Outlook 2013 Deletes mail older than 30 days in deleted items folder

Environment: Outlook 2013 and Exchange 2007 (fully patched)
One user has an issue where only 30 days worth of email is maintained in the deleted items folder. Every day, any email sent to deleted the previous day, will be gone.
Any thoughts?

Hi,
Outlook itself doesn't auto-delete anything. It could be something that's automatically being done by the server.
Let's first check the behavior on Outlook Web App (OWA), and see if issue persists.
If issue repro's on OWA, then it's something on Exchange server side, I would suggest you post the question in
Exchange server forum for further assistance.
If issue doesn't repro on OWA side, it might be something on Outlook client side that deletes emails from the trash. For this scenario, I would suggest you first check if he/she has
AutoArchive configured for the deleted folder which might delete messages older than a certain period of time.
Please feel free to post back with any findings.

    In Outlook client, we can set AutoArchive for all folders to delete all items older than 6 months except for “Personal” folder one by one.
    If you want to use retention policy in Exchange side, we can use retention tags and retention policies to have a try. there are three types of retention tags:
    Default policy tag (DPT), Retention policy tag (RPT), Personal tag.
    For your scenario, we can create a personal tag applied for this Personal folder. For example,
    delete messages older than 3 years for this personal folder. Then apply this personal tag for Personal folder in Outlook. And the Personal folder items are all tagged. After that, we can
    applying default policy tags (DPTs) to mailboxes to manage the retention of all untagged items.
    Personal suggestion, since the delete action is only used for one specific mailbox, I suggest we can use AutoArchive in Outlook side to achieve it.

    Thank you for answer. I would like to do all tasks from exchange side, so I know how to apply a retention policy to a mailbox for deleting all older than 6 months. But how can I apply the personal policy tag to a personal folder's users?
    All involved users in this requirement are warned that they must let all personal messages in "personal" folder named "personal".

    Step 1: - Open Outlook 2013.
    Step 2: - Locate the blue “File” option in the left corner of the screen.
    Step 3: - Locate
    Account Settings, click and select Account Settings from the drop- down menu.
    Step 4: - In the new window that appear, you will see your email address. Double click to open the settings for this profile.
    Step 5: - Locate the slider for
    “Mail to Keep Offline”. Set the slider according to requirement.

    Mac Mail is deleting mail, from my Inbox, after 1 month old. I can't find the settings for deletion or archiving. I have not selected archiving either. Any ideas?

    I think you misunderstood my post. I was not talking about the delete trash setting in Apple's Mail application. Many (most?) E-mail providers have settings in their applications to automatically delete mail. This has nothing to do with Apple's mail application. I know nothing about Mobile Me or Mac mail, but what I was suggesting was that those might have a setting someplace.
    Apple's mail application did not, on its own, to delete mail. There is no setting in that application that I am aware of that would cause that to happen.

    Some time for in case of huge volume of data selective deletion is not works, Try for "prunning" option.
    It's work as follows
    1)     Create DSO which is same replica of your Source DSO.
    2)     Create two transformation
         a) from Source DSO to Copy DSO
         b) Another is from Copy DSO to Source DSO
    3)     Transprort Last 3 years records to Copy of Source DSO using DTP Filter range for time.
    4)     Once data loading from Source DSO to Copy DSO get completed delete all data from Source DSO.
    5)     Now load data from Copy DSO to Source DSO.
    6)     After complete loading delete entire data from Source DSO.
    I use prunning process to one of my client and it's work perfectly.

    If you are using Ethernet to connect your Mac to the Time Capsule, are you allowing at least 2-3 minutes for Time Machine to fully load when you open the application to see your backups?
    If you are using wireless to connect, you may need to allow 8-10 minutes or longer for everything to fully load, depending on the speed of your wireless connection.
    If you see only white time "bars" on the timeline at the right of the screen, you are seeing temporary backups. Permanent backups are displayed with purple "bars".

    what is older than 25? Does it mean with id greater then 25?

  • Drafts folder relocation Outlook 2013 and Gmail IMAP and multiple saves to trash folder

    Hi,
    I have Office professional 2013 32 bit running on Win 7 64bit. I have an issue that I know has been discussed but I see no resolution.
    The drafts are saved on the server not locally and the trash folder fills with multiple copies of the draft, the number of copies appears to relate to the time of editing the draft. I have to go in and delete these copies in Trash after writing an email.
    Outlook 2013 does not allow me to remap the drafts folder I click unsubscribe and it says the folder is a special folder and cannot be unsubscribed in Outlook. I use the account on my iPhone and this allows me to unsubscribe from the folder.
    Has anyone found a solution or is anyone working on a resolution for this problem?

    I am having a similar problem with trash receiving multiple copies of some drafts. In last 20 minutes 19 copies of a draft have been included in trash. It seems to happen when I view a draft --but not solely
    Using Outlook 2013 with IMAP GMail on windows 7 on a laptop. It synchs with my IPHONE. Yesterday I called Dell Support. They said it was a virus -- though a thorough scan found one item --it was deleted and problem continues.

  • Apple installation date shows as default date on all e-mails older than 24 hours. ??

    My MacBook was installed on 05/01/06 (the date of the Apple location name and the date many of the applications etc. were created).  Recently all e-mails (Mozilla messaging -- Thunderbird) older than 24 hours started showing the date received/sent as 05/01/06.  How can I fix this ?

