at mailbox, it's 15gb meanwhile at outlook is only 4gb, change between cached and online mode not
    help. this cause i got warning on exchange server with online maintenance termination with default maintenance schedule (1am-5am) and database size also increasing as that user mailbox size increasing. test with custom longer maintenance scehdule also not
    help, still got termination due to overlapping (xch backup  exclude when use custom scheudle). appreciate is anyone ever got this problem may share the solution. thanks

    Hi,
    To get the size of a mailbox, we can use the Get-MailboxStatistics cmdlet to obtain information. In Exchange 2007, the ESM no longer exists. Where do you see the different mailbox size (15gb)? Do you mean EMC?
    In EMC, Recipient Configuration->Mailbox, right click on the user mailbox and choose
    Properties, under General tab, you can see the
    Size.

  • User Mailbox after sync showing in Contacts in ECP rather than Mailboxes in ECP

    Hi Team,
    We have hybrid exchange configuration. User object is created in on-premise, mailbox for user created in O365. We were having some sync issues for the changes that we were doing in AD for that user.
    We are facing issue in user mailbox after removing the on cloud object. What we did is:
    1. Used command Remove-msoluser [email protected]
    2 Used command Remove-msoluser [email protected] -removefromrecyclebin
    3. We then waited for sync, after sync the mailbox was not visible in Mailboxes rather it was visible in Contacts in ECP.
    Please assist us in this issue.

  • User Mailboxes Migration

    Hi,
    I have been reading section 2.5 of the Administration Guide. The options to migrate user mailboxes are as follow:
    1. To Migrate User Mailboxes from One Messaging Server to Another While Online
    2. To Move Mailboxes Using an IMAP client
    3. To Move Mailboxes Using the moveuser Command
    4. To Move Mailboxes Using the imsimport Command
    It appears to me that all methods require both old and new mail server running during the migration. I just wonder how could both old and new mail server having a FQDN of "mail.example.com" run at the same time without problem? Or you simply turn off DNS and use only IP addresses.
    Assuming you use a different name for the new and old mail server, how do I go about changing the name? For example, I can think of two cases.
    1) Setup new mail server as mail.example.com
    2) Change old mail server to old.example.com
    3) Turn on new mail server
    4) Perform migration
    5) Shutdown old.example.com
    -OR-
    1) Setup new mail server as new.example.com
    2) Perform migration
    3) Shutdown old mail (mail.example.com)
    4) Change new mail server to mail.example.com
    Has anybody use method 3 in the above two cases? Is it the best way to migrate user mailboxes?

    I migrated a whole production setup successfully with folowing approach:
    Assumptions
    Both servers would use same hostname/IP/DNS names
    there is no MX change
    1. Installed the new server in a private network and connected this server to old throufg a cross cable with whatever IP/subnet
    This resolves the IP conflict -- now both servers can have same IP same hostname and the old production can still be up and running
    2. Dumped the ldif of users (both PAB and Usergroup from old server to new server ( db2ldif cmd with ldapmodify used )
    Now the users of old server are there in the new server too -- but without mails --- and no mails transactions are happening to the new server
    3. imsbackup/ imsrestore the actual mails through cross cable link
    Now the new server has fully updated users as well as mails
    4. Disconnect the old server and connect the new server to production network
    I had a downtime for 20 min for migration of 5000 users.
    Same process would follow for servers with diferent names -- but if domain names change --- you have to edit the ldif dumps first before importing --- that is simple with awk/sed/perl whatever u use

    Hello,
    1) I need to provid a list of legacy mailboxes. How can I get that lsit using pwer shell command?
    2) from that list I will later need to change the legacy mailbox to User Mailbox.
    I only know how to change legacy mailbox to User Mailbox for one user but not from a list of many user (prior questions)
    Set-Mailbox -Identity "alias" -ApplyMandatoryProperties

    ~ First of all, Exchange 2003 mailboxes show as Legacy Mailboxes in EMC and there isn't any problem in it.
    ~ If mailboxes are on Exchange 2007 server and shows as Legacy then it should have either created or moved with Exchange 2003 management tools which is the cause of showing it legacy. For your reference :)
    Now back to your answer...
    1) Use below cmdlet to get the list of legacy mailboxes...
    Get-Mailbox -ResultSize Unlimited | Where{$_.RecipientTypeDetails -eq "LegacyMailbox"}
    2) Use below cmdlet to get the list of legacy mailboxes and apply mendatory properties (But use this if you have all mailboxes on Exchange 2007 server ONLY)

  • 2014 Upgraded User Mailboxes

    I performed some testing and it looks like after upgrading to 2014 the users come in as GroupWise users associated to eDirectory with GroupWise authentication.
    1. From testing it looks like I can add a secondary AD Directory without causing a disruption to the current configuration. It looks like GroupWise will sync with both directories fine and not cause any changes until I actually associate a user to AD. Is this correct?
    2. LDAP authentication appears to be a all or nothing per Post Office. Is this correct?
    3. Why would I want to push the email address back into LDAP?

    This brings another question:
    I was planning on rolling out AD LDAP authentication by department.
    After the upgrade all of my mailboxes are GroupWise/NDS users. So if I disassociate from NDS all mailboxes will still authenticate fine, because they use GroupWise authentication. I then turn on the AD LDAP authentication to the Post Office, and all mailboxes are still authenticating to GroupWise because they are not associated to AD. Then I can deploy by department by associating the user mailboxes to AD. Is this correct?

    2, kind of correct. LDAP auth will be for all users associated to a directory, either eDir or AD, but if users are not associated, you can authenticate with the GW password.

    You may have other applications that read the email address from your directory.

  • Deleting emails with a specific subject from a single user mailbox

    we are exchange 2007 on SP1. we do not have an edge server, only a hub server.
    A user mailbox was flooded with 11000 "Undeliverable:" emails in the last 2 days, the source being "DSA". I am still finding out why this has happened. As for now, I have set up a rule to silently drop all emails with this specific subject.
    now the user wanted our team to delete all of these 11000 emails from his mailbox.
    we gave the appropriate permission to the users mailbox by running the command
    Get-Mailbox -Identity “[email protected]” | Add-MailboxPermission -User [email protected] -AccessRights FullAccess -InheritanceType all
    Then I ran the below command
    Get-Mailbox -Identity “[email protected]” | Export-Mailbox -SubjectKeywords "Undeliverable:" -IncludeFolders "\Inbox" -StartDate "09/22/2014" -EndDate "09/23/2014" -DeleteContent -Confirm:$false
    The command ran for a while, showing it was deleting 19000 odd emails with the below summary

    Are they still specifically in the Inbox?
    I was thinking that the account might have "Deny" permissions to the user's mailbox but it looks like it can access the mailbox and delete items.
