Reversal of sales documents

The following situation has arisen in our production environment:
A user created a sales order with 3 line items. The DA (outbound delivery) and invoice were subsequently created and the invoice was released to accounting. The document flow of the sales order showed:
Sales order....................completed
Delivery.........................completed
Invoice...........................completed
Accounting document.....completed
Line items 20 and 30 were appearing correctly in all documents. But, for line item 10 a quantity of 0 was showing in the delivery doc and the invoice. The accounting document was also reflecting only line items 20 and 10. However, in the sales order line item 10 had a quantity of 1. I don't understand how this situation could have arisen. Does SAP normally allow delivery and invoice docs to be created with line items of 0 quantity? I tried to correct the situation by changing the quantity of line item 10 in the sales order to 0 but the system would'nt allow me to do this. However, I could change the quantity of this line item to any other value, e.g. 1, 2, using VA02. Why did the system allow me to change the sales order when subsequent documents had been posted? This shouldn't be possible by my understanding.
I then attempted to apply a reversal to these documents. I asked one of our finance users to reverse the accounting doc but the system did not allow this. A message appeared: "Not possible to reverse the document in financial accounting". F1 help said that "this document was not posted in the Financial Accounting module, VBRK is, rather, of type 'Billing document'.". It also said to reverse the original document, i.e. the invoice. I used VF11 to reverse the invoice successfully. I then used the Delivery doc. number in VL09 to reverse goods movements. This was also done successfully.
I then used VL02N to delete the DA (delivery). This caused some complications due to batch split but I eventually managed to delete the DA. I then used VA02 to delete the original sales order. I then had the user create a new sales order with 2 line items corresponding to line items 20 and 30 in the original sales doc and create a subsequent new delivery document and invoice. Invoice was also successfully released to accounting.
My questions are:
1. How was it possible to arrive at this situation in the first place where sales doc is different from DA and invoice and how is it possible to change sales doc when subsequent documents have been created?
2. How can delivery and invoice have line items with quantity 0?
3. When delelting the delivery doc, how to check if done properly with batch split? Incidentally, when the new sales doc and delivery were created, the delivery picked up the quantities from the same batch numbers as the original delivery. Can I take this as a sign that deletion of delivery doc with batch split was done correctly?
4. Have I performed the reversal process correctly? Will there be any impact in finance or sales reports?
The user has just informed me that payment was posted for the earlier invoice. This payment is showing as cleared in FBL5N with reference to the old invoice number. Now the new invoice will remain open? How to resolve this?

Regarding your first question, was the delivery originally created with a quantity of 1? If the delivery was created with a quantity of 1 but then changed to 0 - it will remain as a line on the delivery and on the billing document. To avoid this if a delivery line is not going to be shipped, the line should be deleted from the delivery, therefore a line item with a quantity of 0 will not appear on the delivery or billing document and the sales order will show that the line has not been delivered.

