Regenerating output for archived billing document

Hi,
As TCODE=VF31 can not generate output from archived billing documents, I would kindly ask you if is there any other alternative standard SAP way to do it ?

You cannot print from archived documents as archived documents have to remain unchanged. Printing will create new NAST records for your document which is not possible for archived data.
You have to care about such requests prior to data archiving. You need a general strategy e.g. printing into an archive (setting in your message conditions), which is optical archiving and often mixed with data archiving . Those optically archived invoices can be reprinted at any time.

    Please check that the billing document may be using different logo and which may not be avilable or not fitting in the window. (May be graphic is over flowing the window dimensions)

    Enter the billing documents detail
    Goto Goto> Header>Output.
    Check the status for your output type in this screen.
    If it is green then come back to the VF03 screen.Enter the billing document number.
    Click on Billing document-->Issue output to.
    Press (CtrlShiftF1) or click on the icon beside "Print options".
    Here you can see the print preview.
    If the status is red then click on the processing log.Here you will get the error messages.
    If the status is in yellow colour,then click on the "Further Data" button
    Set "Dispatch time" as "4 Send immediately (when saving the application)"
    Before the print preview option you should make sure you have added correct output type to the relevant billing document. To do that, go to transaction VF02.
    Enter the billing document no
    Go to Menu option -> Go to -> Header -> Output
    In that screen you have to add relevant output type. (Standard output type is RD00)
    Add that & press enter key
    Highlight that line & press "Further Data" button
    Set "Dispatch time" as "4 Send immediately (when saving the application)"
    Press "Back" Button
    again select that line & go to "Communication method" button
    Set "Logical destination" as LOCAL"
    Don't mark "Print immediately" & "Release after output" ticks. If you mark them, sa soon as you save the billing document, you'll get a print out.
    Press "Back" Button
    Save
    Now form the initial "Change Billing Document" screen, Go to Menu option; Billing Document -> Issue Output to
    You can see that output type line appear.
    select that line & press "Print Preview" button or (CTRLSHIFTF1)
    You can see the print preview.
    Alternatively you can use VF31 to print multiple print outs at same time.
    If you want to get PDF outputs of billing documents, go to your printer settings in the your computer from Control Panel.
    Set PDF Writer as "Default Printer" (Right click & select "Set as Default Printer")
    Then normal way, print the billing from SAP.
    It'll automatically send to your PDF writer. You can save it to the path you want,

I am working on EHP3 system only but i am not able to create the sales document. the system throws an error that billing document doesnt exist
    If any one of you have worked on such functionality kindly suggest me why its not happening here also let me know Is ther any customization required for the execution of this functionality in spro.

    I suggest you open that question in an SD forum together with the support package you run and if you have an industry solution or any business function sets activated or not.

    Electronic data archiving regulations result in a high volume of data for sales documents and require invoices to be archived at an early stage. You can integrate archived billing documents in your business processes more easily. Since you still have electronic access to archived invoices during the sales process, you can manage archiving without delay and execute further sales processes electronically.
    You can more efficiently use the rebate agreements from SAP ERP for your marketing activities. In particular, customers who use SAP CRM (Trade Promotion Management) with a large volume of data for campaigns, target groups, and product segments can define a custom-made logic for their rebate determination and thus avoid potential database problems.
    Integration
    To implement the logic for rebate processing in SAP ERP, you use the Enhancements for Rebate Processing Business Add-In (BAdI).     When you do either of these steps, the system first looks for the invoice in the database and then in the archive.
    For the sales employee, the processing steps are identical, regardless of where the sales document is stored. As soon as the sales employee processes an archived billing document, they see the relevant information in the message line as well as in the title of the function.
    For rebate processing, you can store your company's check logic in the interface of the Business Add-In (BAdI) Enhancements for Rebate Processing.
    So check if you have activated the business function.

  • EL37 showing unreversed & archived billing document related MR??

    Dear Friends & Gurus,
    We are in the process of archiving billing & print documents. During the testing, it was realized that T. code EL37 (Reverse Meter reading) showed an archived billing document which was never reversed. The understanding is that EL37 should only show reversed billing documents So does this anomaly/issue occurs due to archiving or some other reason?

    your absolutely right,  i have used FD document type and i have  created a proforma invoice  so that i can have a excise posting done for the particular materials , because  since it should  excised .
    i have a billing type  with  SD document category as "U"  for proforma invoice . 
    here everything is happening like  sales order is created , PGI is happening and when it comes to delivery related billing
    The system cannot able to able to save the data during billing.
    the system is saying an error  "billing document XXXX does not exist"
    since i am creating a proforma invoice atleast i need to have the billing document number generated to do the exicse posting
    Is it related to number ranges problem ?

    You can create your own smartforms and assign to the output type.
    t.code to create smartforms is smartfroms
    Go to spro -> sales and distribution -> basic functions -> output determination ->  output determination for sales documents
    Go there and select the output type BA00 and on the left side you can see processing and routines select that there you  can see the feild smartforms . there you can assign your created smartforms or if standard are there . that also you can assign
    use t.code V/30
    In the same way you can assign for billing output type

  • Defualt Output Types on Billing Document Upon Creation

    Need to know if it is possible through configuration to default specific output types on a Billing Document upon creation. We have created a few SAP Smart Forms for print for SD Billing Documents that typically we would have users set up via transaction VA02 Goto>Header>Output. We have run into issue though becuase these users cannot have access to VA02, so we are looking for an alternative to default the output types so that from initial screen on VA03 the can go to Billing>Issue to Output and select the type. If nt standard configuration does anyone know if this has been done via custom dev.

    If you use VV11 and make the output type default for the given sales order type (key combination)then there is no need to maintain it every time in va02, you can get the output directly in the VF03 >sales document >issue output to.

  • Rebate Agreements for Archived Billing Docs

    Can anyone help me with how to find Rebate Agreements associated with ARCHIVED billing documents.  I know table M-VMCFB will give me billing docs and rebate agreements, but archived billing docs aren't on there.  There must be a way to find the info as I can drill down on individual billing docs in VF07 to get the rebate agreement number for an item.  But how do I do it for a list of archived billing docs?

  • How to get general account for a billing document ( BSEG) ?

    For a billing document to a client , We need to get the general account for each item of the invoice . We based on the field XBLNR of table VBRK to select a document from BKPF with condition : VBRK-XBLNR = BKPF-vbeln . If yes we will get from table BSEG for bseg-vbeln = bkpf-vbeln and bseg-posnr = vbrk-posnr . then get HKONT.
    But as you know BSEG is a cluster table, Select directly from this table is extremly long and seems impossible in our case. Could you please show me the way to do this ?
    Our main purpose is to get HKONT ( General account ) for a  billing document .

    Why don't you look into tables BSAD and BSID (Transperant Tables) rather directly hitting BSEG ( Cluster Table)
    Pass VBELN (Billing Document) in above two tables and get the doucment numbers and then if you need further info hit BSEG with the data you got from BSAD and BSID
    OR else Pass KOART = 'D' while selecting data from BSEG it will help in improving performance

    I dont think its possible to EI twice wrt: single billing document.
    EI created wrt: Invoice which is created wrt: Delivery document. Then there will be only one material document with movement type 601. Through which qty will get updated in Rg1 register.
    This document once utilized, cant used again.
    re-check billing document, which billing document you are using & their settings in IMG.

    While releasing the billing document to accounting the error is coming like "An accounting document is not required for this billing document"
    Diagnosis:
    The billing document has the net value '0' and does not create an accounting document. Despite this, the posting status 'C' (Posting document has been created) is set internally for this billing document.
    But the net value is coming in the sales order and alsi into the Billing document.

    Goto VOFA screen and check for ur billing type , what is assigned in the document type field?.
    Also please check, the posting block is activated. if it is, please remove.
    Also goto the accounting document type settings at OBA7, check whether the customer field is ticked under the account type allowed tab.

    The summarization of FI items for SD billing documents are done in transaction OBCY. The steps to configure it is explained in note 36353:
    1) Enter in transaction OBCY
    2) Inform Reference Transact. VBRK
    3) Add the following fields:
              BSEG     MATNR
              BSEG     MEINS
              BSEG     MENGE
              BSEG     PAOBJNR
              BSEG     POSN2
              BSEG     VBEL2
              BSEG     WERKS
    Be informed that the content of those items will be deleted in FI document.
    The information above will help you to configure summarization of FI items for SD billing documents.
