RoboHelp 9 HTML crashing

This may get a bit lengthy but I want to lay it all on the table in the hope of getting to the root thus helping to arrive at an answer.
For the past several months I've been developing a help system for a food processing plant. This is a brand new plant with state of the art technology. They wanted a system that would house all the SOPs for the facility and also all the manuals for all the equipment. I arrived on the scene late in the game so things were a bit disorganized to say the least. The SOP documents are all Word docs - some 2010 and some 2007 or earlier. Some are in an old style format and some developed in a new template that I created to try and standardized things. The manuals are all PDF documents.
I've worked with RoboHelp before but not on a project like this. My previous project was built from the ground up with style sheets, fixed layouts etc. This project is not like that. Because of the wide diversity of the Word docs I pretty much abandoned trying to standardize the style sheets and simply let each imported document create it's own style sheet. It's not that hard to manage and up to now seems to work OK. Most of the imported Word documents are built in some kind of table format.
Then there's the PDF manuals. Some are small and some are HUGE. I've broken them up when I could. The best solution I could figure out was to import the PDF documents as a baggage file and then create a topic with a hyperlink to the PDF. From a file managment standpoint it seems to work OK. I've been concerned from the onset about the amount of space these baggage files will use.
The help system is still in it's infancy. There are currently nearly 300 topics. The project size is currently just over 2GB in the working files on my hard drive (PDF files included) and the published version used on the network is just over 1GB. The published version seems to run fine on any machine that accesses it, but lately when I compile I get the "RoboHelp has stopped working..." crash. Sometimes it will finish compiling and the crash occurs when I click Publish and other times it crashes during the compilation.
I'm using WebHelp HTML to generate the help system. There are some weeks when this project is updated every day and other times I can go a week with no updates. As I said I am still building this project so it will just keep getting bigger. Usually if I generate two or three times it will eventually run without errors or crashing and allow me to publish it. The crashes are becoming the norm rather than the exception. I'm fearful that it's a size issue and I'm considering trying to rebuild and this time loading the PDF files directly on the server and linking to them rather than loading them as baggage files. I know it will reduce the database size to make that change.
There are some who feel that maybe RH is not the right program for this venture. There are others who think the result is wonderful.
I'm using a computer with Windows 7 64bit, Intel i7 processor and 8GB RAM with a 465GB hard drive that is 3/4 empty. I don't think my computer power is the problem.
Sorry for the long oration. There are many things about this project that defy the "norm" so I wanted to get it all on the table. I appreciate any feedback and/or suggestions.

A number of things to address here.
Working with Word documents that have evolved through various versions of Word in the hands of people who do not use it properly is always a nightmare scenario. On my site there are instructions on importing using various versions of Rh but probably that is too late now, unless you feel it might be easier to start again. The instructions cover how to get the import working with all the topics linked to the same CSS. Your current system of having each import linked to a different CSS will become a problem over time. Having just written that, it occurred to me that one solution might be to use file comparison tool to compare each CSS and get it down to one that covers all. Not a five minute job but one that will pay over time.
It's important to bear in mind that the import process has improved over the last few versions and you are still on a version that is way out of date. It will do most of what you want but the problem is going to be browser compatibility. The issue that keep arising as each browser makes changes are fixed in later versions but not Rh9. See the forum Announcements for more information on that.
No reason not to link to the PDFs in the way you are but you can import PDFs as well. It is many years since I tried that and the results were not too good but maybe that has improved as well.
Of course the big thing with importing is that it is one off whereas linking allows the source to be updated. I wonder if you have considered that option.
Now let's turn to the crashing. I doubt that is anything to do with size. I'm thinking it is more likely to do with some content and my first target for investigation would be the PDFs. There's an old method for proving / disproving that. It seems to be time for the old divide and conquer approach.
Zip up the project so you have a copy that cannot accidentally be opened and worked on. That gives you a copy that you can safely revert to later if needed. Save the zip file somewhere safe.
Then create another copy of the project so that you have two copies that can be worked on.
Open Copy 1 and delete half the topics. Ignore any broken links reported. Generate the help from that copy.
Open Copy 2 and delete the other half of the topics. Generate the help from that copy.
It should be the case that one copy is now OK and one still has the problem.
Trash the good copy and then create a second copy of the copy with the problem.
Repeat the process until you have located the topic that is causing the problem.
The process takes less time than you might think.
Sorry it's a long reply but you started it!
Come back when you have digested it all.

I am really getting frustrated with RoboHelp 8 (HTML).  It will work for a day or two then when I try to open it, it will not open and give the message above.  I have to unzip a copy and it will let me open it.  I can work for awhile and then it will give that message and I loose what I have worked on since the last time I closed it and zipped it.  I am tired of zipping it several times a day.  I am wasting a lot of time doing this.  What needs to be done to fix this problem for good?

