Negative AR Invoice

Some of our customer needs to include in AR Invoice some Returns as well Delivery and whose balance can be negative.
In the same way, they would need to copy an AR Invoive or AP invoice with negative lines to AR or AP Credit Notes.

It must be possible to copy an invoice with negative lines to a credit memo.

    Hello,
    I am picking up the billing item condition values from KWERT and the corresponding GL Account SAKN1 from the KONV tabke. KWERT gets stored with the sign. I need to know how this condition amount will hit accounting. Would it be a debit or a credit entry on the accounting side. How can I do this? I cannot use the debit/credit indicator BSEG-SHKZG as we have a summarization on the material and we are trying to re-determine in a custom code what amounts should have posted to BSEG by material. While I am getting the amounts correctly from KONV, I am not able to figure out how these amounts should be treated on the accoutning side - as a debit or a credit?
    Example, on a regular invoice if the value is positive for a G/L account, on the accounting side the value is reverse in sign. However, this cannot be generalized as we can have many different types of invoices and different combinations.

    Hi,
    The values from billing for different condtions pick accouting documents for the GL's that are assigned as per the required combinations set in VKOA transaction. We do the revenue account det here. Now the values on invoice with + ve are the ones we are going to receive from the customer, so the customer account is debited and you see a negative sign. A discount is in negative on invoice which goes positive to the customer and hence positive sign. Freight goes to a Freght revenue GL since it cannot really be accouted as revenue as we end up paying the transporter though we collect from customer.

    You use transaction MIRO "Enter Incoming Invoice" to enter an invoice that has a reference to a purchase order. Based on your Customizing settings, the unplanned delivery costs are distributed to the individual items.
    1. You enter negative unplanned delivery costs on the "Details" tab page. The negative unplanned delivery costs lead to a negative invoice amount.
                  The system does not issue error message M8 281 "Unplanned delivery costs will lead to negative value".
                  Negative invoice values (EKBE-WRBTR, EKBE-DMBTR) are written in the purchase order history. This results in an error in transaction MCE7 "Material Analysis (PURCHIS): Selection".
    2. You post a subsequent credit. You enter unplanned delivery costs on the "Details" tab page. The unplanned delivery costs lead to a negative total invoice amount.
                  The system does not issue error message M8 281 "Unplanned delivery costs will lead to negative value".
                  The negative total invoice amount (the total of EKBE-WRBTR or EKBE-DMBTR) leads to an unexpected distribution of unplanned delivery costs for the next invoice document.

  • Customer invoice for Third Party return and Credit Invoice???

    Hi All,
    Business needs third party return with vendor & customer Credit invoice.
    I am fully aware that standard SAP does not support this scenario.
    I am looking any other best way to implement this scenario in sap, if any body has worked on this.. I am thinking in below line:
    Changing VBUK-FKSAK and VBUP-FKSAA by using program once vendor invoice generated... but not sure its impact in other area. one impact I can see its making cost negative in invoice.
    Another option tried is to delink vendor & credit invoice by using 'B' Billing relevance, This is generating zero invoice if billing block is removed & PO has been created..

                   Can you explain the process more in detail?
    Because,in 3rd party - returns will occur only after Customer rejects the goods from the Vendor. then goods has to be returned from teh Customer , but not from the Vendor.
    You might thought of - Returns from Customer & then return to Vendor- which is std process? Doesnt it fit your requirement?
    But in this case, there is no sales order link to Vendor returns.

    Can somebody help me in this issue
    we have a requirement from the users that they dont want the system to apply
    the credit memo automatically on the invoice when it released from the projects
    Scenario1: Invoice already been paid now they want to create a credit memo,
    system dont allow them to cancel the invoice the only way as per the theory is
    create a negative invoice and adjust it but the issue here is when ever you
    create a negative invoice it creates as invoice not credit memo which will be
    confusing to the users.
    in this case can we use billing extension to create the transaction type as
    credit memo when ever the invoice has negative amount?
    Or let me know if there is a way to perform this step?
    Scenario2: Invoice is created but they dont want to create a credit memo
    against that invoice since it gets applied automatically, the customer
    requirment will be they want to apply the credit memo for any future invoices
    as requested
    Is there a wya to have a credit memo created with out auto applying to an
    invoice, so that user can apply when ever they want
    what is credit memo on accoutn how it works with these above scenarios.
    sicne i tried setting up but the credit meo or concession is getting appled to
    the particular invoice automatically
    need urgent help required on this issue !!!!!

    Hi,
    For Scenario 1 you have two options:
    1) Update the AR transaction type extension for project invoice- Identify negative amount invoice and change the transaction type to project credit memo. This will update the transaction type on negative invoices before they are interfaced to Oracle AR.
    This is preferred option
    2) Update AR invoice Pre-processor to do the same thing.
    There is no standard setup which will allow you to change trx type of negative invoices.
    For Scenario2 - I dont think there is any direct way to create a credit invoice from Projects and keep it unapplied (again, apart from creating a negative amount invoice). You can create a credit memo in AR and use it to apply against future invoices.

