Filtering of ToDos in Apple Mail

I'm impressed with the ToDo view in the new Mail 3.0. However, I can see no way of filtering the list. In particular, I am attempting to hide completed ToDo items. I've searched the menus and interrogated the Help file without success. I cannot believe that this basic setting has been omitted. Can anyone point me in the right direction?

The column sorts are quite sophisticated and it's easy to avoid having future To Dos at the top of the list. I'm currently looking at my list and it is headed by items with no due date, followed by items for Tomorrow and running down to the most distant item. All completed items are sorted at the end of the list. I notice, incidentally, right clicking on the To Do icon in the sidebar brings up the opportunity to create a new calendar--in effect creating a category. If anyone were dedicated enough to create dozens of calendars to act as categories, the calendar column in Notes would allow a sort into calendars/categories. It's a rough and ready form of filter, but certainly not the answer. I've never understood iCal's obsession with having lots of calendars. Other PIMs, including Entourage, do very nicely with one calendar and a set of customisable categories.

  • Apple Mail won't download .doc attachments

    Lacking a specific "Mail" catagory I've posted this here. Less than Ideal I know but here goes.
    This just started last week.
    Many of us in the office and contractors we work with send .doc files by email. In the last four of five days (mid March 2014) Apple Mail no longer downloads them. See the attached image
    We can see the document title with a download button above it. Clicking on the button does nothing. Right clicking and using "Save Attachment" yields a 0kb file. Right clicking and using "Open With" results in a blank Word document.
    If I use mail clients other than Apple Mail (for example Thunderbird) the documents download correctly.
    The problem is not related to spam filtering as we all use different services (and some use none at all).
    This is the case across multiple macs using Mail. All the installs worked properly prior to about a week ago.
    Is there a fix for this (other than everyone buying new machines and upgrading to newest software)?

  • Apple Mail and Gmail IMAP

    With the iPhone coming to Verizon soon, I'd like to move back to Apple Mail from Gmail, but still want to keep Gmail as my source because my domain is setup with Google Apps but mostly because of the unparalleled spam filtering Gmail has. My problem is that even though I've configured Apple Mail exactly as Google recommends (shown below), I still have some issues.
    From the Mail menu, click Preferences > *Accounts > Mailbox Behaviors*
    Drafts:
    Store draft messages on the server > *do NOT check*
    Sent:
    Store sent messages on the server > *do NOT check*
    Junk:
    Store junk messages on the server > checked
    Delete junk messages when > Never
    Trash:
    Move deleted messages to the Trash mailbox > *do NOT check*
    Store deleted messages on the server > *do NOT check*
    I want to have true IMAP functionality here, but I'm not getting it. Sent messages work fine...if I send a message, it shows up in Apple Mail in the Sent folder and when I go to Gmail it is also in the Sent folder. BUT...when I delete a message in Apple Mail it goes to the Gmail *All Mail* folder (in Apple Mail and Gmail) and never shows up in the Gmail Trash on either Apple Mail or Gmail...where it should. I've tried changing the settings under *Apple Mail > Trash* but that doesn't fix the problem.
    I realize some of you might be inclined to say "It's Google problem...ask there" but I'm hoping a Gmail user here might have had this same issue before. Even as a dedicated Apple person for many years, I still can't give up Gmail and their spam filtering that Apple Mail can't come close to. Thanks for any suggestions.

    Thanks, Andy. I should have posted a closure statement on this thread as I finally figured everything out. The most frustrating thing is Google's own advice at http://mail.google.com/support/bin/answer.py?answer=78892# couldn't further from correct. After many hours of experimenting with settings, I finally came up with the correct ones. In fact, I'm in the process of writing an article about it since there is simply no definitive guidance on the web that I've been able to find in the time I've searched.
    Your comments are on target...everything on the *Behaviors Tab* needs to be checked (excepts Notes) and the *Delete when* settings must be set to Never. But there are a few other things that must be done, including some changes on Gmail Settings before Mail and Gmail will be perfectly synchronous. I'll post the entire solution on this forum when I finish the graphics.

