Fields which are possible 4 change in a service entry sheet after approval

Dear Guru's,
I find that after a service entry sheet is approved (automatic GR is done at this stage as well), there is not even 1 field which can be changed. Is there a way to make some fields changeable without going through the reversal process or cancelling the GR and cancelling the approval in the service entry sheet? Im looking to change the Header Short Text (Field Name = TXZ01). Is this possible ?

Hi,
After approval of a SES, no changes can be done further.  if you want to make any changes first reverse the acceptance.

    Dear Experts,
    I have a problem where I hope you may help me.
    In my current company we have a process that invoices for Services are scanned and posted automatically. And as SAP Standard pushes to have the GR Based IV and the GR flag set (see SAP Note 175510 and 441371) the Invoice is posted against the Service entry sheet.
    In the case of Quantity or Price differences we would need to change the SES as the Invoice is related directly to it. Hence this is not possible. To be able to automatically unblock the PO using the standard MRBR we would need to do that. In all other cases, like adding a second entry sheet and so on the Invoice is not released automatically and this would need to be done manually.
    I tried to open the fieldselection on the SES but it did not work out, went in the ML90 and changed it. Any ideas or hints wellcome!!

    thanks a lot for the answer. This option is clear, but my question is, if there is any other way to do the change in the SES without cancelling the Invoice. I opened the field selection and allowed with the ombz tx to post the 101 also when an invoice exists with GR-Based IV. As of this I can rewoke the acceptance of the SES but cannot change the qty in it without cancelling the invoice.

    I wanna to change the vendor in service entry sheet.Is there any standard setting for this?
    Can we assign vendors in PO w.r.t. Services in line items?

                  PO or Service PO is a legal Document. So SAP is strict to this rule. So u Can not change the Vender either SES or PO itself After saving the Document.
    but u can try in Partner Function change in ur Service PO

    Hi,
    You can change the Price during Service Entry Sheet in In Service PO, "Price Change allowed" indicator is active in "Services" Tab. This will provide the facility to change the price during SES processing in ML81N if there is any variance in PO and Entry sheet price.

  • Changing Service Entry Sheet - Call Transaction / BAPI / etc

    Dear all,
    I need to create a program in order to change data  in service entry sheets services or/and delete services. I wanted to use a BAPI but I can not find one for changing data (only for creating). Trying to use call transaction for transaction ML81N has been nearly impossible due to positioning issues. (It is an Enjoy transaction and acts differently when in batch input mode). The old transaction ML81 also has this positioning problem.
    Has anybody ever done this and has any tips?

    Set the Release Indicator for Purchase Order Release Strategy such that it will not allow to change once Released.
    Else Configure Version Management for Purchase Order.

  • Unable to reverse Service entry sheet posted in earlier prds

    Hi All,
    We are unable to reverse the service Entry sheet created via Shipment cost document. As the Shipment cost document was created in the month ofJanuary 2011. And now that period is closed. But I am looking the way wherein by changing the posting date to current month date. So that system should allow me to reverse the cancellation of service Entry sheet
    by ticking the cancellation tick mark under the Settlement Tab.
    I need inputs for reversing it in current month. in the similar lines. as we reverse the service entry sheet in ML81N and have an option to change the Posting date. But in VI02, Date Cancellation field is greyed out and we are unable to tried it out.
    So basicaly how to change the posting date in shipment cost document, sothat cancellation should happen in date which is being entered by user.

    Hello there,
    I had the same problem yesterday and we were able to do the reverse of the ship cost provision and the repost using posting dates from this month. Here is what we did:
    For reversing using a different date.
    Go to VI02, double click on the position, go to "settlement" tab and select "Cancellation" box, then use the menu bar in the "Item" -"Redet. settlement date option" , you will have an information pop up message "Redet. settlement date not possible - account
    already assigned to item" ,  just hit enter and the "date cancellation" field will be now available to modify. Put the date you desire and save.  If you go to the document flow, you will notice the cancellation is done and the posting document is in the FI period you desire.
    To repost the same shipment cost with the new date (current period).
    Go to VI02, double click on the position, go to "settlement" tab , Hit the button "delete account assigment" and the settlement date field will be available for change. Modify the date, save and leave the transaction.
    Enter again and from the menu go to "Item - account assigment", and you will notice the system already redetermine the account assigment, go back (F3) and the "Transfer" field is not available to select and save.
    Then you have the new service acceptance posted with the current period.
    I spend some time and couldn´t find the answer in other websites, now that i have the answer, I hope this help somebody else,

    The Return Active indicator enables you to specify that a return is possible when time sheets are converted into external services (i.e. incorporated in service entry sheets).
    If you have selected the activation indicator for the return, you can retrospectively change a time or quantity in a time sheet that you have already incorporated in a service entry sheet. As soon as you convert this changed time sheet into external services, the system generates generates both a service entry sheet with the new data and a return document cancelling the original data. The system sets the Return Indicator in this document.
    Where you can use this Indicator
    In a time sheet for which you have already created a service entry sheet you subsequently change a specified time or quantity and reconvert the time sheet into an entry sheet for externally performed services. The system then creates both an entry sheet with the new data and an entry sheet in which the original data is cancelled and the returns indicator is selected.
    The return indicator cannot be selected manually, but is set only by the system after the conversion of a changed time sheet into external services.
    To facilitate the return of time sheets during the service entry process, you must select the relevant Activation Indicator in Customizing for External Services Management.
    Source Determination and Default Values -> Specify for Client -> Returns Active.

