Linking Excel to InDesign

We are currently trying to "automate" a process at work, and I'm looking for a way to link an Excel Spreadsheet to InDesign (or any adobe product for that matter), but we need it in a unique way and I'm having a hard time finding answers on how or if it can be done.
The image above is a sample page of what we are needing. We have companies that come to us for estimates/quotes, and a separate excel spreadsheet file is created for each company. We need to tell InDesign (or whatever program) to link to a spreadsheet, and it automatically pulls cell C7 to fill in where indicated, C8 to fill in where indicated and so on. So, it's not like a mail merge or linking one Excel file that we want to update when the excel file is updated. We have very specific information that we need in certain places. Any suggestions of how we can go about automating this process somehow using the Adobe Suite?

I'm sorry if my initial answer was terse and seemed counter to your specfication of "it's not like a mail merge."
I still think Data Merge is your best bet, with a merge of a single record.
You have to structure your spreadsheet such that all the fields are in the same row (perhaps you'll need to make a new sheet in the same workbook). But that should not be a problem. Then you export that sheet to CSV/TSV.
Next, you can set up Data Merge against one file, and as long as the field names field names are the same, you can change the Data Source and you'll get the new data. In what way is that solution troublesome? Yes, you have to Save As in Excel and InDesign does not "autoupdate," but it does't look like the latter is functionality you need anyhow.
There is also an XML-based solution. You can tag the text frames with XML tags, and then you can save from Excel to Excel XML. Then you can use an XML translation tool (e.g. XSLT) to convert the spreadsheet XML into an XML formatted for InDesign, with the relevant fields tagged with the same tags you used in InDesign. Then you can import the XML and the data will be inserted into the fields.
Thirdly, there is the pure scripting solution. A script that places the Excel file in InDesign as a table (because that's the only portable way to read data from an Excel file in InDesign; though under Windows you can use VBA to talk to Excel and read the data, and I suppose you could do something with Applescript as well but it would be less clean), then reads selected cells out of the table and puts them in various text frames that are tagged with script labels indicating they get data from various cells. This is more development work and could conceivably yield a smoother workflow, but it doesn't seem worth the bother over the Data Merge solution.
I guess the fourth solution is a plugin. I'm not aware of a plugin that deals with this particular problem, but just like it is the degenerate case of a data merge, it's probably also the degenerate case of a catalog such that a cataloging plugin like EmData or Smart Catalog might help you out. But it seems like waaaay overkill and this stuff does cost 3 figures (and up).

    I'm in CS5.5 . I have no problem placing an Excel spreadsheet with the cell range I want and applying cell formatting in InDesign. I am trying to build eight similar documents that will pull data in several tables from a document specific Excel spreadsheet. The only difference is the data itself. I want to build one master InDesign document (master.indd) that links to a corresponding master Excel file (master.xlsx). I'll then do all the table formatting in master.indd once before saving as the eight individual files I need (doc1.indd, doc2.indx, etc.). Soon I'll receive the specific Excel files (doc1.xlxs, doc2.xlsx, doc3.xlxs, etc.) and I will open each InDesign file and relink master.xlxs to the appropriately numbered and corresponding Excel spreadsheet.
    My problem is all the formatting of the imported tables is stripped away when I relink. There are at least 60 tables being imported. I'd prefer to format 60 tables versus 480. I've tried importing the Excel as formatted, unformatted, I've applied cell styles in Excel and InDesign but can't catch a break. Can anyone help?

    Or alternatively, do all the formatting in Excel and place as a formatted table.

  • Adding rows to linked Excel tables in InDesign

    Hi there, I have figured out how to link Excel documents to tables in InDesign, but is there a way to add additional rows to the tables in InDesign?  If I do that, whenever the Excel link is updated, it deletes the new rows I've added.
    We have data that goes in the cells below the linked table and it needs to be in the table so that they'll resize automatically when longer or shorter data is pulled in (vs. just being a totally separate text box/table outside of the linked one).

    Hi, yes, I did add blank rows but the difficulty is that for each instance (20+) the cells below vary, and are also "tagged" with variable data tags (so it brings in outside data via an xml feed) so that's only done in InDesign and not in excel... Therein lies my dilemma.  Ideally if I could be "free" about what text, cells, etc. I can put in below the linked cells, that'd be lovely.

    I have a word document with linked excel files that appear as linked images in word. When these images are clicked it opens it up in Excel where I can edit them which is fine. However, I would like to import the word doc into adobe indesign with editable tables - not images. Is there a way I can do this?
    Importing, exporting, converting. Nothing seems to work besides manually bring in the separate excel doc in one by one but that will be very time consuming at my end.

    AFAIK, that won't work. InDesign doesn't support OLE.
    You may need to convert those Excel tables to Word tables before placing into ID.

  • Placing Named Ranges from Excel into InDesign

    InDesign CS3 5.0.4, Excel 2003, Windows XP.
    I have placed named ranges from Excel into InDesign and linked them. The Excel file consists of multiple worksheets. I go back now a few months later to update the files. I go to place a couple of new ranges from new worksheets and they don't show up under the correct sheet. ALL my named ranges now show up under the first worksheet only.
    Anybody ever had this happen?

    I've upgraded to CS5.5. Ninety-nine times out of a hundred placing named ranges into InDesign from Excel works fine. One time out of a hundred I still see all my named ranges on the first worksheet and none on the rest of the worksheets where I originally named them.
    I save the Excel files as XLS.
    Am I the only one in the universe having this problem?
    Can I get an answer?

