Hi Open item question in FI

Hi
Am using 2 Fi tables for BW One is BSIS and 2nd is BSAS.
Now i want to know whether that account is open or not. As per my knowedge we can get the info from BSIS table.
But my doubt is BSIS table should maintain one field to store the info is open or not.
Please let me know that field name and all.

hi Allu,
basiacally not the account but the item is open or not (the account can be open item managed). If the item is open you'll find in table BSIS, if the item is cleared you'll find in table BSAS. IF the account is not open item maanged, than all items will be in BSIS. In BSAS fields AUGDT and AUGDL will tell, when the item was cleared. in BSIS field XOPVW will tell if the item is subkect to open item management or not.

    2. We check “Reverse postings” with reversal period as next period (for example if reval is done for period 3 then reversal period is 4), why do we need to reverse the postings.

    Dear Kumar,
    About the acct determination for transaction KDF: open item exchange rate diff:
    When you revaluate i.e. run the F.05 transaction for open items any loss is posted to the Val.loss 1 and any gain is posted to the Val.loss 2 account with its offset credit or debit to the Bal.sheet adj.1 account.
    Now this is a provisional recognition of the FX difference. So long as the items remains open it will be revaluated in every period and a posting will be made. Now when you finally clear this open item e.g. pay the vendor or receive pymt from customer, the system will calculate the FX gain/loss at that time once again. This is the Exchange rate gain/loss realized. Thus, the accounts used will be those under tab Exchange rate difference realized (Loss, Gain)
    The Accounts under translation tab is used in the scenario where you are maintaining more than once local currency e.g. 2nd local currency as 30. In this case you would want to translate your FX valuation to this 2nd local currency.
    Regarding F.05 transaction:
    1. Yes you will need to check the customer/vendor and GL open items to valuate them all. Since the customer and vendor reconciliation account are tied up to AR and AP, the program does not recognize them as a pure GL account.
    2. You need reversal so that tracking of your fx valuation is easy. E.g:
    You have open item in EUR and your local curr is USD. Lets us say ex rate is USD:EUR is 1:1.50 and open payable item is EUR 100
    Open item in EUR-----Open item in USD--
    Diff
    Period 1: -
    100--150--
    0
    Period 2: fx rate 1:1.60--100160--
    loss of $10
    Period 3. fx rate 1:1.30--100130--
    gain of $30 over period 2.
    If you don't choose the reversal postings, the system will record both the loss of 10 and the gain of 30 netting to 20. However, if you choose the reversal posting, the system will reverse the $10 loss in period 3 and just take the revaluation based on the period 1's rate i.e. difference btw 150 and 130 USD i.e. $20.

    I would like to ask you 1 thing if this is standard SAP behavior.
    when using transaction f-32, f-28,I select the customer and his local currency.
    Then  it picks the documents which have USD document currency also and local currency amnout is eactly like in document
    when I click on tab "currency", the amount of local currency on those lines with doc.currency USD always change accoridng to exchange ratess table tcurr
    so my question is if this is a normal behavior? if not, please suggest how to solve this, that the amnout does not change

    This is standard SAP behaviour.
    amounts are converted as per the posting date exchange rate.

  • Open Item Management - Selection  / Disselection - on / off  in FS00

    Hi Gurus,
    Referring to OIM, we have one GL Account " PF.CO'SCONT.PAYBLE " open under Current Liabiity.
    When we tried in Production server (ECC 6.0) to select the "OIM", system has generated the error as :-
    NA FH087 
    Short Text : You cannot change the OIM settings (see long text)
    Diagnosis : This account does not have a balance of zero
    System Response : You cannot switch the OIM specification on or off with this transaction.
    Procedure : If you want to switch this function on retroactively for a certain account, you should create a new account with the correct setting and use this to make a transfer posting of existing items.
    If you want to switch off the OIM function retroactively for an account, you must first clear all the postings currently on this account. You cannot make any changes to the account management method until this is done.
    Infact in Development Server (ECC 6.0), system is directly allowing us to change the "OIM" i.e. to select / disselect the option with out std program - RFSEPA02 or applying any note.
    Giving herewith the configuration in FS00 as under :
    Type / Description :
    Account Group : Current Liability
    Balance Sheet Account
    Under Control Data:
    Account Currency : INR
    Only  balances in local Crcy - Selected
    Line item display - Selected
    Create / Bank / Interest :
    Field Status Group - Balance Sheet Account (Text & Bness Area are required field)
    No other option selected / considered
    Same setting we are having in Production but system is not allowing us to change the same.
    We are surprise as after upgradation to ECC 6.0 in Oct 07,  on one occassion system has directly allowed us to select OIM.  But now we are facing a problem in one server but not in other ?
    If anybody come across such kind of scenario please share the knowledge. Points will be assigned surely for a correct recommendation.

