Roadmap of Records Management (RM) & Digital Personnel File (DPF)

DPF (Digital Personnel File) is SAP standard solution to archiving of process forms and attachments at the end of HCM processes (created by HCM Processes and Forms Framework).
I read that until 2012 Record Management (upon which DPF is built) was SAP Certified solution to Content Management System (ECM). On 2012 SAP changed Records Management name to Folders Management and branded this tool with its new name, implying that RM is no longer SAP Certified Solution to content management.
So my question is: What is SAP current Roadmap of RM in general and DPF spcifically? and what is SAP current Certified solution to this issue?

May be not the exact comparison, but atleast I could make out what are the added advantages using opentext.
DPF from HCM P&F also provides a folder structure irrespective of infotypes , but not all the listed features from opentext could be met.
Basically DPF is a wrapper on top of RM and it is also connected to Archive . So definitely opentext is way further to go.

  • Digital personnel file

    I am implementing SAP record management currently for setting up a digital personnel file using the standard service providers ASR......  from SAP.
    We have defined multiple roles (e.g employee and HR advisor). With the record model and authorizion roles I am able to give the correct authorization to both individual roles. Which means that every role is able to view or add the documents using individual element types. 
    The problem I am facing is that if an user has both roles how can I prevent e.g. the HR advisor of viewing the wrong documents of a person. The requirement is that a HR advisor is only able to view the documents of a person based on his advisor role, except his own file.
    Hope anyone can help out.

    One is Category and another one is Anchor. It is different configuration but it tie togehter. It is the terminology in Record Management System. I also looking to create new Anchor and put it in the standard one. But I still can not find how to do that. Please let me know if anyone can find how to link between new Anchor and RMS ID.
    For your case, the problem is cannot assign to any folder or can assign but want to have new folder same as my case?

  • Digital personnel file configuration

    Dear experts,
    First of all... Wishing a very happy new year.
      I am new to HCM and Digital personnel files. Now actually I need to configure digital personnel file for HR personnel records, I had small experience in SAP Records management. I did some basic configurations for DPF, Now I want to check personnel records(DPF), but I dont understand how to check or where to check it. Actually I checked it in PA30, but could not find how to navigate to DPF. Also I would appreciate if somebody shares a step by step configuration guide for DPF config. I got idea of creation of records models etc... I am looking for your quick replies. Thanks a lot in advance.

    Also for the DPF to work , as per the documentation you need to set up a single record model , you can check out the tcode organizer , but pre-requsite to that is the records management must be present in your system , you can take help of any basis person to check the same.

We've got a requirement to archive Digital Personnel File contents (HCM Processes and Forms (Adobe) and other stored office documents) with metadata. Is it at all possible to define metadata in Records Management?

    Hi Jukka,
    HCM Processes and Forms already use RM for persisting the data. I believe there are cases & documents created for these processes & forms in RM.
    Please have a look at the archiving solution for cases & records for the same. They are available from the sdn link of RM. I have also posted news item on http://www.sdn.sap.com/irj/sdn/nw-ecm stating the upload of the archiving cookbooks. 
    The catch as I see for you is that you will need to know how the processes & forms are stored in RM by HCM & then use the correct archiving solution for those objects.

  • Content Repository for SAP Digital Personnel Files

    Hi,
    I am trying to configure and use SAP DPF to store employee's certifications and document.  I had created record model and manage to create Personnel Records with tcode SRMRECORDSCREATE.
    I am now trying to find out where the document loaded is stored in the SAP standard configuration.  I searched from online help and documentation, it mentioned that it is based on the content repository that it is set.  However, i couldn't find the standard Content Repository that SAP DPF is using.
    I need to store the document in the external content server.

  • Digital Personal File (DPF)

    Hi all,
    We would like to take DPF into use independantly from Processes and Forms etc. Just a simple setup were its possible to archive documents in a record model via ORGANIZER and the SAP portal.
    Right now I am getting to know DPF by using the RMS_ID "S_RMS_DEMO".
    I would like to create a DPF record for a specific employee which I have hired in the system. I tried to create a new record but I do not seem to be able to "link" the new record to my employee.
    1. Can anyone explain to my who I can link a DPF record to an employee?
    2. How do I make sure that when I create a DPF record for an employee, it will be created for the correct Record Model?
        (Is that specified in the Element type for the Record?)

  • Archiving documents in SAP Records Management

    Hello experts,
    Does anybody know how to archive documents in SAP Records Management? By default, they are stored somewhere in SAP database. However, based on the SAP documentation, they can be stored also to archive by using ArchiveLink. Where is this configuration done and how? Or do we need some coding here?
    I'm interested in two different solutions:
    1) Document will be stored on an archive server right from the start. By doing this, I no longer need to move the document content myself.
    2) Moving existing Records Management documents to archive. I know there is a program SRM_KPRO_CONTENT_RELOCATION for this purpose, but it doesn't seem to be working without some archiving/RM configuration before somewhere else.
    We are using Records Management as part of Digital Personnel Files and the documents to be archived are completed Adobe forms.