  • Updating Linked Excel File: Changing Worksheets

    I have a series of InDesign documents with linked Excel files filled with area-specific rate tables.
    The Excel files contain several different areas separated into worksheets. Each worksheet layout is identical. Only the data in the tables changes.
    I have a template file set up pointing at Excel File A Worksheet 1, and I would like to redirect the link to Excel File A Worksheet 2.
    The problem is that when I ask InDesign to relink, it asks me for the cell coordinates all over again. This ruins my efficiency.
    Is there a way to update only the linked file's worksheet, from Excel File A Worksheet 1 to Excel File A Worksheet 2, without resetting the cell coordinates?

    I've seen this error sporadically and have no clue what causes it. The
    only thing you can do is follow the direction and re-place the file.

  • Need to re-Link every Link in every InDesign document we own...

    We keep all of our common files up on a server so that everyone in our department has access to everything at all times.
    Our IT department has decided to migrate all of the Marketing Assets over to another server so every link in every InDesign file we have access to has to be re-Linked.  The path for the most part will remain the same, just the root directory will change...
    For example, where a file used to be located in
    \\clients\marketing\common\logos\logo.eps
    it will now be located in
    \\newserver\marketing\common\logos\logo.eps
    Is there any fast way to batch change all the links in every InDesign File?  Is there a script out there that can help us or a third-party software that we can get our hands on to help us?  This will take forever if we have to do it manually.
    If anyone can help, we would appreciate it.

    Here's a few ways I can think of:
    You could, of course, just leave it to each operator to resolve the links every time a file is opened for the first time since the server migration.
    You could also write/have written a script which would process folders full of InDesign files at some down time (e.g., over night) - opening each one, resolving links, and then saving it.
    Or, if you are using InDesign CS3 or CS4, you could write/have written a script that would be attached to the document "Open" event to do that same thing. This would basically automate the idea #1.

    So it sounds like you're trying to stream a video stored on a server, correct?
    Here's the way the URL must be written:
    "The URL must point to a file that ends in the appropriate file extension; for example, http://www.fakeURL.com/videos/Intro_Video.f4v for a file on a web server. Use rtmp:// in the URL for a video on the Flash Media Server or Flash Streaming Service."

  • Acrobat X - Word with linked Excel-Sheets is blank

    Hello Acrobats,
    the following problem occurs using MS Office 2007 on Win XP with Acrobat X PDF-Maker:
    A MS Word document has a linked Excel-Sheet inserted.
    The PDF maker is used to create a PDF with no tags or PDF/A specification.
    With Acrobat 9 no problems occured.
    Now, with Acrobat X the following happens: The part, where the Excel sheet is positioned, only a black frame is shown with a "play"-button (as shown below).
    Does anybody know how to avoid this problem?

    Hi ,
    This is a known issue and this will be fixed soon in the next sub-release of Acrobat X . Till then ,as a workaround , you can copy paste the contents of the 'linked' file to your word file ,instead of linking the file , this will produce an equivalent PDF .

  • Links do not appear in links panel in inDesign CS4

    I don't recall when this happened but I no longer have any links in the Links Panel in inDesign CS4 in ANY of my documents old, new, it doesn't matter. If I package a file it gathers all the links if I need to update a link I have to go to the original link outside of inDesign to find it. I have found other problems like this in other forums but have not been successful with the solutions.
    Can anyone please please help me with this??

  • LINK Excel.Sheet has issues with Non-English Office

    In non-english office when we issue
    LINK  Excel.Sheet.12 command, the range parameter is causing "Error! Invalid Link" error (¡Error! Vínculo no válido in spanish).
    Example if we do:
    {LINK  Excel.Sheet.12 C:\\Temp\\Text.xlsx  Test!R1C1:R2C2 \a \f 4 \h}
    We get invalid link error (in spanish).
    But when we remove the range parameter:
    {LINK  Excel.Sheet.12 C:\\Temp\\Text.xlsx  \a \f 4 \h}
    It works. This of course by default links only the first sheet by default. Anyone knows if this is a bug in Office for non-english? We are using Office 2010.

  • Opening Linked Excel OLE Objects in Forms 6i

    Hi,
    I have a linked Excel OLE object which is populating properly into an OLE container. However, I cannot open the file to save a local copy, as I would a non-linked Excel OLE object. If I right-click on the linked OLE object choose copy, I can paste the data into a spreadsheet, but it appears as an image, rather than as regular tabulated data. Is there anyway to open the file normally?

    Have you tried trashing the prefs? See Replace Your Preferences
    And of course it's essential that the links be up to date.

    We have a problem with the Automatic link update in InDesign CS5.5 vers. 7.6
    We want to see which images have been updated / modified (ie, marked with the yellow triangle in the links panel).
    We want to be able to update the links manually.
    Q1: Although we deselect the "Check Links Before Opening Document" and "Find Missing Links Before Opening Document"
    under Preferences > File Handling the links get automatically updated even though we choose "Do not Update Links"
    when we open the document.
    Is it a bug, or is there another option to deselect the automatic update of links?
    Q2: When we open old documents made in CS4, we get this error message (see the attached jpeg).
    We believe it is because the links are missing in the CS4 document.
    Just as many missing links in the document, as many times the error message is presented.
    It's a loop that we can't pass.
    Could these two problems be related?

    This is not normal behavior. I wonder what is different for you.
    If you deselect "Check Links Before Opening Document," you should not be prompted to "Do not Update Links." This suggest you have corrupt preferences. So try:
