Unable to manage SendAs permissions on shared mailbox

This morning when we came in all of the sendas permissions for our helpdesk mailbox were missing.   When I try to add them with the Exchange console I get a message that says the user does not have sufficient permissions.
We are Exchange 2010 running on 2008R2,  Active Directory is 2008 native.
I added the sendas permission for the users from Powershell and they now show up in the console but they still cannot sendas the user.  I read another post that says we need to wait for replication and I will wait.
My question is what is causing the permissions error?  We also get it when we try to remove an error.

From your description, I recommend you follow the steps below to ensure that this send as permission is granted successfully.
Open ADUC -> View -> Advanced Features -> right click user1 -> Properties -> Security -> make sure user2 is listed in the "Group or user names" and allow "Send as" permission.
If no, please add user2 to it and select "Send as" Allow to check the result.
Note: Please change user1 and user2 to the users you need.

    I have a problem with sending email from a shared mailbox on user accounts. The sent items go to the sent items folder on of the sender, but I want them to go the Shared mailbox sent items (so that other user can see a reply has been sent).

    Full Access and Send As are two different things.  Granting Full Access does not confer Send As.  In fact, Full Access is granted on the mailbox in the mailbox store, while Send As is granted on the mailbox's user object.

    Okay, that is what I thought. (The internet lied to me) I added myself to the Syssupport mailbox with full access AND send as permissions and I received the test email so now that is working. Thank you for clearing that up.

  • When I add users as managers or to send as in shared mailboxes I get the test username applied

    I have two users [email protected] [email protected], Both users were added to the test group with onmicrosftonline.com as [email protected] and [email protected] The .temp was removed when we went to our own domain now
    when I add jane.doe to a shared mailbox I see the jane.doe.temp for the send as but full access displays her name correctly. When I add John.Smith as a manger he is displayed as John.Smith.Temp.

    To solve this issue, you can try to clear up nickname cache.

  • Users are unable to view private mails of shared mailbox

    We are facing one issue here with shared mailbox ( helpdesk and servicedesk) . users are not able to view mails which marked as private to helpdesk ID
    Symptom:- users having full access to shared mailboxes are unable to view private mails received in shared mailbox.
    Product: Outlook 2010 SP2/ Outlook 2013

    Did you try the article I suggested?
    Essentially, the "owner" of the mailbox needs to grant "show all items, including Private, to my delegates".
    I think MSFT introduced this change (to honour the Private flags) in OL2010, and earlier versions did not respect the Private flags.
    (some customers want private to be properly private. other customers, don't want private to be private, if you know what I mean ;)

  • User permissions for shared mailbox

    In a big organization, we've multiple shared mailboxes. Each mailbox is being looked at by different employees. We want to provide folder level restrictions to the employees and have primarily 3 type of access at a folder and root level:
    1) Owner access (Read, Create, Respond and Delete)
    2) Employee access (Read, Create and Respond)
    3) Read and View-only access
    Idea is to have a controlled access environment in the company where we don't want any employee to delete any e-mails and they're held accountable for their work.
    Million dollar question is - How do we achieve this in an Exchange Service 2010 Enterprise SP3 environment? Is it recommended to have such access levels? Can we've profile groups created to add users in future too with similar access restrictions?
    Please provide step by step.
    If this is not possible or advised, please suggest a better alternative with which we can track who deletes the e-mails and then change their behavior. May be some e-mail logs that help us determine this information? What is your suggestion?

  • Email stuck in outbox if sending mail from a shared mailbox

    Hi,
    Some user mailboxes have recently been migrated from Exchange 2003 to Exchange 2010.  Shared mailboxes are located on Exchange 2003 still for the time being.
    Some users have send as permissions to a shared mailbox.  In Outlook the users are logged in as themselves and using the from field send an email from the shared mailbox.
    The email is sent and delivered to its recipient.
    The email is however stuck in the outbox of the users mailbox.
    I have tried recreating the Outlook profile, windows profile and using a different PC, but the mails still get stuck in the outbox.
    If outlook is changed to use cached mode then the emails are delivered.  We don't want customers using cached mode though.
    If I migrate the shared mailbox to Exchange 2003 I still have the problem.
    If I migrate the users mailbox to Exchange 2003 then the problem goes away.
    On the Laptop I am testing this on it is Windows 7, Office 2003.  I have also tested on another computer with Windows 7 and Outlook 2007. Outlook safe mode doesn;t help or turning off windows firewall.
    Has anyone experienced a similar issue?

