Exchange Connector adds Workflow user as related Item to Review Activity

We use Servcie Manager 2012 R2 with Exchange Connector 2.0
For some reason, the Exchange Connector adds the workflow user to the review activity as a related config item. The sender of the email would make sence, but the workflow user does not.
Does the Exchange Connector 3.0 Rerelease also add the workflow user?
Is there a possibility to avoid this behavior?

Never saw that before, what i can say is that the upgrade/change to Exchange COnnector 3.0 is easy low-risk and you add MS-Support possibilities for it.
Go for 3.0 !

    Thank you for your reply. Presently we are  using another ticketing system in Prod, i have been in-charge of testing SCSM product and replacing it with present Ticketing system. Prod and test has different email mailbox configured. In prod we use [email protected]
    and in Test lab we are using [email protected]
    when user sends email to [email protected], regular ticket will be generated in Prod and need duplicate ticket to be created in test lab.
    [email protected] has impersonation rights. I am trying to add [email protected] also to impersonation group.

  • What's the fastest way to look up a User's Work Items?

    Hi, my SCSM environment has a few different service desks and plenty of customer drive-by's.  Sometimes when a customer comes up and asks for a status, the SD personnel can't find their ticket quickly. The fastest way right now is to 1.) click on CONFIGUATION
    ITEMS; 2.) Search for the Affected User; 3.) Click on the Affected User; 4.) Click on the Affected User's Related Items; 5.) Search the related items for the proper Work Item; 6.) Load the Work Item.
    It's not bad, but it's a lot of steps and I'm wondering if anybody has a faster method in place.

    Just to poke holes in the salesmanship, Consider that you might have an easier time in doing any of the following:
    Create a view that lists all open incidents, and make the first column Affected User. Analysts can filter or sort by this column to get quick info
    The search box in the top right corner can be set to users, right click the down arrow to see all options. 
    the search box in the top right can be used to search work item IDs or titles.

  • Exchange Connector 3.0 RTM - Wrong action log type (user comments are sometimes analyst comments)

    We started using Service Manager a few days ago and I'm noticing some strange behavior from the Exchange connector. Sometimes when a user replies to an e-mail, it get's added as an "Analyst comment", also the private checkbox has a dot in it (not
    blank or checked, but a dot..)
    In this screenshot user "Marwan" is a regular user, replying to us via email...
    Any ideas?

    Today there already is intelligence that checks if the recipient == affected user. I am merely suggesting to rewise and/or extend this logic
    As I wrote, I see two possible ways here. The easy and the hard (optimal) way. The easy way would be to turn it around, meaning all comments = End-User comments unless it's coming from the Assigned User. So the check would be on the Assigned User instead
    of the Affected User as it is today. I understand that some people might complain about this, and might have adapted to the current solution, so it should be optional. In my experience I just see this as more suitable for the customers needs. Well if the source
    code could be released it would make it easier to make custom adjustments, e.g. change the Private boolean value to false etc. ;)
    The hard optimal way would be to add more options for deciding when it's an Analyst and when it's an End-User. Of course the Exchange connector can't figure that out, but if it did comparison to preselected groups or perhaps User Roles (e.g. if recipient
    is Incident Resolver and not affected user => analyst comment). 
    In any case it's an interesting discussion with many aspects, but one thing is for certain: the exchange connector is unfinished. Not broken, just lacking options. Today people are making alot of custom workflows and even their own connectors to accommodate
    for these issues.

    We have created a custom workflow in Microsoft Visual Studio 2013 and SharePoint 2013. This Workflow is associated with a Document library.
    This Workflow starts as soon as any new item is created OR updated in Document library and creates a Task in Workflow Tasks list.
     Related Item link is not working in following scenario -
    Upload a file that contains “ ' “
    in its name, in a document library
    Navigate to Workflow Tasks list
    Open View Item form (DispForm.aspx ) of  Task Created by workflow then click on link in Related Item fields
    OUPUT:
    Related Item link  truncates after “ ' “
    Eg.
    Original Link: http://<Site URL>/Documents/te'st.txt
    Related Item Field: http://<Site URL>/Documents/te

    As I tested per your description, I can reproduce the issue as well.
    From what I have found out, it seems SharePoint resolve single quote into different code in different place. During the test, if I set Task Name to Document Name, single quote will be resolved to &#39; , if I set some field to Document encoded URL, single
    quote will be resolved to %27 . For now, I haven't found out any article talking about this issue.
    As workaround, we may find out a way to change the Related Item field. However, it is OOB field in workflow task (SharePoint 2013) content type, and this content type cannot be modified in form.
    I'd suggest you add new column to get document url and place in the form in Task content type settings.