    Depending on the SBO version, you cannot do negative AP invoices; as Gordon mentioned, you want to import those as AP credit memos. I believe it's in 8.8 that you can have negative AP/AR transactions.

  • Error in MIRO : "moving avg price is negative"

    Could anyone suggest  by wat amount material price should be increased so that Goods Issue can be posted .
    Currently Material Price is too low : hence the error message received : "Moving average price for material XXX is negative"
    so Invoice cannot be posted for a specific Purchase Order .

    your MIRO does not work because of this error message.
    you get the error message because you have a difference to the GR value.
    MIRO tries to distibute this difference to your stock.
    Means total stock value  will be reduced, and MAP will be adjusted.
    The total stock value is calculated with current stock quantity  multiplied by current moving average price.
    calculate this yourself.
    then check with what value your goods receipt was posted
    compare this value with the value your enter in MIRO. Is there a difference?
    if yes then recalculate  this formula:     current stock value  minus  difference  divided by stock quantity 
    you should already see that current stock value  minus  difference  value will already result in a negative value.
    if you divide a negative value by a positve quanity, then you get a negative moving average price (and this is not allowed, hence you get the error)

    Hi how should the proj inv interfaced to AR be cancelled . SHould i use the cancel Invoice feature or create a negative event interface it to AR and then apply it to the invoice. Any difference in the accounting impact..?

    After a draft invoice is released and interfaced to AR, you can go back to the Invoice Review form and choose there to credit the invoice by canceling it entirely. The system generate a corresponding credit memo which you should interface to AR, as well. In AR the original invoice and the canceling credit memo remain linked. The accounting of the credit memo is the reverse of the original invoice. That means, crediting Receivable account and debiting the UER/UBR account. When you look at the balance of the original invoice in AR you will see that it was credited, and no amount is due.
    The alternative method is to enter a new event with a negative amount, generate draft invoice that includes that event, release and interface to AR. The accounting of the negative draft invoice is similar to the accounting of the original invoice. However, the system does not have any link between the two invoices. In this case the AR user should apply cash receipt to both invoices, the original invoice and the negative invoice, or to make an adjustment to write off both invoices. Otherwise, both invoices will continue to show up as unpaid invoices.

  • Zero amount payment

    Hello:
       I am trying to automate a payment process from another system.
       And in this particular case they have payment which sum total are 0. But positive and negative in invoice and credit memo. So you have 1000 in invoice and 1000 in credit memo. Of course total is 0. SBO incoming payment doesn't allow you to do 0 balance payment. But all I need is to register these two doc has been paid for with a payment receiptno and get them mark. Is there a way around the 0 amount thing?

    - Go to: Banking > Bank Statements and Reconciliations > Reconciliation
    - Choose BP from Combobox
    - Enter the code of the business partner that own the invocie and credit note
    - Choose Recociliation Type as Internal
    - Click on the Reconcile button
    - Doubleclick on the documents you want to close so total is zero
    - Click on the Reconcile button
    The selected documnts are now closed...

    while working with TAXINN
    In MM (which works on Tax procedur TAXINN) while creating condition record for excise duty in FV11 we maintain tax code in record.
    In SD , ( which works on SD Pricing procedure),while creating condition record for exice duty in VK11 we dont maintain tax code in record .
    whereas while creating condition record for LST & CST in SD we maintain tax code for Taxes.
    why in MM we use TAX CODE not in SD for EXcise duty? what is purpose behind it ?
    or pl could anyone tale me significance of  dummy TAX CODE code  in TAXINN   MM.
    if i dont put dummy tax in FV11 condition record & remove that field.
    where will i stuck up?

    3. At the time of invoice verification in MIRO, when 'Tax' tab is clicked, there is a dump.
    Answer: The tax procedure TAXINN is a condition based tax procedure and hence the tax code does not play a role in the tax calculation. None of the tax conditions are active in the tax code which is entered in MIRO to calculate tax. Hence, when you click on  the 'Tax' tab in MIRO, it searches for active tax conditions in the tax code. Since it doesn't find any, it dumps.
    In order to resolve the issue of the dump faced in MIRO, the following has to be done->
               1. Create a dummy condition type. (Can copy the JMOQ condition type and create the same). Assign the access sequence 'MWST' to this new condition type.
               2. Maintain a dummy condition record for the access sequence MWST for the tax code being used. (Maintain the TaxCl1Cust, TaxCl.Mat and Amount field as 0 for this dummy record)
               3. Assign this condition type to the tax procedure TAXINN (like JMOQ)
               4. Through FTXP, activate the line for the new condition type. (enter the tax percentage rate as 0)
               5. Now run the transaction MIRO.
    This will resolve the dump in the transaction MIRO.
    4. For direct posting to FI through the transaction FB60/ FB70, the tax calculation is not taking place.
    Answer: Ensure that the following steps are carried out -
    1. Insert the condition table 003 in the access sequence JTAX one above
    the last step. DO NOT MARK IT AS EXCLUSIVE.
    2. Create new set of TAX codes to be used in FI only.
    3. Maintain condition records for these tax code using the table 003,
    through FV11 with the appropriate tax percentage.
    5. System does not allow posting of small differences (positive or negative) in invoice verification (MIRO), even though it is within the tolerance limits. Error message no. FF704, "Tax code in procedure TAXINN is invalid", is displayed in MIRO.
    Answer: Set the tax code 00 in "Assign tax code to company code",maintain Condition records with Tax Classification combination for zero tax code.