  • Apple Mail cannot encoding issues (Chinese Asian Language)

    I've abandon Mail for almost 2 years, 2 issues I had before is the 'disappearing mail' and the encoding problem.
    Now with my new MBP 17" I decided to use Mail again. I am getting the encoding problem again.
    Things I tried already:
    1. set the default encoding using Terminal to "BIG5"
    2. check under 'Composing' preference for 'Plain Text', uncheck 'use the same message format as the original message'
    3. Tried manually setting the encoding before sending. But in few instance Apple Mail tells me that there is an Error and cannot change the encoding. Even I succeeded in changing the encoding, there is no guarantee that the other side can read it properly.
    This usually happens when I 'reply' or 'forward' a Chinese email to someone. So far it happens to the HTML type email.
    Still I am getting problem sending mail that Outlook can properly decode by itself. To fix this from the Oulook side, they need to open the message by double click, select encoding for the message, and pick either UTF-8 or BIG5 (if the message is BIG5, select UTF-8 and vise versa) then the message will display properly.
    I know this could be an Outlook problem (probably is) but I cannot tell my customer to change encoding each time. I really need a way to do this from the Apple Mail side.
    The following is just one example of HTML email I replied and turns out to be BIG-5 under Outlook, but user need to select UTF-8 to view it.

    I switched to Thunderbird. Took a while to convert my mailboxes (30+ of them) from emlx to mbox and loaded into Thunderbird.
    Thunderbird is ok, address book really ***** since it doesn't work with the OSX Address book at all. I had to use vcf2ldif to convert address book but the Chinese character in the Address Book all became ??? in Thunderbird. And the time it takes to convert 400+ address is long (I already filtered the address book from my 1000+ contact)
    Font setting in Thunderbird is not good as well. Emails in my folders are in different fonts all the time due to the difference in encoding. I just need to get used to it.
    If Apple Mail can just handle encoding better, I will never switch. Both my customer and my family are having same problem, (because we all read/send Chinese Traditional email) Apple should do something. Already send email regarding this to Apple, and if there are other people with the same problem as me, pleas let Apple know about this.

  • Switching from Mailsmith to Apple Mail app

    Ok, I've had a problem recently with Mailsmith, though in general I prefer it to Apple's Mail. I like a text only mail app with everything else as attachments which one can choose to open or not. That said, I recently  messed up: my elderly G4 MDD was slowing down and I got worried that it was on its last legs. In order not to lose recent emails, I opened Mailsmith on my MacBook Pro, something I usually don't do from home but only while travelling, and downloaded available mail from my various accounts. Since then, both on the MBP and on the G4 I have been receiving duplicate emails from my dot mac accounts (main address and alias). This is not occurring on my other (ISP/web hosted) accounts, only on the mac ones. I wrote to the Mailsmith support but got no satisfaction and not much interest. I also posted the issue here but got no responses. At this point I am considering moving my Mailsmith mailboxes - all 31 of them - to Apple Mail and trying to use that as my main mail app. I have converted all the mailboxes to mbox format and succeeded in importing them into Mail, but they show up as "on my Mac" import 4. Is there a way to make them my main mailboxes in the Mail app? I realize I will have to go though each and duplicate the rules/filters so new mail goes to the proper mailbox, but is this possible? How?

    Ok I'll try that. I imagine I have to recreate each mailbox within Mail and then drag the contents of the old/imported mailboxes to their new equivalents.
    Mail is using IMAP for Apple mail and POP for my other accounts. I'm still not comfortable with IMAP as I've only ever used POP so far but I suppose it is useful for viewing and keeping email up to date on different devices and computers...but I do want copies of everything on my Mac. Don't really trust having it all only in the cloud.

    What happened to ToDo's in mail? I used to be able to create a ToDo from a mail message I have not found a way to do that with the upgrade to Lion.

    Hi, NO_PC.  I missed the to-do box on Mail also, but I played with Mail and iCal till I found how to do it.  I checked with Apple Express to be sure this was the way to do it.
    In Mail, mouse over the header until you see the grab hand.  Drag it to iCal and drop it into the events column.  Then, grab the event and drop it in the Reminders column.  It will make a reminder but careful! cuz both event and reminder will be in focus.  If you delete the event, you'll delete the reminder too unless you first click in white space (or esc) to remove focus.  Then click on the event and delete.
    Open the reminder and you'll see the URL box says "Show in Mail" so you can refer back to the original email.  If you "archive" the message it'll just stay in the archive mailbox till you're done with it.

  • Can Apple Mail filter spam per account?

    Sorry if this is to the wrong forum - I didn't see one for Apple Mail.
    I have two mail accounts setup in Apple Mail: one for work (an MS Exchange server) and one for home (a gmail account via IMAP).  When I originally setup Mail, junk filtering was on, but I vaguely recall the junk filtering interfering with the filtering Google's own junk mechanism (which, by the way, is amazingly effective!), so I turned off Mail's junk filtering.  But lately, I've been getting more junk mail on my work account and would like to do junk filtering there.  But it appears that "Junk" filtering can only be turned on globally - not on an account basis.  Or is there a way?

    There's really no way for the Mail's Junk filter to interfere with Google's. Google's filter acts before Mail even sees the message. I would just turn it on. If Google's filter is good, Mail will rarely see any spam that Google didn't already deal with.
    But if you really want to exclude an account, choose Perform custom actions in the Junk Mail pane of Mail preferences. Then in the Advanced dialog, set criteria to restrict the filter according to Account.

  • HT204075 Offline reading of Apple Mail

    I am running OS X Yosemite with Apple Mail 8.5. I have my Google account set up as a POP account.  Whenever I disconnect from the internet and open Apple Mail, all of my images in my emails have the blue box with a check mark in it.  Is there anyway that I can have it so that when I am disconnected from the internet I can read and see all of my images in my emails?

    I did think of spam filtering and checked the files on the domain server through "web mail." This particular message did not make it to the server, although my mail client lists it twice as "sent." It's not in any "undeliverable" or "suspected spam" folder.... Sigh. Also it's just a simple text message, no big attachment and no formatting. Very mysterious.
    Other messages sent to the same recipient (husband) before and since have been received. Obviously, I'm not worried about this particular message, because I could print it out and hand it to him. But I am worried about what other messages to other people, especially clients, might not have been received.
    I have spent the morning cleaning out Mail folders and will do more.
    By the way, I learned how many messages by selecting Library/Mail and command-i, (get info).

  • Gmail's Apple-Mail-To-Do's no longer appear under Reminders

    I use gmail as my mail utility (set for IMAP).
    Before the upgrade to Mac OS X 10.5.7, my To Do's appeared in Apple Mail under Reminders > To Do > Gmail. They also appeared in iCal. On my iPhone they appeared in the Apple Mail To Do folder. If I added a new To Do, everything synced.
    The other day, all of my gmail folders temporarily disappeared from Apple Mail, however, they began to automatically re-appear over several hours. (A problem with a gmail server?) (BTW, before this occurred I noticed lots of activity under "Mail Activity", copying To Do's between gmail and my mac, even though I had no recently added, edited, or deleted a To Do.)
    All is restored, except my To Do's no longer appear in Apple Mail under Reminders > To Do > Gmail. (My To Do's still appear on my iPhone under Apple Mail To Do, and they still appear in Apple Mail under Gmail > Apple Mail To Do.)
    If I add a new To Do (by highlighting Gmail under Reminders > To Do, then add the new To Do) the new To Do fails to appear in my "Apple Mail To Do" folder and thus can't be viewed on my iPhone.
    All I want is to be able to track a list of To Do's on my Mac (in both iCal and Mail) and on my iPhone.
    Help!

    Hmm, well it seems to have recreated the weird folder 'ToDos.mbox (Server)' (that is the name of it on the server).
    I have successfully moved my to dos from Apple Mail To Do to ToDos.mbox, so now my question is, as I have deleted Apple Mail To Do and just have the oddly named one, how do I get Apple Mail to rename it and use a more user-friendly name like it used to. Basically I just want it back to being called 'Apple Mail To Do'. (Renaming it on the server will just confuse Apple Mail again.)

  • Help?  Apple Mail no matter what I do, marks my SENT emails as JUNK?