    You have the DelegateSentItemsStyle registry value set to 1.
    There is no resolution to this problem other than to either switch your profile to cached Exchange mode or set the DelegateSentItemsStyle registry value to zero (0).
    Note If you set DelegateSentItemsStyle=0 in the registry, email messages that you send from a shared mailbox will be copied to
    your Sent Items folder and not the Sent Items folder of the shared mailbox.

    I have created shared mailbox and Grant Send On Behalf permission for John.
    John sends email on behalf to shared mailbox but messages look like John send message himself (Send AS). But John have only Grant Send on Behalf permission not SendAS.

    I have similar issue but in reversal, I have a shared mailbox. I want to send an email on behalf of shared mailbox but I do not want the recipients to see the email has been sent by "User on behalf of shared mailbox". I have been added as a delegate
    with editor permissions in shared mailbox. If I send an email (From option: shared mailbox) from my outlook, receiver can see that the email has been sent on behalf. I do not want this. It should be visible as if the mail is sent from shared mailbox.
    I saw some suggestions that adding permissions on exchange server will help but I dont know where to check in the system (perhaps I dont have admin rights). I have a colleague, they are just new, they dont know about email box too. My old friend who left
    has configured the outlook for these new ladies. For them it is absolutely working fine. I dont know what he did but would not have used exchange server (as we dont have admin rights).

  • Sending From Shared Mailboxes bounce back or underliverable

    Issue with Outlook 2007 and Exchange 2013
    When a user sends as a shared mailbox (e.g Mailroom) they either gets the do not have permissions or they get a bounce back message.
    1. User would get you do not have permissions then 5 mins later it will work again and same for the bounce back.  Any issues with CU6 with sending from shared mailboxes?

    From your description, I would like to clarify the following thing:
    The issue will occur if the address in the From box is automatically populated by using outdated, locally cached information when User A typed User B's address.
    You can follow the steps below for troubleshooting:
    1. In the new email message in Outlook, click From, and then click Other Email Address.
    2. In the Send From Other E-mail Address window, click From, change the address book to the GAL, and then select the user to whose mailbox you were granted Send As permissions.

  • Unable to change members of AD security groups who have access to shared mailboxes

    I have an exchange 2013 running for over a year now and never had any problems with it. Until recently.
    A request came in to make a new shared mailbox. So I did just that and gave rights to a security (not mail enabled) AD group. Just like I Always do. Everything worked fine. A few hours later I did exactly the same for another request and then the people
    could not access the shared mailbox. So I added my regular user to the AD group and I also couldn't (I tested it with OWA and Outlook). I tried to remove myself of one of my own shared mailboxes and the permissions wouldn't stick. When I removed the entire
    group then the permissions were gone(and I could not access the shared mailbox). When I added it back I had my permissions back but still wasn't in the group. Then I tried adding a distribution group with the same result.
    It seems when I add normal users directly to the permissions everything works.
    When I had to restart the server a few days later. All changes were applied but I could not change it again.
    i'm a bit stumped on this one. i'm out of options.

    "I did exactly the same for another request and then the people could not access the shared mailbox.", I would like to verify if you give the same Security Group rights to multiple shared mailboxes.
    If the security group members can't have access to all the shared mailboxes they have rights, you can recreate a security group and grant permissions to shared mailboxes one by one to check the result.

  • One shared mailbox with multiple distribution groups connected and the sent items folder - how to configure?

    I have been struggling for a while now with the following issue.
    For starters:
    We are using exchange 2010 in combination with outlook 2013 on client computers.
    Cause of the limitations concerning the number of mailboxes in outlook im looking for a solution to receive and reply 
    to multiple aliasses. So i did the following:
    1. Configured one shared mailbox.
    2. Configured multiple distribution groups
    3.  made the shared mailbox a member of the distribution groups
    4. Configured full access and send as permissions for myself on the shared mailbox ( testing )
    5. Gave send as permissions to the shared mailbox in Active directory. 
    6.  Logged in to OWA to setup rules for the shared mailbox.
    I now receive emails from all connected distribution groups in the shared mailbox and also in the right folder.
    I do however have to select the proper from address when i reply to an email. 
    the email sent by the main SMTP of the shared mailbox is placed into the sent folder of the shared mailbox. 
    I setup the senddelagate blabla in register.....
    When i sent an email as one of the connected distribution groups it fails to put the sent item in the sent items folder of the shared mailbox. The email is sent using the proper address but placed in the sent folder of my main account. 
    I want this emails to end up in the sent items folder of the shared mailbox. Or even better, in a sent items folder for each of the addresses. 
    Any suggestions ?

    As what
    Rajkumar says, sending as a shared mailbox(full access permission) will put the email in the sent item of shared mailbox. But it cannot be located in the “sent item” of a distribution group. Because
    it is a distribution group instead of a enabled user mailbox.
    According to your further description, I understand that the reason why you configure that is some users reached the
    limitation about the number of Exchange accounts you can include in the same Outlook profile. Is it rights? If I misunderstand, please point it out.
    By default, user can only add 10 Exchange accounts to the same profile. You can customize the limit to the number Exchange accounts in the same profile using the following registry data:
    Key: HKEY_CURRENT_USER\software\policies\Microsoft\exchange
    DWORD: MaxNumExchange
    Value: integer value starting at 1 (default = 10 if DWORD is missing)

  • Shared mailboxes

    I'm a department mgr trying to improve how my department handles emails.  I'm being told my ideas aren't possible on the platform we're on.  'Wait for our upgrade' is the answer I'm
    getting for what seems to be pretty generic, common solutions.  And I know just enough to be dangerous.  Before I push my idea I'd like to make sure it possible.
    We're on Exchange 2003 w/ various clients. Many access Outlook via Citrix, It's 2003 version and some have 2007 on the desktop.  There are two problems:
    I want to share a generic mailbox among multiple users and use rules to forward e-mails to appropriate folders under this generic mailbox.  When I try to share a users e-mail it does not allow me to expand the folder.  One msg I find says, "Store
    the OST or PST file on the local computer" 
    I'm also being told that rules do not function on 2003.  Quote:
    "This is not possible on the email client/Exchange server. Exchange 2003/Outlook 2003 needs to have the client running in order to manage the Rules process.
    Newer versions of Outlook/Exchange will support offline processing."
    Is that possible?  Rules can't be used on Exchange 2003? 
    TIA for any insight. 

    A few things:
    Exchange 2003 is beyond normal support - if you want to get things working properly, with full support, you will need to upgrade (as previously advised - in fact, I am not 100% sure I remember all the gotchas that you will run into with OL2003)
    Outlook running on a Citrix client is not going to allow you to cache the primary mailbox locally.  Period.  This will break several things from the get-go when working with a shared mailbox (such as where the mail gets delivered when you send
    as that shared mailbox - look in your personal mailbox in the Outbox to find them, and they will appear to be undelivered, even when they are).
    It's been a really long time, but I believe that you will have troubles placing rules onto an Exchange 2003 mailbox using the web client, OWA.  Due to this, you will need top open an Outlook mail profile specific to the shared mailbox on your
    desktop to implement rules.
    Now, a bit of good news for you:  You don't need to have Outlook 2003 running against a mailbox for rules to function, so you were fed a little bit of misinformation.  Outlook (and its predecessor) was able to create server-side rules that run
    without the client being open.  The only drawback is that you need to be sure the rule isn't marked as a client-only rule, but for most actions in a single mailbox, this isn't an issue.  However, if you plan on moving the mail to other mailboxes
    (or replying to the messages automatically, in Exchange 2003), you will need a client-side rule, and therefore will need an Outlook client connected to the mailbox.  That being said, the Outlook client can have this shared mailbox open as a secondary
    mailbox, rather than as the primary mailbox.  So some good mixed in with the bad.
    Now, I have a question - you say when you try to share the generic mailbox and it won't allow you to.  Do you have full access to the mailbox?  This is required before you can share folders in it, and can only be granted by an administrator. 
    (Oh, and this has nothing to do with the OST or PST.)

  • OWA continuously prompts MailUser user when saving appointment for shared mailbox

    We have a number of users of type 'mailuser' who are granted full permissions to shared mailboxes. If a user of mailuser usertype does the following, they are unable to save appointments to the shared mailbox's calendar. Outlook Web App will
    continuously prompt the user to re-login. The functionality works in IE but *not* in FireFox (Update v28.0) and Chrome - I know probably beyond what can be fixed server-side but never hurts to ask. 
    Steps to reproduce:
    1. Mailuser user is granted full access to a shared mailbox.
    2. Mailuser accesses shared mailbox in OWA at https://mail.myorg.com/owa/[email protected]
    3. User goes to the Calendar within OWA and double-clicks a timeslot to add an appointment. After appointment details have been entered, click "Save and Close"
    4. Outlook Web App responds with a login prompt (same as initial prompt) and the user is unable to add the appointment - can't re-login via the prompt using the mailuser username and password.

    I have tested in my Exchange 2007 environment with IE. I can user mail user's credential to access shared mailbox can add appointments perfectly.
    Please make sure the shared permission is set to Full Access instead of other mailbox permission. Also confirm the web browser for OWA access is a supported browser with OWA premium. If the issue persists, pleae remove the mailbox permission then re-add
    it back to have a try.

  • Shared mailbox shows emails and subfolders of the users mailbox in Outlook

    After We migrated the Exchange from 2010 to 2013 any shared mailbox has been migrated  is showing the inbox and all the subfolders from the user's mailbox in Outlook, instead of the shared mailbox content.
    note: if we create new shared mailbox it works fine without any issue.
    We have tried to removed full access permissions and re-added full access permissions, disabling AutoMapping and then added the shared mailbox manually in Outlook and that works fine but it is not a solution for us as we have 400+ shared mailbox and
    we cannot do it for every user have access on each shared mailbox.
    any ideas.

    Hi,
    Please check if this issue persists in Outlook online mode.
    After you remove the full access permissions, the shared mailbox will disappear from Outlook automatically. When you add the full access permission then, the shared mailbox will appear again in Outlook. There is no need to add shared mailbox manually.
    Please remove the full access permission and then re-add the full access permission. This time, you can make use of the AutoMapping feature to check if shared mailbox display properly.

  • Send As from a shared mailbox stopped working

    I have created a Shared Mailbox a few months ago and gave one use full access rights and send as permissions. This worked perfectly since it was created. On Friday, the user started getting:
    Delivery has failed to these recipients or groups:
    You can't send a message on behalf of this user unless you have permission to do so. Please make sure you're sending on behalf of the correct sender, or request the necessary permission.
    If the problem continues, please contact your helpdesk.
    There have been no changes made to any of the rights or permissions anywhere. The shared mailbox properties still show this user in the full access and send as list. The shared accounts address is available in the GAL so that is not an issue.
    Any ideas would be appreciated. I could probably recreate this mailbox, but would rather fix the issue or at least know what happened in case it does it again.

    Have you tried removing and then re-adding the permission for the user? Worth a try when such issue occurs.
    As the administrator, you may want to verify that the user actually does have "Send-As" permission on the shared mailbox. To do that,
    Open the Exchange Management Console on the Server
    Navigate to Recipient Configuration > Mailbox and right click the Shared Malibox
    Select "Manage Send As Permission"
    Check that the user is listed in the permissions
    To solve the issue on the client side, delete the offline address book and allow Outlook to recreate it.
    Close Outlook
    Delete the Offline Address Book folder
    It can be found under "C:\users\{username}\AppData\Local\Microsoft\Outlook\Offline Address Books"
    Open Outlook and it will download a fresh copy of the Offline Address Book

  • Is there a way to create a rule that sends and Auto Response for a shared mailbox?

    I have a shared mailbox set up that receives emails that are sent to 3 different addresses:
    [email protected]
    [email protected]
    [email protected]
    I would like to create a rule that would send an auto response when someone emails one of these addresses.  However, I don't want an auto response sent to [email protected] so I can't just set up an "out of office" reply for the mailbox.
    Is there a way that I can create a rule to send an automated response to 2 of the 3 addresses?

    we can enable the shared mailbox in ADUC and create Outlook rules for it in Outlook to achieve it. please follow these steps:
    1. In Active Directory Users and Computers, right-click the shared mailbox and click Enable Account.
    2. Configure the Outlook account for the shared mailbox in Outlook.
    3. Click Rules > Manage Rules & Alerts.
    4. Create a rule like the following format:
         Apply this rule after the message arrives
         Have server reply using a specific message
         Except if the subject contains specific words
         Select exception(s) (if necessary) of the Outlook Rule - (“except if from people or public group“)
    5. Apply the auto reply rules for this shared mailbox.
    Then users can receive auto reply of the shared mailbox except the exceptions we have set  when they send messages to this shared mailbox.