Pricing Procedure
In SD, Pricing Procedure is determined based on Sales Area (Sales Organization + Distribution Centre + Division) + Customer Pricing Procedure + Document Pricing Procedure. Sales Area is determined in Sales Order Header Level. Customer Pricing Procedure is determined from Customer Master. Document Pricing Procedure is determined from Sales Document Type / Billing Type (if configured). Once the pricing procedure is determined, Condition records are fetched. If appropriate condition records are found, the price is determined. If Mandatory pricing condition is missing, system will through an error message.
In SD, the steps to configure Pricing procedure are as under:
Step 1:
Condition table: If existing condition table meets the requirement, we need not create a new condition table. Considering the requirement for new condition table, the configuration will be done in spro as follows: IMG --> Sales & Distribution --> Basic Function --> Pricing Control --> Condition Table (select the required fields combination, which will store condition record).
Step 2:
Access Sequence: If existing access sequence meets the requirement, we need not create a new access sequence. Considering the requirement for new sequence, the configuration will be done in spro as follows: IMG --> Sales & Distribution --> Basic Function --> Pricing Control --> Access Sequence (Access sequence is made up of Accesses (Tables) & the order of priority in which it is to be accessed. Here we assign the condition table to access sequence.
Step 3:
Condition Type: If existing condition type meets the requirement, we need not create a new condition type. Considering the requirement for new condition type, the configuration will be done in spro as follows: IMG --> Sales & Distribution --> Basic Function --> Pricing Control --> Condition Type. It is always recommended to copy an existing similar condition type & make the neccessary changes. Here we assign Access sequence to Condition type.
Step 4:
a. Pricing Procedure: It is recommended to copy a similar pricing procedure & make the neccesary changes in new pricing procedure. Pricing Procedure is a set of condition type & arranged in the sequence in which it has to perform the calculation. Considering the requirement for new Pricing Procedure, the configuration will be done in spro as follows: IMG --> Sales & Distribution --> Basic Function --> Pricing Control --> Pricing Procedure --> Maintain Pricing Procedure.
b. Pricing Procedure: After maintaining the pricing procedure the next step will be determination of pricing procedure. Configuration for determining pricing procedure in SPRO is as follows: IMG --> Sales & Distribution --> Basic Function --> Pricing Control --> Pricing Procedure --> Determine Pricing Procedure.
5. Condition record: Condition record is a master data, which is required to be maintained by Core team / person responsible from the client. During new implementation, the condition records can be uploaded using tools like SCAT, LSMW, etc.

<b>Sub Contracting Cycle</b>
(1) You have a material that can be procured externally, and you have maintained BOM with components. Any waste generated and received during subcontracting process can be maintained as component with negative quantity.
(2) You create a subcontracting PO (PO with Item Category L). You can also maintain Purchase Info Record for Subcontract category for material and subcontractor.
(3) You make a transfer posting to issue components for SC PO. Material is sent to subcontractor. As material remains under your ownership, system does not make any value entry. But quantity is shown as "Material Provided to Vendor"
(4) You receive finished material against SC-PO. You also specify components consumed in manufacturing of finished goods. Additionally, if you have negative components in BOM, now you'll also receive subcontracting by-products. There are three events, so three accounting entries are generated:
DR FG Stock/ SC By-Product Stock
CR Change in Stock (FG/ SC By-Product )
(for finished goods received)
DR Subcontracting Charges
CR GR/IR Clg
(for moneys payable to Subcontractor)
DR Consumption (Components)
CR Change in Stock (FG/ SC By-Product )
(material provided to Vendor is now charged to expense)
(5) You do the IV for SC Invoice, and the process is complete.
<b>Process of Subcontract in MM</b>
Sub-contract business process:
You want to buy material from the supplier (processed material/ assembled item) , but for some reason (quality of certain item / price ) you will give some component to vendor .
Vendor shall process the item / use the item provided & supply the final item.
SAP process:
1.Create the finished goods material code.
2.Maintain the BOM for the material.
3.Create PO with item category as "L" .
4.Issue material to vendor with movement type 541
5.Receive the material against the PO with movement type 101.
6.MIRO to account for vendor's invoice for the service charge& material used by him.
Can anybody tell me how a process has to be given to subcontracting?
Suppose, I have 3 operations 1)weaving 2)dyeing 3)cutting & packing
if no 2 process (i.e Dyeing) has to be given to subcontracting, what process should i follow ?
The following process to be followed for subcontracting.
1. Item code(material master) to be created at the stage of before dyeing.
2. Item code(material master) to be created after Dyeing as subcontracted item.(F30)
3. Bill of material to becreated for the material(2) calling for material(1)
4. Inforecord and source list to be created for material(2) with the corresponding vendor
5. PO to be released for material (2)
6.Along with PO the material(1) to be issued to vendor
7.On receipt of material when GR is made the stock with vendor will get updated.
<b>How to Create a Subcontract Order?</b>
To create a subcontract order, proceed as follows:
Enter the material you want to order and the item category for subcontracting (L) in the order item.
Press ENTER to display the screen for component processing.
Enter the components that the vendor requires to manufacture the product.
Please note:
You do not need to enter the date required for the components. This date is proposed by the system when you press ENTER.
It is calculated as follows:
Delivery date of the item - Planned delivery time
If you do not want the quantity of the components to be changed if the order quantity of the end product is altered, set the indicator Fixed quantity (column F).
You can determine whether the components are available on the date required by selecting Edit -> Availability check.
If you entered a bill of material as the material in the subcontract order, the components are created automatically.
If you want to determine the components in the bill of material at a later date (for example, if the bill of material is subsequently changed), choose Item -> Component -> New BOM explosion. The existing components are deleted and redetermined in the bill of material.
Save the purchase order.
When you print the purchase order, the components are printed per order item.

