Transaction for workflow item

Hi,
How to create a transaction so that one can directly go to Workflow item under SBWP --> Inbox --> Workflow.
I need this so that I can create a transactional iView in portal. And I can provide the link for users so that they directly go to Workflow item.

    Hi,
Make sure you completely receive the PO, then you should be good enough to convert the item to expense.

  • SWWL - being used to clear Inbox for Workflow Item in error

    Hello,
We are currently using SWWL for clearing Workflow Iitems from the Inbox if they have errored out directly in production. I have tried to review this in the forum and generally have come to the conculsion that SWWL should not be directly used in the production environment. Is there any standard SAP Note where SAP recoomends not to use SWWL ? If so , alternatively what is the other way to do this ? Do we have to use RSWWWIDE , which needs to run regulary to clean up the Work-Items which have errored out ?
I am a functional consultant abd would like to propse the correct methods of deleting these workflow's. if there ar any other ways of doing this, please let me know.
Thanks for your help in advance.
    Jagruti

    Hi Jagruti,
Regarding your quest for an official note from SAP you need look no further than the [online help|http://help.sap.com/saphelp_nw70ehp2/helpdata/en/f4/843239cb0211d1950d0000e82dec10/frameset.htm]. Aside from consistency issues it may even have audit implications if you use workflow for any auditable businessfunctions (e.g. approving purchases). If this report is found to have been run in production, there is no way of telling if it was used as an electronic shredder to destroy an audit trail.
To get rid of errored work items you should cancel the workflows. They would then be archived if you use archiving. Edit -> change -> delete logically. Otherwise SWPR can delete them en masse, but you may need to apply a note.
HOWEVER, all the above aside, this should not be necessary in first place. The scenario you describe is a business case that should be part of the workflow if it happens regularly. This is what workflow is for! It should be designed to recognize the deletion of a delivery and complete when it happens, removing itself from the user's inbox. Workflows in error should be rare and caused by (usually technical) exceptions that are either unexpected or very rare. If you have regular errors, it's a business scenario that needs to be modeled. Even if it's by putting a deadline onto the workflow to cancel after some obsolete timeperiod.
    Cheers,
    Mike

  • Generate a transaction for the workflow

    Hi ,
I want to know how can we generate a transaction code for a workflow .
    Thanks ,
    Shounak.

    Hi all,
just a small information that might be of interest for you:
In release 4.6c (and maybe in other releases) it was possible to use transaction SWUG to create a start transaction for workflow templates. The workflow then started with the first task of the template.
In MySAP ERP 2004 this is not possible anymore. You have to use the start forms instead (like described above).
It is a little pitty, because when using start forms you are bit restricted in your possibilities, e.g. you can not have a dynpro with OK code (you just have the sub screen where you could check SY-UCOMM but not clear it).
The idea is for example to have to complex start DynPro for entering data as the first task of a workflow, followed by a "document from template" step to add additional information in text form. So the window with the document immediately pops up after leaving the dynpro (without going back to the workflow inbox first).
If you have a Dynpro that creates an event to trigger the workflow template, you first have to go the workflow inbox and execute the work item that waits for you there. This is not really smart.
Maybe there is a possibility to use transaction SWUI with parameters to immediately start workflow templates.
Or directly use function module SWW_WI_START.
Set a breakpoint in SAPLSWUA, include LSWUAF01 at CALL FUNCTION 'SWW_WI_START' and execute SWUI with the template you want to start to find out about the parameters you need to provide to the function module.
    Kind regards

  • Foreign curr reval for open items - questions - very urgent

    Hi all,
Can anyone explain me the account determination for open item exchange rate difference postings?
    1.     What are the accounts meant for under tab Exchange rate difference realized (Loss, Gain)
    2.     What are the account meant for under tab valuation (val loss 1, val gain 1 and Bal sheet adj 1)
    3.     Accounts under translation tab (Loss, Bal sheet adj loss, Gain, and Bal sheet adj gain)
    Also,
When I run F.05 for open item reval
    1. Do I need to run customer and vendor open items as well by selecting the customers and vendors and checking the “Valuate customer open items” and “Valuate vendor open items”? Even though I have customer and vendor recon accounts in my g/l accounts selection and checked the “Valuate g/l open items” box
    2. We check “Reverse postings” with reversal period as next period (for example if reval is done for period 3 then reversal period is 4), why do we need to reverse the postings.
Your help in this regard is highly appreciated and rewarded with points.
    Thanks in advance,
    Kumar

    Dear Kumar,
About the acct determination for transaction KDF: open item exchange rate diff:
When you revaluate i.e. run the F.05 transaction for open items any loss is posted to the Val.loss 1 and any gain is posted to the Val.loss 2 account with its offset credit or debit to the Bal.sheet adj.1 account.
Now this is a provisional recognition of the FX difference. So long as the items remains open it will be revaluated in every period and a posting will be made. Now when you finally clear this open item e.g. pay the vendor or receive pymt from customer, the system will calculate the FX gain/loss at that time once again. This is the Exchange rate gain/loss realized. Thus, the accounts used will be those under tab Exchange rate difference realized (Loss, Gain)
The Accounts under translation tab is used in the scenario where you are maintaining more than once local currency e.g. 2nd local currency as 30. In this case you would want to translate your FX valuation to this 2nd local currency.
    Regarding F.05 transaction:
    1. Yes you will need to check the customer/vendor and GL open items to valuate them all. Since the customer and vendor reconciliation account are tied up to AR and AP, the program does not recognize them as a pure GL account.
    2. You need reversal so that tracking of your fx valuation is easy. E.g:
You have open item in EUR and your local curr is USD. Lets us say ex rate is USD:EUR is 1:1.50 and open payable item is EUR 100
Open item in EUR-----Open item in USD--
    Diff
    Period 1: -
    100--150--
    0
    Period 2: fx rate 1:1.60--100160--
    loss of $10
    Period 3. fx rate 1:1.30--100130--
gain of $30 over period 2.
If you don't choose the reversal postings, the system will record both the loss of 10 and the gain of 30 netting to 20. However, if you choose the reversal posting, the system will reverse the $10 loss in period 3 and just take the revaluation based on the period 1's rate i.e. difference btw 150 and 130 USD i.e. $20.
I hope this explains you the concept. Thanks,
    Vishal.

  • SC in Awating Approval satus but No workflow item found

    Hi Experts.
We are using SRM 5.0 and have found this strange problem where a SC is awaiting approval status but there is no workflow item generated when we check for the sc in bbp_pd.
We tried to check in swi1 for workflow item id for that particular but are not able to see this SC.
What could be the reason where the workflow is not started since in our case once the sc is created workflow gets started automtically in this case that has not happend.
we ran the clean_req_req_up job and bbp_get_status_2 for this sc but no help
Any help in this regards will be highly appreciated
    Regards
    Vidya

    Hi Ricardo,
Thanks for your response As suggested we did check for the SC in SWI6 but we get a messge " there are No workflows that have already worked with this object type"
Since our SC have approvals in line will restart of workflow trigger the approval or will t get auto=approved, since in a few cases when we retriggered the workflow teh approvals were never called and the SC were auto-approved.
There are more than 10sc which have stuck in thsi kind of situtation
we also had a SP patch upgradtion, cld this have been caused  because of SP upgradation?

  • Workflow-status is awaiting approval for rejected item

    Hello,
I am working on SRM 5.5. Extended classic scenario.
I have implemented the workflow WS1400133 for 3-step SC approval ( using the corresponding BADI) .
I have an issue , where, if the shopping cart is rejected by one of the approvers, then the approval overview shows result : REJECTED , however, the approval status in the ( approval transaction) , shows the workflow status as 'AWATING APPROVAL'.
So, the user cannot modify the shopping cart to resubmit for approval.
Any inputs as to why this is happening and any solution to this ?
    Thanks in advance,
    Aravind Nair.

    Hi Arvind,
When the SC is rejected ,the total value fo the SC becomes 0.Have you set the  parameter "no_further_approval_needed" for this condition(for rej items)?
ALso refer the note 790027.Hope this helps.

  • The workflow could not update the item, possibly because one or more columns for the item require a different type of information. Outcome: Unknown Error

Received this error (The workflow could not update the item, possibly because one or more columns for the item require a different type of information.) recently on a workflow that was
working fine and no changes were made to the workflow.
I have tried a few suggestions, i.e. adding a pause before any ‘Update’ action (which didn’t help because the workflow past this action without incident); checked the data type being written
to the fields (the correct data types are being written); and we even checked the list schema to ensure the list names and the internal names are aligned (they
are), but we still cannot figure out why the workflow is still throwing this error.
We located the area within the workflow step where it is failing and we inserted a logging action to determine if the workflow would execute the logging action but it did not, but wrote the same error message.
The workflow is a Reusable Approval workflow designed in SharePoint Designer 2010 and attached to a content type.
The form associated with the list was modified in InfoPath 2010.
Approvers would provide their approval in the InfoPath form which is then read by the workflow.
Side note - items created after the workflow throws this Unknown Error some seem to be working fine.
We have deleted the item in question and re-added it with no effect.
Based on what we were able to determine there don’t seem to be any consistency with how this issue is behaving.
Any suggestions on how to further investigate this issue in order to find the root cause would be greatly appreciated?
    Cheers

    Hi,
I understand that the reusable workflow doesn’t work properly now. Have you tried to remove the Update list item action to see whether the workflow can run without issue?
If the workflow runs perfectly when the Update list item action is removed, then you need to check whether there are errors in the update action. Check whether the values have been changed.

  • The workflow could not update the item, possibly because one or more columns for the item require a different type of information using Update Item action

I got error  "The workflow could not update the item, possibly because one or more columns for the item require a different type of information "I  found out the cause is  Update Item action
I need to update item in another List call Customer Report ,the field call "Issues"  with data type  "Choice"   to yes
then the error arise .   please help..

Thanks for the quick response Nikhil.
Our SPF 2010 server is relatively small to many setups I am sure. The list with the issue only has 4456 items and there are a few associated lists, eg lookups, Tasks, etc see below for count.
    Site Lists
Engagements = 4456 (Errors on this list, primary list for activity)
Tasks = 7711  (All workflow tasks from all site lists)
Clients = 4396  (Lookup from Engagements, Tslips, etc)
Workflow History = 584930 (I periodically run a cleanup on this and try to keep it under 400k)
Tslips = 3522 (Engagements list can create items here, but overall not much interaction between lists)
A few other lists that are used by workflows to lookup associations that are fairly static and under 50 items, eg "Parters Admin" used to lookup a partners executive admin to assign a task.

  • Create Multiple tasks for Single Item in List using state machine workflow in sharepoint

    Hi,
I want to create multiple create tasks for Single Item in List based on Assigned to column using state machine Workflow through visual studio
Here Assigned to column allows multiple users. so i have to create task for every user based on column .
I'm trying for this but i didn't got any solution
    Please provide solution for this.

    Hi,
According to your post, my understanding is that you wanted to allow multiple users to approve.
There are some articles about creating parallel tasks in state machine workflow, you can have a look at them.

  • Workflow for list item cancels

    Hello!

    Hello!
    I have found solution.
I have study dozen forums and sites about SP and this one
    http://stackoverflow.com/questions/6382583/use-credentials-to-interact-with-the-client-object-model-of-sharepoint gave me an idea.
I had to rewrite my code. I set
    using (ClientContext context = new ClientContext("http://yourserver/")) {
    context.Credentials = new NetworkCredential("user", "password", "domain");//here my code for list item creation}
    instead of
    SPSite spsite = new SPSite(siteUrl, spusertoken);
    SPWeb web = spsite.OpenWeb();
    // and so on
So, now SP has no problem with fiding initiator profile and workflows starts correctly automatically after an item was created.
Maybe this solution could save somebody's day.

    Hello Experts,
We have configured GP workflow to display GP workflow Items. It is working fine.
Now the requirement from client is, they want a substitution rules functionality for the GP workflow Items.
If somebody goes on leave or sick, workflow Items which are already assigned to that persion, should be moved to another persion so that he/she can work on that.
