Exchange 2013 mailbox user reports 2 years of sent items from his mailbox have gone missng

hello, 
bit of an odd one as at the moment as its only one user reporting this problem so far.
the user is saying that the only folder affected is sent items and that items from 2012 to present date have vanished from there sent items folder.
they are adamant they have not deleted them and there not in there deleted items folder either.
they are computer literate so i inclined to believe that the issue lies with exchange.
when they checked there sync issues folder on outlook it came back with hundreds of 
"Synchronization of some deletions failed." errors and also "746
item(S) deleted in online folder"
i do have database backups so i can recover deleted emails from those if worst comes to worst 
does anyone have any suggestions on what i can do to resolve this issue or point me in the direction of where to start troubleshooting from?

they do use outlook on there mobile so there is a chance that they inadvertently deleted them via there phone client 
they are computer literate so i am inclined to believe that the issue lies with exchange,

    Hi,
    Exchange 2010 SP2 RU4 added support for Calendar and Task Retiontion polices. For more information about that see the below blog post which also includes a workaround if you don't what these folders to be processed by MRM.

  • Sent items from a shared mailbox are not saved with the shared mailbox

    I'm experiencing an issue regarding the sent items from a shared mailbox. 
    The users would like the items Sent on Behalf of a shared mailbox to be saved within this shared mailbox.
    At this moment, the Sent Items are saved in the users own mailbox.
    We have a single Microsoft Exchange Server 2010 (Version 14.3 Build 123.4) and Users connecting the Exchange Server are using Microsoft Outlook 2007 (12.0.6680.5000) SP3 MSO.
    The user is granted full access permissions on the shared mailbox, and also has "Send on Behalf" permissions on the mailbox. The mailbox is setup as an "online" mailbox, so it doesn't use cached mode.
    I tried the following solutions mentioned in the various KB's and technet articles:
    Configuring the "DelegateSentItemsStyle" registry setting for this user (using a GPO)
    Configured the "Get-MailboxSentItemsConfiguration" cmdlet for this user
    Logged on to OWA and changed the "Sent Items" settings to save the sent items in both mailboxes
    None of these settings worked, not combined and neither seperately.
    Is there anyone who can help me resolving this issues?

    I am using a shared mailbox (with a disabled account) where I get sent items and also deleted items placed in the right folders.
    I think it’s just a matter of how you configure Outlook. It works well for me in both Outlook 2010 and Outlook 2013, cached mode and also online mode. You can add a shared mailbox to your Outlook profile in at least two ways where one of them doesn’t work
    but the other does.
    If you add the shared mailbox via the File tab/Account settings/New/ and just enter the e-mail address of the shared mailbox in the Auto Account Setup page. No name, no password, just the e-mail address and click Next and voila “Your e-mail account is successfully
    configured”. After restarting Outlook you will find the shared mailbox below your own in the left pane.
    If you click the inbox ones in the shared mailbox and then open a new mail you will see the shared mailbox display name in the From field. After sending the mail you will see the mail in the Sent Items folder of the shared mailbox. If you delete a mail in
    the shared mailbox you will see it in Deleted items folder of the shared mailbox.
    The prerequisits for this is that you have “full access” and “send as” rights of the shared mailbox.
    This was accomplished without using the Set-MailboxSentItemsConfiguration command.
    We are running Exchange 2010 SP3 RU4.

  • Shared mailbox conversation view; on behalf sent items

    Update rollup 4 for SP2 introduced the possibility to have a sent item stored in the shared mailbox on behalf of who you sent it.
    Now this works ok, sent items in fact are saved in the sent items folder of the shared mailbox.
    But if you put that shared mailbox inbox in conversation view, the sent items are not shown in the conversations. This makes it hard to follow a conversation (as it was before).
    Is this a known issue ? By design ? Existing workaround ?

    Based on my test, after setting by the following KB, I can see all messages which is send by others in Sent Items of Shared mailbox. It also works in Conversation View.

    As for your issue, please check the DelegateSentItemsStyle value in regedit and make sure your Microsoft Exchange account is set to
    Use Cached Exchange Mode to see whether the issue persists.

    By using Exchange management console, you can move only selected items. Under Recipient Configuration, select the Mailbox object which will display a list of all mailboxes in the result pane. At this point you need to select the mailboxes that you want to move.

