Sequential order for archiving SRM documents

Dear Experts ,
Can anyone help me on what are the prerequisites for archiving the SC, PO, Confirmation and invoice? For ex., purchase orders should be archived before archiving contracts.

    Hi SAP Gurus,
    with the details gathered from the forum we could suggest the client to go for Archiving there Documents for storing there HR related Documents, like Resumes, salary hike litters, leaves etc....
    but as we do have DMS here and intending to get a Content server for DMS, can we use the same content server for archiving the HR documents also,
    or the other way round if we go a Big archiving server, can we store DMS documents there using it as Content Server,

    Yes, you can use the content server. Just create an ArchiveLink Repository on the server and you can use it for HR.

  • Creating Transfer Order for a Material document

    Hi,
    I am transferring the Unrestricted stock from one material to another material through Movement type 309.
    I am creating a material document through BAPI_GOODSMVT_CREATE. Once the Material document is created and if the stock is in multiple storage types or storage bins, then I need to perform LT06. Instead of doing BDC recording I am using L_TO_CREATE_MULTIPLE function module for creating the TO. I am passing all the necessary values to this FM. TO is getting created but the Material document is not reflecting in that TO.
    As per the configuration, movement type 309 will create the posting change only not the Transfer Requirement.
    Does anybody have encountered the same problem?. If so please let me know how you have resolved the issue.

    Hello Kirankumar,
    It is possible to assign external number ranges for Storage unit, so maintain storage unit number range to assign SU number externally.
    Now when you create Transfer order for material document at that time you can assign SU number externally.

  • Using a single Content server for DMS and also for Archive link documents

    Hi,
    We have Planned for a single content server for managing the documents in DMS, parallelly as DMS Standard SAP objects are not available for all SAP transactions, i have proposed for making use of SAP Archivelink funtionality to maintain the documentations where Std SAP DMS does not provide a Solution.
    so here the question is
    can a single content server be used as a content repository for Both DMS and archivelink,
    can any one having done this pls state if it is possible to create different or Many Content repositories for DMS, Archive link in the same server,
    is this a virtual creation or can we assign each repository a specific storage space which it should not exceed.

    -- Through the ArchiveLink docuemnt Management interface, an SAP sytem can use various content servers as storage media. similarly, one contnent server can be used by multiple SAP systems.
    -- A Content server always has a single database assigned to it. A database can therefore be used by only one content server.
    -- A databse is split into as many repositories as necessary. The design of the repository is mapped in the SAP system.A repository contains documents.
    Depending on your requirements,(if u have limited documents or with low requirements)  you can use the same content server for both DMS and Archivelink.
    The number of documents stored on the content server is limited only by the size of the database.
    Its better to have an external content server for archiving purpose, if your database size is increasing. Since the archiving systems storage is not dependent on the database.

    You cannot print from archived documents as archived documents have to remain unchanged. Printing will create new NAST records for your document which is not possible for archived data.
    You have to care about such requests prior to data archiving. You need a general strategy e.g. printing into an archive (setting in your message conditions), which is optical archiving and often mixed with data archiving . Those optically archived invoices can be reprinted at any time.

  • Automatic Sequential Numbering for Archival Labels

    I am in charge of creating archival labels for my company and routinely have to edit a label template number by number by number...
    Example: The template has 24 labels, in the top left starting with 7846 and by the end the list reaching 7869. Therefore, to edit it, I have to change 24 numbers by hand every single time.
    I didn't create this template, but rather was hired after someone had already created the document.
    Since this document has to be updated so often, I figured there has to be a more efficient method to setup the fields where I could enter "7846" on the first label, and the other labels automatically number up sequentially.
    Any help or hints in this matter would be greatly appreciated. I'm very new to Pages (been using it for a week) so be kind .

    Pages does allow formulas in Tables. For example, type 7846 in cell A2, then in B2, type a formula =A2+1
    (type the formula, press enter, then double click [maybe twice] in B2 to see this view)
    B2 contains the result of A2+1 ( 7847). Fill Right to other cells.
    The question becomes more involved when you need to start a new row. What is the layout of your table? How many rows and columns?
    Here is a small table with formulas
    Each cell in Column A must refer back to the value in the last (rightmost) cell of the previous row

    I am starting archiving in our company and have question on residence time and retention time of the document.
    In which activity or t code we use to specify these timing once we determine that timing after discussing with business.
    Can some one specify the IMG activity in where to specify these timings.

    Where to define Residence Time and Retention Time?
    Residence Time :
    Goto SARA ---> Give the object name and press ENTER ( Eg:- SD_VBAK)
    Goto  Application-Specific Customizing ---> and double click on Archiving Control for Sales Doc
    Here you could specify the residence time.
    Retention Time :
    This is defined while you configure the Content Repository or the Thrid party storage system. The transaction code which could help on this is <OAC0>

    What are the prerequisites for archiving a sales order? What is the last business transaction from which the archiving process is triggered? Is it necessary to set status CLSD on the sales order for archiving ? what are the other system statuses that should be set for archiving a sales order?

    Hi Santosh,
    Sales Order is linked to other subsequent documents in the Order Processing cycle like Delivery, Invoice , Shipments, etc. So, we've to make sure that all the dependencies are removed before we can start to archive an SO.
    You can see the dependencies in SARA Transaction (Goto->Network Graphic).
    The SO archiving program checks if the status of the subsequent documents are Completed or not. (status in VBUK table is "C") .
    There are other options like Residence Time, Existence of PO , Existing of Accouting Doc.
    You can select the options, based on your company's decision regarding the extent of SO archiving they wanted to achieve.
    The program will throw the messages appropriately, based on the checks it performed and appropriate actions can be taken from the document side .

    There is a requirement that I need to stop Automatic creation and confirmation of Transafer Order for a particular document type.
    The issue is that sometimes the cycle goes upto creation of Invoice automatically but sometimes this does not happen. More over the user wants that the transafer order needs to be confirmed manually.

  • How to get the functionality of  FM 'RV_PRICE_PRINT_ITEM' for archived data

    Hi All,
    I am trying to print archived billing data using archiving object SD_VBRK. I am able to print all the related information except the pricing.
    Apart from reading all the tables archived under the archiving object SD_VBRK,  I also need to use the function module 'RV_PRICE_PRINT_ITEM' to print the pricing related information on the SAP form.
    However this function module reads the data from standard tables KONV etc., which are archived. Due to this I can not use this function module for printing the pricing related information for archived billing document.
    However I need to incorporate similar functionality for the archived data.
    Can anyone help me in replacing the FM 'RV_PRICE_PRINT_ITEM' for the archived data.

    Hi,
    Archival is done with tcode SARA
    Configuration
    In SARA tcode,
    Object : FI_DOCUMNT (For archive FI Documents) and press enter
    click on customizing button
    Maintain account type life
    Maintain document type life
    For Archiving FI documents:
    Object : FI_DOCUMNT (For archive FI Documents)
    Select Write Option.
    Put a variant name and click maintain.
    In the next screen (change screen assignment) check the check box and click continue.
    Enter Company Code, Fiscal Year / Period and all Document numbers, Remove Test run button and Click on Attributes
    Enter meaning text and Save.
    In Main screen again click on SAVE and click on BACK.
    Go to start date run it immediately. Then,
    Go to spool parameters and check it.
    Click on Immediate
    Click on Save.
    Go to Spool Parameters. Click on ok.
    Execute the same now job is scheduled.
    Go to SM37 and check scheduled job.
    Click on job log and note session number for archival
    Now to delete the documents:
    Object : FI_DOCUMNT
    Click on Delete
    Click on archive selection, select session number and schedule background job.

    I need to archive change documents of my application. There is already a change document archiving class "CHGDOCU" which I can use for this. But this is only for ADK based approach.
    Basically, I want to know if there is any Archiving class available for archiving change documents in XML based archiving?

    Hi Thomas,
    if you want to go with SARA, you would have to archive hundreds of objects, since change documents are (as of 4.5B, I think) no longer deleted/archived by themselves, but always with their respective objects.
    You can easily check that for yourself: in transaction DB15 click on the radio-button 'Archiving Objects' --> Objects for Table --> CDCLS (you can only view the cluster, not it's components). You will get a list of all archiving objects that 'contain' change documents.
    That leaves you the option to find out, to which object most of your 500 mio. change document positions belong, but my guess would be that this would be quite a lot ... so either, you are considering an overall archiving project (which is no short-term goal) or you use one of the reports that make a 'hard-cleanup' of CDCLS --> there are various notes in OSS about that topic, make sure you read them all, since the impact is not to be necglected.
    As for the artice in question, you may not need it ... there are 33 hits for object CHANGEDOCU in OSS - I think you can get all the information you need there, however - if you want to use this object, please keep in mind that you are cutting the connection between the business object and the changedocu - like described in note 1325862.

  • Copy header text of mult sales orders in a billing document

    Hello Gurus,
    My requirement is to pass the header text from Sales order to a Billing document.
    However, if I create a billing document with reference to just one sales order, it is getting copied correctly in header text of a billing document.
    In case of multiple sales orders for one billing document VF01, it copies header text elements of only first sales order, and not the other ones.
    Kindly tell me how to copy the header texts of all the Sales Orders in a billing document.

    go to  VOV8 ,  and assign to that particular sales document type., in the billing tab automatically it will affect in the sales order for that sales documents. but if you  want to go only for a particular sales document you have to either enter manually and save it
    bcoz if you assign to a particular sales doc  type , it will block all sales documents created with that sales doc  type and it will affect the other modules also.
    if the billing block has to be triggered automatically , in your sales order without affecting your sales doc type then you need to use USER EXITS
