Open Net/Gross Amount Balance - A/R Invoice

Hello experts,
First time caller, long time listener here.
Simplified Scenario:
We have a Sales Order for $1500 on which the Customer paid a 100% down payment of $1500. We processed this payment (made via Check) using Payment Means directly on the Sales Order. We then deposited the Check.
Prior to shipping the order, the Customer requested a change to the order. We then Cancelled the original Sales Order and created a new Sales Order. The new Sales Order totaled only $1300.
After Delivering the new order, we created an A/R Invoice for the $1300 order. We clicked the ... button to open the Down Payments to Draw window and changed the Net Amount To Draw to $1300 (instead of the $1500 they paid).
After Adding the A/R Invoice, we can go back into the Down Payments to Draw window on that A/R Invoice and see an Open Net Amount and Open Gross Amount of $200 for that original Down Payment Invoice. However, this $200 does not show on the Customer's Account Balance, it does not show up on the Customer's Internal Reconciliation for use against other Invoices, and it does not show up as a credit in the Customer's Outgoing Payments screen - so we can't send them a check for it.
My questions are 1) How can we associate this $200 credit to the Customer so we can use it to reconcile other invoices or use it to send them a refund?; and 2) Is this method of changing Net Amount To Draw the best way of handling this type of scenario?

Well I was able to figure it out with help from my VAR. The solution was to create another A/R Invoice to the same Customer. Within that Invoice, I selected the same Down Payment Invoice from before, resulting in a negative balance for the new A/R Invoice. After adding the new A/R Invoice the over-payment credit shows on the Customer's Account Balance allowing me to reconcile against other invoices or send them a refund.

    BUT AGIN FROM WHERE THE SYSTEM DECREASED THE AMOUNT TO 36,700

  • Open Down Payment Amount

    Hi Everyone,
    I had a sales order which had a 50% down payment invoice created.  The down payment invoice was paid by the customer.  There were three different deliveries against the order as they were partial shipments.  This led to three different invoices.  Our customer did not apply the down payment to the first invoice by accident.  They then applied the down payment against the second and third invoices.  However, this has left a balance open on the down payment.  The last two invoices did not total the down payment amount. 
    The first invoice that was created without the down payment applied against it is still open.  However, I can't seem to apply the down payment to the invoice.  Our customer, in an attempt, to correct the general ledger, did a journal entry to correct the g/l portion.  However, when I look at the Down Payments to Draw window (I get to it by going to an invoice that had a down payment applied against it and pressing the ... button next to Total Down Payment) it still shows an open amount.  How do I apply this open amount so it no longer appears?  Is there anyway to apply this against the first invoice?  If not, how do I clear this out of there?

    Thank you for your responses as well.  I appreciate the help.
    I wasn't able to do an internal reconcilliation because the down payment amounts are not listed.  So, I tried the process Kerstin suggested in a test environment.  I have a few questions:
    - What should I do if this an applied amount against the existing A/R Invoice?
    - How does this affect sales history?  Will it appear as if the customer has bought these items twice instead of once? 
    My biggest concern is in regards to the applied payment.  How should I handle this?

  • Withholding tax and Gross amount determination

    Dear all
    First of all, I would like to underline that before to post in this forum I have read all the documentation (official and not official) related to the Withholding Tax configuration in SAP, but in the end I have some doubts and so I kindly ask you cooperation to better understand the logical of the system.
    In our country (ITLAY) the withholding tax (WTH tax) must be withheld at the payment invoice to the vendor, so our system should automatically calculate and posts the amount to the right tax account; my question is: which setting we have to use in order to have the right calculation of the base amount?
    When you enter the invoice, the system determines the base amount for withholding tax and stores it in the document (INVOICE ENTRY SIDE). You can also enter the base amount directly. When the invoice is paid, the tax amount is calculated from the base amount and your specifications for the tax code. If the tax amount is to be paid to the tax authorities, the system automatically posts the amount to the tax account. The system reduces the payment amount to the vendor by the withholding tax to be paid (INVOICE PAYMENT SIDE).
    At the Invoice Entry SIDE when entering documents, if the withholding tax is to be calculated at the time payment is made, only the base amount is calculated when the invoice is posted, this is what we are looking for, so my question is:
    How does the system calculate the base amount of WTH tax?
    Maybe an example could be better to explain our request:
    Invoice received from a Tax adviser that is liable to Withholding tax.
    1.     Invoice Total Amount                                                  1372 €
    2.     Fees (Tax Base amount and WHT Tax base amount)                         1000 €
    3.     Specific Italian Contribution     (Tax Base amount and NO WHT Tax base amount)          20 €
    4.     Social Security Contribution     (Tax Base amount and WHT Tax base amount)          40 €
    5.     Expenses reimbursement (NO Tax Base amount and NO WHT Tax base amount)          100 €

