Review FrameMaker 8 Documents

Hello,
I have a large project in FrameMaker that must be reviewed. How to you have someone who does not have FrameMaker 8 installed on their workstation review your documents? Is Save As PDF for review the only way? Or is it easier for the reviewer to install FrameMaker and review/make changes to the document in FrameMaker itself.
Converting the PDF file to Word does not translate well.
Any suggestions would be greatly appreciated.

I would not give a reviewer a document in a form that would allow the reviewer to edit the content. The reviewer may not know how to use the application and screw things up. Create a PDF instead (print to the Adobe PDF printer; do NOT save as PDF, it does not always work correctly). Open the PDF file in Acrobat, enable it for markup (select Comments > Enable for Commenting and Analysis in Adobe Reader), and save it. This allows the reviewer to add comments, strikeout text, insert text, and otherwise mark up the PDF file with changes. Then you transfer the changes to the Frame files. This gives you control over the formatting and wording, something the reviewer may not be good at.

    How are you reviewing the document? Are you using the PDF Review functionality or something else? If you want the review date to be included as part of the review file, you can't do this with the PDF Review functionality unless this is part of a topic. If you output to Word you'd either have to have the Review Date as part of a topic or add it manually post export.

    I did some experimenting with this a few months ago.
    The basis of the epub format is XHTML. There are free tools (such as Calibre) that do a good job converting from (X)HTML to epub (and other e-book formats).
    If you have one book to do it is probably quickest just to grab the text and reformat with an HTML editor, then process with Calibre or similar.
    Using other tools, such as Robohelp, MIF2Go, or FrameMaker’s built-in Save as HTML, would take some time to set up properly, and would therefore be worthwhile if you had a number of books to do that were similarly constructed.
    If planning for the future it might be worth considering using XHTML as the base format (i.e. finalising the text in this form) and repurposing either to epub or to print via FrameMaker, or both, as required.
    That was my conclusion, at any rate. You need to look at it in your own context, of course.

  • CS Review - replacing the document

    Hey there,
    I've created a document in InDesign CS5 and uploaded it to CS Review successfully.
    Some reviewers have already commented but I'd like to replace the document as I've noticed a spelling mistake on one of the pages. Does anyone know how to replace the document with the new version?
    Any advice would be very much appreciated.

    Katie - to my knowledge no way without wiping out all the comments you now have. Best way is to post your own note on the page with the misspelling and comment that you have corrected and it will appear on the next upload with everyone's suggestions in place.

  • Can't save FrameMaker 10 document to PDF

    I was able to do save to PDF last week and now it won't save anything to PDF. The whole program stalls and quits on any size FM document.

    SaveAsPDF has always been problematic.
    Jeff is asking if you open the File Menu and then select Print... and go on to select the Acrobat printer (check Generate Acrobat Data and uncheck Print To file on the FM dialog box) and print, do you get a PDF or not?
    Also, complete system info would make trouble shooting remotely much easier: OS, FM and Acrobat versions (from the Help About page), if you're using the full version of Acrobat or the limited Distiller only version that ships with Frame....

    The file is shared review enabled and is storred at the network folder correctly.
    If the file is opened by Acrobat 9 Standard the yellow
    Document Message Bar (DMB)does not show up.
    Opening using Acrobat 8 Standard or Pro works fine and presents the DMB.
    Doing a review without the Document Message Bar is really clumsy, so
    any help is very welcome.

  • Document message bar not visible when participating in Shared Review

    Hi,
    I have initiated a Shared Review using Acrobat Pro 8
    Immediately after I finished sending out the notification to other reviewers, the _Review.pdf version of the document is opened for me and the Document Message bar is visible. Therefore I have the option to check for new comments, publish comments.
    My colleagues however, when they open the pdf file attachment from their email notification they get the message: "This document has been sent by a user of Acrobat 8.0 Professional for your review. To participate in this review Acrobat 8.0 standard or professional, or later, is required" Pressing OK on that message box opens up the PDF file to be reviewed however the Document Message bar is not visible (there is no Document Message bar icon on the left pane either.). Therefore my colleagues cannot publish their comments.
    I also encountered the same issue. After I close my PDF and re-open it, I cannot see the Document Message bar, eventhough I can still see my Review Tracker and the document still listed there.
    So, what did I do wrong? I started the shared review by following the prompts:
    1. Comments > Send for Shared Review
    2. Enable reviewers with Reader to participate
    3. Select a network drive to store the shared comments
    4. Select the document to be reviewed
    5. I've experiment with all the different send notifications options
    6. I specified the email address of the reviewers and sent the invite

  • Framemaker v11 Books unable to clear all change bars from documents

    I have converted all Framemaker v10 documents to v11 by opening and saving. However when opening the Book v11 for these documents and applying the 'clear all change bars' option a book error log message advises that the documents cannot be opened as they are in a previous version! When performing the same function on the individual documents outside of the Book this works fine. But unable to clear all change bars within a book when selecting all the files in one go. Is there a bug with Books in v11?

