Reference cells in another spreadsheet

I've not looked at Numbers for a pretty long while now, but '09 has definitely introduced the things that have kept me away (particularly row and column freezing) and it's good to be back!
Just a check:- I've had a good look around, but as far as I can see, it is not possible to link to cells in another spreadsheet. It's not a deal breaker, but have I understood that correctly?
Thanks a lot
Jim

Henry, you can certainly use references between sheets within the same -- what Excel calls a "workbook", I don't know what it is called in Numbers.
This is the sysntax, where "Spreadsheet1" is the sheet and "Table1" is the table on that sheet.
=Spreadsheet1::Table1::a1
Here's my problem --- I want to use a cell's contents to reference a sheet:
Sheets named "susie", "dave", and "colette" all have their date of birth in cell A1.
My summary sheet has the values "susie", "dave", and "colette" in cells A1, A2, and A3.
I need a function in B1, B2, and B3 that will retrieve the contents of cell A1 from the sheet named in column A.
I tried using INDIRECT and a straight reference. I just can't find the syntax. Anybody?
(By the way, I couldn't get INDIRECT to work even in the simplest case. Is it working?)
regards to all

    In Numbers, is it still not possible to reference a cell from one spreadsheet to another spreadsheet? I know it's possible between sheets within a spreadsheet but it would be nice to "grab" info from a different spreadsheet.

  • Reference cell from another sheet

    Hello,
    I've created income and expenses spreadsheets, within the same file. I would like to create a cell with a formula for INCOME less EXPENSES. I've read through many forums and have tried the following formulas to no avail:
    On the income sheet (B65 represents our total income, FYI) I've typed:
    =B65-'MY BUSINESS 2014 EXPENSES'::'Table 1'::B242
    or
    =B65-'Sheet 2'::'Table 1'::B242
    or
    =B65-('MY BUSINESS 2014 EXPENSES'::'Table 1'::B242)
    or
    =B65-('Sheet 2'::'Table 1'::B242)
    or
    =B65-'MY BUSINESS 2014 EXPENSES - Table 1'::B242
    Nothing is working. I keep getting the same #REF! error message. What am I doing wrong here?
    Thanks in advance!

    I must say that this is another poor bit of work by Apple. Numbers is not as useful in some basic areas as Excel.
    That is very frustrating, as I also need this ability to link between different files.
    If you feel that Numbers is not a suitable tool for what you wish/need to do, then use a tool that is suitable to that job. If you think a feature is needed to make numbers a suitable tool for what you wish/need to do, then use the Provide Numbers Feedback menu item in Numbers Help menu to make a feature request.

  • Cannot name  a reference cell in Spreadsheet

    Hi,
    Does anyone have any suggestions. I am trying to name a reference cell (a single cell) which will contain a value referenced in the formulae in many other cells. This is a change to an otherwise fully functioning and useful spreadsheet. When I select the cell and access the name drop down menu the "Define" button is greyed out and remains that way whatever I try to name the cell. Is this an unfixable bug or am I just stupid! I am running Snow Leopard and Appleworks 6.2.9. I have had no other problems at all. So this is strange and makes me suspect that I am doing something wrong. The cell has not been used before so there should be no clash with any formulae. I have also checked and it is unlocked. I don't get any warning messages, the "Define" button is simply permanently greyed.
    Thanks for any suggestions

    I don't know what has happened here but I have just had another go and naming a reference cell and this time it worked. So it seems that there was some clash going on in my computer that prevented the function from working. Weird but solved now.
    Thanks

  • How do I share data from one spreadsheet into another spreadsheet that is a separate file?

    I am trying to create a spreadsheet that will pull data from another spreadsheet in a different file for a what if scenario.  Is there a way I can reference a cell from that file besides adding a separate tab in the original file?

    For Numbers '09 (Mac), the answer is no, Numbers does not support references to a cell in a separate file.
    But the profile information at the bottom of your message, and the use of 'tab' in the message suggests you are using Numbers for iOS. I've requested your question be transferred to the iWork for iOS community, where the users of that version tend to be more plentiful than here, where the topic is Numbers (for Mac).

  • Creating formulas in Numbers - quick key to reference cells

    Former Excel person, moving over to Numbers -- very simple question on how I can use keystrokes to reference cells when creating a formula, rather than typing in the cell or using the mouse. In Excel would just type "=", then could use the arrows keys to move around and go into the first cell for the formula, type "+", then arrow around to the second cell and hit Enter.

    As Yvan has pointed out, Numbers offers an alternative to large spreadsheets, that being multiple tables & sheets. As you point out, moving around a large spreadsheet is not fast, even when using cursor keys (which I am assuming are the same thing as arrow keys, there being just the one set on my keyboard).
    Assuming you can break your large spreadsheets down into smaller ones, you may find that navigation is remarkably quick because you can click on any table in any sheet to immediately jump to another one (even when creating cell or range references) rather than having to transverse large areas of a single spreadsheet one cell at a time.
    If you are interested in exploring this approach, you may find my comments in the thread Generating values for grades useful as a description of how this can be applied when creating cell references in Numbers.
    It may not be the right approach for your needs, but unless you know about it, you can't compare it to other approaches, right?

    when using numbers on MacBook Pro/IOS X - how to create a link between 2 cells in different spreadsheets?

