FM to extract the expense report comments

All experts,
    can some body tell me this function can extract the expense report or travel request comments, thank you very much.
e. g. transaction code: TRIP,
I want to extract the trip comments in my own program,thanks in advance.

  • How to delete the automatically created receipt in the expense report

    Hi experts,
    I am getting an error "no expense type for estimated costs has been defined. cannot save" while creating a travel request for an employee.
    Base on the reply from Raynard which posted on Re: FM for  trip exp
    It's because "The estimated cost in plan and request are now included into fund management. So if you have active funds management, the entered estimated cost are used to make availability check and commitment. Therefore you must create an expense type in view V_T706B1. Under 'amounts are' you have to choose 'estimated cost, no reimbursement to employee'."
    How ever, because the linkage with funds management, I faced the problem and also ckecked out the reason from SAP Help that "After the trip takes place, the user needs to manually delete the automatically created receipt in the expense report."
    Anybody can provide the solution how to automatically delete this receipt before user create the expense report??

    Check the BADI "TRIP_WEB_CHECK" method "USER_CHECK_GENERAL_DATA".
    Here based on the schema you can modify the "estimated cost" field.

    Error : " Trip cannot be saved in this status "

    I am unable to save the travel request and I am stuck here.

    My client's finance team have strict requirements around reopening of expense report.  Ideally, they want the button removed after expense has been approved.  Or have a way to add permission around this button and limit it to auditors and approvers.  Any insights/recommendation would be greatly appreciated.

  • GST,HST and PST-How to report the canadian tax codes in the expense report?

    Hi,
    we are implementing SAP T&E for Canada and we have a requirement regarding with the Canadian taxes.
    The taxes calculation for Canada will not be done in SAP FI. This tax calculation it will be done in another solution, out of SAP.
    What Travel Management have to guarantee is when the posting is done the taxable amounts are transferred to fields XREF1 and XREF2 of the finance document.
    What we would like to know is:
    1) when the traveler is entering his receipts, he has to insert at least all the possible combinations of the GST/HST/PST using the field VAT code. The field VAT code is enough or another field will be necessary?
    2) when the posting is done the taxable amounts are calculated and transferred to the required fields XREF1 and XREF2 (BaDI). These two fields are enough or it will be necessary another one, as we have three taxe types (GST, HST, PST)??.---
    In Canada , i think that we can have only HST or GST/PST and depending on the provincies we can have one method or the the other and only the values for PST are differents.
    Could you please help?

  • How to copy line items from one expense report to the next

    I travel to the same project/destination every week so in PR05, I was able to just copy the previous expense report for the new week and edit the expense values. Now, when I book travel, the air line booking starts a new expense report entry.
    Is there a way to copy the employee-paid expenses to the GetThere-generated trip entry expense report, i.e. just copy the line items from one expense report to another that already exists. I guess that would be a merge function.

    Here are two alternative solutions:
    Alternative 1:
    If you copy the expense report before you book the services (flight, hotel …)
    in GetThere, then the airline or hotel bookings will not start a new expense
    report but will be assigned to the copied expense report.
    Alternative 2:
    This alternative is a bit laborious.
    Shift the start date and end date of the expense
    report  that was automatically created by
    your flight booking for next week (e.g. Calendar Week (CW)  47) to the week after next week (e.g. CW 48).
    Copy the expense report of the previous week (e.g.
    46)
    Afterwards open the expense report that you
    moved to CW 48 and click on the tab strip itinerary
    Now assign the bookings (flight, hotel …) to the
    expense report of CW 47 by clicking on the button assign to existing trip
    Later delete the expense report in CW 48
    Get back to me if you have any questions concerning the alternatives outlined
    above.
    Note:
    These solution alternatives are only available for customes using HTML5 UIs.

  • 2 Mileage Policy Schedules on the same Expense report Template

    Hi,
    I am trying to create another mileage rate schedule and put in the same expense report template. It works and when you input mileage information for trip X,Y,Z on the Expense Report, the choice is there (drop down list) and the correct rate is automatically included in calculations.
    The thing is that the project expenditure fields are grey and cannot input project/task etc.. I think I did the whole setup whether its on the Project Billing or Costing (expenditure category/type) and Payables Manager (ER template).
    Am i Missing something?

    Roseline,
    Create a new button and select the option to create the button as an item and not in the region position.
    Item buttons behave differently to Region Position buttons.
    If you are wanting to use the button to "SUBMIT" the page, you will need to change the button to Target is a URL and add javascript:doSubmit('YOUR_REQUEST_VALUE');

  • The expenditure organization is not active for Expense Report

    Greetings to all,
    We ran into a problem, where a person submitted an expense report with project related information. The exp report gets an error in the workflow. When we look at the workflow error message is: This expense report failed payables validation.
    When we look at the notification for error message, shows the expense report and for the line that has a problem, gives the following error message:
    "The expenditure organization is not active."
    We check the org in HRMS, we look up the org and has the following setups:
    HRMS-->work structures--> organization (query the cost center)
    then when looking at the cost center has the following:
    under organization classifications:
    Project Expenditure/Event Organization
    Project Task Owning Organization
    HR Organization
    Then looking at hrms-->organization--->hierarchy
    query for hierarchy-->we get our hierarchy,
    then under organization-->query again for our main org, we see then the subordinates which we see the cost center again.
    Everything looks good our point of view.
    If have researched this issue on ML and have read the following notes: 423267.1, but this does not resolve our issue.
    If someone has encountered this problem, can you share the additional steps to troubleshoot this issue.

    It turns out that the employees were on LOA on the dates that they were charging time. So the message didn't really describe what the actual problem was. What happened is that the employees had gone on LOA and then returned to work, but HR had not yet returned them to active assignment. They entered their timecards as they normally had, but they did not pass validation because they weren't active on the dates they were trying to charge.
    I would have looked at the assignment earlier in the process if the error message had been employee-oriented instead of referring to the org, but at least the problem is solved. Thanks for everybody's input!

  • How to Derive the Card Number from Expense report Invoice

    How can we derive Card Number(iExpense) from Expense Report Invoice number.
    By expense report invoice number i mean, once the expense reports are created in iExpense we import those reports into payables which in turn will create an Invoice.
    I want to find the Card Number which on the credit card transactions(ap_credit_card_trxns_all) from Invoice Number, How can we do this.

  • Expense Report - Change or delete an address within the portal

    Guru's,
    When creating and expense report, we would like to be able to delete or change an existing address from the dropdown for the "Destination Address" field on the general trip screen..  When a user first comes into the expense report, the default value in the field is "New" and the "Add" and "Change" buttons to the right of the field are available.  However, when the user selects a previous address from the dropdown, the change button becomes disabled and you can no longer change a prior address.  In addition, is there a way to delete previous addresses from the dropdown?

    Hello,
    It is no longer possible to "delete" the address you have maintain once it is used. It will be available in the drop down menu
    as a suggestion, the next time you create your travel expenses.

  • Updating expense report

    Hi - after an audit was done on my expense report, I had to recall it and update an expense receipt image.
    Once this has been completed, the reimbursement amount is wrong.  I submitted the expense report again with a comment that the amount is wrong, however I expect this will flow through completely with the wrong amount.
    How can I get the system to update and include the expense that required the receipt image again?

    Hi Larry,
    How did you attach the expense receipt? Did you send it via e-mail? Or do you use central receipt scanning?
    If you took a picture of the receipt and then uploaded it, it is possible that the smart receipt recognition did not work. You might find the Help Center document Claiming Expenses (HTML5), section "Task - Attaching Receipts" helpful.

    Please see page 42 of the [url http://download.oracle.com/docs/cd/B34956_01/current/acrobat/120oieig.pdf]iExpenses Implementation and Admin Guide for R12 . If you are unable to enter the ID as per the guide, I would suggest raising an Service Request with Oracle Support.

  • Users locked out of editing Expense Reports

    Hi There,
    Users of the system are reporting that they are frequently unable to edit their expense reports, as the system incorrectly believes that they are attempting to edit reports in multiple sessions.
    A general error is occurring in which the user will be editing an expense report and will perform an action such as closing the browser, closing a browser window/tab or even simply exiting an expense report while using the application.
    After returning to the report, an error message appears saying that they are editing the expense report even though they only have one session open.
    This would suggest that upon performing such an action, the original session becomes stuck while editing the report, resulting in users having to wait long periods of time before this stuck session is automatically closed.
    Is this a commonly known problem, and is there any way that this can be fixed?

    Tom,
    It's one of the biggest pains of the system! Requests have been submitted to SAP numerous times to stop locking people out of editing their reports for silly reasons that you mention. I am not sure if they have any intention of improving it.
    There is a trick to unlocking the report for editing though.
    - log off the system
    - attempt to log back on with the wrong password
    - then log back on with the correct one
    This action has worked 100% of the time in unlocking a report for edit.

  • Default Value in Number field in Travel Expense Report

    I have a requirement from my client's side. In the Expense Report, when I coose an expense receipt, say for TAXI, I get a value in the field "Number". I know that the value can be configured or defualted based upon the "From" and "To" date.
    My client needs the number field to get defaulted, based on the "Expense Receipt" chosen. For example if somone chooses "Parking Fees" the number field should get defaulted automatically by the value 3 and if somone chooses "Telephone Expenses" the number field should get defaulted automatically by the value 2.
    Is there in any user exit or anything that takes care of this?

    You may take your ABAPer's help to enhence the report.it would be small change.Might be you need access key for this change from your Basis team.

  • Payment of Expense Report invoice created from credit card transactions

    We are implementing corporate credit cards into iExpenses using the company pay method. When expense reports are created from aquitting credit card transactions and exported into Payables does anyone know if it is possible to pay the expense report invoice that has been created without needing to run the Create Credit Card Issuer Invoice program? The reason for this question is that I want to avoid running this program as our credit card provider direct debits our account from our bank account rather than us transmitting the funds to them and don't need to create an invoice for the credit card provider. Any assistance would be gretly appreciated. Thanks

    You can use the badi TRIP_POST_FI   .you can create custom table & mention the different symbolic account number  & change your  symbolic account based on your expense type by using the above badi. While you do FI posting  your expense types will get posted in two hit two different G/L account
    It will surely solve your problem.. I had same issue in my earlier project which i have done the above solution.