    I've tried yours (and others suggestions) and no matter what I do Apple Mail always marks my SENT messages only as JUNK and my incoming MESSAGE I send to myself as junk. Filtering works great for everything else. My exact name and email address ARE in my address book and previous recipients list. I have my junk email filter set to all of these two criteria are not satisfied it marks it as junk and moves the message to a folder I have labeled as JUNK. I tried each of these suggestions:
    1. Unchecking the box that says "Disable Junk Mail Filtering"; then quitting mail, then restarting mail, then configuring my Junk Mail to customized actions and leaving my junk mail to a folder I have as JUNK mail. No Luck.
    2. I have tried the same as above, but then I hit the RESET button. No luck.
    3. I went to the Apple store and configured the email filters to the way I have it and it does the same thing. It marks all outgoing mail (Sent Mail) as junk and any messages you send to yourself as junk.
    I think this is just a glitch in Apple Mail as I have not seen or heard about another solution. Can't believe 10.4.8 and Apple Mail is not working perfectly. Seems like a simple glitch.
    Anyone???

    There is probably some corruption in one or more of the files used by the junk filter. The following procedure thoroughly gets rid of all those files, so that Mail creates them anew:
    1. Quit Mail.
    2. In the Finder, go to ~/Library/Mail/.
    3. Locate LSMMap2 and move it to the Trash. This file stores information about what does and doesn’t constitute junk, and is what allows the junk filter to learn. Clicking the Reset button in Preferences > Junk Mail also deletes LSMMap2. The file was called just LSMMap in early versions of Mail, delete that as well if you see it.
    4. Locate DefaultCounts and move it to the Trash. This file keeps statistics about the number of messages that have been marked as junk, either automatically by the junk filter or manually by the user.
    5. Locate MessageRules.plist and/or MessageSorting.plist and move it to the Desktop. This is where Mail stores all the rules, including those used by the junk filter. The former is used by Mail 2.x, the latter by Mail 1.x. There is probably also a MessageRules.plist.backup and/or MessageSorting.plist.backup file there; move it to the Desktop too.
    6. Look for the account folders. The name of each account folder starts with the account type (POP, IMAP, Mac), followed by the account username and the incoming mail server. Open each of the account folders, locate the Junk.mbox or Junk.imapmbox folder within it, and move it to the Trash if present.
    7. Go to ~/Library/Mail/Mailboxes/. Locate any Junk.mbox mailboxes there (their name may include the account name in parenthesis), and move them to the Trash.
    Note: Messages in Junk mailboxes with an .mbox suffix are stored locally and will be lost forever as a result of doing steps 6 and 7. If there is a chance that you have legit messages there that you want to preserve, either move the messages to another mailbox in Mail first, or move Junk.mbox to the Desktop (to be imported back later) instead of to the Trash. Junk mailboxes with an .imapmbox suffix aren’t a concern because they are stored on the server and Mail will rebuild them automatically.
    8. Open Mail. As a result of removing the rules file, the junk filter will be disabled now. You may want to either tell Mail to go offline immediately after opening it, or shut down the Internet connection before opening Mail, to prevent it from downloading anything until the junk mail filter has been enabled again.
    9. Go to Mail > Preferences > Junk Mail, enable junk filtering, and configure it however you wish.
    10. Go online again if you went offline in step 8.
    If the above solves the problem and you don’t have any rules you’d like to preserve or recreating them is not a daunting task, just trash the rules files that were moved to the Desktop and be done with it.
    Note: For those not familiarized with the ~/ notation, it refers to the user’s home folder. You can easily locate any of the folders referred to in this post by copying the folder path here, doing Go > Go to Folder in the Finder, and pasting the folder path there.

    How can I export email addresses from Apple Mail?
    Just to be CRISTAL CLEAR please don't reply with export instructions from the address book.....not interested in this.
    I have customers that fill-out a request form online, then the data is sent to our database on our server, and another copy is sent to my email account. The server database got corrupted and is now lost. The only data left are in my email app called APPLE MAIL. I have created Filtered Folders so the data is just in one Folder, not mixed with all other emails. Is there a way to export the email names & addresses from APPLE  MAIL to a CVS file or Excel file?
    Again this is not a question related to Apple Address Book. This is ONLY for Apple MAIL exporting!

    The script to use from the collection of scripts is Add Addresses (Mail) which adds addresses found in the selected messages (in the header fields "From", "To", "Cc", and "Bcc") to the Address Book. This is much more flexible than the "Add Sender to Address Book" available in Mail and provides a convenient way for creating mailing lists.