    Solution of transferring line by line data to another account we know but my question is how the system is behaving differently in 2 different servers with the same configuration.
    Is there any other setting or activation varies in these 2 servers.
    Also as you are saying in case of " Development Server " having no Open items, question of " Open "or " Closed " item is not there since from begining the subject GL does not have " OIM " activation. It is showing only line items ( with Green selection / correction mark ) instead of Red or Green symbols.
    Balance is not  " Zero " in both the servers & line items total is matching with the Master data ( 1st screen of FS10N) of GL.

  • AR Open Items and Aging question

    Hi
    I have one question on AR Open Items aging. If Doc 100000 is posted on 4/1 with amount 25. Suppose it is cleared on 4/8. Now i get two records to BI. One will replace the existing record with Clearing Doc no and other one new posting for the clearing doc.
    Delta load on 4/1/2011

    My question is If I run the Aging report on 4/9/2011 with key date value 4/1/2011 will the result show 25 amount as Open item or cleared item?
    If I want to show status of the document as of old date, Should I take daily snapshots of the data?

    That document was open on 4/1/2011......and was cleared on 4/8/2011................
    If you execute the R/3 report FBL5N (Customer Line Item Display) with the "Open at key date" 4/1/2011.........the report will show the document as open item.....
    What your Aging Report in the BI side will show it depeds on the design of the report.....but as per my understanding if the Query get executed with key date value 4/1/2011 ....then the report should show the document as Open Item..
    In that case the restricted keyfigure should design in such a way that it will compare the Clearing Date with the Key date......if the Key Date < Clearing date then the document will be trreated as an Open Item........if Key Date >= Clearing date then the Document will be displayed as an Open Item.........
    We are also using such a report.......Infact we have also designed in such a way so that the report can display how old the document is 90 days, 30 days....etc. by giving the Offset value......
    But frankly speaking it depends on your requirement and the design of the Query....

  • ECC6 - Line item display and Open item management Questions.

    Hi All,
    For SAP ECC6, although I do not maintain line item display and open item management for Recon GL (for Debtor), I still can use FAGLB03 to view the GL balances and even Drill down to line item level by double click the value from FAGLB03 until line item level.
    Questions:
    Could anyone confirm whether my assumption below, true?
    1) If Line item display (Tcode: FS00) is ON, then the data will be stored at table: BSIS
    2) If NO open item management, then there should be no data to be stored at table BSAS for thaty particular GL account
    3) BSAS will only have data, after clearing was carried out ... move from BSIS to BSAS.
    In ECC 6
    4) FAGLB03 can drill down to line item level, although the GL (Tcode: FS00) was NOT set open item management and line item display is because from FAGLB03 when drill down to line item level, it actually extract data from BSEG, right?
    Additionally, we can use FBL3N to check the line item data for NON line item display GL as well.
    In SAP R/3 4.7, if not mistaken, if the GL is NOT line item display and open item management, we cannot drill down the line item reading and CANNOT use FBL3N to check the line item data.
    Kindly advise on these.

    BSIS is an open items table. You can see all GL open items there. GL's which are not open item managed can't go here

    Yes. In case of partial clearing data will be there in both the tables BSIS & BSAS

    These are New GL reports and report is based on document split object. if your document split is active at segment level then you can see line item report at segment level using FAGLL03. These reports has no link to FS00 settings.

  • Unable to Clear Vendor open items in F.13

    Hi All,
    We have few vendor codes, where all are having some normal open items as well as Spl GL open items and net balance is 0.
    When we do clearing with F-44, No issues at all
    But when we try to clear them through F.13, system is grouping normal open items and Spl GL transactions separately.
    If i choose  Shortlist (Statistics) in selection screen, then only atleast i will be able to see normal line items in one group and spl gl items in another group.
    If i choose, Detailed List with Error Log, i am not able to see anything related to any kind of line items.
    So then, i red the documentation of the program SAPF124, in that it says Down payments can only be cleared if down payment clearing for the same amount has been posted.
    As we all know that, each spl GL transaction can be cleared against one normal transaction in F-54. But in our case, we never do that practice, and always want to clear spl GL transactions along with normal transactions.
    My question is that, Is it mandatory to clear them in F-54 before doing F.13?
    As i know, there is an check box option for selecting spl GL transactions in F.13....in this case why should i clear prior to F.13?
    Please advise...

