Pending Leave Requests- Report

Hi
for all leave requests, we are using WS04200009.
Now I want a report of all the leave requests that have been applied by employees but are pending for approval, within a specific date range.
Can anyone help me on this?

I'm not sure if this helps:
PTARQ- Display Documents - Give Date Range in Period section and Document Status to SENT in Request Data section.
And execute it. The result shows all the requests in SENT status which are pending for approval.
I checked in ours and the documents are showing up.

We are trying to use existing transaction codes which would give details of all ess leave requests submitted by employees in the portal during a certain timeframe and which are still pending action by managers (whether to reject or accept).
The R3 report needs to include the following information:
Leave Requestor - Name / ID
Type of Leave Request
Date Submitted in ESS
From date of Leave
To Date of Leave
No. Hours of Leave
Current Status of Leave Request
Leave Approver - Name /ID
Can anyone suggest if there is any Tcode ( apart from SWIA, SWI5, SWI6 etc..) which could be helpful to get information on whose side the action is pending.

you can use Tcode se38for running this report .
Or else give a Tcode - PTARQ
It gives you the total functionalities of Leave Requests.
Its the sap standard interface provided to test the functionalities in R/3 side .

Leave Request - can't change the time of pending request

Hello,
We are trying to change the time of a pending leave request and when entering a new time in the duration field, the original time still shows up on the Review and Send screen. The leave request is for one day and for 5 hours - we are trying to change to 2 hours and 5 hours still shows up.
Is this an issue with the code or config? Any help is appreciated.

have you done any modification
Depeding on your requirement you can decide how to use
PT_ARQ_REQUEST_CHECK ie hours field or the clock times.
That means you need to clear the time fields which are derived
from the work schedule and keep it empty since these fields
are hidden in your front end and no option for the pernr to modify
or correct the times.

Jan,
when the manager is trying to approve the leaves of his subordinate, he click on the single line approval request entry, and the RFC gets triggered. We usually think that the RFC will only run the particular leave request record and open the same for us. But internally the RFC reads all the pending leave request with the manager and then only displays the clicked record. When the RFC is triggered, if it finds some problem with some other record then it will fail and give the message as system faliure.
Even we had faced the same problem, In our case this employee had a leave request pending with him which belonged to some deleted employee code. As a result there was a system failure message. We deleted the workflow item from the list and the RFC was successfull.
This we check in T Code PTARQ, if u have full rights to this transaction then you can deleted the Workflow item from this list which is creating the problem.
but anywasy you can always check PTARQ for any Leave request related problems

Need to get a report from SAP on leave request data

Hi
I have a specific requirement that I hope somebody might be able to help me with in SAP. We use PTARQ tcode to see various requests that employees have submitted in ESS (statuse can be where request has just been sent, approved, posted) etc.
I am trying to run a report, for specific workflow instance #'s in order to obtain the detail of the leave request itself i.e. Leave type, start date of leave, end date of leave etc.
The reason I need to do this is to check whether some of the workflows that say posted in PTARQ have actually posted to IT2001 infotype in our system as we have had some issues.
The stumbling piece for me right now is knowing how to extract the contents of the leave requests when I have the workflow instance #.
Can anyone help me ?

Report on Leave request (with HTML ) using ITS version

we are using ITS version of ESS and MSS version EP 6.0 and SAP R/3 5.0.
Our client wants a report on Leave Request(with HTML). the worflow used is WS20000081. my question is there any standard report to check the Leave Request which are approved or rejected. In SAP there is one standard report
RPTARQDBVIEW where in when we execute no output exists.
Please help me whether is there any report to view the leave requests.

In the portal the manger will have to go through 4 steps in order to approve a leave request, can we eliminate some of the steps to decrease the amount of time required for a leave approval.

Please have a look at report RPTARQAPP .
This report will give u a list of pending approvals for a manager.
U can copy the code and use it in a BAPI, Create a new simple WD application to list out all the pending requests..
Then whats left ... approve... Thats very simple..call following code..
CALL METHOD cl_pt_req_badi=>initiate_state_transition
    EXPORTING
      im_request    = request
      im_event      = event
   IM_RET_VALUE = 0
    IMPORTING
      ex_new_status = me->status.
where status = 'APPROVED'.
U can develop a simple web dynpro application using this code.. its easy and u can give multiple approvals option also.

Team Calender in Leave Request Application

ERP2004 SP17, EP6.0 SP20, ESS/MSS SP17
I am trying to configure the leave request application. I see a link in the "Show team calender" in the application. I configured according the documentation in spro>personal Management>Employee Self Serivce>service specific settings>working time>leave request.
the documentation is like this In "layout of web application">select employees for team calender:
5. Select the employees whose absences you want to display in the team calendar. You first have to enter one of two grouping characteristics in the View/Grp field:
If you use the Manager Self-Service (MSS) or Employee Self- Service (ESS) components at your enterprise, you will probably use the view groups. They are based on employees organizational assignments.
If you use the Time Managers Workplace (TMW), you probably use grouping IDs.
You now have to select the employees whom you want to display in the team calendar. To do so, enter the required view group or grouping ID in the relevant field.
However I do not know where to create a "GROUPING ID". I have added the view group. but the field "GROUPING ID" is blank in the customization. May be this is required to display employees in team calender.
Could you help me how to get employees in Team Calender.

Error in BASIS when trying to create a Leave Request

Hi,
We have developed an application in Oracle Forms 10g which is used by employees to create leave requests and transfer them to the SAP portal through BDC. There's a ABAP program to collect all leave requests applied by many employees in the Oracle system and then transfer them to the SAP Portal. The BDC captures the screen *Test Report for the UIA Interface for Leave Requests in the tcode PTARQ.*
The leaves then appear in the respective approvers portal login and the leaves are accordingly approved or rejected with the status updated back to the Oracle database by another ABAP program. These programs are set as background jobs on the Production server 900 to run on a daily basis in the "BASIS" login.
Lately we found that the program was not updating the leave requests from Oracle to SAP. When I debugged the program in ERROR mode, I found an error is thrown while processing the BDC, after the foll. code in the SAP std. program
Program name: RPTARQUIATEST
Program Event : In FORM REQUEST_CHECK
At FORM PROGRESS_INDICATOR
The error message says : No document created: HRTIM_ABS_REQ 075 No personnel number defined for system user name B Message no. HRTIM_ABS_REQ061.
Please advice as to what is creating the problem when using the BASIS login and what does the error mean. If you need some more clarification on this please let me know.

Is this for all the employees or just few of them? This error is usually related to the communication infotype, check 0105 infotype and see if the user ID is correctly maintained.

ESS Leave Request - Error while creating a leave record

Hi Friends,
Some of the ESS leave request(not workflow) has gone into error when the system tryies to create a leave record in background. I can view these error request using the report RPTARQDBVIEW. This happens when the background program(PTARQPOST) tries to create a leave record. In some cases the status of the leave request is set to error(the status attribute of the container element(Req) has the value Error),but we are not able to find what is actual error.Is there any log where we can check what is the problem? Please advice.

May be
Internally the pernr might not be locked or some one may be maintaing the pernr for whom you are trying to post.

Error raising new Leave Request

Hi guys,
Some of our users are trying to raise a leave request in ESS and getting an error
Use the input help to select an approver.
The only change that has happened is that we recently upgraded from ECC 5.0 to ECC 6.0. Other than that there has been no new development for our ESS/MSS.
There are only few users that are affected by this problem. The only thing different that I can see about these users is that in our org structure, the position that they're reporting to is not filled (no holder for that position), so they report to the next manager/approver above that position. This has never been a problem in past. ESS was able to get the next approver without any problems before the upgrade but now it seems like SAP only checks one level and since there's no holder of that position it gives this error. For any employees that report to a position that's filled don't have any issues.
I'm an SAP ABAP developer. Not too familiar with ESS/MSS or SAP config so please help me understand if this is a config issue or there's something else that needs to be done?

Go to transaction PTARQ and check if you are able to determine the correct approver for these employees.
Also, from transaction PTARQ - Customizing :
Employee Self Service - Service Specific Settings - Working time - leave request - Processing Processes - Determine processing processes for each rule group
There is a configuration for "Determine Next Agent". This should be either "Line Manager" or "Last Agent, then Line Manager" (Refer to the field help for more information)
Also, you can utilize BADI PT_GEN_REQ for handling any special cases.

Leave request mail in different languages

Hello,
we are using the leave request functionality for different countries. The report RPTARQEMAIL is scheduled as a daily job, but sends the emails in english only (the schedule user is defined with language 'EN').
We changed the english text of the email (SE61) and included all languages which we need. But the email subject is still just in english. Furthermore the email is getting quite long and not really user-friendly.
We would like to send the emails always in the user's language (text and subject). Is there a way how to do this in the standard report?

You need to copy and modify the program to pick the user language text from SE61. This is required since the standard text is mentioned in Selection-Screen of this report will be picked always. you should also be able to change the subject line since this program sends composed mail.

Strange error in Leave request

Hi Experts,
I am getting one error in production for the leave request. When one particular employee applies for the leave, he is able to apply for the leave properly. After applying leave, his leave request status changes to sent. when i checked in the report "RPTARQDBVIEW" about that particular employee's leave document, workflow was not attached to that document. This is happening everytime whenever he applies for the leave. Workflow is not getting triggered whenever he applies. Its working fine for the other employees similar to him.
Can you help me regarding this. This is becoming critical.

One thing i found that, its happending for few more employees. and common thing about them is that all are getting error "Unable to send the request with this approver" while applying leave. when they go back and again apply then leave request is going. For all these employees their manager is not belongs to india org unit. And this ESS we have configured for india employees.

This comens when the approral is not assign to the User-ID
Say "A" is the employee and you need set "B" is manager for "A"
Then folloiwng things you need to do .
in the PA30 chekh the "Org Assig" for "A".
The org unit for "A" ( employee ) and "B" ( manager ) should be same .
then PO10 give the Org Unit and check the following entry .

Currently we have a requirement : whenever an employee will request for a leave from ESS(EP 7.0) the approver should get an intimation mail and similarly when the request is apporved or rejected the requestor should get a mail about this.
Now we have already a customize workflow for this leave request process. We have checked and scheduled background work procesess for the following reports
1. RPTARQEMAIL
2. RPTARQPOST
3. RSWWTHEX
4. RSWWERRE
5. RSWWCLEAR
6. RSWWCOND
Please note that an approval mail is being sent to the applicant after approval of his leave. We need to make the following adjustments:
1. The body of the approval mail that is being sent now needs to be changed and must include details of the leave request. How to do this?
2. No intimation mail is being sent to approver after a leave request has been raised. As per RPTARQEMAIL approver should also get notified about the leave request.
3. Apart from RPTARQEMAIL if we use the work item "SEND MAIL" in the workflow to implement this, we are getting the approval mail and notification mail in the inbox of our business workspace(SBWP). However the mail is not being redirected to the mail id maintained i.e in outlook inbox.

My sincere advise is to do some thing like this,
1. First take a copy of the standard leave workflow template WS12300111
2.Create a ZBOR (in SWO1 txn) in which you define a method which handles mail sending process by using the standard SAP FM SO_DOCUMENT_SEND_API1
3. Create a Text element in SO10 transaction.After this as I said you will creating a ZBOR-method in that itself you determine the agents and email addresses before calling the FM
SO_DOCUMENT_SEND_API1.
4. To get the lines of the mail content (from SO10) you hvae to use the FM READ_TEXT
if the above is done then fixing your issues is a simple thing
Q1. You need to change the content of the mail type.
A1. You can chage the mail content in the TExt element.
Q2.No intimation mail is being sent to approver after a leave request has been raised?
A2. You hvae two options over here either you can make use of the tab notification of the decision step or by using the program RSWUWFML2 you can schedule a background job, for help see the Documentation of the rep.
Q3.Mail Sedning to outlook
A3. SCOT settings, SMTP---> Internet ---> addresses ---> maintain the address or by using the SWNCONFIG you can even aceheive this.

Leave Request -- Create Object Error

Hi,
we are getting a dump in leave request application,
The message gives the following
CREATE OBJECT: The Class was not found, error key RFC_ERROR_SYSTEM_FAILURE.
the same user says the application was working fine before.

if you leave configuration is done .
there will be some There was an incorrect data in your system . to do this please follow following process.
delete this request using
PTARQ> Delete documents (RPTARQDBDEl)
Please read the report documentation before
deleting the request but it should be safe as it is
a development system.
Please delete this with the above information or delete all
the records for the approver .
after there will be some incorrect workitem in appover inbox.
you need to clear that also by Tcode - SWWL.
