SharePoint Testing workflow

Hi,
I'm looking for advise, ideas or how-to... setup a testing environment for testing workflows that send emails for testing.
I do have a SharePoint Server Running but don't have exchange or any other email server? This is not a work environment its internal at my home.
Whats the best way to give me an email server/system for testing internal emails
Any help will be much appreciated.

Firstly you need to install SMTP server, and then you can configure GMAIL as your email server.

I have used SMTP4Dev, which does not send emails but quite useful for view email.

    I have a test on my machine with a custom approval workflow and it can work normally .Here are the detailed steps :
    1.      
    Open the site in SharePoint Designer .Create a workflow to associate with the document library .Set the workflow to start when an item is created and when an item is changed
    .Also allow the workflow to start manually .
    2.      
    Choose ‘Collect Data from a user’ .
    3.      
    Click on the data and give a name to the Task created .
    4.      
    Define the custom form field name as ‘Approve ?’ .Set the information type as Choice .
    5.      
    Set the choices as ‘Approve’ and ’Reject’ .Display as Checkboxes .Uncheck the ‘Allow fill-in values’ and ‘Allow blank values’
    .Click finish to save .
    6.      
    Click on users and add the users who will approve the documents .
    7.      
    Keep the output to variable as collect .
    8.      
    Add a new step .Choose ‘If any value equals value ’ .Set the any value ‘Data source’ as  workflow variables and parameters .Set the ‘Field
    from source’ as Variable: collect .
    9.      
    Set the value behind ‘equals ’ as ‘Approve’ .
    10.  
    Add a new action ‘Update list item ’ .Set the item as current item .Add the field Approval status as Approved .
    11.  
    Add an Else-if branch to update the Approval status as Rejected .
    12.  
    Publish the workflow and test in your site .

  • SharePoint Designer workflow gives Claims Authentication error for some users. Problem getting output claims identity. The specified user or domain group was not found.

    We have a SharePoint Enterprise 2013 system at RTM level.  We've installed Workflow Manager 1.0 by following the steps at
    http://technet.microsoft.com/en-us/library/jj658588.aspx.  For the final step of Validating the Installation we created a simple list-level workflow and verified that the workflow
    is invoked successfully.  This is working successfully, but only for a single user.  If other users in the same site collection try to invoke the workflow on this same list we get the ULS Log Error:
    Claims Authentication          af3zp Unexpected STS Call Claims Saml: Problem getting output claims identity. Exception: 'Microsoft.SharePoint.SPException: The specified user or domain group was not found. --->
    System.Security.Principal.IdentityNotMappedException: Some or all identity references could not be translated.
    followed by:
    Failed to issue new security token. Exception: Microsoft.SharePoint.SPException: The specified user or domain group was not found. ---> System.Security.Principal.IdentityNotMappedException: Some or all identity references could not be translated.
    (as details below).
    All accounts that are attempting to use the Test Workflow (both working and non-working user accounts) are valid AD accounts and are included in the User Profile Sync that runs nightly.  All have Contribute or Design permission level (and for testing,
    Full Control). 
    What could cause the Claims Authentication to fail when certain users attempt to launch the workflow?

    Hi Aries,
    I am facing issue with work flow where Workflow goes to Suspend mode.
    I am facing an issue with SP2013 Custom Workflow developed using Visual Studio 2012.
    Objective of the Custom workflow: User fills the form and submit, list get updated and workflow will initiate and go for the process.
    Issue: After the deployment of WF, for first time when user is filling the form and submit, list is getting updated. But the Workflow Goes to "Suspend" mode. (
    This Custom Workflow has a configuration file where we are providing other details including ID of Impersonator (farm is running under Claim Based Authentication).
    Work flow works fine once when the Impersonator initiate the workflow (Fill the form and submit for approval) and everything works fine after that.
    Following steps are already performed
    1.Make sure User profile synchronization is started.
    2.Make sure the user is not the SharePoint system user.
    3.Make sure the user by whom you are logged is available in User Profile list.
    4.Step full synchronization of User Profile Application.
    From the ULS logs it seems the user's security token from the STS service and User profile service is not being issued.
    Appreciate any thoughts or solution.