    Based on my knowledge i have given some suggestions please have a look in to it.
    1.We cannot use the search-mailbox command specifically for any folder in the mailbox.But we can use it for a whole mailbox.Below is the command which will copy the entire contents of the mailbox to the target folder called as "backup" .
    Search-Mailbox -Identity "problematic mailbox name" -TargetMailbox "test mailbox" -TargetFolder "backup" -LogLevel Full -deletecontent
    Note : Before executing the above command , please execute the below.
    New-ManagementRoleAssignment -Name "Import Export_Enterprise Support" -SecurityGroup "Enterprise Support" -Role "Mailbox Import Export"
    Once the above command is executed then you need to add your admin account to the security group "Enterprise Support" and then use the Search-Mailbox command to copy the entire items to the target mailbox and also it will delete all the copied
    items from the original mailbox.
    2.Another one option is to use the MFCMAPI tool to force delete the items on the deleted items folder.
    Most importantly before doing all the above , please share me the error message what your users are facing while deleting the items from deleted items folder.

  • How can I add a link to an item within a workflow email - which will always find the item - even if it's status has changed?

    I've used the method within the SharePoint designer to add a link to the workflow context current item URL, but when the current item status changes then obviously this link will no longer work.
    How can I change this link so that it will always open the item, even if someone has changed it within the list, before I clink on the link?
    This is an important one as over 300 people will use the list and many of these will be emails about items on the list will be in different time zones.  I don't want to have lots of mails from people saying "this list doesn't work" as it's
    critical they keep using it.
    Please help.
    P.S.  I don't know if the <href> method will work, so if someone can confirm to me then that would be great.

    According to your post, my understanding is that add a link to an item within a workflow email.
    I’ m not very clear about the status you said. Please descript more detail which URL do you want to display.
    Per my knowedge, you can display the following url in your email body:
    [%Workflow Context: Current Item URL%]
    [%Workflow Context: Current Site URL%]
    [%Workflow Context: Workflow Status URL%]
    [%Current Item: Encoded Absolute URL%]
    Please start the workflow automatically when an item is changed and changed.
    No matter how you  edit the item or update the approve status, the URLs remains the same.

    According to your description,my understanding is you want to add a new workflow to the completed list item.
    a) If yes, then you need to follow the same process attaching the workflow to the list/library and while deploying the workflow you should  select  the option "Allow this workflow to be manually started.......".
    Go to the workflow completed list item  and start the workflow which was created newly in the above step.
    b) If your query is want to restart the same workflow for completed list item then,
    You need to go to the workflow completed list item-->workflows-->start/click on  the workflow again.
    To do this, you might have selected the option "Allow this workflow to be manually started......." while attaching the workflow to the list.

  • Exchange Connector / Office 365 Not matching affected user to AD user

    We use Office 365 to host our email services.   AD is not synchronized to office 365.  We're bringing Exchange on premises soon so there isn't a lot we want to invest in that existing infrastructure.  I'm using Service Manager 2012 R2.
    I have the ADConnector configured, bringing in Active Directory users/groups/computers.
    I've gotten the Exchange Connector running in order to retrieve emails from an "IT Services" Office 365 mailbox and automatically create tickets.  Notifications back to the users are working fine.
    The problem I'm having is the affected user is not being set properly when a user emails the mailbox and an incident is created.  It is setting the Affected User to that user's name, but when I double click the Affected user, it brings up the "User
    - <UserName>" screen.    All of the information that would be coming in from AD is blank.  So that association between my office 365 email address and the AD user account is not being made.   Even though it says my name with
    correct (username) on the incident as the affected user.  And even though my email address is stored inside of AD in the e-mail field.
    What am I missing in this process?

