Hi ,
As per the understanding that i can have from the inputs provided by you , you are moving ahead with a combination of Fund center and commitment item .
Is it the case that for capital items your GL account would be diffrent as compared to the expense item .
If that is the case then you can create different commitment item based on the GL and accodingly maintain the derivation strategy .

  • Employee wise Budget and Expense Tracking in FM-BCS

    Hi Experts,
    We have Activated FM-BCS to one of our client for budget tracking.  Our client needs Employee wise expenses tracking for better and effective control. There is a requirement of capturing the budget Amount and Actual Amount on the basis of Expenses wise, Department Wise and Employee wise.  For Example: Client wants to maintain the budget Employee wise Department wise and Expenses. Like
    Employee No (PERNR): 1234
    Department (Cost Center): Marketing
    Expenses (GL Code): Telephone Expenses
    Grouping of Expenses: Operating Expenses
    Tracking Method: How much one Employee 1234 has budget for Telephone expenses and how much he has spend over a particular period.
    So we have mapped as follows in FM-BCS to address the above issue:
    Cost Center = Fund Center
    GL Code = Commitment Items
    Group of Expenses = Fund
    Through FMBB, we have given the budget values as follows:
    Fund+Fund Centers+Commitment Items.  And actuals also we could capture.
    But we are not able to map the Employee numbers in FM. How to accommodate / map the employee nos to FM Account Assignments. Can we map employee numbers to Funded Programs (700 employees in number and Overhead GL codes are around 50)

    Hi,
    To start with, choosing 'fund' for representing group of expenses, does not make much sense. Your expenses are already mapped by commitment items, being representative object for G/L. If you want to group those, you can use simple hierarchy of commitment items. 'Fund', when used properly, belongs more to budget domain, rather than to the expenses. For example, it could represent the source of the budget.
    Secondly, having budget control on employee level sounds bit strange. Is your client going to budget 700 employees with different combinations of G/Ls? For what reason? And what happens if employee exceeds the budget? They won't pay him? All this does not make much sense. I understand, if you want to collect statistical data on the expenses made by employees. You can do it either via CO (internal order) or via self-developed reports based on PERNR.

    I do not understand the request, the account is or is not relevant to budget ??... As can be two options???
    Still, it strikes me that you could create a user field in the Chart of Accounts that allows you to indicate this condition to take control then you need through searches preformatted.

    Hi. I am working on enhancing a BAPI :BAPI_GOODSMVT_CREATE by calling the following function module IBPP_CREATE_IBASE at its exit.
    The BAPI is being called from an SAP ME system and will be passing MATNR and Serial Number of Parent and Child materials to create the IBASE in ECC system. I am confused as to how to differentiate between whether a object is Parent or a Child when the BAPI: BAPI_GOODSMVT_CREATE is called.

    never true or false. Even comparing two fields which are both NULL will
    give NULL as result, not true! Or if you have something like "select
    sum(field) from ..." and one or more are NULL, then the result will be
    NULL. Use always "if field is NULL ..." for NULL checking and for safety
    maybe something like "select sum( IsNull(field,0) ) from ...". Check the
    function ISNULL() in the manual.

  • How to differentiate migrated assets and newly purchased assets?

    Hello Experts,
    I would like to make a report for fixed assets, and that report has a field for beginning balance.
    I have a question on this beginning balance field.
    As you know, we have migrated fixed assets from legacy system and new assets that are purchased at SAP system.
    When I make above report, how do I differentiate migrated assets and newly purchased assets from the beginning balance point of view?
    Please let me know the database fields to classify above two things.

    The reason we want to have this kind of report is that this one is for tax reporting.
    As Ajay mentioned, SAP standard asset reports like S_ALR_87011990 is good but they are not enough.
    When I looked around some tables related to fixed asset values, I found out there are 2 fields might be related to above questions.
    They are ANLC-KANSW and ANLC-ANSWL.
    There is no value at ANLC-KANSW field in SAP cut-over year if it is new asset, and ANLC-ANSWL has no value if it is migrated asset.
    I guess if I use above 2 fields, I might be able to classify two things.
    Do you guys agree with me?

  • How to Differentiate Normal CrossCompany and Return CrossCompany in VL10B

    I have a Normal CrossCompany PO and a Return CrossCompany PO.
    If I go to VL10B to create deliveries for both PO's how can I differentiante it if they have the same shipping point (the return po is similar to the normal one, only with return field active)?
    The dispatch person is different from the normal to the return purchase order, but data in "Shipping" detail menu in both PO is the same...
    Do you know how to differentiate this in VL10B? So people from the plant who is returning can dispatch their return PO's and people from the initial supplying plant doesn't see it.
    VL10B and others VL10.. don't have any field that could differentitate this type of POs.

