RFQ used in sales

In our company the a sales begins from the time a customer ask for a inquiry( not in SAP). From then on we create a Purchase RFQ that is send in a number of vendors that can supply us with the products the customer asked for. As soon as the RFQs are returned with the vendor's prices, we make a comparison between them and pick the best RFQ (the cheaper usually). As far as I know the RFQ that has been picked can be easilly create a Purchase Order so as to have the prices that we have agreed with the vendor.
Though, in this process because we want to prevent multiple data filling we want to put the idea of sales quotation and sales order.
In other words, we want before making the purchase order, to be able to create an sales quotation to the customers using the materials and especially the prices from the best RFQ. The prices should be copied from the RFQ to the quotation and then my company will add a profit margin.
If the customer agrees with the amount he has to pay, then we will create a purchase order using the best RFQ.
Is it possible to copy an RFQ to a quotation and if yes how can it be done, so as to prevent multiple data filling.

Create  a sales order with respect to the inquiry from the customer & the item category would be TAB. This will create a purchase requisition directly in background while saving the sales order.

    Cash sales is an order type for when the customer orders, picks up and pays for the goods immediately. The delivery is processed as soon as the order has been entered. A cash invoice can be printed immediately from the order and billing is related to the order. Receivables do not occur for the customer as they do for rush or standard orders, because the invoice amount is posted directly to a cash account.
    Process Flow
    In the standard system, sales document type BV is saved for cash sales with immediate delivery type BV.
    When the sales employee creates a cash sale, the system automatically proposes the current date as the date for delivery and billing. Once the order has been posted, a delivery with type BV is created immediately in the background and the system prints a document that is used as an invoice for the customer.
    The invoice papers are controlled with output type RD03, contained in the output determination procedure for order type BV.
    If the customer has already received the goods, this delivery should not be relevant for picking. If the customer is to pick the goods up from a warehouse, the delivery should be relevant for picking. If the goods are to be sent, this can be processed by maintaining the delivery in the usual way.
    The system automatically creates a resource-related billing index which updates the billing due list. Billing document BV is created as the system processes the billing due list, but an invoice is not printed.
    Once the customer has received the goods and is satisfied with them, the transaction is considered to be complete. We recommend that you post goods issue in the background using a program designed specifically for this purpose. You can then bill the transaction.
    The cash sale can only be billed if the order quantity is the same as the goods issue quantity. If this is not the case, you need to adjust the cash sale document so that the delivered quantity and the quantity to be billed match.
    You use an order-related collective billing process to bill the cash sale, but an invoice is not printed. The sales order number is used as the reference for the accounting document, created in Financial Accounting.
    Dealing with Problems and Complaints
    If the transaction does not run smoothly, manual intervention is necessary. For example, if the required quantity of goods is not found in the warehouse, you need to adjust the delivery quantity. Equally, if the customer is not prepared to pay the agreed price, because, for example, the goods are scratched, you can change the price in the cash sale document.
    In extreme cases, you can delete the entire transaction, starting with the delivery.
    If the delivery is damaged before it is picked up but after it is paid for and there is no replacement stock, you can initiate a subsequent delivery.
    If you make changes to the cash sale, you can issue a new cash sale invoice using the repeat printout function.
    Creating a Cash Sale
    In the initial screen, choose Logistics ® Sales and distribution ® Sales.
    Choose Order ® Create.
    Enter the order type for cash sales (BV in the standard system) and, if necessary, the organizational data.
    The values for sales organization, distribution channel and the division are usually proposed from user-defined parameters. Entries for the sales office and the sales group are optional.
    Choose Enter.
    Enter the following data:
    – Customer number of the sold-to party
    – Material numbers
    – Order quantities for the materials
    Choose Enter.
    If the system carries out an availability check and finds that there is insufficient stock for an order item to be delivered on the requested date, it displays a screen on which you can choose between several delivery proposals. Normally, in a cash sale, you only sell the quantity you can deliver on the spot.
    Save your document.
    The system automatically processes the delivery in the background and prints out a cash sale invoice. The amount of the sale is processed later in an order-related billing transaction. The amount is posted to financial accounting, using the order number as reference. Because this is a cash sale, no invoice is produced during the billing run.

       In order to use the sales employee, you need an HR master record. If you do not use the Human Resources application component (HR), you can transport the HR tables that you need for creating, changing  or displaying a sales employee from client 000 into the target client.
    How should i do?

