How to handle vendor down payments on invoice payment?

Hi,
The Vendor down payments are required to be manually cleared before payment against the Invoice to the Vendor. There is great amont of risk involved if manual clearing of down payments is not done. The invoices are likely to be paid fully in spite of down payment? Has anybody done any kind of development in this area? Can you share your experiences in this regard?

Hi,
If you are making payments to vendor using F110, undjusted downpayments are included at the time of payment. If you are doing payments through F-53 or F-58, the user can give Special GL indicator to display and slect unadjusted downpayments.

    Hi,
    For the discucount condition type, you have to maintain scales.
    Take Condition type -  Discount Value ( RB00)
    Discount Value ( RB00) - Means Fixed discount. For this condition type, you have to maintain Scale basis as Value scale 'B' in the condition type customization.
    Transcation : M/06
    Select your condition type RB00 and click on the details icon.
    In the Scales block, you have to maintain and save.Calculation type = Fixed amount
    Scale basis = Value scale 'B'
    For this condition type, you have to maintain scales in the inforecord.
    Transcation : ME12
    Select this condition type, click on the Scales icon. There you have to maintain like
    From : 10,0000            Rate: 5000.
    It means, if the document value is reached 10,0000 then discount is 5000rs. If the value islessthen the 10,0000 then no discount.

    On my adobe form there are some drop down boxes like company code, cost centre etc, actually i need F4 help on those fields,  but what i found is it's not possible to have F4 help on adobe form so i have choosen alternative as webdynpro acitvex drop down box in library. I have written a web dynpro application to fetch the data and display it on adobe interactive form, i could able to display the data for all the fields on adobe form except these drop down boxes, can any body suggest me how to handle these drop down boxes in webdynpro application. Your help will be greatly appreciated.

    As you are using the WDP ActiveX dropdown in your form, it is fine but to populate values in the DD, you need to bind the context attribute with a simpletype and then populate the values. Use the below code to obtain a ModifiableSimple Type:
    IWDAttributeInfo abcInfo = wdContext.nodeABC().getNodeInfo().getAttribute("AttributeName");
                        ISimpleTypeModifiable def = abcInfo.getModifiableSimpleType();
                        IModifiableSimpleValueSet abcValueSet = def.getSVServices().getModifiableSimpleValueSet();
    and after this put te values in the obtained modifieable simple type like below:
    abcValueSet.put(key,value);
    where key may be the ID and value may be the name to be displayed in DD.

    Dear Deepak,
    there is no difference between the two transaction F-04 and F-28, if You use the F-04 with Incoming payment flag switched on.
    The F-04 like FB05 are the generic classic trancations that can be used for incoming, outgoing, credit memo and clearing at once: changing the flag You can do different posting without running different transction as F-53, F-28 and so on.

    Need your help i have a strange situation
    1) F-48 and document posted with document no = 15..... in company code = L002 with payment block getting populated automatically
    2) F-48 and document posted with document no= 15..... in company code = Us11 without payment block and the screen does not even show payment block, I had to check this from BSEG table
    My question is
    a) How and where does this payment block is triggered through configured and how to process next steps.
    b) when I use F-48, how do we do the actual payment, is there a check printing and linking it to the KZ document or is check printing done outside the system and the KZ document type does not have any linkage.
    c) If I do FB60 for a higher amount how do we pay partial amount.

    - I receive the Vendor down payment invoice: u20AC 12000,00 with VAT. I post it by F-48 in the follow way:
    Posting Key 34; Vendor Code; u20AC 12000,00
    Posting Key 29; Vendor Code; special G/L Indicator (A); u20AC 10000,00
    Posting Key 40; VAT G.L.; u20AC 2000,00
    - I receive the Vendor FINAL invoice that I should post by MIRO and  which the VAT isn't posted.
    I wonder how to obtain by miro the follow posting:
    Posting Key 39; Vendor Code; Special G/L Indicator (A); u20AC 10000,00
    Posting Key 40; G.L.account; u20AC 2000,00; u20AC 10000,00

    while clearing through f-44 system showing error as "to large for clearing clearing is not possible"

    Hi Chandra,
    You chose any one of the currency i.e. EUR/INR/USD for clearing in F-44. After selecting line items for clearing, system will show a difference. Click on over view button and manually write off the difference by selecting any one account i.e. dummy or small diff.account, after that click on process open items then system will show the difference 0 and simulate the document, here system will post gain/loss exchange GL postings along with other line items. After save the document, manually pass journal entry to dummy account and gain/loss account. I have explained clearly in the below example.
    Invoice is in USD - 1000 & INR - 60000
    Payment is in INR - 60000
    Now I am going to clear these in INR currency in F-44 on 31.03.2015. On this date the exchange rate for USD is 60.10. At the time of clearing system will post the below entry
    Vendor A/c Dr 60000 (invoice)
    Vendor A/c Cr 60000 (Payment)
    Gain from exchange rate A/c Cr  100 (60000 - 60100)
    Small diff.write off A/c (or) Dummy A/c Dr 100
    After done the above posting, we have to pass below manual JV in FB01
    Gain from exchange rate A/c Dr  100
    Small diff.write off A/c (or) Dummy A/c Cr 100

  • Vendor Down Payment Clearing F-54

    Hi,
    I am clearing Vendor Down Payment using BDC for T-code F-54. I have Invoice no and Down Payment Document No, which needs to be clear against that Invoice.
    But, how to determine the position of that DP Document number in the next screen when i am using BDC? T-Code F-54 selects Down Payment Docs from table BSIK. So, in which sequence DP Document will be displayed in table control in the next screen? (e.g. {based on document no, Posting date} =>(ASC/DSC)).
    e.g: Invoice no: 7100000001 DP document: 5240000004
    after entering Header data on F-54 you will get below data,
    DP Document:
    1.       5240000001
    2.       5240000004
    3.       6600000003
    4.       6600000004
    So, how to determine my DP Document is @Position no: 2.??