    You need to define the repository in OAC0 transaction. As per my analysis now your document are stored in sap database.
    If you are using separate serever then confuigure as follows in OAC0:
    Document area : SAP Records Management
    Storgae type : RFC Archive
    define IP address and port. Then goto CSADMIN and activate the certificate for the same.
    or if using SAP Database then make the changes in above areas.
    Then these archived documents will get saved in content server instead of sap database.

  • Error while trying to archive from Records Management

    Hello,
    I'm currently trying to figure out what would be the best way to archive Digital Personnel File documents. Currently it looks like the best way would be using method described in document [Archiving in SAP Records Management|https://cw.sdn.sap.com/cw/docs/DOC-22228]: using program SRM_KPRO_CONTENT_RELOCATION and archiving object SRMGSP.
    When I'm trying to run this program in test mode I get the following error:
    Problems while searching for the specified documents
    Message no. SRM_GENERIC_SP_ARC021
    There should be documents of the element type I'm trying to use there and I have configured the Content Category to be used with this (using content repository with archive link).
    Any ideas what might be causing the error? Thanks!

    Dear Jarmo,
    Please check if you have such documents by first searching for them in ORGANIZER for the given element type based on the last changed date. If you are able to retrieve results that way then this program should also work.

  • Data upload for records management

    Hi experts,
    We're facing a problem while creating an RFC-enabled function to upload documents to the 'digital personnel file', which is the HR extension on records management.
    The goal is to transfer a document to SAP via RFC and upload it then from the given function module to the employee's record.
    We're able to create a document with the SRM-classes framework. However, linking the document to the record proves to be a problem.
    Could you advise which properties need to be set to link a document to the record?
    Are the alternative scenario's we could try to explore?
    I have tried to debug the webdynpro scenario to the bottom, but I'm loosing my hair over it...

    Hi Luk,
    The linkage of module may be very critical. But if you have a requirement for attaching the documents like photo,certificates or other documents related to employee to records management then you can create a radio button to recodrs management screen with help of abap'r and directly attach these documents to respective records management screen.
    for linkage it may not feasible or much critical.

  • How to create Digital Personnel Foile for HCM Processes and Forms

    Hi I am creating HCM Processes and Forms using FPM Forms. Now to print these forms Alternate Adobe forms also developed. But once the entire process is completed by HR Admin and in future if they want to see the already processed form and if they want to take print out they should be able to do it. So, based on some knowledge I am assuming we can achieve this by Digital Personnel file creation. Can any one please confirm. Whether they can open already processed form and how to get print these forms as this is FPM form and no print option is available.
    In order to configure DPF, can any one share step by step procedure to configure DPF. I dont have any idea on SAP Records Management as I felt this basic is required. Friends help me here.

    For DPF - ensure you have used the anchor correctly refer Save PDF file added to processes and forms WDA
    Regarding the possibility of being able to print it from process browser - I am not sure.

  • Records Management not appearing in my folder/file properties

    I just did a fresh install of OCS_101200.tar.gz . I enabled records management using the steps described in http://download.oracle.com/docs/cd/B25553_01/content.1012/b25275/scenarios.htm#FLSAG129 . I can log into the /rm webapp and create file plans, records policies, etc. But when I right-click on any object in the Collaboration Suite web interface and click Properties, Records Management does not show up as a menu option. Is there an easy fix, or did I mess up the installation?

    as far as I can remember you have to define at least one record category in the RM Web client ( http://your.OCS.com/rm ) to make the Records tab visible in CS Web client.

  • Record Management action in file plan never happen.

    I'm trying to use Record Management but the action I defined in my file plan never happen. I chose today has initial cutoff, a dayli frequencies and move action where I defined a destination folder. Then I went in OCDB and I manualy declared a document a record.     please make sure that you enabled the Records Management Lifecycle Agent as you activated the records management part of the CDB.
    Background: The Records Management Lifecycle Agent is a time-based agent that processes the cutoff, retention, and disposition instructions on record categories and record folders.
    From the ContentServices Admin Guide (should be same for CDB):
    To activate the Records Management Lifecycle Agent:
    1. Connect to the Oracle Collaboration Suite Control and go to the Content Services
    Home page.
    2. In the Administration section, click Node Configurations.
    3. On the Node Configurations page, click the name of the regular node that runs the
    Records Management Lifecycle Agent.
    4. In the Servers section, select RmLifeCycleAgent and click Edit.
    5. Select Active, then click OK.
    6. On the Edit Node page, click OK.
    7. Return to the Content Services Home page and restart the node that corresponds
    to the node configuration you edited.