1] Have you applied the two patches that have been released?  Yes.  However after I applied them, it would not allow me to even open any ROBO project.  I uninstalled them and then ROBO worked fine for a couple of weeks, then started giving me same problem as before which is it would not open and gave me the message above.
2] Is it also one or a number of specific topics?  It would not even allow me to open that project.  I had to unzip a copy and then I could open that one until it got corrupt.
3] Is it a specific action?  Opening project using ROBO or going into the folder and opening it with the xpj file.
4] Is your project on a network drive?  No.  It is on my desktop.
5] Have you tried renaming the CPD file? - See Opening RH Projects on my site.  Yes.  That did not work either.  It still would not open.
I just downloaded the patches again.  I just opened the project that I was working on yesterday afternoon.  That one had not crashed yet.  I will let you know if I have anymore problems with it.

  • RoboHelp 8 HTML runtime error on version control sync

I have a user of RoboHelp 8 HTML that is receiving a runtime error after opening a project that syncs files from our revision control server with RoboSource. When she receives the error there are no error codes just a very "generic" error.
I have uninstalled and reinstalled all the Adobe programs on her laptop and updated any Microsoft C++ Packages.
I have found a work around for the problem but it still doesnt resolve the original issue of crashing when she opens the project. To not get the runtime error she created an empty project and opened it first. Once we close that project she can open the project that gives the error with no issues.
I'm at a loss of what the issue could be as I have eliminated many issues including user based profiles issues as she logged onto a different computer with RoboHelp and was able to open the project with no issues.
    Any ideas anyone?
    Myles

I'm wondering if she is checking in files that shouldn't be checked in.
    See Snippet 116 at http://www.grainge.org/pages/snippets/snippets.htm
If that is not it, I don't know the answer. I will move this thread to the source control forum in the hope it gets a response there.

  • RoboHelp for HTML 9 - Problem with viewing .chm file on 64bit machine

I am working with RoboHelp for HTML 9 on a 32 bit machine. Recently, we encountered problems when viewing a .chm file on a 64 bit machine. The TOC was fine, but the topics did not appear, only error message "Navigation of this web page cancelled". My compilation settings did not change since the last compilation some months ago. What happens?

Generally, I've only ever seen the need to ensure the CHM is unblocked if it has been downloaded from the web. I could see where it could possibly occur if one moved the CHM from a network drive to a local drive, but I'm skeptical that would be required in that case.

  • Importing Word Documents to RoboHelp 7 HTML

    Hi,
We are using RoboHelp 7 HTML for our project requirements.
The approach we adopted is as follows -
1.) Develop content in MS Word 2003 with proper formatting
including the styles defined for tables, fonts, paragraphs, various
levels of headings etc. We will have high number of word documents
which need to be reviewed by the SMEs before putting them in
    RoboHelp.
2.) Copy the content to RoboHelp. We are using the File >
Import > Word Document. We find the following issues in the word
    documents thus imported -
a.) Formatting errors like the font of the numbered list is
not consistent. The numbers have a different font while the ontent
    has a different font.
b.) The content in Tables is also not properly indented. It
    touches the borders.
c.) Foreign characters are being introduced wherever
double-quotes are used. Eg: ”r;Other” (it should have
    been "Other")
How do we address the above-listed issues? How do we get the
same output in RoboHelp as can be seen in the formatted word
document? Do you suggest any better alternative?
    Thanks & Regards,
    Anil

1] Yes. Non-RH users develop the content.
2a & 2b] What I have noticed is that the numbers appear
in Times New Roman while the content appears in Arial after
importing. As mentioned, we have lot of documentation (many word
documents). So each word doc I import, a CSS gets generated and
editing them itself is a herculean task. Is there any work around
this so that we can gain time and carry out the import smoothly?
2c] Could not find the patch in your website. One of your
posts says that it is Item 21. But cannot find any downloadable
    link.
As suggested I tried reading the article in Printed
Documentation. But really didn't know which one you were referring
    to.
    Regards,
    Anil

  • RoboHelp 8 HTML import of Word file does not create topics

    I imported a large Word file (350+ pages, 4Mb) into RoboHelp 8 HTML (8.0208).
In the status bar at the bottom of the screen, it said "Converting filename.doc..." with a progress bar and then (way too fast for a large file) it said "Ready".
RoboHelp created the project files (.xpj, empty .hhc, etc.) and NO topics.
I tried several times, with and without conversion settings.  I tried opening an empty project first and then importing the file, but no luck.
The original file had a few tracked changes and footers which I removed.
I tried copying the file and deleting all but one heading and paragraph.
    Nothing helped.
A friend with RoboHTML 2002 was able to convert it with no problem.
By the way, when I converted the file to.rtf, I was able to import it and compile it.  But this is not the optimal way to do it.
    Any suggestions are welcome.
    Thank you,
    Leeba Salzman

    Hi there
So sorry. My bad. Upon re-reading what I replied to I see that. I really should have read more carefully. Then again, I'm fighting the beginnings of a head cold today. ICK!
What if you take an approach I've seen my dear friend Peter suggest from time to time. Make a copy of that Word document. Slice off the bottom half and try importing the first half. If that works, you know the issue is in the bottom half. If not, repeat the process and try the other half. Work that way until you either get it all imported or until you isolate the problem area.

  • Losy images after importing Word document into RoboHelp 7 HTML

We imported a simple Word document into RoboHelp 7 HTML, as a
    new project (from scratch).
Everything worked out pretty well (afterall, this was just a
simple Word document), and we expect to have to tweak the styles,
    etc. That is understood.
However, the images that were embedded in the Word document
(as opposed to saved to disk, and only linked to the Word document)
do not look very nice in the RoboHelp 7 HTML project topics.
When we browse to the iamge folder, and view the actual image
files, these images do not look too bad. But in the Design View,
the images have display issues (solid color bars on the
sides/top/bottom of the images). When we compile to a Single Source
Layout (except PDF), the images look fine again. When we create
Printed Documentation, even for the best PDF-settings, the images
look terrible -- smudgy, like low resolution quality).
    1) Except for storing the images outside of the Word document
before importing, and then manually linking them back into the
imported RoboHelp HTML files, is there a way to maximize the
quality of the imported Word images in RoboHelp HTML?
    2) Why doe the images look worse in Printed Documenation
(PDF), even for the highest PDF settings, than for the other Single
    Source Layouts?
While I am typing, I realized that we should try to include
the images in Word via a link to the image files on disk. Perhaps
then RoboHelp will not actually modify the image files during
import. I will report back about this one.
Your help will be greatly appreciated!

    Looks perfect, works terribly...
    Things to consider:
Chances are, the different treatments of the space are due to whether the space was included in the bolding of the word in MS Word.
Additionally, since Word files contain much underlying binary code (macros and such), your security settings might or might not be playing well with the Word stuff.
Are you importing the Word file from a network location, or from your local machine? Network traffic might be partially impacting the import, too.
Bottom line? You'll probably need to clear all formatting in the Word file and redo the formatting properly. To test this, cut a couple of pages into a new Word file, clear and redo the formatting in Word, import the Word file into another RH project, and see what results you get.
    To clear the formatting:
    Select text.
On the Home tab, in the Font group, click Clear Formatting.
Redo the formatting, being careful to not format the spaces.
    Good luck,
    Leon

  • RoboHelp 10 HTML - Contextual Help Capabilities

    Hello!
Our company wants to serve help content relevant to the module the current user is in when they access help.  I can only imagine utilizing conditional tagging as an option with RoboHelp 10 HTML and conditionally publishing sections to different folders on our webserver and having each module of our software call help content from our webserver.  However I was wondering if there is a more dynamic approach available that I may be overlooking whether it be in RoboHelp 10 HTML or RoboHelp Server.
THANK you for your time and have a great weekend!
    Kevin

The nearest thing to what you need is Content Categories. Take a look at Dynamic User Centric Content in the Rh9 section of the RoboHelp Tour on my site.
The Employee Care sample project also ships with Rh10 so that you can see how it is set up.
The difference is that to limit the search and content, the user would have to select from a dropdown to limit what they see. I don't think anyone has come up with a way of opening the help to different categories.
The alternative would be to use merged help and have your developers call the child project for the module in the way you suggest. As a user that would annoy me because the full help would not be available, although you could create links to it.
Personally I think the best way is to open the full help at the relevant topic. The topic will be synchronised to that section of the TOC so the user can see where they are.

  • RoboHelp 7 for Word versus RoboHelp 7 HTML

RoboHelp 7 for Word versus RoboHelp 7 HTML
Can someone explain very simply when and why you use one but
not the other? I'm a little confused. We have RoboHelp 7 Server
installed and I think using RoboHelp 7 is the way to go, and I know
the server does allow to track usage, frequently viewed, etc. I
guess I just don't understand the purpose of RoboHelp 7 for Word -
what it is used for and it's capabilities when compared to HTML.
I have tons of pages of process documentation created from
Word. I need to make these available online thru RoboHelp, so am
just looking at different ways to distribute and explore all my
options. We're currently experiencing difficulties in publishing
RoboHelp HTML projects to the server.
    Thanks!

    Hi hughbetcha
If your output is going to be HTML based (and if you have
RoboHelp Server, it will be) then I would recommend RoboHelp HTML
    hands down.

  • RoboHelp 9 HTML FlashHelp Search Functionality

Using RoboHelp 9 HTML with FlashHelp output. FlashPlayer is fully updated, as is RH.
Whenever I access the generated help files, and attempt to Search on any word/phrase, I get a continuous Search (the "progress" bar moves back and forth under the "Searching.." indicator), and it never stops. No results are returned.
I've searched on this, but while I saw results that some words have not been found in the past, I've not seen anything posted about a never-ending search.
Any help on this would be appreciated.
    Thanks!
    Rich

When you use View I would expect the search to work. The other methods might not work as you then get into Flash security issues.
Create a new project with just a couple of topics. Test that and post back to tell me it is working.

  • Mass Image Change within RoboHelp 7 HTML

I am a new user to RoboHelp and have recently inherited a project form another person.
The project was created using RoboHelp 7 HTML
In this large help project there are over 700 images each named Image1, Image2, Imange3,.....Image700.
Now alot of these images needs to be edited, changed, or all together redone. Is there a way to do find for Image365 and replace it with an updated image called Img_BetterDescriptiveName?

    Hi folks
In addition to what my esteemed colleague Peter offered, you would probably be able to use a good Find and Replace tool to accomplish this by having the tool trawl through all the HTML pages and perform the deed.
ReplacEm or FAR wold probably work well for this.
I'd avoid using the Find and Replace tool included with RoboHelp.

I have RoboHelp 7 HTML. I'm fairly new and inherited a project. I did not realize that the glossary did not get generated when I compiled the project. How do I add the glossary to the TOC or what do I have to do so that the glossary is part of the project after it's generated?

    Hi again
On the outside chance you haven't sorted this, what I meand by the Single Source Layouts was that you should examine the properties of the WebHelp Single Source Layouts.
First, ensure the pod is visible by clicking View > Pods > Single Source Layouts.
Next, right-click the WebHelp layout and choose Properties.
Click Next and you should see the options. You may need to enable the Glossary here.

  • Robohelp for html project conversion to Robohelp for word

We have created our documentation using Robohelp for HTML v
    5.0.1
We find that the html editor in the program is too
restrictive. We would like to convert the entire project into
    Robohelp for word.
I cant find any way to do this. We're willing to buy a 3'rd
party utility of hire someone to do it.
    Can anyone provide some suggestions...

    Peter,
We are Amish when it comes to robohelp. :) So please excuse
    our ignorance... You say:
    >>As far as the printed document output is concerned,
    neither version of RH
    >>will give you that so you get much the same
    >> document either way. What do you have in mind to
    support the claim?
    and
    >> You put a page break in the Word source, the topic
loses the content after the page break
I was thinking that its easy in Word to put in a page break,
but did not actually try to generate a document from it!! Thanks
    for clarification...
Our current work around idea is this: We will try to embed a
special line in the document, like "<replace with new page >"
then we can do a search and replace on the word document to insert
the page break. Then we can create a single macro that is run
everytime after the document is to be printed.
Does anyone have any thoughts about that possible work
    around?
Im really glad to see this is such an active forum..
We did look at your site it was very helpful. Thanks.

    Hi there
As long as they copy the files from the shared drive to their PC, things should be fine.
If you have concerns, you might also want to zip the project(s) and place the zip(s) among the files too. Just in case.
Personally, I'd keep copies of the zips as well. That way if things go south and they call you, you can save the day by providing the zip to them.

  • RoboHelp 7 HTML - Captivate Integration

    Hello,
I have a problem importing captivate projects into my
RoboHelp 7 HTML projects. When I publish used to be able to import
the [captivate project]_skin.swf and it would import all relevant
swf files into the help files. When I attempt to do this now,
    RoboHelp locks up.
I thought that it might just be taking a bit longer than
normal, so I let it sit, and sit, and sit. About 3 hours later I
decided to Ctrl + Alt + Del it to get it to stop. Of course, no
    captivate files were brought in.
So, I tried to just import the pertinent .swf file so I could
at least get the files in there. Well, I got the files in and
working, at least in the previews they are. When I attempt to
output the .chm file or a Flash Help Pro, only one of the videos
works properly. The rest start with the Adobe Captivate progress
    bar, then stop.
I am currently using RoboHelp 7.0.2.
Any help would be greatly appreciated.

    Hi there Andrew
One thing that always bites me in the heels when I'm doing
this is that the project should not still be open in Captivate.
RoboHelp seems to hang until I close the project in Captivate.