    My version is FM11.0.0.380 so I will install the patches. I did open all documents up from within the book and then individually saved them, then i applied the 'clear all change bars' and this worked. It just does not seem right that you can clear the change bars from the documents from outside the book but when you try it from within the book it says cannot open document as it was created with a previous version. I have managed to get it working but would be good to know if it is a book bug or not. I will try it on another Book when I have upgraded to the latest patch.

                    Currently,There is a interesting problem happened in the main work flow. We have added a reviewer for a quotation document at runtime,After the reviewer received the work item,and submited it successfully. Then when we are going to check approval flow again for the quotation document, The old workitem has been really processed, Just Meantime, A new work item has been generated for the same reviewer. Every time when processed old work item successfully,A new work item aways being created As the same time? I don't know why it becomes endless circle?
    By the way,we are on SRM 7.0. Does any experts have good suggestions for that?

             Maybe i can not make the problem clear.In fact, My problems is that a reviewer received the document,then open it to add comment or attachment. Then go to press the button 'submit' .After that,We can see that current work item's status has been refreshed in approval flow. Unfortunately,A new work item has been generated as the same time. whatever you do for many time,A new one was always generated.
            Also someone tell me that this is a standard function for the reviewer.Any comments or suggestions will be appreciated.

  • Framemaker 12 opens existing documents blank

    Hi,
    Whenever I open an existing Framemaker 12 document, it comes up as a blank page. Going into Print Preview and then back again gets the page to show, as does File - Save As.

    I don't think it ever was officially documented as the Help for reformatting tables since FM8 states:
    To redefine a table format:
    1. Click in a table whose format you want to redefine, and choose Table > Table Designer. If the table you click in has format overrides, these overrides--not the catalog format's definition--appear in the Table Designer.
    It does seem odd though that in FM12 with the table selected via the anchor, the Designer does show any overrides applied, yet one cannot apply the override this way. Something has changed and it may be an unintended side-effect of something else. What the overall implication for this is unknown, but the programming team should be made aware of this.

  • Error trying to import FrameMaker documents into RoboHelp 8

    Using FrameMaker 9 and RoboHelp 8.0.0.203 (Adobe Technical Communication Suite 2) on Microsoft Vista (w/SP2) as administrator user. I get error when attempt to import a very simple FrameMaker 9 document (not book) into a RoboHelp 8 project. Attempted import using menu command File > Import > FrameMaker Document. Error (in dialog box with "RHUtils" as title) is:
    Unable to install RoboHelp plugin for FrameMaker.
    Please close FrameMaker and try again.
    Verified with Windows Task Manager that FrameMaker is not running. Even get error when I reboot computer and RoboHelp is the only application started. Error occurs for all FrameMaker documents. Simplest test was a FrameMaker document with one heading and one body paragraph.
    Searched knowledge base and found article rb_4416 ("Importing FrameMaker Files"), which advises that best way to import FrameMaker documents is to convert them to Microsoft Word format and import those files (!?). The article does not indicate which RoboHelp versions it applies to.

    Thanks. It was a new project. I only recently installed RoboHelp 8 and am in the process of familiarizing myself with the new (for me) version. So it was not a production project that was involved. But it is a feature I can see using.
    I will next contact Adobe technical support on this issue.

  • Bridging Framemaker and Google Docs for team collaboration

    Hello all,
    Our company uses Google docs extensively for all types of documentation.
    As the technical writer, I am the odd one out. Now, management tasked me with finding a way to bridge Framemaker [draft] content with Google docs. The reason is to provide the Engineers with a way to review and edit documents on a OS agnostic (and commonly used) platform.
    Unfortunately, Google docs isn't making this the least bit easy! In particular, Google docs severely limits PDF to gdocs conversion to about 10 pages. Even using Acrobat's Split Document tool (and then splitting the document into many smaller parts), I am still missing many pages!
    This has become a huge dilemma!
    Any ideas are appreciated.

  • I have a Pages document in iCloud that will not open. I have Time Machine. How do I get to the version of the document that is not corrupted?

    I'm in a bind. I tried to open a Pages document that I saved from the current version of Pages on my iMac this morning on my iPad, which has the current version of Pages of the iPad. It would not open on the iPad. Now it also will not open on the iMac, or on the Beta of iCloud Pages.
    If it were on my hard drive, I could use Time Machine to recover the most recent version, but it's in iCloud. I've been told that implies that there is a local copy, but I don't know where that is.
    It's a book manuscript I've been working on for months. I'm not happy.

    Your opinion of Apple products seems unusually harsh. I know how iCloud works and I'm generally pretty happy with it. I also like Pages a lot more than MS Word, and somewhat more than NeoOffice. Word is overripe with so many features Microsoft keeps radically changing the interface in the desperate hope that somehow they will make it easy to use again, but instead, they just confuse everybody with the unnecessary changes.
    They had menus, until there were too many options to fit the screen, so they added submenues, until that wasn't enough, so they added dialog boxes, until that wasn't enough, so they added tabbed dialog boxes, and realized that a lot of commonly used features were too hard to get to, so they added the Toolbar just as a shortcut to the more common features and then came up with the unforgivable decision to eliminate the menu interface entirely in the Windows version of the product and replace it with The Ribbon, which took me so long to interpret that I stopped using Word altogether.
    NeoOffice is simpler and quite useful, but it was iCloud that sold me on Pages. It's great being able to review and edit documents on iOS devices in addition to automatically synchronizing across Mac OS X devices.
    I have options for synchronization with Box and DropBox, and I have a network share I can use, if having a local copy isn't important, but I find that having a local copy (like with Box, DropBox and iCloud) is great because each computer I use has Time Machine, so I don't have to rely on the service to restore a file. I can get it, myself. It's easier to browse to the version I want in Time Machine than it is to estimate the time I want to restore from and hope that someone else can find the right version of the file from whenever they made a backup to restore it for me. I have unhappy experiences from this kind of request to restore stuff.
    I find Box and DropBox to be somewhat crude compared to iCloud. I like Apple's new attitude toward saving files. When I edit in Pages and exit, the file is saved. If I edit a file and the power goes out, I generally lose a sentence or less. In traditional apps, I can easily lose hours of work, unless I remember to manually save as I go.
    iCloud is not a general remote file storage facility. At it's root, it is a roaming version of whatever you have on iOS devices. So, if I want to access a file from multiple devices and not have to worry about versions, I use iCloud.
    This problem I just had was the first problem I've had with iCloud, and with Time Machine, and I use them a lot. Having someone tell me where the local copy of the documents are fixed the problem.
    I love Time Machine.
    For myself, when I upgraded from Bento 1 to Bento 2 on several computers, one of them choked on my data file. I followed Bento's directions to recover the data file until it said to reinstall Bento 1 from original medium. I couldn't find my disc. Yes, I had bought it. I don't steal software. But I couldn't find my disc.
    So, I used Time Machine to restore Bento 1. Just try restoring an older version of an app in Windows from any backup software available to Windows and see how far you get.
    I helped someone else recover a couple thousand email messages using Time Machine instead of dealing with the email service because we could open Mail, go to the folder where the messages had disappeared when she had a power glitch, and then browse back until we found the backup just before the messages disappeared. The restore took about 20 minutes, but again, this verges on magic.
    I've used Time Machine to restore an older version of OS X when someone discovered that a crucial app wasn't ready for it yet. The glitch was that she hadn't backed up for a month. She kept ignoring the warning prompts. So, when I showed up, I had her do a current backup before doing the restore. We then restored to the old OS, restarted in the old OS and opened Time Machine to recover all her documents, pictures, etc. from the current backup, so she didn't lose a month of work. This is another thing I can't do with other backup programs.
    So, I'm generally pretty happy with Apple. Once someone told me where the local copy of my iCloud documents resides, I could take care of this most recent problem.

At times, the initiator will be out of the office when someone needs to take action on the document and it would make it more convenient if there was more than one person with access. Is it possible to assign two people as the "initiator" of the documents so that there will always be one available?

    No, sorry.
    If you're using email or own-server-hosted reviews there's nothing (technically) to stop another person signing on using the initiator's identity provided they know the password. If you're using Acrobat.com to host the reviews, and so the participants are using Adobe IDs, then in a legal sense you can't because the terms of use for an AdobeID do not allow shared access.
