Folder in DMS

Hi
Can we see the various document types created in DMS in a folder structure??
I mean can we see each document types and corersponding DIR s created in a Folder manner in DMS..
(not Easy DMS)

Hi Aby
This can be viewed under Document Browser tab when u create, change or display the DIR.
For this,you have to activate the document browser as per the following path.\
SPRO=>Cross application components=>Document Management=>Control data=>Activate the Document Browser.

    DO you mean via the 'Object Linking' feature in DMS?
    If yes, please ensure that the 'c-projects Elements' object has been selected for the particular document type in DC10.
    Also, to view the attached DIR in c-projects, ensure that the RFC is established b/w c-projects and DMS.
    Yes..you can,since c-Folders has functionality of maintaining public and private collaboration scenarios so c-Folders is being used to communicate between Suppliers and Vendors.
    c-Folders is not like webDMS, it is a separate application for which the link can be created from portal itself.
    In c-Folders user ID and password can be created which need not have any licenses.

    Dear Sir/mam
    In CV01N insteat of assigning single file i want to assign full folder with many autocad files, can you sugest any other subsequent way to assign so many file bcoz every time i have to select sing file.
    I hadassigned one document to doc.type and now i want change that doc type of copy that content to other doc type is there way required your valuable answer.

    Q. did u sent any folder in Internet.?
    i think ans is No! right.
    u see folder is not a Workstaion application component. this never executes. think logicly.
    In DMS we are creating folders, and attaching Original files, which are excutables.
    if u want alternative as per your requirement i would suggest, you have to Zip the folder and Attach Zip file in DMS.
    this will works, there is no configuration is required for this.
    whil opening or checkout, u need to copy to desk top and exract, and agian Chek in or SAVE.

  • Transfering cFolders Docs to DMS via Collaboration tab in cProjects 4.5

    Hi Experts,
    I am trying to move documents between cFolders and DMS using the the "collaboration" tab in cProjects.
    The steps I am following are as follows.
    1. Created a link to a DMS document structure from "SAP DMS" tab in cProjects
    2. Assigned a collaboration from the "collaborations" tab
    3. Selected transfer documents.
    4. Transfered the needed documents to a folder in DMS from cFolders
    5. Clicked save documents button
    6. When I check the doc structure from the SAP DMS tab I see the document but there is no document number or type.
    7. When I select refresh the transfered document dissapears. I have also tried saving between steps to no avail.
    I have done the needed configuration for object links and default doc types under "Integration with Other mySAP.com Components -->Collaboration Projects -->SAP DMS Integration --> Specify Default Document Types per cProjects System". Also I am able to transfer a document which is stored in cProjects documents tab. I am only having an issue when trying to transfer from cFolders.
    I have seen several threads on this forum on similar issues but no clear solution. Appreciate any thoughts on this. Hope I have explained the issue clearly, but do let me know if any further information is needed from me.

    Did you try with T Code CFI01(ECC ) - Import Documents from cFolders?
    If no then try you will get sucess

  • Accessing files stored in Common Server and share drive with  SAP DMS

    Hi DMS Gurus,
    We have a requirement, apart from retreving the data from content server storage, the client also wants the documents stored in common file server and Share drive also to be accessed through DMS,
    1) one option for this may be upload all the documents in the existing servers to DMS Content servers to get the full funtionality of DMS i'm i right? please suggest.
    here again they have lacs of document so this may not be a ideal solution, now 2nd option is
    2) create a data carrier and Mount points with the existing server if i'm right, but by just doing this what funtionalities will this provide
    i have a preassumption that this existing common server can be used as a storage area for DMS (as vault or common server), but only those documents which are stored in to this common server or shared folder through DMS can be retrived by DMS., again i'm i right?
    but how can we access all the lacs of file which are already existing there for years.
    how can we see all the documents in SAP DMS which are stored earlier in this common server before DMS,
    is migrating all the necessary preexisting documents to SAP DMS the only Solution for this.
    any solution for this please suggest.

    This is an old thread but nevertheless would like to give some inputs.
    your point .. common file server and Share drive also to be accessed through DMS,
    1) one option for this may be upload all the documents in the existing servers to DMS Content servers to get the full funtionality of DMS.
    <The option 1 is an ideal option as in future u would one day need to migarate the documents if u intend to use SAP DMS as the DMS system in ur org>
    Alternatively if the documents would still need to be retained in the file server but also would need to associate to SAP business objects u could use the Define data carrier external DMS.
    This again depend on what kind of documents are stored in the file server & are they relevant to be associated to SAP objects/ Transactions.
    The point here is u still want to use SAP DMS to view the file , all though there are other option as Archive link, Service for objects etc. Using SAP DMS option will still call for creating DIR in SAP & assigning the file path hyper link using LSMW /upload prog.
    So as for a temp sol till u clean up the file server u can use the hyperlink and later migrate to Content server.

  • DMS Connector for KM 1.0 set DMS subfolders as root for DocumentExplorer

    I have three folders under the root folder of DMS Connector:
    Bills
    Tickets
    TechnicalData
    I want an independent document explorer iView for the first two and the third one not being displayed on the EP.
    So I put '/dmsrm/Bills' as root navigation folder and initial navigation folder. If I do this the Document Explorer shows an error saying the selected resource does not exist or is not available. If i set '/dmsrm' folder there is no problem but then I can't separate different subfolders in different iViews.
    How can I make it for the subfolders to be the root folder of Document Explorer?

    Hi experts,
    I want to have CFolder ( for partners outside the organization) and Document Management System ( within the intranet) and both of which integrated to back end SAP R/3.
    Can any one tell me
    (1) What are the components to be installed ?
    (C-folder is a part of Cproject suite but I am not sure for DMS what is to be installed.)
    (2) Is there any front end (like SAP GUI) required to be installed for DMS ?
    (I guess an internet browser is enough to upload/download/view documents in  C-folder but what about DMS ?)
    (3)CPU and RAM requirement for C-folder and DMS installation

    Hi Anupam,
    1) Your first requirement is something for which SAP DMS and cFolders are made for. There are transactions in R/3 through which import and export of document can be achieved within cFolders and SAP DMS.
    You can have different servers for SAP DMS and cFolders.
    2) The Content server is something where you will be storing your documents. It depends on you business requirement. Basically its nothign but a storage location for your documents.
    TREX is a search tool, which can be used both in DMS and cFolders.
    3) ABout hardware the sizing guides are available on service.sap.com, you can get an estimate over them easily with that information.

    1. Create RFCs between SAP PLM and SAP DMS servers using by tcode 59.
    2. Once connection established, then you can transfer tha data from PLM- cProject suits to DMS.
    3. You can also transfer tha data from cProject suite to DMS or vice versa through web.
    You can ask to your BASIS team.

    I'm new to DMS and I'm trying to figure out how dms easy works.
    I have a public folder to share document with multiple persons, and I have a private folder just for my personal data...
    The public folder is set up during first login.
    So far so good...But
    1/During the creation of the private folder I had to choose a document type.  I can't make a second public folder with another document type... Does that main that all DIR/folders have to be added in the one public folder even if they have an other document type? Aren't they linked that way?
    2/If I add a new document (with the same document type as the public root folder) by using cv01N. I activated the Document Browser function. I tried several possibilities, but I can't figure out how to make a DIR (by using cv01N) that I can see in the public root folder in DMS easy. Can somebody explain?
    3/Within the root folder of DMS easy I created a new folder with the same document type, in that folder I created a new DIR.
    How are those linked to each other? There is no use of a hierarchy, a document structure or a object link. Or am I wrong?

    regarding your questions I hope the following information could be useful:

    Please note that there could be just one public folder at all. So it is not possible to create a second public folder. In the standard there is one public folder and a private folder for each user. This does not depend on the document type. You can create several new folders in the public folder which do not have to use the same document type. But I would recommend you to define one document type in transaction DC10 which is used in your system for creating folders. This will make the folder structure more user-friendly.
    2/If I add a new document (with the same document type as the public root folder) by using cv01N. I activated the Document Browser function. I tried several possibilities, but I can't figure out how to make a DIR (by using cv01N) that I can see in the public root folder in DMS easy. Can somebody explain?
    If you have activated the document browser you can navigate to the folder where you want to create a new document info record and then use the entry in the context menu. If you mark the folder where you want to create a new document you click the right mouse button and there will be an entry called 'Create' where you can choose 'Document'.
    3/Within the root folder of DMS easy I created a new folder with the same document type, in that folder I created a new DIR.