    I agree with you, but my intention is to know, whether any possibility (change of internal selection criterion for recon account)
    to clear them automatically in F.13 without doing F-54 only.
    Anyhow i have found two other alternative solutions for the same.
    1) Batch input recording for F-44 in LSMW.
    2) Using worklist instead of vendor code in F-44 to clear all items at one go.
    As our business won't follow clearing with F-54, so this requirement may come often. 
    But only my concern is, they need to identify these cases separately and spend more time to add each vendor code to that worklist, since they are not able to add a range of vendor codes directly. As it allows only single values.
    So, is there any other way, which we can suggest them to add 10000+ vendor codes to the same worklist, since we can add 12 codes at one go and repeating the same will take time

  • Vendor Open Item Was Not Offset After a Replacement Check

    Hi FI Guru,
    We have an issue with vendor replacement check.  Our vendor open item still apears in FBL1N after a replacement check is paid.  We initially issued a check against a vendor invoice and we had to void that check because due to check printing problem.   The check was cancelled in FCH8.  We then issued a replacement check in F110.  When I displayed open items for the vendor in FBL1N, the vendor invoice still showed up.  The replacement check already sent to our vendor.  So we have to apply the payment to the vendor's invoice.  It seems the second transaction (for the replacement check) is incomplete because I dont't think it hits our bank account.
    Here are my questions:
    1) Is there another transaction our user needs to offset vendor invoice?
    2) If we have to fix it manually, what is the best option to offset the open vendor invoice and still be able to hit our bank account.

    In order to change the Open Item Management for a G/L account using
    ZFSEPA02 the line item total(Total of open items)for this account
    should match/tally with the account balance for this account (FS10),
    otherwise the open item activation will not be possible.
    Unfortunately as per note 175960 you find reports RFSEPA02/ RFSEPA03
    are no longer supported as of release 4.5A.
    ALTHOUGH you can find a possible solution on how to tally the line items
    to the balance in the NOTE 403744.
    1.  Active New General Ledger
             This note applies ONLY WITH RESTRICTIONS to Release ERP 2004 or ERP
             2005 with activated New General Ledger and activated document
             splitting.
             In these releases, it is not currently possible to subsequently
             activate the open item management under the specified conditions.
             The only option currently available is to set up a new account with
             open item management and to use this instead of the original
             account.
             However, it is also possible to deactivate the open item management
             using report ZFSEPA03 under the prerequisites described below.
         2.  Migration to the New GL:
             If you are planning to migrate to the new General Ledger using a
             migration type that enables the use of document splitting, ensure
             that in Phase 1 and Phase 2 NO changes are make to the open item
             management. Phases 1 and 2 indicate the period between the migration
             date and the end of the actual migration (the "Migration Completed"
             indicator is set)

  • Trading Partner for open item document prior to BCS implementation

    Dear Experts,
    We have just introduced BCS in our company currently. One of the difficulties the user are facing is that the open item (many of them - thousand open item with different currencies and exhange rate) prior to the introduction of BCS does not contain Trading Partner. This ended up that the adjustment on the Trading Partner has to be done in BCS regularly. The amount in value of adjustment is not fixed - since there could be subsequent payment that will clear the open item.
    I understand that TP cannot be changed once posted. Have read a lot in the SAP portal and forum.
    Question: Based on your experience, it there a way that I can overcome this problem? Could SAP somehow allow TP to be assigned to open item document prior to implementation of BCS?
    I hope I can get some answer, otherwise, our user has to diligently continue to put the adjustment until all the open items are cleared.

    hi,
    Check whether the document type you are using to post is allowed to enter the trading partner.
    To check use the TCODe OBA7  and select the relevent document type. then select the check box enter trading partner under control data.
    and also check the customer you assigned for that posting key 01 is got assigned trading partner in the master record or not(TCOD XD02/XD03).

  • Clearing of Open items - Critera - Auotomatic Payment Run

    Dear Friends,
    We have configured the Automatic Payment Run in the system and are in the process of maintaining the integration with the Bank. When we import the Electronic Bank Statement, we find that instaed of 'Value Date' some otehr reference gets populated in the assignment field in the line item for Bank Clearing Account, thus rendering it difficult to perform automatic clearing of open items. The first question is how to check what information is getting populated and why? Is there a way to find it out ?
    Another thing is that we have been advised to maintain the substitution rule so that instead of some other reference, the Value Date gets substituted in the Assignment Field? Need the help of experts in finding out which information gets populated in the Assignment Field and second what is the method and config maintainence required for defining the Substitution Rule so that the Value Date gets captuerd in the Assignment Feild and which would help in perfroming the automatic clearing of open items.

    Thanks for the prompt response. In FF.5 while importing the Bank Statement, the box for "Assign Value Date" was checked and in the GL Master of the Bank Clearing Account, the Sort Key has also been defined as 027 (Value Date). Even then in the line item posting for Bank Clearing Account, the reference from Document Header Text (Field Name BKTXT) gets populated in the Assignment Feild. Now the issue is that this field needs to be substituted with the value date. How to define the Substitution Rule? Another issue is what should be the second criteria defined in the system for clearing the Open Items in the Bank Clearing Account, since for the same value date there could be two identical items and only one may be cleared from the bank and other one may be outstanding?
    Help from experts who have configured e banking would be highly appreciated.

    my client is having 3 company codes, these companies exchange goods/services for which intercompany vendor and customer is billed.when it comes to clearing of open items in intercompany vendor/customer client demands some automated approach to reconcile the vendor/customer line items in  another company(both company codes are in the same instance) and also to clear these line items.
    i have two questions in this regard,
    1. Is this possible to reconcile (match) the line items of vendor in another company code with line items of customer in own company code.
    2. If answer to above question is yes, how i can automate this process.