    In the cell where you want the duplicate data to appear from another sheet/table do the following:
    type the equal sign ("=") then click the cell you in the sheet table while contents you want to appear in the cell where you just typed the equal sign"
    it reads "The cell I click equals the result of the formula or the contents of the next cell I click"

    Hi All,
    I fixed this issue with some additional logic which allow me to drag and drop the string component from one cell to another cell within in the JTable.
    I am attaching the new logic here, if any one needs use it.
    DefaultTableModel tableModel=new DefaultTableModel(
                new Object [][] {
                    {null, null, null, null,null,null,null},
                    {null, null, null, null,null,null,null},
                    {null, null, null, null,null,null,null},
                    {null, null, null, null,null,null,null}
                new String [] {
                    "Title 1", "Title 2", "Title 3", "Title 4","Title 5","Title 6","Title 7"
            JTable table = new javax.swing.JTable(){
                public boolean isCellEditable(int row, int column)
                    return false;
            table.setModel(tableModel);
            table.setDragEnabled(true);
            table.setDropMode(DropMode.USE_SELECTION);
            table.setTransferHandler(new TransferHandler(){
              public int getSourceActions(JComponent c) {
                    return DnDConstants.ACTION_COPY_OR_MOVE;
                public Transferable createTransferable(JComponent comp)
                    JTable table=(JTable)comp;
                    int row=table.getSelectedRow();
                    int col=table.getSelectedColumn();
                    String value = (String)table.getModel().getValueAt(row,col);
                    StringSelection transferable = new StringSelection(value);
                    table.getModel().setValueAt(null,row,col);
                    return transferable;
                public boolean canImport(TransferHandler.TransferSupport info){
                    if (!info.isDataFlavorSupported(DataFlavor.stringFlavor)){
                        return false;
                    return true;
                public boolean importData(TransferSupport support) {
                    if (!support.isDrop()) {
                        return false;
                    if (!canImport(support)) {
                        return false;
                    JTable table=(JTable)support.getComponent();

                    } catch (IOException e) {
                        return false;
                    tableModel.setValueAt(data, row, col);
                    return true;

  • Why are some cells in my spreadsheet higher than others? There's like extra space.

    Why are some cells in my spreadsheet higher than others? There's like extra space.

    DreamLife,
    you can adjust the row height byt selecting the separator between rows.  It is possible you made this adjustment accidentally.  To se the row height to be the same as other rows select a row that has the height you want:
    Then open the table inspector.  Look at the row height and note the value.  Now select the row (s) you want to adjust, then change the "Row Height" value in the table inspector.  To view the inspect select the menu item "View > Show Inspector"

  • Ok so i'm trying to do a conditional format on numbers if (cell a2) = greater than or text then make the same cell or another cell do something. Does anybody knows how to do that on numbers. thanks.

    hi I'm from Italy.
    ok so i'm trying to do a conditional format on numbers if "a cell" = greater than or text then make the same cell
    or another cell do something like insert a number or change color.
    Does anybody knows how to do that on numbers?. thanks.

    Among the things you'll learn from the User Guide:
    Conditional formatting can be used to change the style of the text in a cell and/or the fill colour of the cell.
    A formula may be used to set the value in a cell. In both cases, the format rule or the formula affects only the cell to which the rule is attached or which contains the formula. Neither values or formats may be 'pushed' onto another cell.

  • How do you sort a table that contains links to cells in another table?

    This is something that I used to be able to do in Numbers but since 2 or 3 updates ago this doesn't seem to happen.
    The problem I have is that I have a table that includes cells that are a sum of a number of cells from another table. When I try and sort by a column all the info in the cells change because, I imagine, the commands linking to the cells in the other table are offsetting by however many rows a particular row has moved.
    This didn't used to happen; it used to hold on to the same data and links regardless of where the sort function moved a row to.
    Had a look through the help pages but can't find anything about it. Has anyone found a way around this?
    Thanks in advance.
    Matt

    Hi mmatt,
    There are several ways to create sort-safe formulas. Without knowing what you are doing in your table it is hard to give specific advice but in general INDEX(), OFFSET() and I think INDIRECT() are sort safe- ie they will ocntinue to point to the same cell wherever they are in your sort.
    If you want specific advice you would need to provide more info.

  • How do I simply add one cell to the spreadsheet?

    How do I simply add one blank cell to the spreadsheet? The rest of the items will move down or to the right.
    Can't find the answer anywhere. Can't be that difficult. What am I missing?

    s,
    Yes, Select the cells that need to be moved and "Mark for Move." Then, Select the cell where you want the upper left cell of your marked range to move to and "Move."
    It's the same number of steps, roughly, as spreadsheet programs that allow inserting cells. When you insert a cell in those other programs, you must then define the direction of the move, so it amounts to about the same amount of work.

  • Linking cells in different spreadsheets

    Is it a living link that you wish to get ?
    If it is, the response is:
    no living link between different documents.
    Between two tables from the same document, you may build living links.
    Assuming that you want to link cell B2 of table 1 of sheet 5
    to cell B2 of table 12 of sheet 1
    click in cell B2 of table 1 of sheet 5
    type the character "="
    cell B2 of table 12 of sheet 1
    press return.
    In cell B2 of table 1 of sheet 5 you will get the formula
    =sheet 1::table 12 :: B2