    Hello all,
    I am working in 11i oracle apps.
    In AP_invoices_all table there is an invoice_id that has a negative amount on it
    I understood that it is a credit memo. Can you please explain what a credit memo is and how does it affect a business
    Also, when I checked the corresponding invoice_id in the AP_invoice_payments_all table, this invoice has a negative payment amount. What does this mean? How is it going to effect in the journal entries.

    Hi.
    A Credit Memo can be considered the opposite of a Standard Invoice. It can be due to severeal reasons like, for example, when you claim to your supllier that the price for a certain good or service was higher than the agreed he can send you a Credit Memo in the amount of the price difference. You have recorded the Invoice (let's say $100) for the wrong price and now you will record the CM (let's say $10) for a negative amount being that the sum of the two documents correspond to the correct purchase you have done.
    This way, the table AP_INVOICE_PAYMENTS_ALL records the CM with a negative amount allowing you to pay the two documents (the positive invoice and the negative CM) for the net amount.
    About the journals entries:
    Invoice
    DR Cost $100
    CR Liabilty $100
    CM
    DR Liability $10
    CR Cost $10
    Payment
    DR Liability $90
    CR Bank $90

    Hi,
    How can we recognise the amount signs are negative or positive(+/-) in VBRK and VBRP tables for all Invoices and Billing documents.
    Is there any indicator in any other table will expain the sign when it is storing in database tables.
    for example: when i create a debit memo, how the configuration settings will decide negative or positive?
    Where can i find this indicators....
    Is this the right place to post this question, if not please guide me....

    The positive or negative signs will be applied based on the Order type Document category. The code is in standard SAP.
    Also For any custom condition types in pricing procedure, the positive or Negative signs will be applied based on the condition type defintion and also any routines assigned to the condition types.

  • AR Invoice + Payment won't allow negative

    When using AR Invoice + Payment the screen calls Payment Means (moneybag) when you save the Invoice. The Payment Means window is only configured for Incoming Payments, and rejects a negative (ie Outgoing) value.
    Some user companies have POS software that posts transactions to B1 from tills in a shop.
    When a customers buys an item for, say, £19.25 using a £20 Gift Voucher, and expects £0.75 change, the POS software attempts to post the transaction to B1 and generates an error - causing the whole batch posting to fail.
    To make this work requires replicating the transaction manually using a vanilla AR Invoice for the item at £19.25 and qty -1 of Gift Voucher at £20 to generate an AR Invoice with a net value of £-0.75. Then you can do a customer Outgoing Payment of £0.75 to reconcile.
    Can the Payment Means offered in AR Invoice + Payment be enhanced to include Outgoing (-ve) too, and the functionality be incorporated to accept such transactions from POS software?

  • Invoice with positive and negative rows.

    Hi all,
    I have a customer with mobile sales and when he invoices a customer he needs to add positive rows with the products drops off and negative rows with product he collects, so the invoice total amount is the sum all the positive rows minus the sum of all the negative rows.
    So you can have an idea of what I'm talking about, imagine the milkman drops off six bottles of milk and collects two empty ones. If the empty bottles have a price, he needs to invoice six full bottles minus two empty ones.
    The problem: If I create a AR invoice with negative quantities I cannot copy it to an AR Credit Note. And, if I need to cancel that AR invoice, I cannot create an AR Credit Note with negative quantities...
    The customer creates about a hundred of this documents a day, so I need a direct solution.
    Does anyone have an idea?

    I have an AP Invoices that have a negative line item total.
    Now that I realize there is something wrong with this AP Invoice, I will like to CN it. But I was stopped by SAP, because I cannot CN a negative amount line item.

    I believe this functionality is to be made available in version 8.8. The SAP workaround for 2007 is:
    To cancel an invoice with negative line, please use the workaround as
    per below:
    1. For the rows with the positive Row Total, create an "independent"
    Credit Memo (not based on an Invoice).
    2. For the rows with the negative Row Total, create another Invoice
    with a positive Row Total opposite to the original negative Row,
    and reconcile between the two rows manually via Internal
    Reconciliations. (This option is available in Banking module in
    2005 version and in Business Partner module in 2007 version.)