    The answer to your question is yes. This is what you need to do.
    Execute transaction code <b>OBYA</b>, when prompted, type in 1st coy code, say <b>A</b> and then 2nd coy code, say <b>B</b>. This would take you to the "<b>Maintain FI Configuration: Automatic Posting - Clearing Accounts</b>" screen.

    So, if you are using the Customer/Vendor approach, company A must be set up as both a Customer(Use Txn Code<b> XD01</b>) and a Vendor(USe Txn Code <b>XK01</b>) in Company B and vice versa.
    Once you have completed this set-up, you can then use transaction <b>F.13</b> and/or <b>F13E</b> to carry out your automatic clearing.
    However, if you intend to use the G/L approach, then the account numbers would be Inter-coy G/L account for each coy code as defined in the chart of accounts.

  • Down Payment Clearing Document shows as open item

    Hi,
    I made an Down Payment Request (f-47) for $ 1000; made a Down Payment on that request (f110) for $1000; posted an invoice (fb60) with $ 1000; cleared the down payment and invoice (f-54) for $1000.
    Now in vendor open item s(fbl1n), both invoice (KR) and the clearing document (KA) are shown, while in cleared items, the down payment request (KA), down payment (KZ) and the clearing document (KA) are shown.
    My questions:
    1) Why the invoice and the clearing document are shown as open items?
    2) Why the clearing document is shown as both open item and cleared item?

    Do not worry this is standard behavoiur by the system..see the below flow...
    1. Create down payment request - F-47. (Open)
    2. Create downpayment from the request F-48. (Down payment is open)
    3. Clear downpayment F-54. (Invoice and payment are open in normal items and Downpayment and requests are cleared. So downpayment came to normal items.
    You will need to clear these items manually...

    my question is there any filed available in BSIK or BSAK to user know whether that transaction is open or closed?

    Check for "Clearing Date" field.  (BSIK- AUGDT or BSAK- AUGDT).
    This field will have blank value for open items (BSIK) and date value(clearing date) for cleared item (BSAK).

  • Open item not appearing in F-44

    Hi
    I want to clear one vendor employee. There are three entries in it in FBL1n.
    1st entry came from TRIP (HR Travel posting) with posting date 10.05.2010
    The other two entries are advance to employee.
    When i am giving F-44 on 30th June2010 with OI Items tick and special GL Indicators, it does not show normal open item (entry came from TRIP), But it shows two line items for advance given to Employees
    Please let me know what could be reason for the same

    - Check some table fields in the missing documents using Transaction SE16. The following conditions must exist for the missing document numbers in question -
    BSIS-XOPVW = X (Indicator: Open item management, only for G/L accounts)
    BSEG-XOPVW = X (Indicator: Open item management)
    BSEG-AUGBL = space (clearing document number)
    BSEG-DISBN = space (discount document number)
    BKPF-BSTAT = space (document status)
    BKPF-XSTOV = space (indicator reversal flag)
    REGUS/REGUP -> see below
    Look at table REGUS using Transaction SE16. Enter the account (KONKO) in the selection screen. If you selected an entry, use the information Run date (LAUFD) and Identification (LAUFI) in Transaction F110 (payment program). Check the status of the payment run. If only the proposal was carried out, the documents proposed for payment are blocked for other clearing transactions. It is only when you delete the proposal run that the items are taken into account again in the clearing transaction.

    Dear all,
    I am closing this issue since I got the solution apart from the mentioned above.
    There is no need to change the Document Type since that will only change the Document type for e.g. from KZ to ZR, nothing will happen in the accounting entry.
    Solution was there in the "Posting rule" which i defined for making Cheque Payment.
    There are options of "Posting Type" - 1 which is for "Post to G/L Account" - In this case, system will Post the following entry Dr. Outgoing Bank Account & Cr. Main Bank Account without looking for any "Open Item".
    Posting Type" - 4 is for "Clear Debit G/L Account", menans that if you are having "Open Items" and you want to clear those then only use this posting key.
    While testing I had not posted any payment to vendor in Bank Outgoing Account hence no question of having "Open Items" in Bank Outgoing Account. And I had made the selection of "Posting Type" - 4, which require "Open Items" for direct clearing, hence was getting the subject error.
    This is for everybodies information.