    This process does not appear to work for me.  I'm running 10.8.3.  I created a new user for a guest staying with me.  They have gone now and I am attempting to either change the password or delete the user.  It won't allow me to choose the user I created.  I am logged in as myself and it states that I am an "Admin".  The user I'm attempting to change is listed as a "standard" user and there is a white checkmark inside an orange circular background on the user pic in the list of users. 
    Can someone help me?  I am having a hard time believing that OSx will allow me to create users and allow them use of my computer and it's drives, yet it will not allow me to change the password so I can monitor what they might have been doing while logged on?  What if this were my child?  This guest left under sketchy circumstances, and I'd really like to be able to ensure they were not using my computer to do illegal things or to have illegal communications.
    Any help would be appreciated.  (It's odd that it was so simple to "create" a user and set a password for them.......but it's complicated or a little known process to reverse.

    Here are two screen shots to show you what I am seeing.  The first screen shot shows it allowing me to select (highlighted in blue) my admin user (which is what I am locced in as).  The second screen shot shows it allowing me to select the "Guest" user (highlighted in blue).  However when I click on the user "Orion" nothing happens.  It will not change to highlight that user.

  • Exchange 2013 SP1 users not receiving quota warning email message

    Hi,
    We are on Exchange 2013 SP1 and Exchange 2010 SP3 co-existence mode and currently migrating users from Exchange 2010 to 2013.  We have noticed that users are not receiving email message when their mailbox quota warning when its near to maximum limit.
    If I log in via OWA it shows the notification (Pop up) that your mailbox is almost full but no message received in email.  Most of the users do not log into OWA but only uses Outlook.
    It looks like other people are also seeing this similar issue but I am unable to find any solution for it.
    How users will know if their mailbox is almost full if they are traveling and only using Mobile phone for emails to send and receive.

  • Double prompts for Exchange 2013 migrated users: "The microsoft exchange administrator has made a change that requires you to restart outlook"

    I have Exchange 2010 SP3 in my environment and am migrating to Exchange 2013. Whenever a mailbox is migrated, the Outlook 2013 client will prompt the user with a "the exchange administrator has made a change that requires you to restart
    Outlook". When the user does so, he or she is prompted again. After he or she closes and reopens Outlook for the second time, the issue is gone permanently.
    I've seen a number of other posts about repeated prompts like this but I haven't yet found one or someone gets exactly 2 prompts for each client and no more.
    A couple of pieces of information that may be relevant:
    1. On exchange 2013, the authentication method for the internal host name is NTLM
    2. I have not yet migrated public folders from Exchange 2010. I plan to do that after the mailbox migration is complete.

    From your description, after mailboxes are moved from Exchange 2010 to Exchange 2013, users receive the following prompt when opening Outlook.
    The Microsoft Exchange Administrator has made a change that requires you quit and restart Outlook.
    In order to solve this issue, you need to apply the Outlook update that is described in KB 2863911.

    I got a call to check an issue with a Exchange Server 2013 SP1 environment recently. All server was upgraded from Exchange server 2013 CU2 to Exchange Server 2013 SP1. It was done successfully but many users were being randomly prompted with a popup in their outlook
    client with the following message:-
    “The Microsoft Exchange Administrator has made a change that requires you quit and restart Outlook”
    Although there wasn’t any changes of late in the environment there were random popups like these for multiple users. As the behaviour was not consistent and effecting the entire upgration population
    Please suggest us how to resolve the issue.

    Does the issue happen to all Outlook 2013 users? Please create a new Outlook profile to have a try.
    If it fails, please check the msExchHomePublicMDB value in ADSI Edit:
    1. In Adsiedit, expand Configuration-->CN=Services -> CN=Microsoft Exchange -> CN=domain -> CN=Administrative Groups -> CN=Exchange Administrative Group -> CN=Databases.
    2. Right-click the listed database > Properties.
    3. Check whether the msExchHomePublicMDB value is set to an available value. Please change the value to <not set>.
    4. Click OK.
    Then check whether the issue persists.

  • Exchange 2013, deleted user, then re add user and getting NDR 550 5.1.1.

    Hello, We unfortunately deleted several users through Exchange 2013 ECP. We readded the user ID's but are now getting
    IMCEAEX-_o=xxxxxxxxx+20xxxxxxx_ou=Exchange+20Administrative+20Group+20+28FYDIBOHF23SPDLT+29_cn=Recipients_cn=[email protected]
    Remote Server returned '550 5.1.1 RESOLVER.ADR.ExRecipNotFound; not found'
    I believe this has to do with LegacyExchangeDN X.500 address.  But I cannot seem to get this to work correctly.   Only internal email addresses cannot email this user, external mail to this account works fine. 
    Any help would be appreciated.

    That translates to:
    /o=xxxxxx xxxxxxx/ou=Exchange Administrative Group (FYDIBOHF23SPDLT)/cn=Recipients/cn=1f6713d4dc804e138e7e6210432390e5-Derek Yee
    ...and when you add it in ECP, the type should be X500 as Andy wrote and not X.500. Don't know why ECP says that the address can be X.500, cause that is wrong.

    I have installed Exchange 2013 on Windows 2012 Server. I create users in ECP and select "user must change password at next logon" option. When newly created user logs in, the OWA page doesn't prompt for password change and just throws error "The
    user name or password you entered isn't correct. Try entering it again"
    I have enabled Change Password feature in CAS server, but still not working.
    Any answers, suggestions would be great help

    Have you tried as Martina said and does it work?
    If not, please try to set the Minimum Password Age to 1 according to link below. I found some threads which are similar to yours and were solved by this way in Exchange 2013 environment.

    And for further troubleshooting, please create a new user with "user must change password at next logon" option checked and see if he can log on domain-joined PC.
    In addition, please check the event log to see if there is any related error message.

    I need to implement secure Exchange authentication through OWA and Outlook (optional). I have PKI in my environment, so I want my users to authenticate in OWA using smart card certificate (or other user certificate) if they outside my organization. Is it
    possible? If so, I can setup auto enrollment policy in my domain and make my users authenticate automatically using their personal certificates. Microsoft Lync uses similar authentication mechanism. May be I can setup it in Exchange 2013? General aim of all
    this it is to avoid brute force or other potential authentication attacks to my Exchange outside the organization. Of course I can use VPN and not public my Exchange outside at all, but it is not as sophisticated 8-) Please, help, if you have any ideas.

  • Sent items not saved in personal sent items when shared mailbox is open in outlook

    user is using exchange 2010 and the shared mailboxes are in exchange 2003. when user send an email as send as to the shared mailbox the sent items is not saved in her personal sent items. she can look up the sent items on her shared mailboxes sent items.
    I tried recreating her profile when the shared mailboxes are not added in the outlook, personal sent items is okay  but when the shared mailboxes is added , sent items doesn't go to her personal sent items. Please help. Is it by design?

    Since Exchange 2003 server is out of support, I still suggest migrating to Exchange 2010 server.
    How about this behavior on OWA, if everything going well as expected, it should be an issue on the Outlook client side.
    Please try to run Outlook under safe mode to avoid some AVs and add-ins.

  • Exchange 2013 co-existence with 2007 can not send from 2013 - receives OK

    2013 SP1  -separate servers for MBX and CAS - 4 of each. Exchange 2007 configured as a CCR
    I am in co-existence mode but have not yet switched on the legacy.domainname.com. I have a new certificate installed on all servers - 2007 and 2013 with the legacy namespace included
    I can receive on the exchange 2013 servers and can send to exchange 2013 users but cannot send to 2007 users or externally. I have enabled protocol logging and I'm seeing:

    The client has a pair of Axway mailgateway appliances (Tumbleweed). We can Telnet between the exchange 2013 servers and the Axways. There is a firewall between these mail gateways and the exchange servers and the following ports were opened - 25,443,465,995,110
    I used the existing send connectors from 2007 and just added the mailbox servers to them. I created 2 new receive connectors to match 2 specialist 2007 connectors.
    But I still can't send mail. Any suggestions where next to check?

    Based on the protocol logs error looks like there is connectivity problem between Ex2007 and Ex2013
    First you can try dropping an email through Telnet from Exchange 2013 to Exchange 2007 to see the message failure happens at which transit.
    You can add the IP address of Exchange 2013 in Exchange 2007 default receive connector and vice versa.
    Restart the transport service and try sending an email from exchange 2013 to Exchange 2007 and see the results
    Also you can try creating a dedicated receive connector for Exchange 2007 in Exchange 2013 and vice versa if the above step does not work 
    Also try disabling the firewall and see if it helps.