  • SharePoint 2013 Workflow Lookup Column Error

    When I try to use the value from a lookup column (e.g. display the selected value in the body of a email) in a SharePoint 2013 workflow I receive the following error. It works fine if I use the SharePoint 2010 workflow platform, but I always receive a error

    According to your description, I try to reproduce your scenario in my SharePoint Server 2013 environment.
    I create a lookup column in a list and create a workflow 2013 for the list. In the workflow, I add Send an email action. Then I display the lookup column in the body of the email as the below figure:
    When I start the workflow, it works fine.
    Have you installed
    the workflow manager 1.0 cumulative update 1 ? It can be the point.  If not, please install it.

  • Sharepoint 2010 Workflow successful: Sharepoint 2013 Workflow UNsuccessful:

    Observation 1 
    1. I created 2 workflows that write "completed" to the workflow history 
    a. 1 workflow uses sp2010 workflow manager 
    b. 1 workflow uses sp2013 workflow manager 
    2. sp2010 workflow works fine; it will start either manually or automatically (when a new item is created ) without issue; "completed' is written to the log as expected. Good. 
    3. sp2013 does not start automatically (when a new item is created ); when trying to start manually I get error message "Something went wrong. To try again, reload the page and then start the workflow." Which I do, but still fails.
    Bad. 
    4.On Workflows.aspx I can see the links to start the 2 workflows manually. 
    a. When I hover over the sp2010 workflow link I can see something that look like this:

    In Sharepoint Designer 2013, when I goto Navigation -> Workflows and click on the 2010 workflow, I see a file listed under "Forms" that looks like this "sp2010 test workflow.xsn". By the way the name of the workflow happens
    to be "sp2010 test workflow". 
    But when I goto Navigation -> Workflows and click on the 2013 workflow, I see a NO file listed under "Forms". Should I see "sp2013 test workflow.xsn" listed there? If yes, can you think of why it is not listed there? 
    I saved the workflow debug logs from Event Viewer but won't share that info here unless necessary, to avoid making things look more complicated than they have to be.

    First of all, I'd like to clarify that workflow manager is dedicated for SharePoint 2013 workflow platform. SharePoint 2010 workflow is integrated in SharePoint server, while 2013 workflow is based on a new platform named workflow manager server.
    In SharePoint 2013 designer, 2010 workflow has forms while 2013 workflow doesn't have forms.
    For this issue, I suspect there is something incorrect with workflow manager. From the error message "Something went wrong. To try again, reload the page and then start the workflow",  please flush the DNS cache via executing
    IPCONFIG /FLUSHDNS, and restart workflow manager related services such as below, then recreate 2013 workflow to test the issue:

  • SharePoint Designer workflow executing same lines\steps multiple time in single instance

    I am working SharePoint 2010 workflow. I am facing an issue.
    Problem:
    1) I have few workflows running on different situation
    2) Out of all workflows one is set to execute on "Item Created"
    3) This workflow having some lines to execute and then create an item and then wait for a change in field value.
    4) Expectation: This should create one instance and execute the lines\steps only once and wait for field change.
    5) Actual Out-Come: The workflow is executing the lines\steps three times in a single instance.
    6) The workflow history is showing the three time execution of all lines\steps using log to history.
    7) It is a SPD workflow so there is no while loop. but it behaving like while loop.
    8) On create Item, we are creating task, so it is creating three tasks. It is sending three emails and also we are appending text in title so text is appended three times.
    I did a lot of research but not able to find the solution.
    Please help.

    According to your description, my understanding is that your workflow executed some actions three times.
    What actions did you for the problematic actions?
    If they are "Start Approval Process" action, please check whether there are multiple approvers for tasks. If yes, the action will create one task for each approver.
    Please create a new list and a new workflow based on the problematic workflow, test again, compare the result.
    For reproducing your issue, I suggest you provide more information about your list and workflow (detailed actions or some screenshots). It will make others in the forum easy to find a solution for you.

  • SharePoint 2013 Workflow Calendar Entry Create Time AM PM Conflict

    Windows 2012, SharePoint 2013 Enterprise.
    I have a change control form that basically creates a calendar entry once it's been approved. Works well, but discovered a bug with the calendar create portion when there are events that have the same time in AM\PM. 
    Use case:
    1. Create a change control item in the list with a planned start time of 2PM, I'll approve it, which then fires off a workflow and it will create an event in the change control calendar for 2PM, all good.
    2. Create another change control item in the list with a planned start time of 2AM this time, I'll approve it, which then fires off a workflow and it will create an event in the change control calendar for 2PM and not 2AM. ???
    Yes the original event entry created in the list shows planned start time of 2AM, but its being created in the calendar entry as 2PM. This only happens when the time is exact. For example if I had created the second entry at 3PM, it will create the calendar
    entry at 3PM. It only happens if there is an existing entry for the same time, then all subsequent entries for the same time will have the same AM\PM depending on the first entry.
    I can manually create an entry in the calendar and specify 2PM and it will take, so its something with the workflow that is causing it. The workflow is very simple all its doing is checking the item to see if the field says approved for the change request
    form if so, create calendar event and carry over the fields, planned start time, planned end time, title description, that's it.

  • Custom SharePoint 2013 workflow activities in site template throw error on site creation

    Hi all,
    I have created a number of custom activities for SharePoint 2013 Workflows and I am using them on an Office 365 environment. The custom activities are packaged as a sandbox solution and deployed on my Office 365 site. Everything works as expected.
    I have now created a site with all the functionality I need, including some Site and List workflows - all of them containing my custom activities. I saved the site as a template - including content - and the process was completed successfully.
    My problem is that when I try to create a site based on that template, I get the following error:
    Microsoft.Workflow.Client.ActivityNotFoundException: The activity named 'WorkflowXaml_66b9230b_823e_4783_82b8_daf481237847' from scope '/spo/d42a4487-9465-4347-9f2c-a2718e92fc02/74d0f9e7-fb35-493d-86fb-ab7aa27da7e0/c2e1bf45-cf67-4e13-9755-421cf92395f8'

    After a number of trials and errors, I am certain that this relates to my custom activities. i have already tested all of the following scenarios:
    Delete the workflow with the custom actions: Site is created successfully.
    Create a new workflow with no custom actions and save the site as a template:
    Site is created successfully.
    Save the site template including a workflow with my custom activities, but not including content:
    Site is created successfully, but my workflow is not there.
    Create a new custom workflow activities sandbox with one custom activity that just writes something to the history list - just to make sure that this is not related to any specific solution. Save the site as a template:
    Site creation throws the same error.
    Packaged my workflow (with my custom activities) as a wsp from SharePoint Designer and deployed it as a custom solution. Activated the feature in the target site. The workflow gets created and executing finally. Saved the site as template: Site
    creation throws the same error.
    Same as above, but without activating the feature in the target site: Site created successfully, workflow works fine after I activate the feature in the new site.
    My custom activities feature is always enabled in the site I save as template - in all of the above scenarios.
    I have tested all of the above scenarios both on SharePoint 2013 on-premise and Office 365. There is
    a forum post regarding some inconsistencies in the wsp file, but unfortunately this is not my case. Am I doing something wrong? Are custom 2013 workflow activities not supported in site templates - which would not actually make any sense, as it would "break"
    the fundamental concept of re-usability.
    Any ideas/feedback/guidance?

  • SharePoint 2013 Workflow (SPD 2013) fails for Active Directory Group members

    I have a SharePoint 2013 site called "Team Meetings". There are a number of lists and an InfoPath form library.
    The site's SharePoint Group "Team Meeting Members" has two Active Directory groups (All Club Managers and All Club Police) as members. Those two AD groups contain all the people that I want to have  access to the library and list, except for
    a few additional folk who I have made individual members. 
    My PROBLEM:
    I  have created a SharePoint 2013 Workflow using SPD 2013 associated with the  Form Library. Workflow is set to start on new or modified item. The first action is to write to history list, then determine the status (Submitted or Pending) of
    the form and go to different Stages depending on that status.
    The workflow works perfectly for any user who has been added directly to the SharePoint group (Team Meetings Members) BUT FAILS at the very first action for anyone who is a member of one of the AD groups. I know the Workflow is fine because I've tested it
    with numerous people who are direct members of the SharePoint Group, but whenever a person who is a member of the AD group tries it the Workflow just fails.
    Here's a print of the info from the Workflow Status page (I don't have access to server logs):

    Members of the SharePoint Group "Team Meetings Members" have Contribute Access to both the form library and another list that the workflow writes to as well as the Workflow History list (which in SP 2013 uses the credentials of the
    user who started the workflow, unlike 2010 which used System Account).
    All members of the Team Meetings Members group, whether they are individual members or part of one of the AD groups, have no problems opening and saving forms etc. It's just the Workflow that doesn't like them...
    I am stumped. I've spent many hours searching for a reason for this. There are about 200 people in the two AD groups so I really don't want to have to add them all individually - especially when these groups are managed in AD for a whole bunch of other reasons
    and using the AD groups means I'll basically never have to worry about modifying the SharePoint access permissions.
    Does anyone have any ideas why this is happening and what I can try to fix it?

    I'm afraid not so far but we are trying a few things today so I will post back with results.
    First thing we are doing is making the AD Group universal because one of our (external provider) gurus remembers seeing something about that. He also sent me a link to a post where they were talking about earlier
    versions but having similar issues and their solution was to make sure the app pool account has sufficient permissions in AD::

    This part of that thread looks interesting but we haven't checked it yet as were trying the universal setting first:
    "If the users participating in the workflows have been added to the SharePoint site via Active Directory groups, SharePoint has to update the user’s security token periodically by connecting to
    the domain controller. By default, the token times out every 24 hours. But if the application pool account did not have the right permissions on the domain controller to update the user’s token, user will keep getting the access denied error. The error was
    intermittent because when the user browsed to any page other than the workflow form, the token was getting updated successfully.
    You can try to fix it through granting the application pool account the appropriate permission by adding the account to the group “Windows Authorization Access Group” in Active Directory."
    I'll update when we try these ideas. If you have any luck please do the same.

  • How to see/use Target Audience column in SharePoint Designer Workflow (SharePoint 2013 Online, Designer Workflow)

    Hello,
    I'm attempting to use use the Target Audiences field in a SPD 2013 workflow, in this case just attempting to log the value to history for testing purposes.  This is failing saying the column does not exist.
    I enabled Audience Targeting on the list then create a simple workflow to log the value to history when the item changes.
    I change an item and the workflow starts, but when it gets to any action looking at "Current Item:Target Audiences" it stops and says:
    HTTP BadRequest to <site url>/_api/web/lists(guid'XXXXXXXX')/Items(4)?%24select=ID%2CTarget_x0020_Audiences 
    The field or property 'Target_x0020_Audiences' does not exist. 
    But it does.  It is listed in the list setting and enabled for the content type.
    I ran the listed API through an API program and sure enough, Target Audience is not listed in the results object.
    I'm 99% sure I've enabled this and that the field is present and the workflow is valid.  I ran the same situation on two lists to ensure it wasn't a hiccup, same results.
    Is this a know issue?  I couldn't find anything obvious online saying you cannot see this field via workflow, most of what i found said this would work.

    I understand what you have explained, and have seen several similar explanations that have lead to my confusion.  Can you elaborate a bit, maybe for the sake of future information seekers?
    I understand that audiences can be defined using the rules operations in Central Admin, but it seems another standard function is to just directly assign existing SharePoint groups.  I think this is what you mean above, but this is also the point of
    my misunderstanding.
    In this particular setup I have only used existing SharePoint groups with no audiences defined in Central Admin.  List Item A has a target audience of SharePoint group X, just that simple of a setup.
    Assuming the above is valid, I would then like to see or alter the groups via SPD workflow.

    So in SPD, I set a simple action such as "Log Current Item:Target Audience to history" (note the I am able to select target audience in SPD like any other field with no errors).  At this point I am assuming everything is valid as SPD is treating
    the field like any other string field.  When executed the error in the above post comes up.
    So to confirm your explanation, this is not supported?  Even though the field is available for selection by design, it is not capable of use and known to produce errors in all cases of its use?  The first post above is 100% wrong and you cannot
    use SPD to set/view the target audience field?  The second post is also wrong as it seems to present the fields as available for alteration using string concatenation?
     If in fact the field is present by design, but also impossible to use by design, is this potentially a bug as the field is not supposed to be available if it will always produce the error when used with no error in SPD during compile?

    Hi,
    According to your description, my understanding is that you got an error when you create a SharePoint Designer workflow.
    Please do an IISRESET.
    Whether the issue occurs at another site or site collection, do a test in another site or site collection, compare the results.
    If the results is same,  please uninstall Workflow Mananger from all servers, then reinstall it .
    Note : If you are on a multi-server environment, make sure you have installed Workflow Manager client on all of your farm servers.

  • SharePoint Online workflow not starting

    I am an administrator for a company and I have been asked to create a workflow for them.
    I created 2 workflows using SharePoint designer 2013. The 2010 workflow works as expected.
    I created the 2013 workflow because I can use loops. However the 2013 workflow doesn't automatically start when an item is created. but works if I start it manually. I have checked and made sure that the check box is ticked for the workflow to start automatically.
    The workflows go like this.
    Step: Query Type
     If Current Item:Query_Type equals Phone
      Set Status to Opportunity
     Else
     If Current Item:Query_Type equals Email
      Email Current Item:Sales_Rep2
      Pause for 0 days, 0 hours, 15 minutes
      If Current Item:Follow_Up equals No
       Email Current Item:Sales_Rep2
    Step: Rental or Not
     If Current Item:Rental equals Yes
      Email Current Item:Sales_Rep2
      Pause for 0 days, 1 hours, 0 minutes
      If Current Item:Quote_Sent equals No
       Email Current Item:Sales_Rep2
      Else
      If Current Item:Rental equals No
       Email Current Item:Sales_Rep2
       Pause until Current Item:Date to Send Quote

    Hi,
    From your description, After you modified the workflow and added "App Step" to it and "Pause" actions apart from few other modifications, you got the issue that
    SharePoint 2013 Workflow not starting when a new item is crated.
    Whether you got the issue Before you modified the workflow.
    I have done a test in my SharePoint 2013 and it works fine.
    I suggest you update SharePoint to the latest CU.

  • Updating In-Flight SharePoint 2013 Workflows (Visual Studio)

    Is there any guidance on the best strategy for upgrading in-flight SharePoint 2013 Workflows?  I am currently developing a SharePoint 2013 Workflow using Visual Studio 2012.  The workflow has 6 phases and may take up to a month to complete. 
    I need a plan for when I will inevitably need to make a change to the workflow.
    I am concerned that simply deploying a new version of a WSP with new XAML might cause a breaking change to in-flight workflows.  This was a major problem in 2007/2010, and in the past I have created a new version of the workflow when deploying a change. 
    SharePoint 2013 designer workflows automatically create a new version when published, but unfortunately with Visual Studio workflows this is not the case.  Updating the WSP and reactivating the feature will force new workflow code to run, but I think
    this could cause issues when the workflow state data is de-serialized.

    According to your post, my understanding is that you want to update in-flight SharePoint visual studio workflow.
    To update the in-flight workflow, such as in the production environment, we can do the steps as below(Make sure you test this first on a DEV server).
    Updated the solution (Update-SPSolution)
    Disabled the feature(Disable-SPFeature)
    Enabled the feature again (Enable-SPFeature)
    Then the existing workflow would use the old version workflow, the new workflow instances would use the new version workflow definition.

    Hi there
    I seem to be having trouble running any workflows using the 2013 engine in SharePoint Designer. The 2010 workflows work fine, however I cannot seem to get the 2013 ones to even start. Looking at the list/library settings, I can see the workflow has been
    added but for whatever reason it doesn't seem to start.
    I cannot even go back into a list item to view the workflow either...
    Where to I even begin to try to unravel this mystery? HELP!! :-)

    SharePoint 2013 Workflow engine has undergone a drastic change. Before you begin developing workflows in SharePoint 2013 you must ensure you
    have taken care of the pre-requisites.
    Ensure you have gone through each points in this article in configuring your Workflow Manager 2013:

    Before you start installing/developing SharePoint Workflows in 2013 you should to know few important points:
    Never use ‘System Account’ to develop/run workflow, the workflow will fail to run.
    You should not use ‘System Account’ to test the workflow.
    You need to make sure User Profile Service (UPS) is running and the user who is running workflow has a profile created in UPS. Workflow Manager use UPS under
    the hood.
    Make sure App Management Service is created and running. You don’t need to configure SharePoint 2013 App settings in the server, just creating App Management
    service (with proxy) will do.
    Make sure the hidden feature WorkflowServiceStore is enabled.
    Enable-SPFeature -Identity WorkflowServiceStore –Url $yourUrl
    Note: To register Workflow Server with SharePoint, a SharePoint site collection URL is provided. Apparently it seems, each and every site collection need to be registered
    with workflow server. But it’s not, registering a single SharePoint site collection, will enable workflow manager for all SharePoint web applications/site collections.
    Now you can check from above listed points, which points resolves your issue.

  • SharePoint Designer workflow

    Hello,
    I created a form using SharePoint Designer Initiation Form Parameter.  I also setup a workflow to send an email to users when they submit the form.  Users are allowed to complete the form at least twice a year.
    I want to test the User's name if it already exists in the list, if it does exists it should say "This is your second time of taking this survey" and add a number to the existing name and then allow the user to complete a new form.  I need
    both names to be maintained in the list.
    Please I need help on how I can achieve this.
