Records Management Folder Visibility

Hi All,
I am exploring the Visibility (Visible in Roles) setting in Records Management. Our Record model is in Release status and we are now trying to restrict access to a folder based on a role assignment. When we assign a role to the folder which we would like to secure / restrict, it does not propagate to all the records which are part of this model.
For the visibility setting to propagate to all the records, should the record model exist in Initial status or can this setting be updated in the Release status too? Why is the visibility setting maintained in the record model not propagating to the individual records?

Dear Jay,
Such changes I am afraid, do not work for existing nodes of record model. If you add a new node to record model with all roles etc set up then the sync process will create the new node in records with the given metadatat(metadata is the roles, free attributes, anchor etc ). For existing node, if you change anything then than cannot be propagated to existing records. You will need to manually change visibility for each existing record. If you create new record after changing in record model then new record will have correct data.

  • Records Management not appearing in my folder/file properties

    I just did a fresh install of OCS_101200.tar.gz . I enabled records management using the steps described in http://download.oracle.com/docs/cd/B25553_01/content.1012/b25275/scenarios.htm#FLSAG129 . I can log into the /rm webapp and create file plans, records policies, etc. But when I right-click on any object in the Collaboration Suite web interface and click Properties, Records Management does not show up as a menu option. Is there an easy fix, or did I mess up the installation?

    as far as I can remember you have to define at least one record category in the RM Web client ( http://your.OCS.com/rm ) to make the Records tab visible in CS Web client.

  • Records Management: Model for customer - project - records hierarchy

    Hello,
    starting with RM I just created a static structure for customer data. This works pretty well at the beginning level.
    Now I would like to add a hierarchy to the customer data. The next level in the structure should be projects with the project that are associated with the customer. The projects are managed with PS. So every time a PSP element is created on a special level will automatically create some model nodes with elements (offer, order, .. ). Under the level of the projects there should be records like offer, order, ..
    Could someone could give me some hints how to solve this, please? What is the best practice for something like that?

    Dear Vanessa,
    Unfortunately, we have not been able to get an exclusive forum for RM hence, a post anywhere with Records Management or Case Management will be good(I generally search for questions on these keywords).
    For your question - adding a new sub-structure to the same record or case everytime there is a project etc is created is technically not feasible. Even if you make this feasible by programming it will be very difficult to maintain. I would recommend to have an object(record or case) for every sub-structure that needs to be created with a separate record model for the sub-structure.
    For eg - if you need to create & add a new sub-project to a main project every time for an event, then instantiate an object(record/case) & then add it to the project record.
    Some points to consider - recommendation is to not to have more than 1000 objects linked to any one folder as after that time consumed to expand the folder becomes visibly high for the user.

  • Retention Policy and Managed folder based retention

    What is difference between "Retention Policy/ Policy Tags" and " Managed Content Settings"?
    In my setup , my managed folder folder become general folder after following steps
    1. Created Managed folder
    2. Created managed content settings for IPM.post and IPM.Appointment with retention action "Delete and Allow recovery".
    3. Created managed policy and applied to 1 mailbox, and this is working properly
    But After that,
    1. Created 3 retention tags(1 for inbox, 1 for sent, 1 personal).
    2. Created retention policy combining these 3 tags.
    3. Applied to SAME mailbox
    4. Ran 'ManagedFolderAssitant'
    **After this, Managed folder become general outlook folder.
    So, cant I have "Managed folder based retention for managed folders" and General retention for "Inbox,Sent"

    Exchange 2010 RTM introduced Retention Policies as the successor to the Message Records Management (MRM) technology introduced in Exchange 2007. MRM was the successor to Mailbox Manager Policies in Exchange 2003. Message Records Management is called MRM
    1.0 and Retention Policies is being called MRM 2.0 for short. MRM 1.0 as well as MRM 2.0 are both available in Exchange 2010. Only difference is we can manage Retention Policies from the EMC and EMS, but the Managed Folder Mailbox Policy is only Managed from
    the EMS through cmdlets in Exchange 2010 SP1.
    It completely depends on your requirements when to use MRM 1.0 and when to Use MRM 2.0.
     Certain new features are added in MRM 2.0 (Retention Policy) which allow us to manage our mailbox email items at very granular level. But if we are still happy with earlier version MRM 1.0 then we can continue using Managed folder mailbox
    Policy in Exchange 2010.
    [ Note: If we are Using the Retention Policy (MRM 2.0) then we can view the expiry of  each and every email items of the folders on which the retention Policy is tagged and this can be only view from OWA and Outlook 2010, But this feature
    is not available  for  Managed Folder Mailbox Policy (MRM 1.0) ]
    We cannot use the Base Folder only switch in MRM 2.0 because it is TAG  specific (DPT, RPT, and PPT) not Managed Folder specific.
    Managed folder Mailbox Policy is folder specific this would be the major difference.

    Hi Experts,
    We are on SRM 7.0 SP 8 PPS with ECC 6.0 Ehp 4  with RM.
    I have managed to Integrate SRM with RM with some issues.
    The issues are:
    RFx with attachment is not displayed in RM through related links.
    Whereas RFx without attachments are visible.
    Contract and PO with attachment are also visible in RM.
    The only piece remaining is the RFx with attachments:

    Hello!
    I've got a question from Records Management
    When I create a record model and want to set visibility for a node, this option is not available, i.e. the Roles Dialog opens and lists them but I can't choose any of them. "Enter" does not close the dialog and green tick in this dialog is unavailable.
    Why does it happen?

    this does not work for both of fields, neither for "visible in role", nor for "ID"
    the difference is:
    when I choose f4 help for  "visible in role", choise dialog appears for single or composite roles, but when I choose any of them it disappears with message
    "No role was selected
    Message no. SRM_BR052"
    if I call f4 for "ID" the list of roles either for single or for composite roles appears but the green tick is disabled and I can't choose any of them
    note: this option does not work for any type of node, neither model nodes, nor structure nodes
    note2: as to other options, such as relationship, attributes and element types it works fine!

  • Record Management Examples?

    Hello,
    I want to write a webservice which checks a folder in my content database if there are any files older then xx days. If so the webservice should move these files into some kind of archive.... But i dont know how to start because i found no documentation. In the ContentDB Developers Guide are also no examples for the record management....
    Are there some kinds of tutorials, code snippets or something like that?

    i tried something else and it seams that the user has no right to create a record category, folder, series under the domain, because the ID that is mentioned in the error code is the id of the Domain.

    But its wired, because the admin is allowed the create record categorys etc. in the webinterface. Only within the web service he cant create something....
    On the other hand read is allowed....

    I am trying to use Records Management to create records against
    business objects in Real Estate, Project Systems and PLM.
    For Real Estate, I found the path I used to create records was:
    SPRO> Display IMG > Flexible Real Estate Management > General Settings
    for Master Data and Contract > Document Management > Records Management
    > Make Basic Settings for Records Management
    Is there something similar to activate records in project systems and
    PLM?

  • Record Management. Search record by objects added into the record

    Hi all,
    We would like to navigate from the gos (generic object service) of a  business object to the record where this object is added. In principle the object will be added just to one record and it will be manually added from the organizer in the specific record. The point is that when someone is at the business object and at the gos press the record button, will navegate to the record.
    Our problem is how without adding any specific field can we know the record where this object was previously manually added.
    Any ideas? I was thinking of updating the attributes of the record (for example reference) after the object is added in the organizer, with the value of the object but I don´t know if there is a exit o service I could use when the object is added, the could give me the value of the object and also how to get the record values in order to update its attributes.
    Apart from this, can anyone tell me, in the definition of a record model, for an object model node, what the relationship  is used for? or where to find documentation, because I hope I could set a relationship with the record and the object that aftewards could be useful for my problem but when clicking there it just appear an screen with Available relationship _ Other objects but I can set any object o parameter and also in a record object I don´t find anything related with this.

  • Setup Records Management Centre

    Good day, I truly hope someone will be able to help me?  I am creating a records centre for a client for the first time in my life :-) on SharePoint 2013.  The client has a Document Management system with sub sites for each department, e.g. HR
    sub site, Legal sub site, Finance sub site.  But the records management structure they use, looks different.  For example, Management Communication, Policies, Meeting Docs, Finance FAQs, HR FAQs.
    Within each department sub site is for example Meeting Minutes, Agendas and all those need to move to Meeting Document in the Records Centre.
    Main Site 
    HR Sub site                      
    Meeting Minutes  (move to Meeting Docs)
    FAQs  (move to HR FAQs)
    Leave Policy  (move to Policies)
    Finance Sub site
    Meeting Minutes  (move to Meeting Docs)
    FAQs (move to Finances FAQs)
    Cellphone Policy  (move to Policies)
    Records Centre
    Meeting Docs
    Policies
    Finance FAQs
    HR FAQs
    Now the documents should move when 6 months old:  the Meeting minutes of both sub sites should move to Meeting Docs in Records Centre and the two Policies should move to Policies in Records Centre, the FAQs in HR should move to HR FAQs and the FAQs
    in Finance should move to Finance FAQs.
    I see I can set up a retention on the Information Management policy in each library of the sub sites, but when it reach the 6 months period it should start a workflow - notifying the Document Owner to declare as record.  But I can not see a workflow
    in 2013 designer that declares a record.  And how do I indicate in each library which documents should move to which Records Centre library?  Especially the FAQs that each has a separate folder
    Please help / if you can show me where I can find a tutorial on how to set it all up, I'll appreciate it very much.  Thank you.

    In SharePoint Designer 2013, the actions "Send Document Set to Repository" and "Declare Record" are deprecated. We only can use them in SharePoint 2010 workflow platform. More information about changes in SharePoint Designer 2013, please

    So, if you want to send documents into Records Center, I suggest you use SharePoint 2010 workflow platform with the action "Send Document Set to Repository". If you want to notify the document owner, you can add an action "Send an Email".

    In each library of each sub site, you need to create the workflow, and configure Information Management Policy to start the workflow.
    In the Records Center, create one Record Library for each library(ex. Meeting Doc, Policies, etc), when a document is added into a Record Library, the document will be declared as record automatically. So, it is not necessary to declare documents as record
    in workflow.
    So, next, in the Records Center site, you need to do is creating a content organizer rule for the documents of each type library to route documents to certain record libraries.

  • Roadmap of Records Management (RM) & Digital Personnel File (DPF)

    DPF (Digital Personnel File) is SAP standard solution to archiving of process forms and attachments at the end of HCM processes (created by HCM Processes and Forms Framework).
    I read that until 2012 Record Management (upon which DPF is built) was SAP Certified solution to Content Management System (ECM). On 2012 SAP changed Records Management name to Folders Management and branded this tool with its new name, implying that RM is no longer SAP Certified Solution to content management.
    So my question is: What is SAP current Roadmap of RM in general and DPF spcifically? and what is SAP current Certified solution to this issue?

    May be not the exact comparison, but atleast I could make out what are the added advantages using opentext.
    DPF from HCM P&F also provides a folder structure irrespective of infotypes , but not all the listed features from opentext could be met.
    Basically DPF is a wrapper on top of RM and it is also connected to Archive . So definitely opentext is way further to go.

  • Record Management. Record Model relation

    Hello,
    Can anyone explain me what is the relation functionality in the record modeller?
    I mean the part between rol visibility and attributes.
    Help sap says:
       "Optional: Enter a relation. The relation expresses the relationship between the element and the record above it. Input help is available for selecting the relation. (You maintain relations in registry maintenance in the dialog box for Area, tab page POID Directory.) "
    You can define this relations using SRMREGEDIT in the Direct POID tab but I can't find any example where you can use this part of the record modeller.

    Relation is a business semantic given to a linkage between two objects. For eg, in SAP Records Management which is used by PLM in the backend, a record created using a record model will have a IO(instance of) relation written for it. Similarly, if you have attached an object to a record then a CT(contains) relation is written with record being the main object & linked object being subservient object. This is just to understand the relations & does not necessarily affect the behaviour of the objects.

  • Record Management action in file plan never happen.

    I'm trying to use Record Management but the action I defined in my file plan never happen. I chose today has initial cutoff, a dayli frequencies and move action where I defined a destination folder. Then I went in OCDB and I manualy declared a document a record. The problem is the document is never moved even if I wait more then one day. Thank's for any help!

    please make sure that you enabled the Records Management Lifecycle Agent as you activated the records management part of the CDB.
    Background: The Records Management Lifecycle Agent is a time-based agent that processes the cutoff, retention, and disposition instructions on record categories and record folders.
    From the ContentServices Admin Guide (should be same for CDB):
    To activate the Records Management Lifecycle Agent:
    1. Connect to the Oracle Collaboration Suite Control and go to the Content Services
    Home page.
    2. In the Administration section, click Node Configurations.
    3. On the Node Configurations page, click the name of the regular node that runs the
    Records Management Lifecycle Agent.
    4. In the Servers section, select RmLifeCycleAgent and click Edit.
    5. Select Active, then click OK.
    6. On the Edit Node page, click OK.
    7. Return to the Content Services Home page and restart the node that corresponds
    to the node configuration you edited.

  • Lync 2013 Recording Manager Crashes

    2. Workstation running Windows 8 and Lync 2013 Client
    I am able to record meetings with my Lync client but when I click stop and go to launch recording manager, the application opens and then hangs.  Below is the Error from the event log

    I am able to use recording manager on a Windows 7 workstation with the Lync 2013 client without any issues.  I have tried a clean boot into windows 8 to clear third party start applications, Uninstalled the lync component of Office, rebooted, reinstalled
    component without success.

    My problem was with Lync Recording Manager crashing with details in the OP's first post. LRM would crash as soon as it started to process the .mp4 file. Uninstalling Citrix Receiver fixed my crash issue completely.
    LRM starts to process the files in 
    %UserProfile%\AppData\Local\Microsoft\Communicator\Recording Manager\Temporary Recording Files
    and would save them elsewhere when process is complete. 
    Another issue was that LRM would not for some reason process the files in one of the recording-folders in the above 'Temporary Recording Files' folder. You can get around this by creating a new Lync meeting with yourself, start recording, then stop recording
    & exit LRM at about the same time. This will create a new temp folder to be processed by LRM. Delete files in that new folder, and copy files from your old meeting to the newly created folder to kickstart processing for the old files