  • MarkSpace Fliq notes import to iPhone Notes and Apple Mail Notes – how to

    A while ago I used MarkSpace for Palm one time only to put all my Palm T5 notes, todo, calendar, etc. into iCal and MarkSpace Notebook. This worked fine.
    Now after using MarkSpace Fliq Notes I want to stop using that and use Apple Mail’s Notes instead.
    To import the MarkSpace Fliq Notes into Apple Mail’s Notes I have to import them one by one according to MarkSpace technical support. I tried this and it works fine. However, I have thousands of notes.
    I presume I could make an Automator or Applescript that will do this for me.
    But I have never used these functions.
    Would someone(s) be kind enough to tell me how to do this in simple terms and list the actual “code” in this forum topic?

    I have MobileMe, .Mac to me, and thought it would sync everything through there but alas it doesn't.
    This is what I had to do...
    On the iPhone, sync it your iTunes on your Mac via the wire. Since I have everything sync (Contacts, Bookmarks, etc) through MobileMe and don't want duplicates I don't usually sync anything but Music/Movies through the wire sync. Once your device shows up in iTunes, click on it and under one of the tabs (I think it is the second one and right now I am away from my Mac using Windooze) towards the bottom it asks to sync Notes. Don't go the advanced section below that because there is a Notes checkbox there but I did not click on that. Force a sync. You will notice that your Notes in Mail and now on iPhone match. Half way there.
    Now "eject" your iPhone and plug in your iPad. Do basically everything from above, I just have it sync the Notes on the second tab as I don't want duplicates. On I force the Sync, all of the notes on the iPhone/iMac/iPad where all the same! I just wish Notes would sync through MobileMe! It would make it SOOOOOOO MUCH EASIER. ARE YOU LISTENING APPLE!!! Now if you have Notes on your iPad you want on the iPhone, you are going to have to go back and re-sync again with your iPhone.
    Let me know if that does or doesn't help, later when I amd at my Mac I will post what exactly tab and section. I spent most of yesterday trying to find an solution and this was the best I could come up with. I found a lot of Notes articles on the iPhone and syncing; none said MobileMe would do it. Kind of ***** as we pay a lot of MobileMe!

  • Can't Delete Todo Items in Mail

    I have a bunch of todo items listed in Mail that are grayed out. Every time I try to delete them them go away, however when I start the app up again they come back, Any ideas on how to fix this?

    On My Mac is a terminology for any mailbox you create to be stored on your Mac's hard, but you no longer see that Icon, normally, in the Sidebar. The On My Mac mailbox you see in Trash has been created by Mail when you deleted a message from one of your "On My Mac" mailboxes.
    Double click on your hard drive Icon, and in the resulting Finder window, click on the Icon of a House in the Sidebar -- this opens your Home folder. The double click on the Library in this Home folder, and find the Preferences folder in it. This Preferences must have the com.apple.mail.plist file -- do you find it?
    Once you find the plist file, but before taking any action do the following:
    Be sure to Quit Mail, and in the Finder open Home/Library and locate the Mail folder. Control-click over the Mail folder, and choose Duplicate -- then drag the resulting copy to the Desktop for temporary backup. Next, open Home/Library/Preferences and find the com.apple.mail.plist file and drag it to the desktop.
    Relaunch Mail, which will open as though new, and when prompted to import anything say Yes or whatever affirms. Next re-enter your account info, and Mail will set up new account folders, but will keep your other mailboxes, but we have the backup sitting on the Desktop if all does not go as expected.
    Ask any needed questions, and keep us posted.

  • Apple Mail, Google Apps and One User

    Every time I receive mail from one user, and only one user, my email POP freezes and will not download any more messages until the message from that user is removed from the server.
    There is nothing special about the messages.
    We use Google Apps mail and it also happens when I redirect the message to my gmail.com account.
    I must force quit apple mail and reopen after the message is gone. It downloads the message but will not download subsequent messages.
    It didn't start happening until this summer and every other message I receive behaves normally.
    It is very frustrating because the person is a very important client who sends me quite a bit of mail. Any advise? Thank you in advance!

    BTW, it also happens when I redirect to non-google mail (rackspace cloud sites). The messages originate from mx1.cbeyond.com if that helps. Here is the full header with email addresses and subjects redacted:
