Use of Correspondence In T&E

Hi all,
Watz the use of Correspondence in T&E Management.IF it is for Notification for the attendees regarding the Events that are going to take place then how can we do that using Wizard in IMG settings.....
I couldn't understand watz Correspondence so plz gimme a reliable answer.

Correspondence
Use
The Correspondence function lets you output notifications for the various activities and
transactions that arise in Training and Event Management.
Features
_ You can output notifications in Training and Event Management either automatically or
manually.
You must first carry out the step Assign Notification Abbreviations and Activities [Ext.] in
Customizing for Training and Event Management.
Forms that serve as templates for the documents you want to output are assigned to the
notification abbreviations.
_ You can set up automatic output of notifications to a predefined output device or medium for
certain activities in Training and Event Management.
The output media available include printer, e-mail, fax and telex. If you do not specify an
output medium, there is no automatic output.
_ From the recipient list, you can access a print preview of the notification you want to output
(for manual output).
_ You can call the manual output function in the dynamic Attendance Menu under Attendance
_ Correspondence
When you use the manual output function, you have the additional option of downloading
documents into MS Word Form Letter.
_ Each item of correspondence output is recorded in a correspondence history that logs what
notifications are output to whom.

Manual Output of Correspondence
Use
This function lets you manually trigger output of documents to business event attendees and
instructors in Training and Event Management.
This function supplements the automatic output function in that it lets you output documents
manually as required if errors occurred during automatic output or you require additional
documents.
Features
_ Output to any medium, for example, printer or Internet mail.
If you select a medium for manual output, you override the standard settings made in
Customizing for Training and Event Management under Define Attendee Type
Specific Output Control [Ext.].
If there is no medium set in Customizing and you do not specify one for manual
output, documents are output to printer by default.
_ Output using the Microsoft Word Standard Letter function
This function is only available with manual output.
_ Output to screen
_ Display print preview of notification
_ Display log of documents output
_ Display correspondence history for recipients
Activities
1. You access this function on the SAP Easy-Access screen under SAP Standard Menu _
Human Resources _ Training and Events _ Attendance _ Correspondence _ Manual
Output or in the Attendance Menu under Attendance _ Correspondence _ Manual Output.
2. You enter an activity and a notification abbreviation (assigned to a specific notification).
3. You select an output medium as required.
4. You specify the business event and attendees for which you want to output the notification.
5. You use the functions available on the recipient list screen (for example, print preview or
download to MS Word).
6. You trigger output.
Outputting Correspondence Manually
Procedure
1. On the SAP Easy Access screen, in the SAP Standard Menu choose Human Resources _
Training and Events _ Business Events _ Attendance _ Correspondence _ Manual
Output.
2. Enter the required activity and a notification abbreviation.
3. Choose data screen.
4. Enter the business event for which you want to output notifications.
5. Enter an attendee type where relevant.
6. Enter an attendee corresponding to the attendee type specified.
Entries 5 and 6 are optional. If you make no input, all attendees booked are
proposed as recipients.
7. Enter the number of N.N. notifications (for group attendees) you want output.
8. Choose .
List screen:
1. Select the attendees in the recipient list for whom you want to output notifications.
2. If required, change the default output medium (multiple selection possible).
3. Use the functions available on the recipient list screen, where required:
Print preview
MS Word
MS Word Standard Letter
Screen output
Display log
Display booking data
Display correspondence history
4. Choose .
Result
The notification is output to the selected output medium.
Correspondence History
Use
The Correspondence History function records the individual items of correspondence output for
activities in Training and Event Management.
If you set output to automatic, you can use the history function monitor document output.
For example, you can use the history function to report on what documents have been sent to
attendees in a given time period or if and when an attendee received definite confirmation of
registration, a cancellation notification and so on.
Features
You can request reports with the correspondence history functions from four different
perspectives:
_ From the perspective of the event type
If you enter a business event type, all documents that have been output in connection
with the business event type, such as prebooking notifications, are listed.
_ From the perspective of the event
If you enter a business event, all documents that have been output in connection with the
business event, such as confirmations of registration, are listed.
_ From the perspective of the output agent
If you enter an output agent, the report lists all documents that have been output
manually or automatically by the agent in question. For example, if a booking operation
triggered automatic output of notification to the recipients, these notifications are listed.
_ From the perspective of the recipient
If you enter a recipient, the report lists all documents that have been output to the
recipient you enter.
Within the various views, you can select data to narrow down the report's output:
_ Document recipients
_ Booking priority: you can request a report on all of the notifications output to waiting list
attendees, for example.
_ Selection period: you can specify a time period yourself or select a predefined one.
_ Output status: you can select from the following statuses:
_ No output
_ Errors during output
_ Output triggered
_ Output successful
_ Activity (logical function code).
You can start the correspondence history function from the Attendance menu. There,
you can select a business event type, an event date, or an attendee. By doing so,
you select the data for the report.
Activities
1. On the SAP Easy Access screen, in the SAP Standard Menu choose Human Resources _
Training and Events _ Correspondence _ History. The Correspondence History selection
screen appears.
2. You specify the perspective from which you want reporting carried out: event type, event,
output agent, or recipient.
3. You enter a document recipient if required.
4. You can specify the attendee group by selecting a booking priority.
5. You can specify the reporting period for the correspondence history.
6. You can select one or multiple output statuses.
7. You can specify a particular activity by selecting a function code from the list displayed.
8. Choose Execute.
The system outputs a correspondence history based on the selection criteria you specified.

  • Creation of new Print Program & Variant for new Correspondence Type created

    Dear Friends,
    I have created 2 new Correspondence Types in SAP as SAP61 (Vendor Debit Note) & SAP62 (Vendor Credit Note) by copying SAP09 (Internal Document) properties like itu2019s Name of the print program - RFKORD30 & Name of variant - SAP09.
    We are facing problem when we execute print program in F.64 for SAP09 it is coming same like SAP61 or SAP62. Actual script & print values of SAP09 are replaced by SAP61 or SAP62.
    Please suggest us how we can differentiate both SAP09 & SAP61/62. Because we use these correspondences for different purposes like SAP09 gives the information for the Line items in the Document whereas SAP61/62 gives the information of vendor line item weather it is debit or credit entry.

    "Assigned the from to the company code - progam in V_001F_B"
    Check 'Form ID' field in this IMG transaction against the program and form that you have created.
    I am assuming there are 2 lines with same entries but different form IDs.
    Or there are 2 lines with the same entries but different CoCodes (seem to remember that the CoCode is not taken into account as a key in certain programs - not logical i know but remembered a previous issue I had many moons ago - could be to do with the blank entry for CoCode field if there is one being picked up by the program before the entry that has your CoCode).
    Now check the variant attached and Form ID in step 'Created new program variants in SA38'
    Ensure the correct program and variant are attached in step OB78.
    My assumption is Form ID is the key.

  • Problem in FBL5N correspondence type..

    Hi all,
      I have created one 'ZCRCT' correspondence type in FBL5N. I have assign Z program & sapscript for correspondence type.
      When I create request by selecting any document no displayed using this correspondence through path
      Environment ►Correspondence► Request a request get created then I display the same using path
    Environment ►Correspondence► Display & my Zprogram along with sapscript assigned to it get executed.
      But to work it properly I should pass the value of CoCd, cust code,document no,corresponding GL act which user selected on screen for display, to my zprog but I checked that there is no export statement that passes this value to abap memory.
    Can anyone suggest other method by which I could get all this values & run my Zprogram .

    You don't need to create a data type after importing the IDOC.
    Idoc itself acts as message type and message interface.

  • Populating the email address (SMTP_ADDR) in Vendor Master using PRAA

    Hi, experts!
    We would like to start using transaction PRAA (program RPRAPA00) to create and update Vendor Master Data based on HR employee data.  As part of this process, we would like to populate the "E-Mail" field with data from infotype 105.  (We have a separate infotype 105 subtype that stores the email address in the USRID_LONG field.)  I added the INFOTYPES: 0105 data declaration via an enhancement spot in RPRAPADE_ALV, so the GET PERNR brings in the appropriate p0105 data.... I just don't know how to push that into the appropriate field in the vendor master.
    I am trying to find the structure within the RPRAPA00 program that contains the email address field SMTP_ADDR, but can't seem to find it.  When a Vendor is created, it looks like this field gets stored in the ADR6 table, but I don't really understand how the ADDRNUMBER field in the ADR6 table gets linked back to the vendor number (LIFNR).
    I looked at the BADI BADI_EXITS_RPRAPA00, but none of the defined Methods have an email address field.
    How do I update the email address field in the vendor master using PRAA?

