UDF in XL reporter

Hi,
i have created row level UDF in marketing document. let say UDF1, UDF2. I want to prepare report in XL reporter. can i see these UDF in XL reporter composer..??

yes u can see those udfs in xl reporter open xl reporter go to tools--->select user defind fields and see the document for which which u have given udf and select those and click ok and automatically xl reporter restarts and it will open now go to report composer drag the fields u require and right click select display attributes select more fields. i think this will solve ur problem

    The user-defined fields that are selected will be available in XL Reporter.
    Solution
    Choose 'Tools > User-Defined Fields'. The 'Manage User-Defined Fields' window appears.
    In the 'Manage User-Defined Fields' window, locate the field you want to add to XL Reporter.
    To make a field available in XL Reporter, select its check box in the 'Visible in XL Reporter' column.
    In the 'System Info. Text' column, you can enter a description for the field.
    If no data item type has been specified in the 'Data Item Type' column, you must choose the data item type that you want the field to belong to.
    Choose OK to save your settings and close the window.

    I'm trying to update XLR with a number of UDFs and got this error message:
    An error occurred when trying to write to the database:
    Original error message was:
    A view was encountered that is not mapped in ModuleToViewMap
    Viewname: ixvf_INV2 Module:SO
    Anyone got an idea on how to solve this??

    I found something from FORUM which could be of help:
    Having read through the replies and your answers regarding your problem with the report it seems to me that you may have some user defined field(s) in your report(s). If that is indeed the case then you need to have a look whether they are still visible to XL Reporter (Tools>User Defined Fields). My experience is that even though the udf's may be ticked in that screen you sometimes have to untick them and then retick again. Unfortunately that causes XLR to rename the fields by adding a number to them - so if the field name was 'UDelivery' it may be 'U_Delivery_0' now. You need to change the field names in your reports accordingly.
    Even upgrading or restoring a database causes this problem with UDF's.

    Hi Tac,
    In the Standard Report it is not possible to define and assign a UDF field. A UDF field can be assigned to the forms which are available in the Manage UDF.

  • Retrieving UDF in XL Reporter

    Hi,
    We have added UDFs to the sales order.  The UDFs are our estimated costs to fulfill the sales order (raw materials, labor, etc.)  We are trying to create an actual vs. budget report in XL Reporter.  We are having trouble retrieving the UDFs.  I have tried "Get Other Data", but am not able to write a WHERE statement in the Conditions box that the system will accept.
    Any help is greatly appreciated!

    You can retrieve your UDF's in XL Reporter. When in Report Composer - Tools>User Defined Fields. You can select which UDF's you want to display in the composer window. The fields will then also be available once you are in the Excel designer window. If you have a problem with displaying the fields you should log a support call with SAP.

  • Cannot make UDF visible in XLR report composer

    Hi,
    Customer is using 2007A PL30. There is an UDF in Marketing document title. Title=NumAtCard, Description=Vendor Ref No  Type=Alphanumeric(100). We had made this UDF visible in report composer(light dimension) and refresh XLR but we still cannot view this UDF. We can view other UDF in XLR.
    May I know how to fix?

    i also face this problem lot of times .First add the udf using "use other data options. and then check the udf list which is added to the XLR, there is a check button in front on udf if it is added in xlr .save that list . may be the list is not saved .try one more time amd pls let me know u r facing the same gain or not .

    UDF's are not appearing in the report composer area from which we can drag the required data.
    Tools>UDF's>Activated visible in XL reporter

                  Try this Exercise: Sales report with UDF. This Exercise will help to how to get UDFs in XL Reporter.
    6-1     Create a Sales report definition for UDF in Report Designer. Do not assign a template
    6-1-1     In Organizer choose the folder Sales, in the pane located on the right, and select New, then Report Definition.
    Type in the name: Sales report with UDF, and press Enter.
    Click on No to respond to the message: Do you want to assign a Template to you new Report
    6-1-2     Select Cell B4, type: Sales report with UDF, give the text a bold font size 16
    6-1-3      Select Row 8 and in Advanced Report Builder choose Row Expansion.
    6-1-4     Choose Business Partner in the list and choose three dots button to the right
    6-1-5     In the Dimension Lookup window select all Business Partners  *
    Click OK in Dimension Lookup window and choose Apply button in the right corner of Advanced Report Builder screen.
    6-1-6     Select Cell A8 and click on Formula Builder - the fx button in Report Designer toolbar.
    6-1-7     Choose to press the plus sign in front of the Business Partners, double left click at BP Code, and double right click at the BP Name
    6-1-8     Select Cell C8 and in Formula Builder double-click on Sales A/R – Document Total
    6-1-9     Select the Parameters in Advanced Report Builder, select New and enter:

    Go into the value field, select the button to the right, and select the YEAR TO DATE function from the list. The selection should be YTD(@Period)

    6-1-13     Select Column C and select expansion symbol in the Advanced Report Builder to make it the active – changes color to blue.
    6-1-14     Click on one right corner of the symbol and drag it to include Column D, Press Apply.

         A list will appear. Choose to flag the User-defined field, named BP_UDF, with the Category Business Partner  OK
         Follow instructions: Updates were successful. You must restart XL Reporter for changes to take affect. Press OK
    6-1-38     Restart XL Reporter
    6-1-39     Select the Sales folder and choose to open the Sales report with UDF
    6-1-40     Select Cell C8 and click on Formula Builder - the fx button in Report Designer toolbar.
    6-1-41     Choose to press the plus sign in front of the Business Partners, double left click at BP_UDF
    6-1-42     Click the Save icon
    6-1-43     Select Generate Report from the Report Designer toolbar

    Hi,
    I want to Include UDF field in sales order layout, when i open default layout it shows only standard in RDR1(UDF for rowlevel ) it doesn't shows UDF fields. Now i connected database and re-established OLE DB connection and pulled the RDR1 table, here i can get those UDF created by me. but if i use this UDF field in report details area and this results no values in the layout while preview the report in SAP B1.
    Anyone guide me on this....

    Hi Ivan,
    If you want to populate UDF fields into crystal reports layout then you have to do wat i mentioned earlier.
    1. Go to Menu
    2. choose Database
    3. choose verify database
    4.enter Object Id and Document Number as a input
    5.system will retrieve the values from database and pull all the fields including UDF
    but this doesn't change field length of UDF you have to change it on UDF fields management in SAP by updating the field properties.
    Note: later you can't reduce the length

    tengo una problema con unos reportes de xl que están jalando adecuadamente en pl 35 sp00, al actualizarnos al sp00pl15 o al 881 pl10 y en cualquier parche, los reportes arrojan elsiguiente mensaje de error " An error occured while Executing Report!
    Description: Error in Expansion. lo que he hecho es desactivar los campos gardar cambios, reiniciar el addon junto con SAPB1 y volverlos a asignar pero no jala.
    alguien sabe a que se debe este mensaje de error y como solucionarlo?. de una migración que hice 18 reportes dejaron de funcionar por ese mismo error.

    976218 - Upgrading XL Reporter with user defined fields exposed
    CUERPO DE LA NOTA
    Symptom
    You are using Business One user defined fields (UDFs) in XL Reporter reports, and you want to:
    (A) upgrade Business One 2007/8.8 to higher version / upgrade Business One with 2007/8.8/8.81
    OR
    (B) upgrade Business One 2005 or XLR to 2007/8.8/8.81
    After upgrading XL Reporter the names of the UDF's do not have suffixes like _1, _2 any more and the reports containing UDF's don't work anymore
    Cause
    XLR has to make sure all fields exposed to XLR have different names to each other. Therefore, if two UDFs have the same name in Business One they are given a different suffixes. When you remove a UDF from XLR (unselect it from the User-Defined Fields window), the meta names are removed from the meta data in your company DB as well as related XLR views, while it still remains in the meta data in the common DB. If the UDF is added again to XLR, it will be treated as a new field to XLR, and be given a new meta name since the original name is still in the common DB. Therefore, the UDF's meta name will have a larger suffix than the last time it was added. As a result of this behavior, if you add and remove a UDF several times in XLR, the UDF can have a meta name with a big suffix.
    When you upgrade XLR to a newer version, the entire meta data stored in SBO-COMMON DB (IXMetaSBOOEM DB in 2005 versions) is refreshed. The upgrade program will not keep any meta names for UDFs but just use the default information in the installation package to rewrite all tables including the tables where UDF information is stored. Therefore when you start XLR again, all the meta names stored in the common DB are lost.
    In 2007 and higher version, since XLR meta data is merged into Business One common DB, each time upgrading Business One will also cause this issue.
    Solution
    SAP plans to fix this issue in a patch. Please refer to the info file on SAP Service Marketplace to confirm. Until the issue is fixed, a temporary solution is provided.
    Apply either Solution A or Solution B
    SOLUTION A:
    Applicable for
    + Upgrade within 2007A/8.8/8.81 version
    + Upgrade from 2007A to higher
    + Upgrade from 8.8 to higher.
    To apply this solution, follow the steps as below (NOTE: Starting from now, all customers using UDFs in XLR are REQUIRED to perform steps 1 and 2
    whenever they are going to upgrade.):
    1) Run the queries in file UDF_Backup_Common.txt attached to this note on SBO-COMMON DB.
    2) Run the queries in file UDF_Backup_Company.txt attached to this note on your company DB.
    3) Backup you company DB and SBO-COMMON DB.
    4) Perform Business One upgrade as normal.
    5) After successful  upgrade, apply the fix in STEP5 and STEP6 in the below link

    To apply this solution, follow the steps as below:
    1. Backup the SBO-COMMON and Company Databases
    2. Open the XL reporter --> Go to Tools --> User defined fields -->
    Select previously added UDFs --> now uncheck all the UDFs and click ok.
    Wait for the update to finish.
    3. Shut down XLR, restart Business One, and then start XLR again
    4. Invoke the UDF window of XLR again.
    5. Add the same UDFs again (as per step 2) and click ok.
    i) In MSSQL Management Studio run the query to verify the NEW names in
    column MetaName : SELECT * FROM XRUDF
    6. Go to the XL reports containing UDFs and edit the reports as follows:
    a) Highlight the relevant row expansion and change the UDF in the
    expansions (before changing it in the formula as the content available
    for selection in the formula is affected by the expansion definition.)
    i) Select Apply > Save
    b) Highlight UDF on report
    c) Open Formula Builder
    d) Locate correct UDF (tooltip shows new and correct meta name) and double-click to insert correct UDF name.
    e) Save > Run report
    Reports should now run correctly without errors

But I dont know how to make the correlation between those table using my UDF in XL Reporter. Every time I want to show data from PO, Down payment and Outgoing which is contain that UDF, It's alwaya blank..
    Is there someone that can help me how to call data from those table using UDF as a connection ? Thanks for your help