    I ended up messing around and added a UPN to AD Domains and Trusts matching the domain of our email accounts through Office 365.  I found this because similar preparation is required for AD sync to Office 365, so a proper match can be made.
    So for example, if our internal domain is Contoso.Local, and our email addresses are [email protected]
    I added a UPN for contosolimited.com in Active Directory Domains & Trusts.  Then I changed my UPN in Active Directory Users and Computers (Account tab), to @contosolimited.com.
    Now when the AD Connector ran, it set my user CI UPN (in the Extensions tab) to [email protected]  I then sent an email to [email protected] and it matched my email correctly to my user CI created by the AD Connector.   
    Now I just have to run a script against AD to update all user UPNs to @contosolimited.com from @Contoso.local.

    Hi, we don't use system centre in our network but were looking at ways to integrate a clients service desk with our own, is it possible using the exchange connector to be able to change the assigned user of a incident and/or priority with just an email?

  • SCCM 2012 and Exchange Connector some how getting wrong domain when associating devices to users

    I happen to go to the SCCM software catalog site and click devices and noticed that my mobile device was not included.
    After finding my device in All Mobile Devices I found the following:
    For my device the connect assigned Foo\UserName where it should have actually been Bar\UserName.
    Our domain is foo.domain but when we log in to computers we use bar\Username. If I login as
    [email protected] authentication works.
    So how do I get the SCCM Exchange connector to select Bar\UserName and not foo\username? I'm guessing that this is actually an Exchange issue but I figure I would ask here first.

  • Exchange Connector 3.0 (Hotfix Release) Error - Error Message=The key value of an object cannot be changed.

    I am running Service Manager 2012 with the Exchange Connector 3.0 RTM (Re-release Version).  The issue I have is that when an e-mail is processed that is trying to update the status or event log of an incident, the Exchange Connector encounters an error
    and will not update the object.  The Operations Manager log denotes: 
    Exchange Connector: Unable to process mail item. Subject="Close Ticket: [IRXXXXX]", Error Message=The key value of an object cannot be changed.
    This will happen on a seemingly random selection of Incident work items.  I cannot correlate them with a specific template, exchange connector, or incident tier queue that could be causing the issue.  I can recreate the way a specific ticket
    was created and update it through e-mail without issue, and the next ticket can cause the error to trigger. 
    I have already opened a Microsoft Support Case using our Software Assurance agreement.  After a few months of troubleshooting the issue and trying different fixes, Microsoft support said they were unable to fix the problem and that we would need to
    purchase Premier support to go further. At this point I thought I would reach out to the community for ideas.
    The setup I have for the Exchange connectors is as follows.
    I have three separate Exchange connectors set up to three different mailboxes.  One Exchange connector processes external support tickets and applies a specific template.  Another processes client support tickets and applies a different template. 
    And the last Exchange connector processes internal tickets and also processes the updates of tickets created by the other two exchange connectors. 
    Here are the fixes I've attempted so far:
    1.  Changed the templates that each Exchange connector applies.
    2.  Changed the management pack that each template is stored in.
    3.  Checked my management pack(s) for extended classes by searching for Extension="true" (This was also checked by Microsoft support)
    4.  Deleted each Exchange connector and recreated each connector
    5.  Deleted each Exchange connector, deleted the management pack, and reinstalled the management pack and connectors
    6.  Repeated Step 5, deleted Microsoft.SystemCenter.ExchangeConnector.dll and Microsoft.SystemCenter.ExchangeConnector.resources.dll and then installed the Exchange connector Re-release version 3.0 Published 10/7/2013 (which is supposed to address this
    issue)
    7.  Deleted the HealthServiceState folder and restarted the Management Service
    I'm not really sure what to do at this point.  I've put many hours into customizing my installation to get it working for my organization so reformatting and starting from scratch would be a nightmare scenario.  This environment is in production.
    I do have a band-aid in place using Orchestrator.  Basically I have a monitor task searching for the error message and when it finds one it searches the mailbox for the offending e-mail and applies either the Resolve or Close status change that is requested
    from the user.  However, I do not have it working to update the ticket if a comment is applied to the incident.  If anyone is in this position and needs to know how to apply this Orchestrator task I am willing to provide my workflow.
    I am new to the community and am already impressed with the amount of help and effort there is in this forum.  I appreciate in advance any help that is provided and am open to any ideas at this point.  I can post more information as needed.