Return process
You need to receipt the rejected goods through SD Module (VA01 - Sales Order type RE).
The steps are as follows :
1. Create a return request. (Using Sales Order in SD)
2. Create outbound delivery according to return request.
3. If the setting is correct in the outbound delivery screen SAP will automatically switch post goods issue button into post goods receipt. The setting is in sales order item category and delivery type.
4. In the standard system the movement type used is 651.
5. After post goods issues receipt is done using outbound delivery, the quantity is placed in blocked stock without value updating.
6. You will then decide if the return quantity are indeed bad stock or not.
7. Transfer Posting from block stock to unrestricted stock (mvt type 453), this will have accounting effect (Debit Inventory, Credit COGS)
8. Goods Issue to scrap account how to create new titles which can be used in creating the "address" view on the Vendor master.{T-Code: XK01}
In config go to Basis Components --> basis services --> Address Management --> Maintain title texts
Order type (RE)

Hi experts,
My user wants to reverse the sale invoice which was posted earlier.The he will post new invoice.My question is,what effect will come in FI , CO and SD module,if he does it.
Pl advise.

Returns sales document for cancelled invoice
Dear SAP Gurus,
User has created a normal invoice with certain finished goods. Due to some reasons he cancelled this invoice with T code VF11. And then he tried to create a returns order wrt original invoice and created returns sales document without any error.
OR --> LF --> F2 --> S1 (Cancel invoice)
F2 ---> RE ?
Is this the standard behavoiur of the system or...is there any problem in copy controls config from Invoice document to Sales document.
Request you to please suggest me how to process further..

My ques. is Why will you create return sales order wrt billing document (F2) when it is not cancelled ?
In other words, you will create return order when there is problem with material. So, for that you have to cancel the billing doc. which you already have done.
So, when you create return order, you want the material to be entered in return order. So, you can use either original sales order or billing doc. (F2) as reference so that you need not enter all the items again in return order. You can also configure return order so that it will not take any reference while creation.
In short, while creating return order you need to cancel the billing doc (F2) if it is there, so that all the accounting entries will be reversed and then have to create return order with ref to this billing doc. or original sales order.
Hope you get some idea. Correct me if i am wrong anywhere

Campaign redetermination excisting sales documents
Hi,
When we activate Campaigns in CRM, in SAP their are Sales documents which must be involved.
Now only the new entered sales documents are part of the campaign.
What can we do to reprice or something like that, to get the information needed in the "old" sales documents?
I have found BADi's beginning with CMPD... but don't now the functionality.
Who can help me with information to update these "old sales documents" .
Regards.You CAN cancel the invoice which will (as long as the new cancellation procedure is used) reverse the billing document sent to FI.
This is what I would suggest you do. When items have been partially billed, the condition control of the conditions (KSTEU) gets set to 'F' meaning fixed. The KSTEU = 'F' is only set if you go to the original document and acess the condition screen after invoicing. This happens in LV61AA03 # FIXIEREN_KOPFKONDITION_
POSITION and only in the order for conditions which have KSTEU = 'A' originally.
Once you cancel the invoice, the condition control is no longer "fixed" and you will then be able to make your changes.