    The folders in the browser are a document structure in real. So this means the public and private folder mean to be head document info records for the document structures (BOMs). All other document info records or folders below are part of this document structure. So this has nothing to do with object links.

  • Automatic DIR creation when mailed with Subject

    Hi SAP Gurus,
    We Have a requirement where an user sends a Mail with the subject line as the DIR No (particularly the Document folder No in EDMS) with some document files attached to it,
    The requirement is, based on the mail sent the system should create a DIR in DMS with the attached files placed inside the DIR automatically with out any manual interventions.
    So we can have a list of DIRs created under one folder in DMS.
    Please Explain in detail like how this requirement could be met, if it is an development also throw some light on the methord to be followed.
    There are some scanner interfaces available in the market but we are not sure to go for any third party integration for getting this single requirement fullfilled.
    Points awaiting for usefull suggestions

    The TDMC(Technical Document Management Connectivity) offering allows a customer to connect to their SAP Document Management System (DMS) via MS Outlook. This is achieved using a MS Outlook Plug-in that was developed in C#, which you can modify at the customer's site to include customer-specific information. The second part of this offering is the usage of SAP Enterprise Services (ES), which are standard as of ERP 2005. This offering uses a specific ES called DocumentBulkCreate. The final part of this tool is the SAP DMS itself.
    This tool enables the following:
    - From MS Outlook, the user has a context menu option to work with SAP DMS.
    - By selecting this option, the user is prompted to add additional information about the e-mail (for the
      standard offering the user is prompted for the project number but this can be tailored to the customer
      needs via the C# program).
    - After confirmation, the tool then checks this e-mail into SAP DMS via the ES.
    - This creates a new Document Info Record (DIR) in which:
        1) Information about the e-mail along with any entered information via the prompt is automatically
           placed into the classification of this DIR.
        2) The body of the e-mail is saved as an original within the DIR as a *.txt file.
        3) Any/all attachments are stored as originals separately within the DIR in their original file format 
           (such as *.ppt, *.xls, *.docu2026).
    Within this document, you can expect to find step-by-step instructions on how to implement this toolset using the standard developed version. Some aspects of this implementation can be adapted to support customer-specific needs. Where applicable, the document attempts to point out whether customization of the offering is advised.

  • Mass deletion of DIRs

    We have several hundred test DIRs that we have loaded and would like to delete them all.  These DIRs are within a folder in DMS and have object links.  SAP does not allow us to mark for deletion a DIR that is part of a folder structure and/or has object links.
    Does anyone know if there is a program that we can run to mark DIRs for deletion in mass, even if it is part of a folder structure and has object links?

    regarding your description I think the BAPI_DOCUMENT_DELETE or BAPI_DOCUMENT_DELETE_DIRECT could be useful for you. But please pay attention if there are object links existing and check the entries in table DRAD to make sure that no inconsistent data will remain.
    For further information on the mentioned BAPIs please see the documentation in transaction BAPI under area 'Cross-Application-Components'.

    You can control this using authorization objects in DMS.

  • Document browser / Folder Structure in DMS

    Dear Experts,
    I have activated document browser and was able create folder structure.
    As per clients requirement, We designed a department wise folder structure.
    Example :
    Main Folder 1
    Main Folder 2
    etc..
    Under each main folder a sub folder is created to maintain specific DIR.
    But in the system, there is no restrictions for document types under a sub folder, and we are able to create any DIR with any document type under a any sub folder.
    So, could anyone suggest me a way out to restrict document types under a folder?
