Recurring Journal Entry Attaching Supporting Documentation

Can someone tell me how to attach supporting documentation to a recurring journal so that it will show on each of the monthly entries. Similiar to what can be done on a manual journal.

Supporting documentation means you mean to have long notes for a entry or any word document  ??
For long notes you can use Long text field.
Later case Standard sap dont give any option unless you go for any Z Program wherein
you can have this kind of functionality.

    Hi all,
    I'm looking for suggestions on handling the posting of Recurring Journal entries in a Legal Consolidation.  I'm new to BPC, and am afraid I don't know the "best" way to do this.  Currently, we are assuming that we would "copy" the previous months' entries into the new month, but when I do this, the Description of the entry says "Copy xxxx", which of course is not acceptable!  The users don't want to have to open and maintain the description on 30 entries every month when the values posted are the same.
    Perhaps there is another way to handle these entries?

    The documentation around re-opening journals isn't really clear; I wasn't sure of the purpose of re-open.
    Can you re-open a journal multiple times?  In other words, the journal is created in January, and you re-open it in Feb, Mar, Apr, etc. for many months?  Or do you flag each new journal as re-open, and re-open the one from the period before in the new month, i.e. the Jan journal re-opened in Feb; the Feb journal re-opened in Mar.
    Can you change the values in the journal after you re-open and before you save?
    And lastly, does the new journal in any way affect the original journal?
    I know there is a translation table associated with re-opening journals, but as far as I can see I can leave this table with a single entry indicating "*" for all dimensions, which means the Entity, Account and Intercompany dimensions will stay the same upon re-opening.  Is this your experience?

    Please try with Run Date and Run Schedule, T.code OBC1 and OBC2:
    Run Schedule for Recurring Entries
    Plan which contains the required run dates for recurring entry original  documents. Using the run schedule, accounting documents can be created from recurring entry original documents at any intervals.
    Procedure
    Specify the run schedule by which the recurring entry original document is to be carried out. Alternatively, you can specify the run by specifying an interval in months and a run day.
    If you use a run schedule, you must have defined this previously in the  Financial Accounting configuration. In addition, make sure that the recurring  entry program is carried out as often as appropriate and with the suitable  parameters. For a run schedule with weekly dates, for example, the recurring entry program must also be started weekly.

    The "project" field should also be available in the "Account Balance" grid.  Every journal entry has a project code so it makes no sense that you can not view, filter, or sort by this field.

  • Is it possible to make the attachment icon on my journals form a compulsary step when creating a new manual journal entry?

    Our company uses EBS 11.5.10.2. The company has a policy whereby any new manual journal needs to have the supporting documentation attached to it, using the attachment icon in the task bar.
    Users sometimes forget to do this, though. This has now prompted management to request that we try and make this process of attaching a document when creating a new manual journal compulsary to the process.
    Is this possible on the current version we are running on?

    Well, that depends on if you are using client/server or web. Currently there is a bug being investigated, which is preventing the cursor size from being altered. For client/server, do the following on the client machine (assuming Windows):
    Control Panel > Accessibility Options > Display > Cursor Width
    By increasing the width, the cursor will be more visible. The same is expected to work on the web, but currently is problematic and being investigated.

  • Attaching a document to a specific Journal entry

    I have been trying to figure out if there is a preconfigured system method to attach a document to substantiate a Journal Entry.  So the document should be linked to the Journal ID number (not to the intersection of other dimensions)

    I also don't think it is possible, but I can only think about one silly workaround.
    -Create in the Web administration a document type "Journals"
    -Post your document to the BPC Web content library
    -Choose journals as the document type and define your Journal ID as the subtype. In this way you can even post multiple documents for one Journal ID, like a Word doc and an Excel spreadsheet for example.
    Now you can filter and search for comments based on journal ID's, but it does need some instrction to the users how to post the document with the correct document type and subtype. But since journals are mostly made by a controlled group of users this would not be a very big problem I think.
    But as said, just a workaround, no build-in solution...

    CR 8.5 never was side-by-side compatible with any other version of CR runtime.
    And as of CR 9 you no longer are licensed to be able to use crpe32 as the reporting engine. R&D can change it at anytime so absolutely no support for it in that respect either. After CR 9 crpe32 was completely rewritten and a lot of parts were removed into their own dll's. The major parts were the DB drivers were renamed and the Parameter API's were also updated and old one's are no longer recognized, or may not work the same way.
    So why not simply completely drop 8.5 since it is over 12 years old now... There is no reason you need to still be supporting it. We dropped support for it a long long time ago.

    G/L Account mentioned on line level does not get hit in Journal entry on GRPO and AP Invoice in SAP B1 9.0 PL - 11
    I am creating an independent AP Invoice, there are two issues:
    1. On line level G/L Account field is not open for selection
    2. I have then selected and updated the account on Form Settings. Same account gets updated on line level.
         In Journal Entry selected G/L account on line level shall be hitted. But it does not put any effect on JE. Accounting is set by Warehouse. It picks up accounts from warehouse only.
    Need help its urgent.

    Invoice is Item Type.
    G/L Accounts are set by Warehouse. But if explicitly we are want to change the account on line level in that case, it is not getting reflected in Journal entry. On AR Invoice same scenario works perfectly. On line level I can change the accounts explicitly and have the effect on Journal entries.
    Issue seems to be on AP side only.
    As required please find attached the screen shots.

  • I have two lists. The first is "Tasks", second is "Journal". I need a "Create Journal Entry" link in the Tasks list. How do I do that?

    Let's say I have a Task named "Build SSIS for Duke Energy" and it has another column called Active. Now every day I look at my task list and If I worked on that task I want to create a Journal entry of what I have done. So from the Task
    list I'd like a third column that calls the "Journal Entry" list's new form page and pass it in the ID of the task. I have found several TextToHtml scripts out there, but they have to be stored in a script library, and then sourced to a content
    editor web part. The problem is they don't fire when I have my list grouped. In addition to, every time someone creates a new view, I have to go in and add the Content Editor web part, point to the script....
    Any thoughts. It is the grouped view that really bug me.

    If you only want to add a hyperlink to create a Journal entry in the task list, I recommend to add a Hyperlink column in the task list and then create workflow to update the column.
    You can follow the steps as below:
    Open the task list, add a hyperlink column named Create Journal Entry.
    Create a workflow associated to the task list, start the workflow automatically when an item is created.
    Add actions as below:
    Then when a task is created in the task list, the workflow will be stared automatically to update the “Create Journal Entry” column.

  • Error when changing the POV period of a recurring journal

    We recently upgraded from HFM 9.3.1 to 11.1.1.3 and are going through our first monthly close with the upgraded application. Everything had been working fine until today when one of the application administrators attempted to post a recurring journal. He was able to open the recurring journal, but after he set the POV to the current month, he received the following message:

    I am particularly interested in the last line of the log, unique constraint (HFM.PK_HOLX_JL_1_2010) violated</Param></PSec></ESec></EStr>. It appears as though the Oracle DB is throwing a unique constraint issue, but I'm not sure why, or how to go about troubleshooting the issue. Any help or guidance would be much appreciated!

    to change the speed it is in themotion tab.
    I also use the right click alot and run in to this problem.
    You could just pull the clip to the end of your timeline,
    adjust the speed,
    then place the clip back where you want it.
    But that is not an efficent work flow

  • PARK & POST  Journal Entry and auto reversal

    Dear All,
    Our auditors has offered the following changes to be implemented in SAP system.
    1. JE approval: Configure the system functionality to place journal entries in a u201Choldu201D status when entered into the system, then the supervisor/manager review and approval then required to release the journal entry from the u201Choldu201D status and post the entry to the general ledger. The reviewer should not have the ability to initiate a journal entry.
    2. JE reversals:  Utilize the functionality to automatically reverse journal entries, booked in prior month as u201Creversing,u201D when new period is opened.
    3. 3-way match: Utilize the SAP functionality to perform an automated 3-way match process between invoice, purchase order, and goods receiving documentation. If invoices meet the 3-way match criteria based on established variance thresholds, invoices should automatically be approved for payment. If variances are noted, which exceed tolerance thresholds set by Management within the system, work flows should be used within the system to automatically route the invoice for the require approval.
    How this changes can incorporated in the system.