    A couple of things I found are:
    - there are 2 email address on the vendor
      - Comunication section - SZA1_D0100-SMTP_ADDR
      - Correspondence section - BLFB1-INTAD
    - apparently it is some kind of standard to use the correspondence section email address to send emails via F110
    - you have access to BLFB1 in RPRAPAFO_ALV
    - using the modification assistant I was able to populate BLFB1-INTAD
    - like you I thought the vendor email address's were stored in ADR6 but I tried going in to XK02 and added a couple of bogus email address's to a vendor and then went into ADR6 looking for them.  I could not find them.   Correction - I took another look in ADR6 and I did see the test email address.
    Buy reading some other threads they imply that this can be done via a user exit but like you I can't seem to be able to see how.

  • AR Correspondence - Linking Form ID to Correspondence type

    Hi SAP Gurus,
    Can anyone let me know how to link a Form ID to a correpondence type in Accounts Receivable. Is it through report variant?
    This is what I have done so far,
    Under SPRO>Accounts Receivable and Accounts Payable>Customer Accounts>Line Items>Correspondence>Make and Check Settings for Correspondence
    1. Defined three custom correspondence types.
    2. Assigned the same program "RFKORD11" for the three correspondence types. However I assigned three different variants for them.
    3. Assigned three different custom forms for the same program RFKORD1, with three Form IDs.
    The question I have is how to link form IDs to the correspondence types. Is it through report variant? if yes, where do I assign the Form ID in the variant. I tried the program RFKORD11 under SE38; but could not find the field to assign the form ID.

    You can find the Customizing path to the correspondence under:           
    Financial Accounting -> Financial Accounting Global Settings ->          
    Correspondence.                                                                               
    The creation of correspondences is controlled via the correspondence     
    type. Each correspondence type is assigned a print report as well as     
    a variant of this report (caution: correspondence type and variant       
    often have the same name but are completely different things). The       
    forms are then assigned to the individual print reports. The balance     
    confirmation uses no correspondence types.                                                                               
    o  Customizing: Assign Programs for Correspondence Types (V_T048B,       
        transaction OB78)                                                                               
    In this table, you can assign a print report and the                  
        corresponding variant to each correspondence type. If a               
        correspondence type has been assigned to a company code, this         
        correspondence type has priority.           
        The following correspondence types are delivered in the standard      
        system: SAP01 - SAP18, SAP50 - SAP58, SAP60 and other                 
        country-specific correspondence types such as SAPQ1, SAPJ1 and so     
        on.                                                                               
    o  Customizing: Define Form Names for Correspondence Print               
        (V_001F_B)                                                                               
    In this table, you can assign a form to each print report. You        
        can make a division per print report ID according to a form ID.       
        The ID form corresponds to the form set specified in the variant.

    You can select the form on the variant in the option "Form set".

    In one of the following steps, you must have assigned the sap script or smart form. Check with your ABAPer.
    Check your configuration.
    Please follow the following steps:
    IMG ==> Financial Accounting ==> Accounts Receivables and Accounts Payables ==> Customer Accounts ==> Line Items ==> Correspondence ==> Make and Check Settings for Correspondence
    Define Correspondence Types
    Create Report Variants for Correspondence
    Assign Programs for Correspondence Types
    Define Form Names for Correspondence Print (even you assign your form to blank company code also)
    If you complete these steps you will get the spool request get generated.
    You need to check in SM71 for the forms. Take help from ABAPer.
    To run F.27, you need to maintain bank statement value as 2 in correspondence tab of vendor master.
    Then you execute F.27
    You will see the spool request in SP02.

    I have created a correspondence type and assigned report variant to it and configured all steps in IMG. when i went to FBL5N and bring correspondence and go to F.61 i was able to see all type of transactions that i sold to a particular customer ( which i dont want to see in the invoice). I just like to see that particular material that i sold to a customer ( i mean that i like to see only particular transaction or document no). can anyone please tell me how to see that.

But i need to get the invoice for each sale of a customer using the correspondence i created. Let me know if made any mistake. Please help me ASAP..............

    Hello all,
    currently i'm using version 4.7.
    as known in std t-code FB12, we need to request which documents to generate correspondence.
    steps are:-
    1. enter company code
    2. choose correspondence type
    3. key in document number & fiscal year
    as for item 3; is there a method that we can key in multiple document numbers & year in one shot?
    currently doc number and year enter one by one.
    pls give ideas anyone...really appreciate it.

    update:
    i tested use t-code F.62 (internal doc) using my correspondence type. here i select multiple documents to request as you mentioned earlier.
    but error msg prompted as 'Correspondence type ZAPS1 requires an individual text'.
    then i check the setting for ZAPS1 (tcode OB77) and indicator 'indiv. text' maintained. for what purpose this is ticked?
    further to that i check the program attached to ZAPS1 (t-code OB78), 'Text' field is maintained. what purpose this is maintain?

  • Printing of Correspondence

    Hi SAP Gurus,
    I am trying to take a print of Vendor Credit Memo using the correspondence type "SAPVD" through the tcodes FB12 - Request & F.64 - Maintain.
    However the Print Program:Document Extract is giving error that no output could be generated of the correspondence type SAPVD.
    When i try to print a Customer Credit Memo using Correspondence type SAP11 the output is coming perfectly.
    This makes me believe that some thing in configuration may be amiss for Correspondence Type SAPVD.
    Can anyone help me by giving steps involved in configuring correspondence type in details as i have no idea of the same ?
    Other than configuration, what possible reason could exist that SAP standard correspondence type is not giving output.
    Points will be awarded for useful answers.

    Dear Friend,
    The node for the configuration of all the correspindence is in Spro> financial accounting > accounts receivable and payble > business transactions > outgoing invoices / credit memo > make and check settings for correspondence ............
    Now here go to the node Assign Programs for Correspondence Types and check if the "Correspondence type" SAPVD has been assigned to the program which is assigned to SAP11.
    If yes, then check in the node "Create Report Variants for Correspondence" and see if there exists any variant for SAPVD. If not create one similar to SAP11's variant.
    If the program is not attached, then attach it
    That should resolve the issue.

    Quoc,
    You can use the correspondence for internal document (SAP09) for printing the document you are posting.
    In SPRO go to Financial Accounting --> AR and AP and then customer Account --> Line item and then correspondence.
    There you have to attach the form developed by the ABAPer to the correspondence SAP09. ABAPer has to copy the exiting standard foprm attached to the correspondence and do the changes and design the layout as per the requirement.
    When you post the document , you have to attach the relavent correspondence (SAP09) to the doc and then go to F.64 tcode and execute with the inputs in the selection screen such as Correspondence, doc number, fiscal year .

  • PSCD Correspondence FPCOPARA - Entries 0000000 found

    Hi PSCD Folks,
    We are trying to generate and print 'Account Statements' using standard correspondence events (702 and 703) but after entering parameters in transaction FPCOPARA when I try to save; I receive message "Entries 000000 found Do you still want to save". If I save and execute the run program doesn't throws any error but I don't get any data in spool...Which means no correspondence was picked for printing?
    Conifiguration:
    Correspondecne Type and Variants are in place
    Business Partner and Contract Accounts have Correspondecn type assigned.
    Form are assigned (in FICA correspondence and in Cross- Application Componenets)
    Data is present in Table DFKKCOH and entries have correspondence keys asscoaited.
    Can anyone PLEASE guide me what is wrong or if there is an OSS note (I didn't find any)???
    I am functional so ABAPers please advise in layman terms !!

    Hi Sid,
    The message that you are getting is because the number of entries that is being returned by the FM
    FKK_CORR_DFKKCOH_NUMBER_GET, which is triggerred during the save event of FPCOPARA is either 0 or greater than 1000.
    I think that the data in table DFKKCOH is not meeting certain conditions and that's why its not getting picked by the FM FKK_CORR_DFKKCOH_NUMBER_GET.
    I would recommend you to place a debugger in the FM and then run FPCOPARA and try to find out the reason for no entries being picked up.

    When I try to print an invoice using the correspondence transaction code F.62, I get the following error.
    "Correspondence type SAP19 is not permitted since no date required
    Message no. FB461
    Diagnosis
    You entered correspondence type SAP19 which, according to default settings, requires no date specification.
    System Response
    Abnormal termination of processing, since in the context of the report you want to currently start, only correspondence types which require a date specification are allowed.
    Procedure
    Please check your entry. If necessary, first change the default settings for the entered correspondence type by means of customizing. However, make sure that no inconsistent entries exist in the trigger table. If necessary, you must first process the entries or set them to completed so that these can be deleted."
    Can anyone let me know how to fix this issue.

    I have setup the LSO correspondence for Booking. I use Manual correspondence. It shows that Output Successful but I don't receive the email. Is there a something the BASIS team has to setup?

    Please check SAP Note 815123 & Note 744810 in this regard.
    Please also check if the PERNR has IT0105 SUBTY 0010 maintained.
    Check entry in the table T77VP.
    This seems to be a customizing issue. Check if you have maintained all the customizings in the SPRO correctly.