  • Purchase Order: Queries related to Service Entry Sheet (ML81N)

    Requirement:
       A user exit to be trigger during the changing (update) of service entry sheet, This user exit should have a code which will go and check the credit memo in RSEG- SHKZG where the value is “H” and will check RSEG- LFBNR number with ESSR-LBLNI and compares RSEG- SHKZG with ESSR- NETWR value of the service entry sheet. if the value is less then or more then ESSR- NETWR (service entry sheet) value it should throw an error “"Amount must equal Service Entry”.
    If the RSEG- SHKZG value and ESSR- NETWR value are equal it should allow to revoke the service entry sheet. 
    Scenario: When user clicks on Change button in ML81N for changing the Service Entry Sheet(existing one), an exit should trigger the error message and should not allow to change.
    Please suggest how to achieve it, which Exit to use where I should code?

    Why you created Framework Order ?.. You can not change account assignment category in service entry sheet..e.g. K-Cost Center.. F- Order
    But depending upon settings, you can change account assignment values such order 1 to order 2
    If there are requirement that SES can created for  Account assignment F or K. I recommend you to use following approach
    1. Create a Contract - ME31K with AAC as U- Unknown (If business already have rates negoiated with vendor for services)
    2. Create release order with reference to contract and system will prompt you to enter AAC- it can be K or F
    3. Perform SES w.r.t to Release Order.
    Other Approach can but not strong one.. create two line items in the PO. one with K and Other with F.. then choose the line item at time of SES creation that business want to book the cost on CC or Order.

  • Create service entry sheet button doesn't respond

    Hi,
    We are using service entry sheets through the portal. I am clicking on the row with the PO for which I'd like to create Service entry sheet and then I am trying to click on the button 'Create service entry sheet'. What is strange that after clicking on the button 'Create service entry sheet' it doesn't respond, nothing happens.
    What could be wrong, it is a standard WD application and I don't think we have problem with the application. Could it be authorization or some configuration ?
    Acctually I've traced the authorizations and looks like they are OK.
    Please advise !

    Mention what account assignment you are using in SES or in PO?
    If it is PM order then you have to enter PM order.
    If it is cost center then check GL A/c used in a/c assignment that GL must be having field status as order mandatory. Ask your accounts team to check this GL.

    It is not possible to block a service entry sheet as such. You could only revoke a service entry sheet. Some of the possible reasons are, you are not satisfied with the quality of service provided by the vendor. Or it could also be due to change in the services to be performed or it could even be as simple as erronous entry of services in the entry sheet.
    However from ERP 2005, it should be possible to return the services by marking the returns indicator.In case of materials, it is possible to put a materials PO on hold. But in case of services, the hold option does not arise as a service cannot be performed/completed till all the approvals are received.

    We need to create material group for  roll shop spare parts service,we created a new material group.
    when we are creating PR/PO with item category as D and a/c assignment K( entered cost center here).its giving error message
    as RC= 3M8 47 Account determination for entry JSL KBS J001 not possible(while making service entry sheet)
    after that i changed PR/PO and gave cost center and G/l account.now the service entry sheet is accepted.
    is it necessary give G/L account manually,if user chose wrong G/L account how to avoid this problem.
    please clarify me,
    do we need to assign valuation class for material group for services?(where to assign)
    or
    should assign G/L account manually to cost center while creating PR/PO

    Option-1:-- >
    Without creating material group and you can use your other service material group(existing service material group) and  create a service master  in AC03 as spareservice. Create a Service PO with text as roll shop spare parts service with other details as required like quantity of service, cost center & G/L account etc. After service being completed you can do SES in t.code: ML81N
    Option-2:-- >
    If you want report at the end based on different material/service group level, you can create a material/service group in OMSF for roll shop spare parts service and then you can assign to valuation class to material group in OMQW t.code. Then carry out regular process service order, SES etc.
    Based on requirement, you can enter G/L account manually or can set default G/L account in purchasing document with help of t.codes: OMSK, OMQW, OME9, OMGO & OBYC
    For error u201CAccount determination for entry JSL KBS J001 not possibleu201D, you cannot assign KBS transaction/event key to an account in OBYC t.code. Only you can assign G/L account to cost center with your CompanyCode in OKB9 t.code. Check the SAP note: 364570 & 106981

  • Accept a Service Entry Sheet

    Hi All
    I am having a problem when accepting a service entry sheet, after saving the entry sheet, the system will create a GR document number but the problem is if the service entry sheet was created previously e.g. three days ago when accepting , the GR document number will have a posting date as from three days ago matching the posting date from the service entry sheet. Is there a way of making the posting date for GR document to be the current date when accepting the service.Your help will be appreciated

    For the SES, the creation date would still be same. Only field ESSR-BUDAT (posting date) would get changed.
    That shouldn't be a problem, since you would know anyway when the SES was created from ESSR-ERDAT, the SES creation date.
    Also the last change date would also be correctly updated.
    You have another field Doc Date ESSR-BLDAT which records the date the SES was posted.