    What you suggested is the ideal approach...
    However, if they say that the budget allocated to capital purposes (70%) applies to both capital projects and expenses and they would like to control it together, but have reports separately, it is not possible with standard SAP...
    If they want to have just one IO for both cap and exp, You can suggest them a work around to capture CAPITAL or EXPENSE in a ref field (XREF1 in BSEG) and you can run KOB1 with XREF1 displayed in it....
    In standard KOB1, XREF1 is not displayed, you have to use Exit COOMEP01 to include the fields you want... Add XREF1 to the Structure CI_RKPOS and write your code in the include ZXKAEPU01 of EXIT_SAPLKAEP_001
    Without an identifier @ the time of booking the transaction in the system (Either by way of IO or a ref field), you wont be able to generate reports later on

    Example of payment budget
    Use update profile 101 and you will have a payment budget. this means:
    earmarked funds (reservations, precom, com) are updated in the FM ledger payment budget
    real (invoice and payments) are also updated in FM ledger payment budget. Attention. if you are in release before 5.0 you have to run RFFMS200 program in order to see the invoices paid. In ECC 6.0 it is online if you are a new FM customer.
    Via MM   PR, PO, GR, invoices MIRO and payments are also updated in FM ledger payment budget
    Example of parallel ledgers commitment budget and payment budget
    You can not use only commitment budget ledger if you want to see your real invoices and payments
    Some clients like EU and others use separate FM ledgers. Then you have to enter twice data in the two ledgers.
    Then they use update profile for this like 500 or 350(please check).
    Commitments (earmarked funds and PR, PO) update the ledger commitment budget and invoices and payments are updated in ledger commitment budget.
    Hope this is a litle bit clear.
    Before implementing FM it is important to ask what your client wants and ask if you don't know the best update profile to use to SAP AG

  • Assigned Budget in Annual Budget Table (BPJA)

    Hopefully someone can help me shed some light into my question.
    I need to create a budget report which will display the annual values of a Projectu2019s budget and the available budget. Now I know there are at least 2 budget tables, which is:
    BPGE : Total for Overall Value
    BPJA : Total for Annual Value
    Since I need annual values, I wanted to use table BPJA (Total for Annual Value) of which I need to extract Budget and Assigned Budget values. However when I look at the table, no records exist for value type = u201842u2019 (Assigned Budget). There exists only value type u201841u2019 (Budget) or u201847u2019 (Program Budget). This is different with table BPGE, where records exist for assigned budget.
    In accordance to above values in table BPJA, the Assigned Budget column in t-code CJ31 (Display Original Project Budget) also doesnu2019t display any values for annual rows. However, the Assigned Budget for overall row is displayed.
    Now my question: is that how the table is normally behaved, i.e. value type u201842u2019 (Assigned Budget) is only written to table for Overall Value (BPGE) and not for Annual Value (BPJA)? Also that CJ31 only displays Assigned Budget values for Overall and not for Annual Rows? Or did I miss something? I need the assigned budget value because I need to calculate the available budget, whereas calculating the values from other tables (COSP, COSS, RPSCO) would require a more complex extraction.
    Iu2019ve searched in the SAP forums and also SAP Notes and couldnu2019t find anything that mentions about the above problem Iu2019m having.

    How's your Budget Profile setting which allows BPJA to display Assigned Budget? Is it Time Frame = "Annual values" only and Availability Control with "Overall" unchecked?
    I just tested using another setting where only Annual values is checked and Overall tickbox in Availability Control must be unchecked, and the assigned budget does show up in BPJA. Seems like this setting might be why Assigned Budget won't show up in BPJA table, since value type "42" is tied to business transaction "KBFC" (Availability Control). Based on the test result, Assigned Budget only shows up in either BPGE or BPJA based on the availability control, but not both. If the availability control is set to Overall then value type shows up in BPGE, whereas when it's set to Annual then value type shows up in BPJA.
    Would be great if someone can back me up on this conclusion.

    No difference between invoice and billing document.
    But If we want to inform the payable to the customer we use the terminalogy invoice.
    Example Credit meomo, debit memo. etc ...
    As there is no difference , both have the same document types.

    I have posted a budget entry document with budget category 'payment' and posted few commitments and actuals , when I run the Budget Consumption oveview report - budget amounts  are shown under the column ' Current Budget' not under consumable budget and nothing is shouwn under consumed budget as well. Where as I have posted an entry document for budget category ' Commitment' earlier, thats being shown under consumable budget and all budget consumptions are recorded. Both the entries are made with one document type which is assigned to 'automatics release'. I am using update profile 102 - PB , inv, posting date. What is that i am missing ?

    I suppose that you are using BCS, if not, kindly let me know.
    Can you please inform your EA-PS package? In addtion, can you please confirm if the report that you are using is transaction FMRP_RW_BUDCON? If you are using this one the value columns of this report are the following:
    Consumable Budget =  from availability control
    Consumed Budget =  from availability control
    Available Budget = Consumable Budget - Consumed Budget
    Current Budget = from budgeting
    Commitments and Actuals
    Therefore you can check each field with the table values.
    For AVC fields (that check the value from availability control) you should check the value from the report in table FMAVCT.
    Current Budget from your budget transaction or reports.
    Commitment and Actuals from table FMIT.
    Let me know your comments about these information. I hope it helps you.

    You've got to give us something to go on here. At least post a screen shot so we can see how your data is arranged. I suspect that you may have named the months with text strings rather than as actual Date values, so when you sort they are in alphabetical order rather than date order.