    Yes that is the whole template.  However, I did confirm that this is only happening to incidents where either of two situations triggers a runbook to fire and modify the incident.  When I remove the activity from the incident it does clear the
    issue.  For some background the first Runbook Activity set's the first response date when an incident is resolved if the first response value is null.  The second assigns the incident to a user upon creation if the title contains assignto:username;

  • Exchange generates failure report emails for Inbox items which haven't attempted to be synced

    Hello,Our ActiveSync client is reporting errors to the user when the user is sent certain types of recurrence invites. If an invite to a meeting is sent from the Outlook Web App to the user, and the user then syncs their Inbox (using our ActiveSync client and the Sync command), instead of receiving the correct email, they will get an email indicating an error:
    From: Microsoft Exchange on Behalf of *user’s name*
    Subject: Synchronization with your WinRT failed for 1 items.
    Body:
    Synchronization with your Winrt failed for 1 items.
    The following items couldn’t be sent to your mobile phone. They haven’t been deleted …
    Item Folder: Inbox
    Item Type: IPM.Schedule.Meeting.Request
    Item Created: *date*
    Item Subject: *subject of missing email*
    (WinRT is the name of our client currently.)
    This occurs consistently when the invite is for a recurring meeting, which occurs on the last day of a month, yearly. (Yearly on the nth day of the month)
    It also seems that after one of these error emails appears, other items start to be added in with it, although this could just be the result on my side from a lot of testing side effects.
    There’s two strange things to note about this error.
    The Exchange server never attempts to even send the items via ActiveSync to our client, so the error does not seem to be caused by our Sync request. I’ve used Fiddler to examine the calls, and we never receive the original message in any form.
    The Windows Mail client (in Windows 8.1), which uses ActiveSync, has no problem Syncing the very same items that are causing the errors to appear. This gives the impression that something can be done to remedy the problem, but I have no idea what.Thanks

    This is certainly not what I would expect to see. However, I can't say with certainty that it's related to the syncing issue.
    I went back and looked at the Fiddler trace you took from the Windows Mail client. It gets the same FolderSync response. The first three folders in the response look like I expect--Calendar has ServerId 1, Contacts has ServerId 2, and Deleted Items has ServerId
    3. After that, the ServerId value jumps to 11 for the Drafts folder, so it and all of the subsequent folders have a ServerId value that is 7 higher than what I would expect to see.
    What seems especially weird to me is that the Windows Mail client proceeds to issue a Sync request for the list of CollectionIds I reported earlier, despite several of them being absent from the FolderSync response. Furthermore, it looks like the Windows
    Mail client is getting Inbox items that are identified as being in CollectionId 5:

    I'm really at a loss for what is going on with this. How difficult would it be for you to test this with your client assuming that Inbox is CollectionId 5 instead of the 12 that is returned from the FolderSync? I am afraid we might be focusing too closely
    on this particular aspect of the issue without being sure it could be causing the real problem, so I think it would be good if you can either reproduce the failure syncing CollectionId 5 instead of 12, or show that your client fails in some other way if it
    tries to sync CollectionId 5. A Fiddler trace of the outcome of that test including both the FolderSync response and Sync request/response would be the next logical step here, I think, assuming that that is doable. Please let me know what you think.

  • Scsm 2012 r2 (ur 3) with exchange connector 3 - state never run but reveices mail in opm log?!

    we have installed scsm 2012 r2 (UR 3) with exchange connector 3. We have connected the connector by the workflow Account (domain user "servicedesk" is in local admin group of the sm server and in the sm Administrators group) and have access
    to the mailbox on exchange (2010; autodiscovery is working correct). We receive all mails in the servicedesk mailbox on restarting the sm services and see the mails in the opm logs. But no incidents are created and the connector stays in "never
    tun" state and does not receive mails any More after the first start. What do we have missed to check? Beste regards Thomas