    The second to last time I talked to AT&T, they said they did not have a device type in their computer system and they had to add that in their system. A couple days after they did that, I still had problems. One AT&T rep got an iPhone like mine and set up my e-mail account on that phone and tested it out 10 times by sending e-mail back and forth from phone to computer and etc. He said it worked perfectly fine without any issues. He said to restore phone back to factory settings and that he can tell nothing is wrong with their CWMX.com server as it worked fine for him when he tested out my e-mail account. After I spoke to the rep who did not have problems with the e-mail, I tried sending out e-mail and it would not work. That night, I restored phone back to factory setting as requested. That night after I did that, the e-mail still would not work. The next day, I still had issues. After that, I may have had issues maybe a couple times. Right now as far as I know it seems to be working okay but once I say that, I wonder if I will start having issues again? I wonder if not having my device type in their computer system would cause me all these problems and if so after updating it why did phone still have issues a couple/few days later? I'm sure it wouldn't take that long for it to take in their system if it was the cause.
    Since the rep tested out my e-mail account from the city/state where he was located and worked fine, and it didn't for me where I am located.... I am wondering if it has something to do with the area of the local towers?
    Nothing makes sense to me... and I have done everything that I possibly know and can. I just hope it continues to work and it stays that way and that I won't start having issues with it again.

  • Outlook 2013 putting mail into Junk

    We have a user (who unfortunatley is an MD) who recieves automated purchase orders when they are generated by their PO system.  on a windows 7 (ENT) PC with office 2010 these emails arrive in his inbox no problem,  they arrive in his inbox in outlook
    web app as well.  On his Windows 8.1 PC with office 2013 the mail goes straight to Junk.  We have tried a new mail profile, disableing the junk filter. 
    The email that is created is very simple as can be seen from the example code below.
    There is no reason we are aware of why emails would be delivered to one individuals junk folder.

    Hi Duncan,
    When you check those messages in the Junk folder, on the Infobar, did you see the message that states Outlook junk filter moved the message or not.
    "The message was marked as spam using the Outlook Junk E-mail filter"
    If Outlook did it, then try to add the address to the Safe Senders list
    (Home tab>Junk>Junk E-mail options>Safe Senders) to prevent future messages from being moved into the Junk E-mail folder.
    If the message has been filtered out by another scanner, then the Infobar will contain the following text:
    ”This message was marked as spam using a junk filter other than the Outlook Junk E-mail filter.”
    In this case, it could be a Outlook rule or a anti-spam filter installed by your antivirus. You should check these on the machine.

  • Shared mailbox outlook 2013 sent mail sitting in outbox folder

    Hi guys,
    I am hope you might be able to assist. 
    I have users who access a shared mailbox (primary mailbox) as delegates with full permissions and send as permissions. They also have a nested mailbox which is their own personal mailbox. Mail sends from both mailboxes and when it behaves mail gets delivered
    to the sent item of the sender. But on a common recurrence mail sits in the Outbox of the delegate mailbox when sent from that mailbox. They can hit send/receive and it will force mail to send and also mail can delay for several minutes at times. This is also
    seen in OWA.
    Removing the nested mailbox and adding it as a additional mailbox allows mail to flow without issue but mail sent from the additional mailbox gets placed in the sent items of the primary mailbox. Client would prefer the sent items to be kept separate (tried
    DelegateSentItemsStyle).
    The exchange is a Exchange 2013 VM server and the client's use remote desktop services to access the platform. Also each Windows mail client is configured to use HTTP and cache mode is disabled for remote services. Last applied update was on the 08/2014.

    From your description, when you send a message from shared mailbox, the message is sitting in Outbox folder. I have seen some people have this issue, it is recommended to run Outlook using Cached mode as a workaround.

  • Outlook 2013 new mail notification sounds can't be changed

    I've got a weird issue with Outlook 2013 on Windows 8..  I've read several other posts that are kind of similar but they don't really apply.
    So, Outlook 2013 uses the "Desktop Mail Notification" sound event..  unless I change the .wav file assigned to that event.  Then it instead uses the "New Mail Notification" event.  Then when I change the .wav file assigned
    to THAT one, it changes again to instead use the "Notification" event.  Then when I change the .wav file assigned to "Notification," Outlook just won't play anything at all when receiving new mail.  It just flat refuses to use
    anything but the default .wav files.
    Has anyone run into this before?

    To change the new mail notification sound, please try the following:
    1. Right click the sound icon at the right bottom to open the sound settings.
    2. Under the
    Windows section, change both the Desktop Mail Notification and New Mail Notification
    events to have the same .wav file for the sound you want played for them.
    3. Then click OK to test the result.

  • Deleting backups older than a month

    Hi all,
    I'm trying to delete backups that are older than a month. I've performed the following steps.
    1. Click on time machine
    2. Navigate to a month ago
    3. Navigate to "Macintosh HD" and select all items
    4. Click on the gears the "Delete all backups .."
    This delete all backups, even my current ones. How can I delete just "old" versions from a snapshot in time (say x) back to the beginning of backups and keep everything with time > x?

    Probably. Time Machine uses hard links to keep track of its previously backed up files. You can read how Time Machine uses hard links in this Ars Technica review.

    To make sure you keep the hard links intact launch the Time Machine browser from the dock. Click on your hard drive in the sidebar. Don't select any folders or files in the window. Use the white ladder lines on the right to navigate to the backup you wish to delete. Click on the button with the gear and select Delete Backup.

  • Outlook 2013 Outgoing Mail Errors

    I've been using Outlook 2013 on Win8 to send/receive Verizon.net email for some time. Lately, the outgoing has stopped working. I've gone through the fora and tried several options. Oddly, when I use the standard settings, the Account Test works fine. But I still get the following Send Error:
