Report Painter--Addition of Period

Hi All
We made a report using report painter. Is there a method to add 'from period to period' instead of only 'to period'. It will allow us to put periods in range.

Hi Adhikari,
Go to GRR2, select your report, go to Edit Menu, click on "Gen. Data Selection" and then select the Period from Available Characteristics and select the period variable from Period - To Period. First Two Character of Variable represents Standard library e.g. in below snapshot Report Library is belongs to EC-PCA Profit Center.

  • Alternative Periods in Report Painter

    I'm trying to create a report painter report for labour efficiency, it compares actual labour confirmations to a statistical key figure for payroll hours.
    I have the basic elements, but my problem is this.  We currently run our accounts on a calendar month basis, so we have 12 periods in FI.  This report is required on a weekly basis for each weeks payroll.  Is it possibly to report totals for a given week, when that is not your accounting period?
    I can't see any obvious characterisics that will give me a weekly total of each figure, but I'm wondering if it os possible to define alternative periods (e.g. 52/53 week years ending each sunday for a period, and bring that in as a row characteristic).
    Has anybody managed to achieve anything like this, and if so how?
    Postings can occur anytime in the week, so I don't think posting date is an option, but may be if you can specify ranges that can be logically extrapelated in the report (i.e. Mon-Sun).

  • Report painter-want to hide period columns dynamically if the period is not closed

    Hi All,
    I have made report with 12 columns like JAN, FEB till DEC in report painter (GRR1)
    Requirement is that if say, currently only period no.4(APR) is closed and we are in period no.5( MAY) or system date is in MAY, then the report should not show the data for the current period no.5(MAY), eventhough data is there. Or else it should show data for JAN to APR (closed periods)
    For this I defined 12 different period formula variables in GS11, based on system paramters like
    S008 Year (from Local System Date)
    S002 Month (from Local System Date)
    S003 Day of Month (from Local System Date)
    S012 Current Period in Current Year (per CO Fiscal Yea
    But the issue is that eventhough the variable is defined as formula variables, still the default values are given by system and default value only getting passed to the report and thus data is displayed for the unclosed period.
    But SAP help says that formula variables are without default values unlike the value type variable.
    Any help in this will be highly appreciated.

  • Report Painter Library: troubles with new field in the additional structure

    Hi, ALL!
    I'm  creating a new field in the Report Painter table  GLFUNCT. Do do it I created my field in the additional structure GLDBZ  for GLFUNCT and create an row in the T804C table for new field.
    Who has expirience in customizing using T804* tables? What tables should be used and how? I have the following troubles:
    - I do not see the new field as characteristic in the library - I don't know the customizing table to set fields from additional structure as characteristic
    - in the generated Report Painter program  my new field exists  but call of filler routine is always disabled

    Hi HIren,
    There can be only one lead column in report painter.
    However within the one lead column you can identify more than one characteristic - e.g. cost center and cost element. You can then identify that both characteristics should be exploded.
    If you go Edit > Rows > Explode, you have the opportunity of identifying which characteristic takes presidence over the other, and how they expand. So in this example, Cost center will be 1 and cost element will be 2.
    The output will be dependant upon your report layout, but you should have the layout so that you have:
    Cost Center A:
    - Cost Element A
    - Cost Element B:
    - Cost Element C:
    Cost Center B:
    - Cost Element A:
    - Cost Element B:
    - Cost Element C:
    And to distinguish the cost centers from the cost elements, you can format the cost center row "Color for Totals"

  • Adding additional field for selection criertoria for report painter

    I am trying to add a new selection criterion for a report which is created from report painter. I have run Transaction Code GRR2 and selected the library 1VK which is cost centers: absorption costing and doubled clicked on the report.
    Clicked on edit on the header à General data selection à I am looking for a option for company code but I cant find it in the list. Is there anywhere I need to flag the field company code as characteristic value or am I missing something??

    hi,
    You might want to try add parameters in general data selection.... in addition you can add variable against this field so that it appears on selection-screen. You can look at standard SAP report for example.

  • Period in report painter report

    Hi Experts,
    I use a report painter report where certain variables are used.
    In report, I have two columns. First column shows details of current period and second column shows immediate prior period.
    Say 1st column shows details of period 2, 2011 then 2nd column shows period 1, 2011.
    Here, the problem I am facing is, if I execute for period 1, 2011 u2013 I expect period 1 of 2011 in column 1 and period 12, 2010 in column 2 u2013 but in 2nd column, instead of period 12, it shows heading as period u20180u2019 and no details are displayed. This is happening only if I execute for period 1. From period 2 onwards its fine.
    The variables I used in column 1 and 2 are
    Column 1
         Fiscal year : Variable u2018ZYEARu2019
         Period : ZPERTO
    Column 2
         Fiscal year : Variable u2018ZYEARu2019
         Period : ZPERT-1
    Details of formula variables
    ZYEAR: From field (GLPCT- RYEAR) with formula (IF '#S006' = 1 THEN '#S001' - 1 ELSE '#S001')
    ZPERTO: From field (GLPCT- RPMAX) with formula (IF '#S006' = 1 THEN 12 ELSE '#S006' u2013 1)
    ZPERT-1: From field (GLPCT- RPMAX) with formula ('ZPERTO' -1), also Internal variable check box is checked in this variable.
    Could someone explain me how to solve this. I would like to se the system right with minimum changes because these variables are used in some other reports too. So would like to make the thing possible with minimum changes.

    Create 2 more variables and use this formula.
    Variable 1: ZYEAR (Fiscal Year) RYEAR u2192 '#S001'
    Variable 2: ZPERT (Period) RPMAX u2192 '#S002'
    Variable 3: ZPERT-1 (Period -1) RPMAX
    IF 'ZPERT' > 1 THEN 'ZPERT' - 1
           ELSE 12
    Variable 4: ZYEAR-1(Year for Period-1) RYEAR
    IF 'ZPERT-1' < 'ZPERT' THEN 'ZYEAR'
                                        ELSE 'ZYEAR' - 1
    Use the Variables
    1.ZYEAR & 2.ZPERT for Current Month.
    3.ZYEAR-1 & 2.ZPERT-1 for Previous Month.

  • Report Painter question (FGI1) How to limit output up to a specified period

    Hello
    I have a report painter question.
    I am trying to create a BS report using tcode FGI1 (FALGFLEXT), that lists out the BS values by month (Jan - Dec).
    But the problem I am coming across is, if I specify selection parameter 01 2008, the report also populates the same values into the unposted months ahead (Feb/Mar/April)
    Something is wrong with my parameters.
    Is there a way I can limit the report output up to the specified period/month?
    I thought I might be able to work around this by creating a formula/variable (like in GL-SL), but it doesnt seem to be the case.
    Any thoughts appreciated

    Period shall be included in the column characteristics. Check the variables or Values in column definition for the characteristic period.
    You could either give the values of period 1 for col 1, 2  for col 2, etc
    or you may use variables for period. The variables can be a formula variable with conditions.
    You make the user to enter a value for the 'To period'  (ZTOPRD)
    The value for the variable for column 2 (Feb) shall be  = 2, if ZTOPRD > or equal to  2  else, give some 17 .
    This way when the user enters a value of 1in the to period, the system would default 17, for which there won't be any values.
    You may extrapolate the above formula for various remaining columns of period.

  • Report Painter - Period Zero Balance Sheet Account

    Dear SAP Experts,
    I'm trying to create a balance sheet using report painter and understand from the forum users that we have to use Period "Zero" to run the report.
    However, the report that I generated from SAP shows the yearly movements not the accumulated balance.
    I'm not sure what possibly went wrong and would appreciate if anyone could please advise on how should I troubleshoot / fix it?

  • Report Painter GRR1 table CCSS cost centers actual/bud by period wise

    Hi,
    I have developed Cost Center Actual/Budget Report by period for 12 months (Jan to Dec in columns) in each columan I have hardcoded period e.g. for Jan (01) Feb (02) till Dec (12-12) for one of coulmns given as variable From Period to To Period as vairbale to choose user in selection criteria (1PERIV-1PERIB). while executivng the report system is givng results for whole (12)periods in the output, even my selection criteria from period 1 to 3.
    Please advise any body how can I restrict by period wise.. e.g. if I select from period 1-3 it should show for only 3perios.

    I have done below steps to my CC Report to show by period wise(individual columns Jan, Feb, so..on) cost center report:
    Step 1: used Library 1VK, Table CCSS in GRR1.
    Step 2: Created 12 individuals columns starting from Jan to Dec..
    Step 3: Created 12 formula variables(internal Variables) for 12 periods..(becoz if I hardcoded system is deriving all the  
                 periods)..
               a) created Internal value Variable ZVAR(defaualt 01),ZAR1(default 02),ZAR2 (default 03)...this is for to create fomula
                   variables.
               b) for period 1(jan) formula variable  "IF '&ZVAR'>= 1 THEN 1 ELSE 017" internal variable table:CCSS,field:PERBL
               c) for period 2(feb) IF '&ZVA1'>= 2 THEN 2 ELSE 017 like wise created 12 variables for 12 periods
    Step 4: above the formula variables I have selected check box as variable but not coming on selection screen, I need in
                selection screen from period to period for this I have created one more hide column and given period vairable "1PERIK"
               now its coming on the selection screen but values are not populating based on by selection criteria..
    Note: If I slect 1-4 periods it should show for only Jan,Feb, Mar & April  and individually..
    Please sugget above my formula is correct or not!!  appreciate your valuable suggesion!

        period are taken into account independent of each other.
        A report with the selections:

        will hence select all the following data:
                003/1997 .. 008/1997, 003/1998 .. 008/1998, 003/1999 .. 008/1999
         This is the standard behavior of Report Writer and Report Painter
         reports.
         However, reports which directly display the data for the period

  • How to create 2 lines header in Report painter

    Hi. I am not good at Report painter. I want to create 2 lines header in Report painter just like SAP std report.
    When I create a new form, I only have one line header form but cannot add additional header line.
    I am looking at the 0SAPFS10-01 Trans.Fig.- Balances. which has two header lines
                               Debit              Credit            Balance       Accumulated Balanc
    Periods                     &1FY               &1FY               &1FY               &1FY
    I can create only one header just like
    Periods                 Debit              Credit            Balance       Accumulated Balanc
    cannot add additional line for
          &1FY               &1FY               &1FY               &1FY

    In report painter you can select variouselements based on which the data will be pulled. I haven't seen any report painter with two header lines and don't think report painter allows that. But for your requirement I believe you can select the periods in the header line itself.

    Main Steps in Creating a Report Using Report Painter
    The illustration below shows the main steps in creating a report with Report Painter:
    In this section, you learn how to create a Profit Center Accounting (PCA) report with Report Painter.
    For these sample reports, you should focus on the tables that correspond to the SAP application areas with which you are working. The examples shown in this section have been created in Release 4.6C.
    Sample Report for Gross Profit Margin
    Bungee Corporation wants to use Report Painter to create a gross margin report. This Profit Center Accounting report uses data table GLPCT. The desired PCA report displays the gross margin for each profit center.
    Below is an illustration of the completed gross margin report.
    Prerequisites to Creating a Report with Report Painter
    Before you can create a report with Report Painter, you need to:
    •     Determine the table
    •     Find the library
    •     Create sets
    •     Create variables
    The following sections explain these prerequisites.
    Determine the Table
    Before you can start creating the report, you must decide on the table you need to use. In this example, we use table GLPCT in Profit Center Accounting.
    Find the Library
    Determine the library you want to use for the desired table.
    If you need to create a library, on the SAP Easy Access screen, either:
    •     From the navigation menu, choose SAP menu &#8594; Information systems &#8594; Ad hoc reports &#8594; Report painter &#8594; Report Writer &#8594; Library &#8594; Create.

    c.     In the Basic Key figure field, use the dropdown to select Amount in company code curr.

    If you want to be prompted for the fiscal year at the time of running the report, you must make this a variable instead of a value.
    e.     Choose  to move the desired characteristic to the selected characteristics frame (for example, Fiscal year).
    f.     Place your cursor in the From value field and select the checkbox to the left under  (variable on/off).
    g.     To view the possible entries for the From field, choose  .
    h.     From the resulting selection dialog box:

    On the Report Painter: Create Report screen, define column 2 and all other columns you choose to define. You can define these columns either by:
    o     Repeating steps for column 1

    o     Entering a formula that calculates the difference between columns (for example, between Current Year and Prior Year [variable is Pyear] in a column called Variance)
    Adding a column or formula is similar to adding a row formula. After defining the rows and the columns, the screen would appear as follows.
    General Data Selection
    After you define the rows and columns, define the general data selection screen for the report.
    Example Task: Defining the general data selection screen for the report
    1.     On the Report Painter: Create Report screen, from the menu bar, choose Edit &#8594; General data selection.
    2.     On the Element definition: General data selection screen:
    a.     From the Available characteristics frame, select the fields to add to the general data selection as shown.
    b.     Choose  to move the selections into the Selected characteristics frame.
    c.     Enter the values for each field. (For example, the standard ledger for PCA is 8A to 8E and the U.S. company code in IDES is 3000. This example is a year-to-date report, so all 12 periods are in the range. The standard Version in PCA is 0, the Record type for actual dollars is 0, and CO is 2000).
    d.     To check the selections, choose  Check.
    e.     To create the definition for the general data selection for the report, choose Confirm.
          3.   On the Report Painter: Change Report screen:
    a.     To save the report, choose 
    To include the report into a report group, choose Environment &#8594; Assign report group.
          1.     On the Insert Report in Report Group dialog box:
    a.     In Report group, enter a report group name (for example, ZTGR).
    b.     Choose  .
    2.     On the Create report group dialog box, choose Yes to create and assign to a new report group.
    Display and Execute the Report
    Example Task: Displaying the report you created in the previous steps
    1.     On the SAP Easy Access screen, either:
    o     From the navigation menu, choose: SAP menu &#8594; Information systems &#8594; Ad hoc reports &#8594; Report painter &#8594; Report &#8594; Display.
    o     In the Command field, enter transaction GRR3 and choose  .
    2.     On the Report Painter: Display Report screen:
    a.     Double-click on your report.
    b.     Review the report display.
    c.     To execute the report, from the application toolbar, choose execute.
    On the Selection screen:
    a.     Enter the variables used to execute the report (for example, Current Year 2000 and Last Fiscal Year as 1999).
    b.     On the application toolbar, choose execute.
    The report appears. You have successfully created a report in Report Painter.
    You can also execute the report through the report group (for example, ZTGR).
    1.     On the SAP Easy Access screen, choose SAP menu &#8594; Information systems &#8594; Ad hoc reports &#8594; Report Painter &#8594; Report Writer &#8594; Report group &#8594; Execute or in the Command field, enter transaction GR55 and choose 
    2.     On the Execute Report Group: Initial Screen:
    o     In Report Group, use  to select a report group.
    o     Choose  .
    3.     On the next screen, enter appropriate values and choose  .
    4.     On the next screen, from the menu bar, choose:
    o     Settings &#8594; Column attributes to change the column attributes such as changing the column width, setting the scaling factor, and setting decimal place numbering for number display.
    o     Settings &#8594; Summation levels to specify a range of summation levels for which totals will display.
    o     Settings &#8594; Print page format to change the layout of the report output.
    5.     To transfer the report to Microsoft Excel or Lotus 123, from the application toolbar, choose  .
    6.     On the Options dialog box, select the radio button of your choice and choose  . Note that for the report to open in Microsoft Excel or Lotus 123, you need to have these applications installed on your PC.
    7.     To get back to the original display of the report, select Inactive on the Options dialog box.
    Understanding the Report List
    After executing a Report Painter report, several additional functions can be applied to the output to make your reports as meaningful as possible. You can:
    •     Sort on each column.
    •     Highlight rows that meet the threshold criteria, for example any amount greater than 6,000.
    •     Drill down from any line item. Drilling down you can access ABAP programs, transaction codes, SAP Queries, drilldown reports, or other Report Painter and Report Writer reports.
    •     Launch SAP Graphics.
    •     Send the report through SAP mail.
    •     Save as an extract to be brought up later.
    •     Expand and collapse rows.
    •     Change the layout settings.
    •     Display the report in Microsoft Excel with office integration.

  • Calling Report Parameter in Row Formula - Report Painter

    hello
    i have a unique situation in which 11 months out of the year i need to call a certain "cell" and then in December I need to call another "cell"
    i figured if that is possible I would be able to do this one of two ways:
    IF "Eval Period" <> 12 THEN "Y021" ELSE "Y023" - this would result in a single line solution
    IF "Eval Period" <> 12 THEN "Y021" ELSE 0
    IF "Eval Period" = 12 THEN "Y023" ELSE 0
    the later formula would be split into two lines.
    i am a big excel and VBA user (where this would be possible with some trick coding), but i am slowly learning the art of report painter. Is this possible. I know you can define a row or column with a variable, but can you call it out in a formula?

    I am not sure if I have understood your problem, but I am going to comment one thing in case it is helful for you.
    If you press F1 in the u201CFormulaLineu201D when you are editing the formula, you can read:
    Formula syntax in the Report Writer
    A formula consists of operands, operators, numbers, and parentheses.
    The following operands are possible:
    Row numbers (for example, Y001 for row 001)
    Column numbers (for example, X001 for column 001)
    Cells (for example, Z001 for a specific total in a report)
    Value variables (for example, '1PERIK' for the value variable 1PERIK)
    You can enter numbers directly, with or without a decimal point (for example, 100 or 2.5).
    Example (percentage difference):
    ( X001 - X002 ) * 100 / X001
    In addition to basic arithmetic operations + - * / the following operators are supported:

    ABS   Absolute value ABS(-10) = 10
    DIV   Quotient-whole no. div. 10 DIV 3 = 3

    In comparison conditions, the following operators are allowed:

    Example (determine maximum value):
    IF Y001 > Y002 THEN Y001 ELSE Y002
    For instance you can write:

  • Foreign Exchange on Report Painter Report

    I've been asked to create a Balance Sheet and P&L that have the G/L Accounts down the right hand side while across the top each column is a new company code.  
    I am working on building this report in Report Painter.  In each column I have no problem pulling YTD totals per G/L account my problem is getting them all in one common currency.  My company does not use "multiple local currencies" so each company code listing in the columns can either be Transaction Currency based or Local Currency based.  As a result US column is USD currency, Canadian column is CAD currency etc. 
    Does someone know how to get the currency exchange in place so that I may be able to report all coumns in one currency?  ANy help would be greatly appreciated.

    When you go to the data selection screen click on Environment --> Options .  Then in the General Settings area make sure there is a "check mark" in the box next to "Expert Mode".  This privides additional selection buttons in the menu bar.  Then click on the little button that is for Currency Translation.  Just move your cursor over the boxes to find which one is for currency. 
    THen click on Translate to target currency.  Enter Target Currency, Exch Rate Date and select the Exch. Rate Type(we are using Standard translation at average rate). 
    Now the report will run using the Target Currency you entered based on the Exchange Rate in effect on the Date you Entered while using the the rate type you selected.  What is nice about this is that since you can select the exchange rate date one can review historical data at the exchange rate that was in effect during the period being reviewed in the report. 
    I hope this helps all of yo that may have been having a similar problem.