  • Any case study on using ERP sales order vs CRM Sales order in IC WEB UI

    Hi All,
    Currently we have a requirement where in agent uses ERP Sales order functionality in IC WEB UI for creating sales order. Incase of any incompleteness in order or any pricing error an activity should get created and should get assinged to Back office guy(CRM User).
    My approach is as follows, we will call a custom FM in CRM from the user exit associated with Sales order transaction, This logic gets executed on save of ERP sales order.This custom FM will create an activity in CRM and assing it to back office guy. Other approach is to use the IDOC linked to the VAO1 transaction which inturns calls the custom fm.
    Can you please suggest if you have any better approach to this.
    Recently we came to know that ERP Sales order has got limited functionalities. If some one has a case study doc on ERP Sales order vs CRM sales order pls give me the ref link.

    Hi Udaya,
    Calling a Customer Specific R/3 Transaciton was quite easy in CRM 4.0 / 5.0 in the PC-UI Framework using Object Links. You can do that all by customizing and creating a custom method for a BOR Object in Transaction SWO1.
    I think I've used CRM_ORDER_MAINTAIN to update the Document Flow. The subsequent activities where created by BAPI_ACTIVITYCRM_CREATEMULTI. I've wrapped all that standard functions in a RFC enabled function module.
    It would be possible to provide also a link in the E-Mail to the Manager but the client is using a Citrix environment to provide access to the Portal. But Outlook runs locally. So we decided to use the standard Portal iView to display the Alerts. When you fill the Alert Container with the elements OBJKEY_GUID, OBJKEY_BOR_OBJECT_TYPE, OBJKEY_CRM_OBJECT_TYPE, OBJKEY_METHOD and OBJKEY_LOGICAL_SYSTEM using the Function Module SWC_ELEMENT_SET that provides a direct link to the specific document too.

  • How to find out which formulas have been used in sales orders of a period

    Hi Experts,
    I am trying to find out how much my users actually use the formula and average pricing. Therefore, I am trying to build a quick viewer by relating tables. In order to use the F&A pricing, they use one particular condition type ZFA1. By linking tables vbak and KONV via KNUMV, I can see in which orders they have used ZFA1, but I also want to find out which Formula they have chosen from the repository. As this is visible for the user from the sales order, there should be a table that stores it, but I cannot find it. Does someone know the table and can help me on this topic?

  • Why do we have to use the sales area?

    Dear experts,
    I was looking for SAP Documentation but couldn't find anything relevant.
    I'm using CRM 5.0 and ERP 2005. I'd like to implement the following scenario:
    - Create BP / BA / Technical Object and contract in CRM
    - Replication in ISU
    - In ISU, we are using the contract partner (role MKK) with a SD Customer.
    Can I implement this scenario without using sales area in CRM?
    From my understanding, we need to set up the sales area in CRM for 2 main reasons:
    Reason 1) Supported scenarios for BP replication
              Option a) CRM sold to party without sales area <-> ISU contract partner without SD
              Option b) CRM sold to party with sales area <-> ISU contract partner with SD
              So SAP doesn't support the scenario: CRM sold to party without sales area <-> ISU contract partner with SD
    Reason 2) We need the sales area to use sales transaction. For my scenario, i need to use service contract. so i need the sales area in CRM.
    Could you please tell me if i am correct? I heard that some people manage to replicate the contract partner in ISU without using sales area in CRM. And the SD customer was correctly created. (Because the SD customer is automatically created when a contract partner is created in ISU).

    Thanks for your help. I am still confused with these sales area. But what you say is:
    - We can create a sold to party without sales area in CRM and it could be replicated into ISU as a contract partner with an SD customer.
    - To replicate the service contract into ISU, I need to assign to this document a sales area. Is it necessary because it will be replicated in ISU as an utilities contract and it's not an SD document? If the sales area are required, i will have to set up these sales area in the organizational structure (PPOMA_CRM). In this case, when I will create the service contract, I will have to determine the correct organisational structure based to some custom/specific rules?
    Sorry for these riddiculous questions but it's hard for me to understand this sales area concept.

  • Use of Sales BOM to force ATP against Bulk Material?

    Background:
    Our business was recently acquired, and we have migrated to the parent company's R/3 system.  In our previous MRP system (R/2), we planned, produced, and shipped a single bulk Material ID in Trucks, Rail Cars, Flexi-Bags, and Iso-Tainers.  In the new system, specific Material IDs are now required for each of these modes.  However, we do not store the inventory in these modes, nor do we wish to plan at this detailed level.
    Considered So Far:
    Initial suggestion was to use A.T.O. to look through a BOM and automatically create production orders for each customer order. However, this seems to add additional complexity that we do not really need, and makes changing order dates more challenging (have to move both the order and the accompanying Prod. Order).
    Desired Outcome:
    Order is entered and priced based upon the mode-specific Material ID, but inventory is relieved from the Bulk material.  In our previous R/2 system, there was a field on the material master called "Std.Prod." which stood for Standard Product Link.  We used it for synonymous products where we produced and inventoried under one name, but sold under several different names.  The customer materials were set up as type SALE and referenced the inventoried material, set as type FINI, in this Std. Prod. field.  Thus, at the header level, the user saw the SALE material, but for planning and at the batch level, the system showed the FINI.
    Options?
    I am told that, due to the amount of custom coding and user exits surrounding outputs and interfaces to EDI and other external systems, the use of Material Determination would require too much testing and potentially too much development work.  But, is it the best / correct solution to the problem?  Because right now, I don't have the ability to perform ATP against the inventoried Material, so nothing confirms.  Would the use of a 1 to 1 Sales BOM offer anything different?

    Material Determination (MD) works with Consignment orders, only you need to assign a MD procedure to the requisite sales document type in config ( TO code OV14). Product substitution, which is a specialized form of MD, makes use of special item cats like TAX and TAPS or TAPA and TAN for main and substitute items respectively, but you can always make copies of them and use them with consignment orders also in conjunction with item category usages like PSHP. PSEL, PSA1 and PSA2. There could be resultant issues, but unless you test you won't know them all.
    Your second question about 'Sale would go against the finished good (Truck / Rail material) while the production costs go against the Bulk', brought a new realization in me. You are ordering, pricing and delivering Truck or Rail materials, but those requirements have to be converted to Production orders for bulk material, so from a Sales and Distribution (SD) point of view you  don't need anything extra, therefore work with you Production Planning (PP) consultant to convert the requirements at  PP end?? May be without resorting to MD or BOMs in Sales, you can work with your PP consultant and with standard config or custom development, you may realize your desired outcome.
    Also as long as cost is maintained in the sales Material (Truck for example)  with due regard to the additional costs in converting Bulk to truck, you should be fine. Follow the example below:
    Standard cost of 1 ton , say X, is stored in Bulk Material master.
    Now if there is no additional cost and you just load the bulk material into a truck and if a Truck is 10 ton, then Truck material would have 10X in its material master for cost.
    But if there is some other material  and/or  labor involved in converting bulk to Truck and their cost is y, then you will have (10x+y) in your truck material. Also it is worthwhile to capture the additional cost in the Production/Assembly order via components and operations.
    Your problem is not insurmountable, but you need to assemble a team of SD. PP, MM and CO experts to design an integrated solution for you.

  • How to know if an output condition record is ever used in sales docs

    All,
    I can see some output condition records in table B001. Additional detail of these records is in table NACH. But is there a way to know whether these condition records are determined in any sales docs?
    In individual sales documents, I can manually check what condition records are determined from the 'output determination analysis' screen. Here I can see the number of the condition record that the system has determined. But is there a table which links sales document and output condition record? (equivalent of KONV)

    Depending on the version of SAP you are using there is a transaction i think it is VA70 in ECC6 or in 4.6 there is a standard program for mass printing from a sales order.
    You can use this tcode/program the very same as VL71 for deliverys and enter in your output type and change the processing mode to 2 and execute from here you can see if it was ever printed

    3.We want to send some samples to this employee on his communication
    address maintained in HR by creating a sales order in the SD module.
    4.i tried various search in this site and other forums to find out how
    a employee can be used as a customer but was not able to find much.
    5.Request your help to tell me how to use a employee hired thru HR in
    the SD module for order creation etc.Please send/direct me to documents if
    available.

    You see if i have to create a customer again then i have to put in all the details again. I am trying to eliminate the need of typing in the communication address etc from HR again. We found people make mistakes during data entry and then there is inconsistency between data in HR and data in SD.
    Like I want to be able to create a sales order on a sales employeei hired in HR and any changes done in HR should flow seamlessly to SD for these guys as after all both these moduls SD and HR are said to b integrated ?

    It's only in quotation allowed.
    Therefore i use include MV45AFZB with following code.

    My problem is, that the user cannot chage the customer numer when error appears.

    Have you tried using order block?
    Firstly define an order blocking reason for CPDs and assign it to all relevant order types in config.
    SPRO/IMG/Sales and Distribution/Sales/Sales Documents/Define And Assign Reason For Blocking
    And then block all CPD customers using VD05 ( there will not be many, so it shouldn't take time).
    Alternately
    make it a warning in the code you wrote and copy the same code as an error while saving the order using
    MV45AFZZ - USEREXIT_SAVE_DOCUMENT_PREPARE or USEREXIT_SAVE_DOCUMENT