    I have just one doubt: for the calculation of the WTH TAX base amount the system consider the amount/value of the GR, so in this case 1040€ or the system will take in consideration all the item for the VAT TAX BASE AMOUNT, so in this case 1060€?
    I am asking this because I found on the SAP documentation, when it explain the Withholding Tax Type Calculation Setting:
    Gross amount - The withholding tax base amount equals the line item gross amount.
    Tax amount - The withholding tax base amount equals the tax amount of the line item.
    I know my request is not so clear, and I have to apologize with you because it is very long, but please someone can help me

  • Calculate base on gross amount calculation

    Dear forum,
    I would like to ask how does the system calculate the tax base on gross amount.
    Assuming the tax rate is 17% and the tax base amount is $1000.
    I do know that system will split the amount into 2 parts where the tax related account is 854.70 and the tax account is 145.30.
    The calculation is 1000/1.17 to get 854.70 but I still do not know why to get 1.17.
    Need advice.

    The system calculates by default the tax taking the invoice amount as gross amount. i.e. 1000 * 17/117 = 145.30 doller.
    However this setting can be changed to calculate the tax amount taking invoice amount as net amount in the below way:-
    1. For all users:-
                 Activate the tick "tax base in net value" in company code setting in transaction OBY6.
    2. For specific user:-
                Activate the tick "Calculate taxes on net amount" in transaction FB00 from that user login.
    Then the system will calculate the tax amount as 1000 * 17% = 170 doller.

    PURPOSE
    Applications 11.0.3 환경에서 AP의 Trial Balance Report 실행시 잘못 생성된 data가 보여지는 경우의 문제를 해결한다.
    Problem Description
    Paid 가 완전히 이루어져서 gl 로 까지 transfer 된 invoice가 trial balance report에 여전히 remaining 금액과 함께 나타나고 있다.
    이 때 Payament가 한번 void 되었다가 다시 reissue 된 경우이다.
    Workaround
    1. Aplist11.sql 이나 아래의 select 문으로 invoice 상태를 check한다.

    2. Trial balance에 data가 어떻게 entry 되었는지 확인한다.

    4. Payment에 대한 distribution line 정보를 확인한다.
    SELECT invoice_payment_id, payment_line_number, line_type_lookup_code,

    FROM ap_payment_distributions_all
    WHERE invoice_payment_id = <invoice_payment_id returned in query #3>;
    일반적으로 void 되었다가 reissue 된 payment의 trial balance가 잘못된 경우는 ap_payment_distributions_all table에 data가 잘못 생성되었기 때문이다.
    위의 테이블에서 잘못 생성된 data를 correct 하거나 delete 한다음에
    patch 375496 을 이용하여 trial balance 를 rebuil 하는것이 workaround 이다.

    $AP_TOP/patch/110/sql/apautopb.pls 의 버젼이 110.6 보다 낮은경우 이런 문제 예방을 위해 AP D patchset 이상을 적용한다.

  • Payment Amount is greater than invoice amount in sales order

    Hi experts:
    I have a Sales order that contained originally  3 lines of which the first 2 lines was delivered totally and the third was delivered partially.
    The client decided to change the remaining quantity for another reference so the procedure in the sales order was to add another line and try to close the third line by right click and "close row" but the option is not available because there is a partial delivery, so the option was to update the inicial quantity in the third line at the same as delivered and update.
    Like a result a I could close the third line and leave a fourth line available to delivery, however when I open this Sales order again an try to update a message "payment amount is greater than invoice amount" and appears inmediately the "Deposit on Order" window.
    Other Information:  The quantities delivered was invoiced but no payment has been received.
    Checking in the SCN I have not found some related information with this case because the existing answers are related with incomming and outgoing payments but like I mentioned before this docuements already have not payments.
    In relation with the decimal places, my original decimal places configuration was 2 and it was updated to 3, issue that neither is mentioned in previous answers.

    Hi Manuel,
    Your case is complicated by the fact you have not only undated the Sales Order which is partially delivered but also updated decimal places during the process.  In this case, you are probably the best person to figure out what is the system expected number.  You may restore your production db to test environment first.  Then do whatever you could to fix the problem.  If no solution can be found, you have to log a message to SAP support.
    A general advice: do not fight with system for what you think system should accept.

    Hi Kavitha,
    please check in the OINV table the balance due on the invoice. This amount has to match the payment. If the problem is due to different decimal places & you are using a version lower than 2007 you will be able to change the decimal places for this particular payment. If you are using 2007, you will no longer be able to reduce the number of decimal places. In that case you could check out SAP note 1321183 & verify with your accountant that the workaround may be used.

    I am trying to post an AR CN on an AR Downpayment Invoice. This AR Downpayment Invoice has not been applied to its invoice yet, status is hence OPEN.
    I now go to AR CN and use Copy From function to browse for this AR Downpayment Invoice, when I try to post this Credit Note, I receive the below error:
    "Payment amount is greater than invoice amount [Message 439-4]"
    Any advice?

  • Tax percentage and gross amount

    We have a requirement (South Africa) where we have the gross amount (final selling price) and tax percentage.  The net amount and tax amount has to be back calculated from the gross amount. 
    For example: 
    Gross price = 100 ZAR
    Tax % = 15%
    Therefore, the pricing should be as below:
    Net amount = 86.96 ZAR
    Tax amount = 13.04 ZAR
    Gross amount = 100 ZAR
    What is the best approach to handle this pricing scenario in SAP? 
    Is there is an option in standard SAP that can do the net amount calculation based on gross amount and tax percentage?

  • 3 way match and the gross amount (IR + sales tax )

    Can we configure the system  so that when it does 3 way match it includes gross amount  ( sales tax + IR amount ) . How can I accomplish this?
    Currently  in our system it is not considering sales tax when doing 3 way match. Is this standard SAP?
    What steps do I need to configure so that it  takes gross amount to do 3 way match.

    The standard invoice block is determined based on the repsecive tolerance key for block or we have to set manually in the payment tab (header).
    if required You can set the manual payment block on the vendor master records and this will cause all invoices to be blocked for payment.
    Request you to go thru below SAP help for better understanding:

         Specifies why a document is blocked for payment.
         The following payment blocks exist:
         o   Manual payment block
             If you manually select a payment block from the list field to block
             an invoice for payment, the payment block field in the header of the

             If invoices are to be blocked automatically due to differences in
             the invoice items, the system enters the payment block R in the
             vendor line of the Accounting document. The field in the header of
             the invoice document remains empty.
         o   Random payment block
    Invoices that do not show any other blocking reason, can be blocked
    in accordance with the random principle. In Customizing for the
    Logistics invoice verification, you can set the probability for the
    block. The indicator for the logistical payment block is entered in

        If you have set a manual payment block, and an invoice is blocked
        automatically due to differences in the invoice items, the system enters
        the manual payment block in the vendor line of the Accounting document.

    is there any SAP standard report to generate report as We need to run a report to see by Material and/or Product line the Net sales amount and units for a given time period. By net sale I mean Gross sales net return, net other allowances
    also we need to have standard costs in the report.
    Please let me know if you know of any report in SAP which can give me these values.

    do you manage profitability analysis?
    in case, yes, you can have report with net turnover and standard cost.
    1. about net turnover you need to map sales order condition for net tunrnover to value COPA value fileds.
    2. about standard cost you need to activate COPA valuation.
    it is only a short suggestion, but you can find much information on this topics in the forum

    My requirement is create a report for sales orders which are not invoiced  using the following table.
    VBAK : sales order header
    VBAP : sales order item
    VBFA : sales document flow
    VBUK for processing status
    KOMV for duties value and sales order value
    LIKP : delivery not header
    LIPS :delivery note item
    For information : In the header level the processing Status is indicated in the table VBUK field LFSTK for one sales order number. A,B , C are the possible entries.
    Case A : When a sales order is invoiced we can display information on the header status :
    Overall status : Completed  and display a invoice number in the document flow. When the items of the sales orders are invoiced the process status is the following :  Overall status       Completed            
    Delivery status      Fully delivered      
    Case B : An open sales order not delivered and not invoiced will have overall status : Open on the header and item level and will not have subsequent documents.
    Case C :
    When the items for the sales order are delivered but not invoiced the status will be u201Cfully deliveredu201D
    And the subsequent documents will be delivery notes and good issue if the delivery note is issued.