    BDC is unable to select document in sort postition. This is a manual input and SHDB recording can't choose DP documents like that.
    I would recommend you clear downpayment by F-51 or change document FB03 for invoice reference field. It's same effect of F-54 however depends field status of of your installation screen.

  • Vendor down payment clearing without VAT posting.

    Hello SAP Gurus,
    I have following issue:
    Currently our Vendor down payments produce VAT postings when clearing with final invoice, which is correct.
    But we have some old vendor down payments which does not include VAT and needs to be cleared without any impact to VAT postings.
    User is using F-44 transaction and can not define any tax code for postings, system calculates it automatically.
    It is not possible to make VAT posting happen and then make reversal postings fot VAT accounts as well.I tried to check flag 'Posting without tax allowed' and uncheck 'Post automatically only' in account master data. And then make manual posting using that account via FB01 but system still requires tax code to be entered because Tax category in account master data is set to '<' I'nput Tax Account'. It is impossible to change Tax category let's say to ' * ' because account have balances on it.
    Could anyone advice how can I clear these downpayments without VAT posting?

    I have tried to enter 0% input tax code, but still I'm not able to post document because of error msg:
    Tax entry not possible in this item
    Message no. FF724
    Diagnosis
    You can not enter a tax amount in this item since, due to the posting amount entered and the tax code, a total tax amount of zero has been calculated.
    This could either be due to the fact that the tax code has been defined with a value of 0%, or because the posting amount entered (that is, the tax base) is too small.
    Example:
    With a tax rate of 15%, a tax amount greater than zero will only be achieved with a base amount greater than 0.04. With values of 0.03 and less, it is therefore not possible to enter a tax amount.
    Procedure
    Only enter tax amounts in conjunction with tax codes for which a percentage rate not equal to zero has been defined. Make sure that in documents with several G/L account items you enter the total tax amount in an item with a sufficiently high posting amount.

    while clearing vendor down payment, some down payment entries are posted as ka doc type. now i have to clear the invoice down payment with the ka doc type. how to do this.
    for retention account we booked in special G now that retention money also paid but that doc is not showing as cleared. still it showing in red colour. but balance is nill.  what to do for this..

    Hi once you do the Down payment clearing only 1 & 3 line items will be cleared.
    but 2&4 line items will show as open items .
    This line items you have to clear  .Clear this in F-44.

    While posting down payment to my service vendor including service tax amount in F-48 after tick the calculate tax also, it is not asking for tax code and it is not showing service tax seperately.   • Withholding Tax Error during Vendor Down Payment

    We have created some new Withholding Tax Types and codes and have assigned them to a Vendor. Now when we try to make a down payment on this Vendor, at the time of posting the system gives the error:
    "WCT Code not allowed in Down Payment. Remove the WCT Code."
    We are using the newly created Withholding Tax code, so how and why is the system taking it as WCT?

    First create withholding tax types for Payment Posting and withholding tax codes and while assigning withholding tax types and codes in Vendor Master Data , only assign withholding tax types and select Liable checkbox and do not assign withholding tax codes.
    while doing Down payments or Invoices system will prompt a pop-up box and you can select the relevant tax codes.
    Then you can check whether it is calculating the taxes or not.

  • Vendor Down Payment Clearing: F-54 or F-44

    Hi
    I have made a down payment (with Spl. GL indicator) to a vendor, using F-48. Then I book an invoice using FB60. I kept the two amounts same and ignored WT to keep things simple.
    Now i want to clear the down payment against the invoice. I use F-54. The clearing transaction is getting posted. However, the Invoice is lying open (credit entry) along with the Clearing document (debit entry). On the other hand the down payment document (debit) is getting cleared with the Clearing document (credit entry). This means I have two open line items and two cleared line items. I can clear the two open items again using F-44.
    I have two questions:
    1. What is the use of F-54 here since I have to use F-44 eventually?
    2. While doing F-54, Posting Key for the debit line item is 26 : Payment Difference. This is could not understand.
    Can anyone please help me out on this?

    1. Advance to Vendor (spl gl -A)(F-48)
    Vendor a/c    (SPL-A)( GL- 4005000)        DR   1000
                      T0  Bank a/c (GL-5000100)                  1000
    2. Invoice posting
    Expenditure a/c ( GL-7575100) Dr      1000
         To  Vendor Account(GL-3000000)     1000
    3. Clear Vendor Down Payment (F-54)     
    Vendor  a/c (GL-3000000) DR                1000 (Posting key-26)
         To Vendor a/c (SPL-A)( GL- 4005000)          1000
    It means  Credited spl GL-A has converted from advance to Normal open item. Amount has been transferred from Advance to Vendor GL to Normal Recon account.By this way Advance account shows Nil  Balance with debit(F-48) and Credit (F-54)
    The remaining 2 line items i.e., Credit (F-43) and Debit (F-54) shows as open items. In the next step we need to knock off those line items by manual clearing or automatic clearing.
    4. Normal Clearing (F-44)
    It will be posted without line items.

    Check payment term in  master data is exist or not.