    For point 1, there is a functionality in SAP where all parked documents will be blocked and then released by the authorized person. There is a standard workflow for that. You may want to check Make and CHeck Settings for Document Parking. If this doesn't satisfy, then there's a need to create a customized workflow. Plus authorizations must be checked so that the users will not be able to Post but only Park. Note that, there is another functionality in Document posting called "Hold" this one, system doesn't assign any financial document. You can assign any reference/number to the document.
    For point 2, there is a Mass Reversal functionality in SAP called the F.80. For accruals, you may use FBS1 which you can input the reversal date and run F.81 to run the reversal.
    For point 3, it is a standard SAP functionality. You must set tolerance as to qty or price variance and the system automatically blocks the invoice for posting and the authorized person is required to release the approved invoices to remove the block for payment. In SAP, when you enter the PO for a particular invoice, it will give you how much or how many is actually goods received for that particular PO. in that sense you will be able to see whether the invoice is completely billed for the whole PO or not.

  • Cannot preview journal entry in AP Invoice

    One of the users who create AP Invoice cannot preview the journal entry while adding such document. SAP B1 automatically directs it to the approval process? What would be the possible cause of this? He is a limited financial user with full authorization in AP invoice, Journal Entry etc.

    But in my unit i can preview the journal entry before SAP activates its approval process. By the way I am using SAP v9.0 PL12 and my client use only v9.0 PL05..
    I just discovered that its a program error and such bug was fixed in PL08.

    Currently using Oracle 11i
    I would like to use the automatic recurring journal feature but i am unsure which one i should use!
    I currently have an open income balance of £30000 in period 1
    my aim is to have a recurring journal that reduces this showing 1/12th every month in period 12 it should come back to £30k
    Ledger Entries should appear as follows. any ideas would be welcome, Thank you in advance

  • How to identify manual journal entries

    Hello,
    In the GL tables, GL headers and GL Lines, how can we identify if a journal entry is an automated entry or a manual entry.
    That is, entries can be made into the General ledger through Interface programs or other import methods. We describe them as Automated.
    And if journal entries are made directly into the GL, how to identify them against the automated ones.
    I need to know from a backend perspective, i.e which column in which GL table specifies if an entry is a manual or an automated journal entry.
    For Ex: In the GL_JE_Headers table, the JE_Source and the JE_Category mentions from where the source is.
    Like, JE_Source is Payables and Je_Category can be Purchase Invoices or Payments.
    Looking at the above line, we can identify that this is an automated entry from Payables.
    How to identify the manual entries.

    In the GL_JE_HEADERS table, column JE_SOURCE would have value as "MANUAL", this indicates that journal is created manually in General Ledger module and not imported from subledgers ....There is no indicative column for us to identify whether it is Automatic or Manual .... values such as MANUAL and RECURRING indicates entries that were created directly in General Ledger Module...
    Also in the GL_JE_LINES table, for GL_SL_LINK_ID and GL_SL_LINK_TABLE coumns, the column values would be NULL/Blank, since these columns normally contains reference to the base transaction in the subledger ....for a manual transaction there wont be a reference to subledger, hence they would remain as blank ..

    1, There is a known issue in a lower version before  2005A SP01 PL30when you try to run a retirement operation for a fixed asset with Net Price equal to the Net Book Value, it failed and you got the following error message:
    21141 error while posting journalentry: -5012 /Unbalanced Transaction.
    If you are in this scenario, please upgrade your Fixed Assest to the latest patch.
    2. If you are not in above scenario, this problem is possibly caused by the incorrect configuration of accounts in G/L
    Account Determination.
    There should not be 'Default VAT Group' related to these accounts except for account 'Default Revenue Acc. Retirement' in G/L Account Determination.
    1) Go to Administration - Setup - Fixed Assets - Open G/L Account Determination;
    2) Select an Account Determination Group;
    3) Under the G/L Account Determination window, open the account linked to 'Balance Sheet of Asset Acc.' by clicking on the yellow arrow;
    3) The Chart of Accounts window will open, click on the'Account Details' button beneath the window to open G/L Account Details;
    4) Empty the field 'Default VAT Code';
    5) Execute the Retirement functionality again.