My requirement is, when we change the price in a billing document(invoice) it should reflect back in the sales document. Is it possible to do this and if so how do we do this? Can any one please help me out.

No it is not possible. You can only update the pricing in sales document and it can be updated in invoice and not vice versa. But in order to do that you need to do the credit note and reverse PGI and do the returns delivery if it is delivery related billing, but if it is order related billing then you can just create a credit note and change the price in the sales document and then invoice again.

First of all, this itself is wrong. Why you were creating return order with reference to original sale order. You should always create a return order with reference to billing document.

Report to display sales documents
Hi Experts:
I need to send a list of sales documents. To do so I understand that I need a executable report.
The only programm, I know is SAPLCRM_1O_MANAG_UI, but this is not executable.
Is there any standard programm I can use?
Or do you have any advices which functions to use to build our own programm?

Report to show the followup sales documents and items
Sales had executed many sales quotations with customers over a period of time.
Now the Sales Staff wanted to know how many sales documents and what/how many sales items are being purchased by the customer with respect to the quotation.
Is there a report that list out the sales documents and items created w/respect to a particular quotation instead of looking at the document flow which is difficult to diagnose.

If you want the Open sales order qty in output and its not displayed, do the following.
Sales -> System modification -> create new fields ( without condition technique) -> New fields for lists.
You can change V05TZZMO and structure VBMTVZ from there or use SE38 / SE11.
For both you'll need an object registration in OSS.

Hi All,
Two KR documents "A" and "B" are cleared by the clearing document "C"
Now, user realized there is wrong posting for document "A". So they want to reverse the document "A"
They reset the cleared documnet, and reversed the document "A". But the document "B" and cleared dcument "C" are also appering as open items in the correspoding GL account report (FBL3N)
How can we resolve this issue?

Crystal Report - multiple sales document types
In XLR, I can easily drag 'DocNum', 'DocDate', 'Sales Doc Type' fields and specify the filter to show sales doc type equal to A/R invoice and A/R credit memo. It neatly shows various types of sales documents and display them in rows.
In crystal, I have to drag the 'DocNum', 'DocDate' fields for A/R Invoice, A/R credit memo individually under different columns. Is there a way I can dispaly mixed sales document types in rows? Thanks.Hi,

Hello Experts,
Can someone please help me, I need to know which function module to use in order to generate the outbound IDOC for sales documents. Some of the fm's I have come across are the following:
IDOC_OUTPUT_ORDERS, but actually for Purchase Orders
IDOC_OUTPUT_ORDRSP, but did not generate any IDocs for my sample Sales Order.

Iam using Mobile Sales and iam getting an error when iam opening the sale order created in laptops
Scenario : Sale order created in laptop got replicated in CRM and R/3 and delivery got created in
R/3.
The replicated sales document is not seen in the Document flow in CRM enterprise
I could not find any queue's in SMQ2 or in SMQ1 both in R/3 or in CRM.
when i open the same sale order in VA02 iam getting the error.

Please find my answers,
1. Does this error also occur when creating a similar sales document in CRM directly (i.e. it is rather a CRM related issue than mobile related)? - No from CRM enterprise to R/3 i dont find an error- It is more of a Sync issue between Mobile> CRM> R/3.
b) Do you know a user or batch name in CRM resp R/3 with that name mentioned by you?
I know the user name - but this user name is not at all related.
c) Please be aware that those queues smq1/2 are dynamical i.e. after processing the data the entries were deleted again; only in case of a sys fail the queues would be stopped; in the particular case of waiting for processing in R/3 there would be a queue status "WAITUPDA"
I accept the queues are dynamic and it will deleted after it is processed,, The issue is that i dont find any queue in SMQ1 in R/3 and also in SLG1 on that particular date i could find the Log number with the error
With the help of Log error i can find out the sale order.

Speak with your SD consultant. They can set up the copy control in SD so that the sales order is populated in the invoice in field ZUONR (Assignment).This will then copy to the assignment field in accounting.
Alternatively you can use an exit to populate another field during the Posting.
